As Head of Operations & Governance, you will be responsible for overseeing the back-office operations of the charity. You will be a key point of contact for the team and support the Executive Director to ensure smooth, efficient and compliant operations.
You will be a senior member of the team, responsible for ensuring that PINF operates within its legal and regulatory framework, including in relation to charity, corporate, tax, employment and data protection regulations. The role involves liaising with the Chair, Board of Trustees, Executive Director, legal advisors and regulators to support best practice in financial management, governance, risk management and compliance.
Duties and responsibilities

Financial Management

Ensure consistent delivery and quality of finance operations, including transactions processing, which will involve managing a bookkeeping service.

Prepare and monitor annual budgets, management accounts and project budgets.

Lead on the financial aspects of fundraising, contract management, and funder reporting. Including managing restricted and unrestricted funding.

Oversee the process of preparing statutory accounts, including liaising with accountants and auditors.

Maintain internal controls and policies to protect assets, prevent fraud, and ensure business continuity.

Participate in the Finance & Fundraising Committee and support the Treasurer to plan and deliver meetings.

Prepare financial reports for board meetings and engage in board discussions.

Governance
-
Manage our annual governance cycle, working closely with the Chair, Treasurer and Executive Director to ensure legal compliance and to plan and prepare for Board meetings including taking appropriate minutes.

Manage the organisational risk framework including identifying emerging risks and working with the Executive Director to mitigate them.

Companies House and Charity Commission filings.

Develop and maintain a suite of policy to ensure PINF meets its obligations as a charity and an employer.

Play an active part in board discussion to support good decision making.

HR
-
Manage HR across the organisation; ensuring all HR processes and policies are fit for purpose, up to date and adhere to law, and are understood and implemented across the organisation.

Manage recruitment processes for all staff.

Manage the annual leave tracker.

Operations and administration
-
Ensure the smooth running of the organisation by leading operational planning and monitoring progress.

Lead on relationships and contracts with external suppliers and contractors.

Ensure PINF has appropriate insurance cover.

Occasional support with charitable activities (meetings, events, publications, etc.)
Requirements

A professional qualification in finance, management, law, or a related field and at least five years’ experience relevant to this role.

Deep understanding of good governance and best practice in the charity sector.

Understanding of relevant laws relating to employment, data protection and running a charity.

Sympathy to the aims and objectives of PINF.

Full professional proficiency in English.

Skills and attributes

Experience of managing charity finances and budgets (Essential). A related finance or accountancy qualification would be desirable.

As Philanthropy Manager, you will be a vital part of the relationship management team, stewarding a mixed portfolio of donors, including individuals and trusts/foundations. About Chapter One
Chapter One is a dynamic, growing charity with a vision of a world in which all children have the literacy skills needed to thrive. Our mission is to close the reading gap by providing children with one-to-one support at the time they need it most.
Our unique Online Reading Volunteer programme currently supports about 3,000 children a year. It pairs disadvantaged, struggling five to eight-year old (KS1) readers with reading support volunteers who come from over 140 local and national businesses. The volunteer ask is very focused: readers commit 30 minutes a week to read with a child using a bespoke digital platform for an entire academic year. The results are transformative, boosting children's reading confidence and ability.

About the role
Chapter One is seeking a proactive, energetic and enthusiastic Corporate Partnerships Manager to be an integral part of a team which aims to both maximise corporate income and deliver an excellent partner and volunteer experience.
Reporting to our Head of Corporate Partnerships, and responsible for the line management of our Corporate Partnerships Officer, you’ll deliver on our annual volunteer and income targets and maintain our strong partner retention rate (target 87%). Key Responsibilities
Partner Stewardship

Lead the account management of a selected portfolio of corporate partners, ensuring Chapter One achieves its annual retention and growth targets

In collaboration with the Head of Corporate Partnerships, devise effective schemes of delegation and partner allocation within the Corporate Partnerships Team

Focus, in all corporate partnership discussions, on maximising income

Identify opportunities to increase a partner’s support eg by identifying other regional/divisional opportunities or inclusion of Chapter One as a social value partner in public sector bids

Conduct regular partnership meetings, including mid and end of year reviews, proactively proposing tailored opportunities to retain and grow partner support

Lead on producing high quality written communications, reports, proposals and pitches as per the requirements of each partner, collaborating with the Data and Systems Officer and Fundraising team as needed

Advocate effectively, with passion and enthusiasm, for Chapter One’s programmes in a variety of internal and external settings

Proactively network to deepen and strengthen external relationships with Chapter One partners, identifying speaking opportunities for Chapter One where possible

Supervise the Corporate Partnerships Officer to lead volunteer recruitment meetings, including stepping in if necessary

Supervise the Corporate Partnerships Officer to manage new partner onboarding meetings, stepping in to lead them if required
Partner/volunteer onboarding and experience

Alongside the Head of Corporate Partnerships, use internal systems to assign partner teams and volunteers to specific schools and ensure that their needs are met

Develop proactive, supportive relationships with Volunteer Coordinators in partner organisations, providing high-quality data and information in a timely manner

Work closely with the Volunteer Support Team to ensure that partner and volunteer onboarding is a smooth, time-efficient experience

Support the Programme Management team to liaise with partner contacts about the organisation of in-person school/office visits and virtual meet and greets

Attend Chapter One’s internal Volunteer Experience group and Corporate Engagement Group.
Marketing and Communications

Work with the Marketing and Communications team to ensure that companies and volunteers have access to an array of promotional assets and recruitment materials

Create and provide content for the regular volunteer and corporate partner newsletters, including working with partners to gather volunteer testimonials and partner profiles

Work closely with the Marketing and Communications team to develop ways to promote, showcase and celebrate partnerships and individual volunteers across our social media channels and other digital platforms

Encourage corporate partners to promote Chapter One through their own social media and channels

Support the organisation of online and in person partner and volunteer recognition events

As Individual Giving Officer you will also monitor performance of fundraising projects and make tactical and strategic recommendations to enhance results. The role will hold a special focus on maintaining the positive experience of existing supporters, by providing timely campaign updates, as well as finding opportunities to ask for further donations.
Key Skills and Attributes:
This role requires a confident fundraiser and project manager with a solid grasp of fundraising from individuals, either donor recruitment or retention, or in direct marketing within the charity or commercial sector.
Experience of developing and managing multi-channel fundraising projects is essential using a range of media channels. These include telemarketing, print (supporter magazine, cash appeals, retention mailings, inserts and cold mailings), paid social media, Display, YouTube, PPC and email.
You’ll need to demonstrate a good level of organisational, time management and project management skills, and show a great attention to detail, leading on the monitoring and reporting of projects.
You’ll provide strong creative thinking, and work alongside the internal Content and Creative teams to ensure that content is accessible, inclusive, and honours our commitment to Equality, Diversity and Inclusion
You’ll gain support from the Senior Individual Giving Officer on using the latest CRM database and create mailing selection lists and help take part in quarterly reforecasting. And show a good understanding of the both the charity fundraising sector and the climate crisis, in order to keep up with the latest trends and techniques.
The Individual Giving program has evolved hugely over the past few years, with a big increase in our digital activity and collaboration with campaign teams to create compelling and integrated plans. You’ll need to show a track record of engaging online audiences, with an ability to produce compelling copy and content.
The Individual Giving Officer will manage a selection of projects focused on supporter experience. You will contribute to delivering an annual calendar of communications to maintain the number of active regular and cash giving supporters, providing timely campaign updates, as well as identifying areas to ask for additional financial support.
Knowledge of relevant compliance including Fundraising Code of Practice, CAP code, UK data protection law and complaints handling requirements in relation to individual giving is essential.
