FINANCE MANAGER JOB DESCRIPTION

Role Purpose

The Finance Manager will proactively plan, manage and oversee the financial strategy, operations, and compliance of our dynamic and growing organisation. The role contributes directly to the organisation’s strategic planning and has hands-on oversight of financial transactions, operations, compliance and reporting.  

As the Finance Manager, you will be a member of the Executive leadership team working closely with the CEO on matters of financial strategy and business development - contributing to strategic decisions and providing financial guidance.You’d also be supported by the Finance Manager Assistant and the Bookkeeper.

Main Objectives

• Provide leadership, in-depth knowledge and financial expertise to support the organisation’s strategy, business development and operations. 
• Manage the day-to-day financial operations including payroll, payments, controls and cash flow to ensure sound financial management and accuracy around all financial routines and procedures. Also ensure compliance and accurate reporting.
• Lead on and manage financial planning, budgeting, and forecasting - working closely with the CEO.
• Lead on enhancing procedural efficiencies and streamlining in finance operations.
• Prepare statutory and management accounts. Manage the annual financial audit and implement recommendations.
• Provide and manage sound financial reporting and conduct financial analysis and financial modelling for business development.
• Work with and manage the Finance Manager Assistant and Bookkeeper.

MAIN RESPONSIBILITIES AND ACCOUNTABILITIES

The role works closely with the CEO and is assisted by the Assistant Finance Manager and the Bookkeeper.

Financial Planning

• Lead on financial planning, budgeting and forecasting.
• Conduct financial analysis to support decision-making, highlighting key trends, opportunities and risks. Also scenario planning and financial modelling for growth and sustainability.
• Provide sound financial advice to the CEO, Executive and Trustees also assisting with business planning and strategy and business development.

Financial Management

• Lead on and manage the annual financial audit, including preparation, responding to auditors queries and implementation of recommendations, effectively and in a timely manner. Also filling with the Charity Commission and Companies House.
• Lead on the day-to-day management of financial operations to ensure sound financial management and accuracy of all financial routines and procedures.
• Monitor performance of actuals in relation to budget, income generation targets, approved expenditure and in relation to forecast. Note, analyse and comment on variations and propose adjustments.  
• Prepare quarterly management accounts and reports for decision-making and planning.
•  Advise on and manage investments and cashflow.

Governance: Policies, procedures and financial controls

• Ensure compliance with all requirements and standards in respect to Insurance, Companies House, Charities Commission and HMRC.
• Proactively lead on process improvements as we grow. Includes writing, reviewing and updating finance procedures and policies, in collaboration with the CEO and Executive colleagues.
• Ensure governance documents are up to date. Including Trustees appointment and resignation records, conflict-of-interest forms, and relevant submissions to Companies House.
• Monitoring and mitigating financial risks while maintaining robust internal controls. Also manage credit control and ensure that payments are received on time.
• Ensure financial procedures, policies and reporting systems are updated as required and maintained thereafter.

Accounting

• Supervise and review accounting tasks and records processed by the bookkeeper and the Finance Manager.
• Ensure timely, up to date and accurate accounting practice including journal entries, accruals, phasing and reconciliation.
• Ensure accuracy of income and expenses allocation and coding, including deferred income and monthly reconciliations.
• Review and update coding structures and nominal coding, clearing accounts and reconciliations in collaboration with the CEO and finance colleagues.

Payments and Payroll

• Manage effectively payroll, tax and pension submissions, banking and associated procedures.   
• Ensure all payments are made, received and acknowledged in an accurate, compliant and timely manner.
• Maintain up to date records of financial calculations regarding payments and fees for tutors, assessors and other stakeholders.

Contracts Management

• Ensure that operational, building, insurance and supplier contracts are up to date and renew them as required. Includes utility bills, IT and telephone.
• Prepare and issue employee contracts (working with the CEO/HR).

Support service delivery

• Calculate and prepare courses fees and other financial information for reviews and to support decision-making
• Liaise with students to offer and manage payment plans
• Ensure financial queries by colleagues, collaborators, students and practitioners are dealt with effectively and in a timely manner.
• Support the integration of financial and operational systems.

People Management

• Supervise, manage and support the Finance Manager and Bookkeeper, ensuring and supporting high performance and wellbeing.
• Recruitment, induction and professional development of the finance team. Also ensuring team members understand and adhere to organisational policies and procedures.

ABOUT YOU

PERSON SPECIFICATION

Qualifications and experience  

• Qualified or part-qualified (final stage), for example ACA, ACMA, CIPFA, CIMA.
• Minimum 3 years relevant financial management experience working with a charity/not for profit.
• Good experience of sound accounting and financial management in the charity/not for profit sector. Good knowledge of charity accounting and the Charity SORP.
• Sound knowledge and experience of leading and managing the audit process.
• Thorough practical up-to-date understanding of management accounting principles and techniques.
• In-depth knowledge and experience with payroll and pension processes and management systems for accounting functions, including QuickBooks.
• Sound knowledge and experience providing monthly management accounts, year-end statutory accounts and financial reporting.
• Extensive experience of contributing to the strategic, organisational and financial planning processes and leading on budgeting and forecasting.
• Extensive experience in balancing competing complexities of a busy role and prioritising effectively, forward planning and working to tight deadlines.
• Sound experience working effectively with confidentiality and GDPR in mind and in line with organisational policies and practice.
• Good experience with organisational realities, challenges and opportunities in the charity sector.

Overall Duties of the Commercial Bid Writer & Fundraiser  will include:

• Taking the lead in identifying, coordinating, and managing tendering opportunities, processes, and contracts for TACT.
• Overseeing the commissioning and contractual tender portfolio, which will involve ensuring high-quality submissions, and maintaining compliance with all relevant procedures.
• Contribute to fundraising efforts by developing and managing grant applications, securing corporate partnerships, and coordinating annual fundraising events.

The main requirements for this role include:

• GCSE grade C or above in Maths and English or equivalent qualification.
• Proven experience in bid and tender writing with a strong track record of successful submissions.
• Experience in fundraising, particularly in grant applications, corporate partnerships, and donor engagement.
• Knowledge of fundraising legislation, regulations and record-keeping.
• An understanding of the children’s social care system.
• Familiarity with trusts, foundations, corporate fundraising, and major donor funding mechanisms.

Our Finance team is looking to recruit a Finance Officer to join our Accounts Payable (AP) team to support the work and transactions that British Heart Foundation (BHF) perform for us to fund lifesaving science.
 
As an Accounts Payable Finance Officer, you'll:

• support the team and deliver a high-quality service in terms of timely, accurate and efficient entry of BHF expenditure onto our central accounting system
• ensure you achieve key performance indicators and individual targets agreed upon and set by the AP Team leader
• ensure that all transactions are coded and authorised to meet month end deadlines and meet agreed service levels.
• work on data capture and will have knowledge of IPOS queue management.
   

The AP team provides a high level of customer service, ensuring colleagues and suppliers are kept updated in the process and that the payment process is as smooth as possible, so you’ll effectively manage your workload and escalate complex issues to the team lead.

Understanding the needs of customers, you’ll raise the profile of finance through provision across the AP team of best-in-class service both internally and externally.

The role involves dealing with internal & external customers via email and over the phone, so you’ll be confident communicating in both conversation and writing.

Working arrangements

This is a blended role, where your work will be dual located between your home and our London office.

• Accounts payable experience: A strong understanding and experience of BACs, invoicing, reconciliation, finance administration, and Account Payable processes. Familiarity with HMRC requirements for VAT and payments within the UK banking system, and a good knowledge of GDPR.
• Proficient IT and financial systems skills: Excellent IT skills including MS Excel and financial application software packages. 
• Problem-solving and analytical skills: Outstanding attention to detail with an analytical approach to data. Strong problem-solving skills with a logical and methodical approach to identifying and resolving issues independently.

As Conference and Events Officer, you'll support the planning and delivery of a wide range of events. You'll be involved in the full event cycle - from logistics and registration to on-the-day coordination and post-event evaluation.

• Project lead on planning, coordination and delivery of designated physical, hybrid and virtual events

• Lead on venue visits and support with venue and stakeholder discussions

Beyond the Streets is a UK charity with over 20 years’ experience of partnering with women in the sex industry, to see them safe from coercion, violence and abuse.

Our ‘Direct Work’ is central to the organisation, providing trauma-informed, holistic support, to women who are/have been involved in selling sex.  Whilst the service has been established for over 10 years, we are entering into a period of change, and are seeking an experienced manager, to lead the team through this transition.

Working as part of a team in our East London office, you will be responsible for providing oversight and support for the day-to-day operations of the team, who provide regular telephone support to a caseload of women.

Learning with Parents is recruiting for a School Partnership Manager to work closely with the Schools Team to develop partnerships with new schools and support them as they launch our programme. As School Partnership Manager, you will have a key role supporting schools through our Learning with Parents programme to ensure learning spans a meaningful partnership across schools and homes. 

We are scaling the number of schools who use our Reading Log in September. To ensure the success of this exciting development, we are increasing the capacity of our Schools Team to engage with new schools and onboard them onto our programmes. 

This is an exciting opportunity to work in a mission-led charity driving meaningful change in the education system. 

Areas of Responsibility

Relationship Management 

• Working closely with class teachers and school leaders to run successful programmes in partner schools

• Building strong relationships with schools to develop multi-year partnerships ensuring more families are supported through our programmes. 

Sales 

• Discussing and confirming annual renewal licences with schools 

• Work with schools to develop our partnership with them each for example increasing coverage over all classes or adding new programmes to their subscription.

• Supporting Programme Director to identify new MATs and school leads

• Supporting with marketing to schools 

• Refining our sales and onboarding process, 

• Supporting the Schools Partnership Office with the sales pipeline on our CRM.

Programme Development 

• Supporting with creation of school, child and parent facing materials 

• Supporting with ongoing programme improvements and developments 

Programme Impact

• Contributing to the compilation of impact summaries for school. Using engagement plans to drive the impact of programmes with schools

• Feeding back insights from schools to the rest of our teams to help strengthen the impact of programmes and inform our programme and partnership development.

Teacher Support 

• Training and onboarding partner schools 

• Facilitating sharing of best practice between schools.

About You 

A successful School Partnership Manager will be eager to work in a small team, have a can-do attitude, and be keen to get stuck in to support the charity’s growth and impact. 

Our ideal candidate would also be able to provide examples of when they have used the following skills and experience: 

• Excellent communication skills 

• Confidence working with a range of stakeholders 

• Experience working within the UK education system, either in schools or in other organisations working in the space such as charities or suppliers

• Experience developing and maintaining relationships

• Excellent organisational skills

• Interest in and understanding of education inequality in the UK 

• A desire to champion and uphold our organisation’s vision, mission and values.

Our ideal candidate might also be able to provide examples of when they have used  some of the following skills and experience, although these are not essential: 

• You have experience working in a school, preferably as a teacher at Primary Level

• Experience of selling or upselling to stakeholders.
