Parish Finance Administrator - Job Description

Main Duties

Financial Management

• Liaise with and provide financial information to the Diocesan Finance team as required.
• Prepare and manage the parish budget for approval by the Parish Priest and Finance Committee.
• Prepare quarterly accounts and reports for Finance Committee meetings and attend these meetings.
• Maintain accurate and up-to-date financial records, including income, expenditure, and bank reconciliation using the approved Diocesan Finance System (currently XERO).
• Oversee the collection, counting, and banking of offertory and other parish income, ensuring proper procedures are followed.
• Raise and process invoices, payments, and reimbursements in a timely and accurate manner.
• Prepare monthly and annual financial reports for the Parish Priest and Finance Committee, ensuring transparency and compliance with diocesan requirements.
• Support the Parish Priest in fundraising and stewardship initiatives, including second collections, campaigns, and appeals.
• Promote and ensure the routine availability of digital giving platforms for donors, including online and planned giving routes.
• Ensure compliance with diocesan policies for clergy payments and oversee the monthly processing of income and expenses.
• Supervise Parish counting and collection teams, assisting with bank deposits where necessary.
• Ensure compliance with Gift Aid regulations, supporting the Parish Gift Aid Coordinator in fulfilling this role.

Governance and Compliance

• Ensure compliance with all diocesan policies.
• Maintain an asset register and full inventory, ensuring appropriate insurance coverage for parish properties and equipment.
• Notify the Estates Department regarding insurance-related matters.
• Assist the parish priest in preparing reports and documentation for diocesan audits and reviews.

Volunteer Coordination

• Provide support and guidance to parish volunteers involved in finance.
• Organise and oversee rotas for volunteers assisting with financial tasks.

Other Responsibilities

• Assist in the preparation of reports for parish meetings, including the Parish Finance Committee and Parish Pastoral Council.
• Attend Finance Committee and Parish Pastoral Council meetings and take meeting minutes.
• Provide general administrative support to the Parish Priest as required.
• Undertake any other reasonable duties as requested by the Parish Priest.
• Maintain confidentiality and exercise discretion.

Parish Finance Administrator - Person Specification

Essential

• Proven experience in financial administration, budgeting, and record-keeping.

About This Job

This is an exciting training role in Army Cadet Headquarters responsible for the coordination, development and implementation of strategic training policy across the Army Cadets.

Job Profile

CAFOD’s work in the Catholic community of England and Wales is to inspire and resource Catholics to participate in the Church’s mission to overcome poverty and injustice in partnership with CAFOD. 

The main purpose of this role is to inspire and increase the participation in CAFOD’s work of Catholic parishes, schools and the broader Catholic community within the Nottingham Diocese. This will be accomplished partly by the recruitment and support of a team of committed, inspired and well-resourced volunteers working in parish and school communities to enable and equip Catholics to give, act and pray. The work will also involve meeting gatekeepers, networks and other stakeholders within the diocese to build fruitful and positive relationships.

The Community Participation Co-ordinator (CPC) is part of a regional team working across a group of dioceses and whilst having a primary focus on one diocese, is responsible for the results of the regional team plans in relation to volunteer recruitment and retention and parishion and school participation.

The role will be hybrid (40-60% of time at home and 40-60% based from the volunteer centre) or fully based from CAFOD’s Nottingham Diocese volunteer centre currently in Nottingham city centre, although it is expected that the post holder will be mobile and flexible to meet volunteers, clergy and other stakeholders as required. The post holder will also be meeting with other regional team members as required both virtually and face to face. At times it will be necessary to transport some equipment and resources and to be flexible to work evenings and weekends. 

The role requires a willingness to be adaptable to support the work of the regional team, deploying skills, knowledge and at times activity in other parts of the regional team area. This is likely to require some additional travel (which would be reimbursed by CAFOD). The post also requires weekend and evening work for while time off in lieu (toil) can be claimed.

CPCs are accountable for delivering CAFOD’s annual participation plans locally across England and Wales. As well as growing the number of parishes participating, the plan is also focused on enabling parish communities to expand the breadth of their participation. Through greater numbers and activity of schools volunteers and volunteer co-ordinators, more schools will be visited by a CAFOD volunteer. It is not expected that the post-holder will routinely visit schools but that the vast majority of visits be completed by volunteers. 

The post reports to the Community Participation Manager. 

Key Responsibilities

Delivering participation plans  

• Share accountability for delivery of annual participation plans for the region (a group of dioceses) with a primary focus on one diocese, and for fundraising, education, campaigns, and other targets, as delineated by the participation plan for the region. It is anticipated that the role will have an 80% focus on parish communities and a 20% focus on school communities 

• Contribute to the development and delivery of a regional plan across a number of dioceses in support of the annual participation plans and appropriate for local contexts 

• Achieve targets for increasing parishioner and children & young people participation primarily through recruitment and retention of volunteers and working with gatekeepers 

• Be willing and able to share reports and information around community participation and recruitment, activity, development and retention of volunteers

• Closely monitor parish participation activity

Managing volunteers  

• Be the local volunteer manager in a specific diocese or dioceses 

• Hold the relationship with, and coordinate the work of, a number of volunteers in order to achieve the annual participation plan in the region 

• Contribute to increasing the number and activity of parish and school volunteers and volunteer co-ordinators in line with the regional team plan 

• Contribute to development of volunteering opportunities especially the growth of volunteer leaders 

• Match the offers, skills, experiences and expectations of volunteers with opportunities and needs in relation to CAFOD’s plans for parishioners and children & young people 

• Ensure each volunteer is appropriately inducted, briefed, trained and resourced

• Increase and ensure volunteer retention through induction, support, affirmation and effective management of the volunteer throughout their involvement with CAFOD 

• Organize and promote volunteer meetings and training opportunities to be delivered either by national programme teams or self or members of her/his regional team 

• Ensure volunteer records are accurate and up to date on the database. 

Managing relationships 

• Build and maintain key relationships including with priests, school staff, academy trusts and others within a diocese as determined in the regional plan. Be point of contact with local Bishop.

• Build and maintain effective working relationships with diocesan communications officers and press and be a point of contact for local broadcast and print media, to increase opportunities for Catholics to hear about CAFOD’s work, working with and through media volunteers where possible.

Person Specification

Key Responsibilities

Support and Equip Church Partners
 

• Work with the wider Church Partnerships Team to meet key strategic goals to build social transformation across the church in the UK
• Manage working relationships with a caseload of partner churches to ensure programme delivery flourishes, that the church has ongoing support and feels connected to Resurgo, and has a vision for and feels ownership of the Spear programme in their community
• Liaise with church partners regarding any challenges they’re facing, providing strategic support and connecting them to the wider Resurgo team for further assistance around key challenges

Line Management, Team Training and Development of Spear Centre staff

• Support with the recruitment and induction of new Spear coaches, and manage Spear Centre Managers through regular 1-1s and helping them troubleshoot challenges
• Performance management of the Spear centres run in partnership with your caseload of churches through regular reviews, informal and structured feedback, session observations and reporting on KPIs
• Work with the Impact team to identify training needs, then design and run training initiatives to meet these needs, including all-team training days, role-specific training streams, and volunteer training
   

Active Participation in the Philanthropy and Wider Resurgo Mission

‘To Inspire and equip organisations to bring about ambitious and sustainable social change through our expertise in coaching, impact management and programme delivery.’

• Help build and develop Resurgo’s ethos and Christian life as a team member

Turn2us is a national charity tackling financial insecurity and its structural causes. We work with co-producers and partners to provide people in financial crisis with the means and agency to get back on their feet, build resilience, move forward with their lives and thrive.

Turn2us and its partners have secured £1.5 million from The National Lottery Community Fund to deliver an ambitious and innovative new programme that will support charities in England and Scotland to empower diverse and marginalised communities to respond to climate change and to get their voices heard in environmental policy and media debates.It will focus on Disabled people, those facing financial insecurity and people from ethnic minority communities. These voices are often the least heard from in national and local debates on our environment. This new work aims to change that.

As part of this programme, The National Lottery Community Fund have funded the creation of an Engagement Manager post at Turn2us to work with those facing financial insecurity. The Engagement Manager employed by Turn2us will deliver activity with smaller charities and grassroots organisations supporting those facing financial insecurity that:

• Increases awareness of the impact of environmental change and related policy on different communities 
• Listens to people in these communities to find out what actions they want charities and local government to take
• Develops shared local environmental policy priorities and empowers these organisations to advocate directly to local and national policy makers
• Identifies actions that these organisations can take to support communities to respond to climate change, and helps organisations to implement them
• Identifies people with lived experience to receive hands on training in order to act as diverse champions to media and policy makers

They will work closely with Community Engagement Managers employed by Disability Rights UK, and Race Equality Foundation, focussed on reaching organisations supporting Disabled people and people from ethnic minority communities. 

We offer flexible working patterns, both in terms of hours and remote working. Please note that all employees are required to work from the office a minimum of 4 days a month on a weekly basis.

About the Role:

As the Educational Partnerships Manager, you will play a vital role in connecting with schools, colleges, and youth clubs across North East London, with a particular focus on those based in the most disadvantaged communities. This means you'll be working with schools that serve young people from areas with the greatest barriers to social mobility. Your mission will be to ensure these young people have access to life-changing opportunities, enabling them to develop vital skills, build an enterprising mindset, and prepare for a successful future.

You’ll be a key member of YE’s Educational Partnerships Regional Team, collaborating closely with the Educational Partnerships Regional Manager to drive the success of our enterprise and financial education programmes. These programmes are designed to help young people make positive contributions to their communities and society, while equipping them with the tools to shape their own future.

This is a dynamic and rewarding role where no two days are the same. You will engage directly with young people and teachers in schools, delivering and supporting YE’s programmes, while developing new relationships and strengthening existing partnerships.

There is a degree of manual handling and you will be required to work some evenings and weekends. Further:

• There is the potential to be on your feet for extended periods of time.
• You will be required to support with setting up venues for events.
• You will be required to transport resources and other materials between your car and the venue or around a school building.

Key Responsibilities:

• Develop and Nurture Relationships: Cultivate and expand relationships with educational institutions, including schools, colleges, and youth clubs, to deliver YE’s programmes and services effectively.

• Volunteer Management: Identify, recruit and locally train Business Volunteers, Volunteer Mentors and Local Volunteer Teams. This will include harnessing excellent relationships with volunteers, ensuring that our volunteers are supported on their journey with YE.
• Collaboration and Teamwork: Work alongside your regional team to achieve shared KPIs, contributing to the success of the region and the wider organisation.
• Income Generation: Actively support efforts to generate local income and secure resources to continue delivering our impactful programmes.
• Safeguarding: Undertake training and ensure YE’s safeguarding policy is adhered to at all times.
• Tech-Savvy: Competence in using IT tools such as Microsoft Word, Excel, PowerPoint, and Teams.
