As Volunteer Programmes Coordinator you will support the effective delivery of our volunteer programmes. As someone with rigorous attention to detail and outstanding organisational skills, you’ll coordinate the day-to-day administration of our full suite of programmes. Critical to this role is administering robust procedures to ensure the success of each programme and project and delivering high level relationship management, both internally and externally, to a variety of people.

As an integral part of our Operations team, the Finance and Operations Officer will work closely with our Operations Manager, playing a key role in supporting the effective management of IRMO's day-to-day operations with a focus on financial responsibilities. The post-holder will also be responsible for administrative tasks such as liaising with service providers and procuring office supplies, as well as supporting the development and implementation of IRMO's policies and procedures. Additionally, the post-holder will act as IRMO's Safeguarding Officer to support the Safeguarding Lead in ensuring compliance with safeguarding policies and promoting a safe environment across the organisation.
Key Responsibilities
Financial Responsibilities
- Maintain accurate and up-to-date financial records using accounting software
- Input all payments, including invoices, expense claims, bank charges, salary payments, HMRC, and any other payments into the financial system
- Generate and issue invoices for services provided, ensuring accuracy and adherence to procedures
- Reconcile all bank accounts regularly, identifying and resolving any discrepancies
- Review transaction lists to identify anomalies such as misposts or missing invoices, taking corrective actions as necessary
- Review accounts receivable balances and follow up on overdue invoices, maintaining effective communication with relevant stakeholders
- Support the development of quotes, budgets, and financial tools in collaboration with the Operations Manager

About the role

We’re IPWSO, the international umbrella body for Prader-Willi syndrome (PWS) associations around the world. The role
You’ll bring energy and enthusiasm to the team, ensuring financial processes are carried out efficiently, effectively, accurately and in a timely way, to support the organisation’s finance function.
The focus of the role will be maintaining accurate financial records, carrying out financial administrative tasks and supporting the Senior Finance Manager with preparation for monthly management accounts and annual audit and reporting. You’ll work closely with the whole team of staff, trustees and volunteers, but you’ll work most closely with the Senior Finance Manager.
We’re implementing a new version of our Salesforce CRM this year, and you’ll play an integral role in this project. You’ll be provided with training on this and all our IT systems. Key Areas of Responsibility
- Monitor our bank account, recording all income and expenditure accurately on our Salesforce database and Sage 50 Accounts
- Prepare BACS payments to creditors and grant recipients, and prepare supporting paperwork for authorisation
- Banking cheques and cash
- Reconcile financial data between Sage, Salesforce and our bank accounts, working with the Senior Finance Manager and team members to spot any errors or inconsistencies
- Prepare and track invoices, updating records promptly

About the role and the RVC Animal Care Trust:
This role supports fundraising activity at the Royal Veterinary College largely through its registered charity the RVC Animal Care Trust (ACT) within the Directorate of External Relations. The ACT aims to improve animal health and care through clinical practice at our animal hospitals, education of veterinary and science students, and pioneering research. Fight for Peace is a sport for development charity based in Newham, London. At its core, it is a boxing and martial arts academy with a whole range of in-house youth support services under one roof. Children Change Colombia is a UK registered charity with 33 years' experience in defending children's rights in Colombia. Today we are the UK's largest charity working exclusively in Colombia. We work with children whose rights to a safe, happy childhood, and a fulfilling future, are threatened by poverty, inequality and violence. We work with the children most at risk, to keep them safe and defend their rights in the long term, to tackle neglected issues that few others address and to strengthen children's organisations.

Purpose of the role:

To keep the Executive Director and Trustees informed on the charity’s financial status through the production of management accounts and other financial reports

To introduce and supervise the implementation of systems, procedures and controls to ensure the smooth running of the charity’s finances and maximise accountability.

To ensure that Children Change Colombia complies with its statutory obligations – specifically those relating to Charity Commission, Companie House and Inland Revenue.

Key Financial responsibilities
UK Finance:

Prepare annual consolidated statutory accounts, guaranteeing compliance with SORP requirements, liaising with external examiners, consolidating with Colombian accounts.

Prepare monthly management accounts, regular analytical reports on budget performance and cash flow forecasts for Executive Director (ED), Trustees and Treasurer at Finance Committee meetings, highlighting any specific areas of concern.

Attend Finance Committee and Board meetings.

Check and authorise bank payments and transfers in the UK office.

Data input into Quickbooks of all accounting transactions, monthly reconciliation of 10 UK bank accounts, plus all balance sheet accounts.
