This 12 month project will help load accurate new and historic data onto our new CRM, MS Dynamics. You will work on designing new processes for importing current and ongoing financial transactions from our trusted suppliers. This will involve working with data and fundraising colleagues, selecting the most appropriate technology, writing the documentation, training others as well as ensuring accurate and timely loading of the data once live.   

In May we launched our new CRM Dynamics 365 with small data sets in a staggered approach working team by team. This post will support our fundraising team to ensure they have accurate and up-to-date supporter information, enabling timely communications with donors and precise monthly financial reconciliations.  

You will be a detail-oriented and self-motivated professional with proven experience in managing data imports and ETL processes. With strong data analysis skills and ideally experience of loading data into MS Dynamics, you understand how to transform data to support decision-making and ensure accurate financial reconciliations.

About Animal Action Greece

Founded in 1959, we are Greece's oldest national animal welfare organisation. Our mission is to improve the lives of Greece's homeless and vulnerable animals. We care for street cats and dogs, provide vital veterinary, dental and farriery services to working and abandoned donkeys, horses and mules and rescue, treat and rehome animals affected by emergencies.

The Campden Charities is a permanently endowed trust assisting individuals on the lowest incomes in the old parish of Kensington.  The area is one of extreme contrasts and includes neighbourhoods with significant levels of deprivation and need. Additional information

Place of work: 27a Pembridge Villas, London W11 3EP.  Some outreach work will be expected ranging from one-off events to placements within local organisations or community centres. 

Salary: £31,000 - £34,000 dependent on experience (generous 10% employer's pension contribution rising to 15%  after five years)

Hours of work: 37½ hours, Monday to Friday.  The usual working hours for this post are 9.00 am – 5.00 pm. Some start time flexibility could potentially be offered post-induction/training.

Holiday: 28 days per annum + Bank Holidays.

Training: Training and support in post is provided on an on-going basis and training in specific areas will be offered as need and interest arise. About the Development Research and Data Officer role

Our Development Research and Data Officer helps to ensure long-term fundraising success for National Museums Scotland by maximising the use of the CRM database and developing the prospect pipeline for campaigns and revenue fundraising. We have lots of exciting fundraising campaigns including acquisitions to develop the collections, research, conservation, community engagement and exhibitions.

We are investing in this new position in order to centralise those diverse admin responsibilities, with the Income and Finance Liaison Senior Officer taking full ownership of the associated processes and deliverables, and helping to establish "best practice" to support the Charity in our next growth phase.

The Income and Finance Liaison Senior Officer will contribute to the growth of upReach by working across the Income Generation and Finance teams contributing to a wide range of income and finance related activities. You will support the teams to meet income targets and deliver the 2024-27 strategic plan.

CORE RESPONSIBILITIES

Reporting to the Director of Income Generation and External Engagement you will work closely with the Director of Finance, CEO, Finance and Programmes teams, and colleagues across the income generating and external engagement team;  supporting them to meet financial targets, provide excellent stewardship and to  implement key administrative and financial processes. 

The core responsibilities include: 

Income generation and External Engagement

• Ownership of a range of administrative tasks, including stewarding of donors and partners and support of the Development Board.

• Promptly addressing incoming queries from supporters and partners, including email, telephone and post; assist the team by managing;

  • Departmental email inboxes

  • Prioritising requests and responding where appropriate

• Oversee the management of contracts with partners and funders; generate, issue and follow up in a timely fashion.

• Support the timely production of monthly management reports.

• Play a key role in the complaints procedures for the department and conduct full investigations where needed.

• Work with the team to ensure all relevant data is created and maintained regularly and accurately on the CRM (Customer Relationship Management) database.

• Keep on top of developments, changes in trends and patterns, new techniques and legislation. 

Finance

• Act as the key liaison point between the income generation and finance team.

• Work with Finance to identify and find solutions to bottlenecks in the purchase order, invoicing and payment process.

• Ensure that money coming into the charity can be identified and coded accurately on the CRM database and finance systems.

• Create and maintain accurate records in the finance system, including billing values, timings and dates.

Team Working

• Work with colleagues across the department and organisation.

• Lead and support rotatees (Team members on the Graduate scheme) and volunteers as required.

Kids Club Kampala is a UK charity with a Christian ethos that works to transform the lives of children in the slums of Kampala in Uganda. Job Description

Financial Administration 

• Bookkeeping: Maintain accurate financial records, including processing receipts, invoices, payments, and expenses.

• Budgeting and Reporting: Assist in the preparation of budgets, financial forecasts, and reports for internal management and external stakeholders.

• Grant Management: Track income and expenditure related to grants and restricted funds, ensuring compliance with donor requirements.

• Accounts Payable/Receivable: Manage payments to suppliers and reconcile incoming donations and funds.

• Bank Reconciliation: Reconcile bank accounts on a regular basis to ensure the accuracy of financial statements.

• Gift Aid Claims: submit regular gift aid claims to HMRC and ensure declaration forms are up to date

Administrative Duties:

• Donation processing: Timely and accurate processing of donations including creating receipts and data management.

• Office Management: Oversee general administrative tasks, including managing office supplies, correspondence, file management and documentation.

• HR Administration: Support the HR function with staff records, leave tracking, and recruitment documentation.

• Board and Committee Support: Assist with preparing financial reports, minutes and other documentation for Board meetings and other key committees.

• Database Management: Maintain accurate donor and client databases, ensuring data protection compliance.

General Statement of Duties:

To significantly increase the hospital’s voluntary income (primarily unrestricted) through the development and management of mid-value fundraising appeals, stewarding mid-level donors, regular donors, and fundraising committees with some event support.

The success of this role will be dependent on developing excellent relationships with our fundraising committees and regular donors. This role will work in conjunction with a small, dedicated team in London to provide fundraising, communications, and events support to two dedicated community fundraising groups.

Key Criteria for success:

· Represent SJEHG externally at community events, St John activities, and committee organised events.

Main responsibilities:

· Manage the key relationships with the Guild fundraising committee and the SOA fundraising committee including communication, administration, and event support. One day per week will be set aside by the post holder to conduct and manage Guild responsibilities and tasks.

· Manage the key relationship with the Knights Templar sub-groups, and the County Priory Groups across the UK.

· Represent SJEHG externally at community events and in aid of fundraising activities.

· Establish and manage excellent client care for all relevant donors. Ensure that timely, effective, appropriate acknowledgement and recognition of gifts are provided to the donors.

· To be responsible for ensuring electronic records are up-to-date and accurate.

· To devise, implement and manage an effective regular giving strategy, under the supervision of the Executive Head of UK Office, with the aim of growing regular giving income, and undertake monitoring and evaluation.

· To steward the mid-level donors (£500 to £4999), ensuring the highest possible levels of donor care.

· To work in partnership with colleagues to identify individual donors that could be cultivated and moved to the major gift team.

· Assist colleagues with the content for the Jerusalem Scene newsletter

· Manage Shopify store online and Merchandise management. Fulfilling orders and using the opportunity to steward donors.

· Thanking and stewarding donors within the remit (under £10,000).

· Work with the Jerusalem team as appropriate.

Job Title: Finance Officer
Reporting to: HQ Finance Manager
Hours: 37.5 per week
Salary range: £32k to £35k
Principal Location: London, hybrid with a minimum of 3 and an expectation of 4 days in the office per week.

Street Child is one of the world's fastest-growing children's charities. In less than 15 years we have made a material impact on the lives of nearly a million children - but the desire, potential and need to go so much further, and to reach millions more children in need of safety and a quality education, is what motivates us every day. Strong finance functions underpin everything that we want to achieve as an organisation and this role is a vital part of this.

Role Purpose:

This role is a key member of the busy HQ finance function. The role is primarily focused on HQ finances and will also work with the colleagues across our global finance team. The role offers the chance to work across a number of finance functions, including: management accounting, supporting year end audit, Accounts Payable and Accounts Receivable and working on some of the subsidiary charities; and so it provides a great opportunity to experience the full breadth of finance work in a charity across all functions in a varied and interesting role.

It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role. Street Child is implementing a new CRM system and this role will feed into the development of new processes and procedures and use both the CRM and finance system and ensure full reconciliation and data trail between the two systems.

Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable and CRM:

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly. Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements.
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (40%) Month end reporting and reconciliation and subsidiary accounts:

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

3) (20%) Lead the Accounts Payable process:

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Ensuring that there are at least two payment runs a week and additional runs as required; overseeing the process to ensure that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set. Providing cover to set up payments when the Finance Assistant is not available.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day. This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities from time to time.
