Inter Mediate is a London-based peace-making charity supporting confidential negotiations in some of the world’s most challenging conflicts. Reporting to the Head of Finance, working closely with the Operations Director, and in close coordination with staff across IM, the key tasks of this role are to:

• Take a proactive and principal role in supporting Inter Mediate’s financial compliance;
• Support Inter Mediate to fulfil its accountability to funders;
• Take an active role in supporting and guiding the projects teams in efficient budget tracking and monitoring;
• Take a proactive and principal role in supporting the Operations Director with various aspects of operations management for best practice and compliance;
• Take an active role in supporting secure and compliant IT operations;
• Provide other general support when required for the smooth running of the organisation.

Specific responsibilities

Finance

Working with the Head of Finance as required:

• Record and process a range of financial transactions accurately and efficiently to deadline in Sage 50 software (often in multiple currencies). Maintain financial records ensuring accuracy to facilitate internal and external audit processes;
• Take the lead in compiling, tracking and monitoring project budgets in close collaboration with operations and project teams;
• Track project and core expenditure and support in preparation of accurate, compliant and timely financial reports to funders to satisfy reporting requirements;
• Help to compile and monitor project budgets, log activities and record/prepare relevant material for grant audits;
• Implement and maintain financial policies and procedures;
• Manage book-keeping function by recording invoices, ensuring that they are promptly  authorised in line with agreed financial procedures and paid on time;
• Manage complex cash and credit card expenses by collating and recording in multiple currencies; and taking charge of banking, petty & foreign cash accounts;
• Take the lead on initiatives to research, introduce and implement appropriate finance software to make the finance function more efficient;
• Be prepared to play an active role as IM brings management accounting in-house
• Support Inter Mediate with company and grant audits.

Operations

Working with the Operations Director as required:

• Assist with researching and implementing operations systems, policies and procedures (as requested by the Operations Director;
• Assist with timesheets, and absence reporting management;
• Collaborate with operations and project teams in complying with donor requirements;
• Undertake special projects such as aspects of the salary and benefits benchmarking exercise;
• Assist with smooth running of the office and maintenance of office systems and equipment, including stationery orders, overseeing subscriptions and shredding.

General

• Assist with organising meetings and events, including travel logistics, and providing other general support when required.

Job Purpose

As our Finance Manager, reporting to the Director of Finance and working closely with the Senior Leadership Team and colleagues across the organisation, you will be a key person ensuring that our financial data is complete and accurate, overseeing reporting to our programme funders and our international network, and ensuring best practice in all aspects of financial management. You’ll supervise the Database and Income Processing Officer and the Finance Assistant (position currently vacant).

Key responsibilities

Ensure the integrity of financial data and controls, including budgeting, forecasting, Treasury and cash flow management

· Prepare data ready for monthly accounts, reports, and financial statements. This will include the normal monthly journals, reconciliations, and checks

· Support financial planning, risk management, and decision-making

· Liaise as necessary with colleagues in Habitat for Humanity’s international network for reporting and efficient transmission of funds to overseas affiliates

· Manage payroll, tax returns, and financial reporting for funders

· Provide leadership to finance team members and develop financial policies

Accountabilities and Responsibilities

· Administering commitment and invoice approvals in line with our Delegation of Authority

· Coordinating and verifying expense coding by non-finance staff

· Administering transfers to international partners according to policy

· Ensuring VAT records are accurate and returns made on time

· Maintaining auditable financial records

Income / Donations

· Manage income processing team

· Working with fund-raising teams to ensure all income is appropriately coded and documented

· Importing grants and donations from the CRM system (Raiser’s Edge) to the accounting system and reconciling to bank

· Regular reconciliations between the accounting and CRM systems

· Coding, processing and reconciling other income

· Assisting with Gift Aid claims

Bank

· Administering weekly payment runs and coordinating on-time authorisations

· Processing international transfers

· Currency and treasury management

· Bank account reconciliations

General queries

· Dealing politely and efficiently with questions from inside and outside the organisation

· Dealing assertively and effectively with cases of any deviations from policies and procedures

Record keeping

· Complete and accurate record keeping bearing in mind detailed level of audit compliance

· Logical filing of evidence of transactions, primarily electronic.

Month- and Quarter-End processes

· Preparing nominal journals, such as accruals/prepayments, payroll allocations, depreciation

· Monthly reconciliations of balance sheet accounts.

Other duties

 · Checking Employee Expenses Claims (processed by the Office Manager) and final processing

· Assisting Director of Finance and other relevant staff with finance-related questions

· Assisting with the annual audit and preparation of financial statements

· Additional finance admin duties as required

· Run donor budget reports for the Europe region office and internal stakeholders

What we’re looking for

 · A qualified or part-qualified finance professional with at least 3 years’ experience in charity finance, including fund accounting

· Skills in financial control, compliance, management, and reporting

· Knowledge of accounting software (Sage50 and Sun ideally) and downstream spreadsheet and similar tools; a willingness to learn new ways of handling data

· Good summarising and communication skills with the ability to influence colleagues and senior leaders

About Woman's Trust

Woman’s Trust was established almost thirty years ago and is the leading specialist in mental health services for women. Led by and for women, it aims to ensure that women affected by domestic abuse can live a safe and healthy life, free from further harm. Our approach is trauma-informed and person-centred, empowering survivors on their journey to recover from the trauma. We support 900 women and children annually, with an income of £1.3m and 40 staff. We are committed to a positive, inclusive and equitable environment for our staff, service users and volunteers. Alongside our current service provision, we are focused on developing innovative mental health services for young women and girls, launching peer-led support groups and providing therapeutic groups to children and their mothers. About the role

As our Temporary Finance Manager, you will be managing a finance assistant and will be part of our organisation’s Senior Leadership Team, helping to collaboratively shape and steer the charity as we work towards our 2022 - 2027 strategy. The Finance Manager is at the heart of Woman’s Trust; you will play an essential role and have oversight of not just the finance team – you will have direct exposure to CEO/Board Members and decision-making for the future of the organisation.

We are looking for a highly motived Temporary Finance Manager with demonstrable experience working in a similar senior level role. You’ll be a fully or part qualified accountant e.g. CIMA/ACA/ACCA/Cipfa, with a thorough understanding of charity accounting.

Hours: Up to 28 hours per week.

Contract: Fixed term from 1st June 2025 to 14th December 2025.

Our Finance Manager is an essential part of the LRMN team. You will work with colleagues to set and manage budgets, maintain accurate financial records, manage all donor management activities, oversee our banking and ensure all financial and compliance requirements are met. Our services include provision of specialist legal advice and information on immigration, housing and welfare, therapeutic and practical support to women who survived trauma, helping our service users access employment, training and volunteering opportunities, prevention of mental health problems, and helping our clients integrate and engage in their community.

Create has just entered Year Five of its ambitious seven-year strategy to double its reach/impact by the charity’s 25th anniversary in 2028. As the charity progresses into this critical phase of development, we have been awarded a major (£320k) grant to support capacity building. This will enable the further implementation of Salesforce as the charity’s CRM, focusing on the project management and finance functions of operation, transforming efficiency and reducing administrative strain. This will be achieved by creating the position of Technical Project Lead to project manage and oversee implementation of Salesforce; increasing capacity in the finance team by appointing a Finance Manager; and implementing new cloud-based financial accounting software to work alongside Salesforce. This is an incredibly exciting time to join the charity and make your mark.

The Director of Finance & Operations will direct, administer and coordinate the financial, governance, HR, IT and operational activities of the charity in accordance with company policies and the Strategic Plan established by the Chief Executive (CE) and the Board of Trustees, and to assure the quality, effectiveness and efficiency of the planning, delivery and reporting of these activities.

Salary: £46,000-£51,000 per annum depending on experience.
