We are looking for a confident and highly organised individual to assist our international team with the administration and logistical functions required to support our international operation and travel.

This is a part-time job share position that benefits from remote home working with occasional travel to the head office based in Norfolk for key meetings during the year.

About the Role

As Events Coordinator and Team Assistant, you will support the CEO, as well as the Operations, the Development and Capacity Building teams across all their events, traveling and administrative needs. Your main job responsibilities will be centred on organising and managing the admin that supports our work. The Regional Finance Director will provide the overall leadership and management for all aspects of finance to Ark Schools in the South London region. The Eve Appeal is the UK’s leading charity working on prevention of the five gynaecological cancers – womb, ovarian, cervical, vulval and vaginal. Our aim is to prevent gynaecological cancers and save lives by raising awareness and funding ground-breaking research focused on risk prediction, earlier detection and developing screening for all of the five gynae cancers.

What's this role about?

This exciting position is responsible for delivering our fundraising programme to the public, with support from our Deputy Head of Fundraising.

You will focus on delivering key fundraising activities and an exceptional experience to a wide range of supporters, ensuring that you deepen relationships and maximise value. You will also coordinate and deliver the marketing of our public fundraising activity, alongside colleagues in communications and digital engagement.

The Role

The post holder will provide administrative support to all aspects of National Voices work from a governance and operational perspective. Responsibilities include supporting our Board and committees, supporting our finances, human resources,  contract, grants and project management, and our governance.

This role provides an excellent opportunity to learn more about what an organisation needs to run well, but we are looking for someone who already has some experience of working in an administrative, operational or financial role. Working in a small organisation you will work closely with the senior leadership, trustees and a wide range of stakeholders. We can provide training on any of the more technical skills (book-keeping, annual reporting, HR) – we are looking for aptitude, a willingness to learn and an ability to confidently work with a range of systems and processes.

Responsibilities

Governance

Support administrating governance across the charity, working closely with our Director of Operations & Finance, Trustees, and senior management.

· Support our Audit and Risk Committee

· Support the CEO’s EA (Executive Assistant) in the organisation of our Annual General Meeting

· Work with the EA to the CEO to ensure an effective approach to managing the Board of Trustees, its meetings, policies and inductions

Financial management

The post holder will manage the day-to-day finances of our busy team, working closely with our by our Director of Finance and Operations. This will involve:

· Raise invoices and follow up on payment issues

· Support our day-to-day banking including setting up payments and undertaking bank reconciliations

· Process expenses, ensuring compliance with policy

Business systems and processes

Support the team by maintaining fit for purpose systems, premises, and processes for HR, project management and office management.

HR/Personnel

· Support the team with recruitment and onboarding of new staff

· Maintain and support the use of our HR platform capturing absence and compliance

Systems and premises

· Assist the EA with the management of the day-to-day relationship with our serviced office provider

· Support staff with using the office and facilities, including ordering stationary and refreshments, setting up passes, booking meeting rooms etc.

Events

· Support our events programme working closely with the EA to provide cover where needed, leading on some events and supporting across our entire events programme.

Our approach to hybrid working

We recognise the importance of coming together regularly, in-person, as a team, so we can share learnings and spend social time with each other. We also recognise that people need flexibility, and that homeworking enables focused work and can fit well in people’s lives.

We ask all staff to take part in pre-arranged team meetings which take place every six weeks in our office space. We also might ask you to meet in-person with members of your team from time to time, or to be available for face-to-face meetings with clients and partners where this enhances the work.

We assume that this would usually not amount to more than one day per fortnight for people who work full time.

The role

The HR & Finance Co-ordinator will support the HR & Office Manager and the Director of Finance by providing administrative support covering: recruitment and onboarding, workplace adjustments, employment and the administration of BDF’s various benefits schemes within the HR function and financial record keeping, accounts payable and accounts receivable and general ledger, including updating the membership team on progress through the member renewal process.

The requirement

Requirements

We are looking for a new Treasurer but meanwhile need an accountant/bookkeeper that will keep our accounting and financial record system up to date and prepare the Annual Accounts. The work entails Quick Books reconciliation, the preparation of financial and management reports for quarterly Board Meetings, preparation of Gift Aid Claims and the preparation of our annual accounts.

Monthly tasks

-Record day to day expenditure and income

-Enter transactions to Quick Books for RBS accounts including standing orders and CAF donations; reconcile.

-Arrange payment of invoices (One Drive)

-Arrange payment for our online communication assistant freelancer.

- Arrange payment for the Executive Secretary's expenses.

-Brief remote meetings with Executive Secretary and a Member of the Board (on demand) to discuss any questions/issues with donations, donors, records in QB and reports.

-Prepare financial and management reports for Directors’ meetings (4-5 times a year). 

Semi-annual and annual tasks

-Prepare and submit Gift Aid Claim twice a year, after the year end 31 Dec and after the end of tax year, 5 April. Ensure GA forms completed by eligible donors. (twice a year)

-Prepare annual accounts with the Reporting Accountant. (once a year)

-Prepare budget review with the Executive Secretary (twice a year).
