About the role
Music Services is the delivery arm of Nordoff Robbins and encompasses the provision of music therapy and related activities including education, training and research. The Music Services Administrator will work closely with the Regional Manager and alongside other Music Services Administrators to ensure that the reception and admin function is well run, organised, efficient and effective, and that clients, visitors and callers have a positive experience when they spend time with us. Many of our clients lead challenging lives and include vulnerable children and adults. This role is therefore subject to a basic DBS check.

About the role:
This is an exciting front-of-house role. As receptionist you will be responsible for greeting every young person as they arrive and ensuring they leave safely. You will also be responsible for the reception area: ensuring young people enter the session smoothly; processing new members; directing phone calls and enquiries; maintaining the membership database efficiently; and carrying out regular communication.
Some of your key responsibilities will include:

About the Administrator
At the National Garden Scheme a small central office with a team of 13 is the hub for a wide range of activity involving hundreds of volunteers, thousands of garden owners and a large audience of beneficiary charities, suppliers, supporters and partners, and members of the public who want to visit gardens and engage with the charity.
The administrator is the first point of contact for many of these, being responsible for answering the main telephone line and managing the general email inbox. They are also responsible for managing the office environment on behalf of their colleagues.

Casework Administration
Handle emails and telephone enquiries from a wide variety of stakeholders: re-directing as necessary, determining whether a response is required and responding where appropriate.
Accept and facilitate calls for referral into our service, to be able to communicate and listen with compassion, empathy gathering essential information from people who could be experiencing a high level of distress. To be able to remain calm whilst doing so.
To provide basic information about the services offered by Pete’s Dragons over the telephone and face to face.
To receive and respond appropriately to queries by recording and referring to the appropriate Pete’s Dragons services or signposting to other services where necessary, including sending out information e.g. leaflets to enquirers.
Administration
Undertake a range of administrative tasks including word processing, photocopying, distributing mail, filing, emailing and data input.
Support the management team with administration as required, helping to organise meetings, and taking minutes if required.
Fundraising
Assisting the fundraising team in the logistics of fundraising events and coordination of volunteers.
Dealing with and supporting enquiries from external fundraisers.
Providing support to projects and assisting with administration involving corporate partners and sponsors.

You will be well supported with an in-depth induction, regular line management supervision, and additional reflective practice opportunity as required.
Ordinarily, this is an in-person/ onsite position, but will commence temporarily online via remote homebased working, whilst we relocate to our new location.

Are you highly organised, resourceful, and passionate about making a difference? The Baobab Centre is seeking an Operations and Admin Assistant to support our vital work with young asylum seekers and refugees.
In this varied role, you’ll work closely with the Operations Manager and admin team to ensure the smooth running of our Centre by managing administrative tasks, assisting with IT and communications, and supporting operations and fundraising initiatives. You’ll also play a part in amplifying the voices of our community through social media and helping with community engagement activites.

This role is for 3 days per week depending on your preference. Working on Wednesdays is essential to provide reception cover.

Mental Health: All of the young people Baobab supports suffer significant mental health and developmental difficulties and many function in an unstable and more immature way than their chronological age. Due to their experiences it takes time to gain trust from the young people in our community. As a core member of our team, you will understand the impact of specific human rights abuses on the development of children and young people in exile and their individual experiences of loss, trauma and grief on their mental health and well-being.

It often takes a significant amount of time to understand Baobab’s model of working, which aims for rehabilitation and justice through attending to both the internal and external world of each young.
