You will also support all aspects of HR, working with our HR Advisor to support recruitment processes, staff checks, induction, and development for our staff team.
The successful applicant will have excellent people skills, the ability to develop and maintain administrative organisational systems, and be happy getting involved in a range of different work. Experience of the charity sector, and experience of supporting HR, would be an asset but are not essential.

Key Responsibilities for this role
- To support the Service Development Manager, Skills and Activities Coordinator, Support Staff and Volunteers in leading the development of the Stud Nursery as a viable social enterprise
- To ensure there is a weekly, monthly and seasonal horticulture plan in place (created in partnership with the Support Workers) which reflects the resources needed for client activities, product sales development and events
- To advise and support the Skills and Activities Coordinator in developing practical skills and/or qualification for people/groups using and supporting the sites development to encourage independence and empowerment
- To mentor and coach those using the sites services to lead and shape the sites programme of development as a sustainable community space and social enterprise.
- Work one Saturday per month, as agreed with the Service Development Manager, to open the nursery to volunteer project gardeners, and as a produce sale point to the local community
- In collaboration with the Skills and Activities Coordinator and Admin Support, to ensure all Health and Safety requirements are met, including site and individual risk assessments, and regularly reviewed to ensure a level of professionalism is being kept at all times

The postholder will manage phone calls and web enquiries through to successful conclusions via our Head of Counselling and their team of over fifty counsellors, creating and maintaining client records with Charitylog – a client records management system.

The role of Project Administrator is a permanent position. We will consider applications for the role on a full or part-time basis, with a minimum of 22.5 hours per week.

Specific responsibilities
An applicant appointed to the role will be expected to:
- Importing batches of client information into our client management system and ensuring uploads are working correctly. Addressing errors on our client database: merging data where it is held across multiple client records, deleting incorrect enquires and deleting duplicate client records.
- Make outbound calls to clients when required, such as booking home visits, and keeping client records up to date.
- Support HES team annual leave process, checking managers have approved internal team requests and updating allocations against projects on the staff planner.
- Manage and keep track of HES subscriptions to services or packages and coordinate payments and purchase orders with project managers. Make sure any details and logins are GDPR compliant.
- Responsibility for HES complaints handling procedure – providing guidance to managers handling complaints to ensure adherence to policy and tracking and recording responses.
- Support senior HES managers with recruitment work; liaising with appropriate teams within CSE in producing HES recruitment materials; onboarding new HES starters including providing thorough team specific information for line managers.
- Support senior HES managers with probations and interim review meetings; tracking progress towards probations. Tracking progress towards appraisal SMART objectives with support from the line manager.
- Be a GDPR champion for the HES team. Working with CSE’s GDPR officer and project managers to ensure procedures are compliant.
- Take a proactive approach to problem solving. Influence and contribute to improving HES systems and processes.
- Supervise and mentor the HES Project Administrator, support their learning and taking ownership for ensuring consistency of HES admin provision.

Job Description:
We are seeking a detail-oriented and proactive administrator to join our team at YMCA England and Wales. In this role, you will provide essential administrative support to our field and support teams, ensuring smooth and efficient day-to-day activities. Key Responsibilities:
- Print, pack, and dispatch resources to stores and field teams
- Respond to phone calls and emails, utilising standard templates where applicable
- Coordinate hotel and meeting room bookings for team meetings and events
- Provide administrative support to field and support teams
- Deliver exceptional customer service to stores and customers
- Perform accurate data entry and maintain administrative records
- Assist with other administrative tasks as needed to ensure operational efficiency
Skills we are looking for:
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong communication and customer service skills
- Excellent organisational abilities with a keen attention to detail
- Capacity to handle multiple tasks efficiently in a fast-paced environment
- Previous experience in retail is advantageous

Job Title: Recruitment Administrator
Salary: £13,722.50 per annum (inclusive of Outer London Weighting) Band C, Level 3
Location: Gilwell Park, Chingford, London (with hybrid working 2-4 times a month)
Contract Type: Fixed Term up to 12 months
Working Hours: 17.5 hours per week (ideally working across 4 days a week)

As the Recruitment Administrator, you will (Key Responsibilities):
- Ensure candidate eligibility checks and employee records meet legal and policy standards, including DBS checks and renewals.
- Proactively request, follow up, and review references to ensure accuracy, escalating concerns as needed.
- Manage new starter details, coordinate induction processes, and collaborate with stakeholders to facilitate training and access to benefits.
- Act as the first point of contact for recruitment inquiries, maintaining knowledge of policies and escalating complex issues.
- Contribute to recruitment planning, manage calendars and statistics, and continuously suggest improvements for efficiency in processes.
Who we’re looking for:
- Customer Focus & Communication: Committed to delivering excellent customer service with strong communication skills, demonstrating empathy and understanding.
- Tech Savvy & Record Management: Skilled in using IT tools (such as Word and Excel) and experienced in managing electronic records and HR systems.
- Detail-Oriented & Organised: High attention to detail with effective planning skills to manage tasks and prioritize efficiently.
- HR & Recruitment Experience: Background in HR or recruitment, including onboarding practices, with a solid understanding of GDPR and confidentiality requirements.
- Adaptable & Collaborative: Flexible in adjusting to changing priorities, always ready to contribute, and a supportive team member.
