Key Responsibilities
Reporting into the Operations Manager, the Brand Operations Officer is responsible for managing the distribution of products donated by brands to community-led projects. This role plays a key part in developing and coordinating relationships with key logistics and storage partners.

Managing the brand donation logistic process in line with the organisational objectives, resulting in the successful allocation of products to reach areas of most need.

· Respond to and coordinate all brand enquiries

· Accurately allocate, and track all brand donations, ensuring prompt logging by Projects

· Work with the brands to ensure accurate data is provided and meets The Hygiene Bank’s requirements

· Work closely with existing partners to utilise storage and logistics solutions and continue to develop these relationships

· Record KPI’s and analyse the data

· Prepare detailed quarterly reports for the Operations, Finance, Risk and Audit Committee and present the findings to them, when required

An exciting new opportunity has arisen for a part-time Operations Administrator to work within the Operations team for Centre 33. Centre 33 is a well-respected charity based in five Hubs in Cambridgeshire and is well known for our support for young people.

Purpose of your job

The Operations Administrator role will report to the Operations Manager and will assist with the smooth and healthy running of each Hub enabling staff to deliver their work effectively. The job holder must have excellent communication skills, be able to work on their own initiative, think ‘outside of the box’ and be able to effectively plan their own workload. They will be expected to work with the Facilities Officer and liaise closely with Hub administrators in other locations and will be key in the administration of areas such as Facilities, IT and Telephone Equipment provision, Consumables and Stationery ordering, Health and Safety and Hub Maintenance. There will also be an element of working closely with and supporting the Operations Manager to ensure the effective use of software systems, such as Microsoft Sharepoint and Teams as well as being involved in ad hoc projects.

As a Grant Operations Officer, you’ll take on a varied role where you’ll be involved with:

• Supporting the logistical and secretariat process for the senior grant advisory and review panels. 

• Lead on the preparation of administrative aspects of all funding streams, including setting up funding rounds and applications on the Grant Management System (GMS; Grant Tracker).

• Supporting in the peer review process.

• Managing grant funding operational and administration processes.

The Finance and Operations Director embeds a culture of strong financial management, effective controls and efficient processes within the organisation. Duties and Key Responsibilities

We are looking for a talented operations manager who will enable us to keep running operations for AIM itself. This could include human resource management, finance, team productivity improvements and managing the community office workspace, as well as providing support to our incubated high-impact charities, both with their initial set-up and on an ongoing ad hoc basis.

ABOUT THE ROLE

People who work in operations have a multiplier effect, increasing the efficiency of their colleagues within the organisation by constructing processes that ensure the organisation operates smoothly and at top capacity. An excellent and more succinct description of operations management as a field comes from Gabrielle Zevin’s Tomorrow, Tomorrow and Tomorrow:

Though it took Sadie years to admit this to Sam, Marx did prove incredibly useful that summer. No, Marx wasn’t a game designer. He wasn’t an ace programmer, like Sadie, and he couldn’t draw, like Sam. But he did almost everything else for them, and his contributions ranged from the pedestrian, but necessary, to the creatively essential. Marx organised workflow, so Sadie and Sam were more aware of what the other was doing and what they needed to be doing. He made long lists of supplies they would need. He was more than liberal with his credit card—they always needed more memory and storage, and they were regularly burning out graphics cards—and he must have made fifty trips to the large computer store in Central Square that summer. The Operations team provides operational support to AIM (e.g., human resource management, finance, productivity). The team also supports our incubated charities, assisting with their initial set-up after the program so they can hit the ground running, as well as ongoing ad-hoc requests and advice as needed. Added to this, Operations supports other participants in programs run by AIM(e.g., people completing fellowships with our research team). While this is less than for the Charity Entrepreneurship Incubation Program, it increases as these programs mature. 

Our Operations team currently consists of ~2.8 FTE – our Chief Operating Officer (previous Managing Director and CTO of Founders Pledge), our Director of Operations (with a mixed background in legal services, management consulting, and scale-up operations), and a Senior Operations Manager (with a background in risk and security management in low- and middle-income countries). The team also relies on external contractors for some of its functions (e.g., bookkeeping, legal advice).

SPECIFIC RESPONSIBILITIES

The exact % split might vary throughout 2025 depending on AIM’s program strategy and number of programs after our yearly evaluation

Employee experience

• As an entry-level role, you’d have the opportunity to advance to Senior Operations Manager and eventually Director of Operations (although the latter would depend on a vacancy being available)

EXAMPLE OF THE WORK YOU'LL BE DOING

• After an initial brief, independently organise the entire lifecycle of an event at our office expecting between ~15-50 people to attend. You would know the goal of the event, some parameters like the budget, and would have some light assistance from other staff or external partners with whom we’re co-hosting the event.

• Effectively acting as an office manager/all-rounder for AIM’s London office. This means overseeing day-to-day operations to ensure smooth functioning, including managing office supplies, coordinating with service providers and contractors, and promptly triaging and resolving issues as they arise. Additionally, it means implementing and improving office policies, such as policies around hotdesking, inviting and vetting guests, meeting room usage, etc. 

• After supporting another department with their work, you realise that a series of manual steps they take could be made much more efficient by creating an automated workflow using Airtable and Zapier. You follow a user-centred design process to collect information about requirements, must-haves and nice-to-haves and then build a prototype to later test and refine. 

• Entirely oversee our managed accommodation for staff and program participants, responding to booking requests and changes, ensuring seamless check-in and check-out procedures, and promptly responding to requests or issues. 

• Knowing AIM’s internal policies and ensuring they’re being followed. For example, reviewing expenditure at the end of the month and checking adherence to our Financial Controls Policy, touching base with staff to check whether they have a professional development plan in place.

This role will likely suit an early to mid-level operations generalist, but we’re also very interested in hearing from more senior operations specialists as there is room for future growth in responsibilities within the organisation depending on competency and expertise. We would also be keen for talented recent graduates applying for this position as many areas of responsibility can be learned by a quick learner fairly fast.

APPLICATION PROCESS

Our application processes aim to be highly predictive, time-effective, and informative for you. Our process consists only of stages that our best evidence suggests are predictive of success on the job (such as test tasks) rather than more common but less predictive stages (such as cover letters). We only invite candidates to the next stage if we think they have a good chance of passing it, and take care to choose tasks and interview questions that will also give you a good sense of the role and our culture.

Applicants will be asked to complete the following stages:

1. Submitting our general application form (30 minutes to 1 hour),

2. A general test task (2-3 hours) with the top 10 to 30 candidates,

3. An initial interview (15 minutes) with the top 10-20 candidates,

4. A test task simulating the work you would do in your role (2-3 hours) with the top 5-15 candidates,

5. A final, more in-depth interview (~60 minutes) with the final 2-5 candidates.

We will also conduct a reference check before making an offer. Each stage typically takes 1-2 weeks from the end of the application deadline, and we hope to make an offer within ~8 weeks of the application deadline. The ideal candidate for the Chief Officer position will have a passion for creativity and community engagement, along with strong leadership, bid writing and strategic planning skills. This role involves overseeing all aspects of the Centre’s operations, including program development, fundraising, and community outreach. 

This role can influence the delivery of the mental health agenda across Greater Manchester and requires the jobholder to be a positive leader and role model for the CLC’s members, employees, and volunteers. 

The Chief Officer will also work on behalf of the Charity to develop and deliver the Vision and Mission through the delivery of the strategic plan, ensuring the CLC’s ongoing sustainability, growth, and success in todays challenging economic environment

• Oversee budgets, expenditure and management accounts ensuring that income and expenditure is within planned targets. Accountable to the Board of Trustees for the overall financial health of the CLC, including ensuring that new funding opportunities are pursued. 

• Oversee fundraising efforts and build relationships with donors and sponsors. 

• Manage the Centre’s budget and ensure financial sustainability, asset management and risk appraisal. 

• Foster a positive and inclusive community environment. 

• Represent the Centre at public events and in the media. 

• Collaborate with staff, volunteers, and community partners. 

• Ensure all staff are effectively line managed and performance managed

• Take overall responsibility for achieving, monitoring, and reporting on performance against targets in all areas of the CLC’s activities. 

• Report to the Trustee Board regularly on progress against key strategic objectives, providing information and answering for the CLC’s performance. 

• Ensure that the Board operates within statutory and corporate approved frameworks, requirements and guidelines.

What you can expect in return 

The role is part-time, 26.5 hours per week. The successful candidate can work the hours in a variable pattern which can suit both parties, subject to agreement with the CLC’s board of trustees. The successful candidate will be required to spend time at the CLC each week.

We are seeking an operational and people focussed Chief Operating Officer (COO) to join our Executive Team. You will drive development of all financial and operational management, processes and reporting, overseeing the organisation’s day-to-day operations including the leadership of Finance, People, Governance, Fundraising, Marketing and Communications and Digital. 

The successful candidate will have held broad finance and operations positions, with a track record of interacting at Board level and presenting clear financial and management information. Whilst you don’t have to be financially qualified, we do need someone with strong financial acumen and demonstrable ability to monitor, interpret and communicate financial information effectively. You will have experience in implementing new and/or successful improvements to existing systems and processes, with a track record of driving organisational change. The post holder will have a good understanding of regulation and best practice alongside the ability to develop efficient processes and controls in line with our governance framework. Ensuring that people are at the centre of the Florence Nightingale Foundation (FNF) you will play a key role within the Executive team supporting the charity to achieve sustainable growth and delivery of efficient and effective services ensuring plans are developed and implemented, and targets are met.

ROLE OVERVIEW

RESPONSIBILITIES

• Ensure AzuKo’s operations and programme delivery are implemented efficiently and effectively.

• Demonstrable track record of operating at leadership level (CEO, or similar) within a small-medium size charity.
• Comprehensive understanding of UK charity administration, finance and regulatory responsibilities (e.g. Charity Commission).
• Experience of working strategically to source, secure and steward sustainable funding (grant income and individual giving) working within tight financial constraints.
• Knowledge of safeguarding legislation and processes, safety, and quality management.
• Comfortable with digital/remote working e.g. use of One Drive, Slack, Zoom.
• Proficient in Microsoft Office (e.g. Excel) and accounting software Xero.

The Finance Officer will be involved in all aspects of the charity’s financial operations, this is a very broad role. From handling small donations like a child’s pocket money right up to processing large grants.  You will be the first point of call for financial queries and questions arising from our team. You will process purchase and sales invoices, volunteer, and staff expenses.  You will support grant and other fundraising applications, process donations from a variety of different platforms, deal with gift aid and banking. You will need to be an analytical problem solver able to work on your own and as part of our team.

Our existing church Admin Team covers events, communications, volunteer coordination, data handling and safeguarding administration, whilst management roles have generally been held by pastoral staff. In appointing an Operations Leader, we are seeking someone “well respected, full of the Holy Spirit and wisdom” (Acts 6:3), whose managerial skill will release other leaders to focus on pastoral ministry.

The Operations Leader will work with our senior leaders to build and run systems that support church growth, and will be responsible for:

THE ROLE:

We are seeking a Finance and Operations Manager to lead and strengthen our financial and operational functions as we continue to grow. This role is critical in ensuring that Open for Business adheres to best practices in financial management and reporting, including compliance with the Charity SORP.

You will serve as the main point of contact for our external accountants and our Financial Advisory Committee, providing timely and accurate financial information to the CEO and Board of Trustees.
