Key Responsiblities:

General Administrative Support:

• Monitor shared email inboxes – acting as first point of contact for external enquiries and logging, fielding, and actioning requests as appropriate.
• Maintain organised documentation for programme activities, including meeting notes, contracts, and correspondence within our cloud-based filing systems.
• Help keep membership/contact information updated within the CRM.
• Support team travel plans including transport, accommodation, and visa arrangements.
• Occasional assistance with scheduling of meetings.

Finance Administration:

• Look after the day-to-day processing of invoices, credit card statements, expenses, and advisory fee payments.
• Assist in monitoring expenses according to allocated budgets.
• Assist with the drafting and processing of contracts for consultancies.

Event Administration:

• Help organise events, workshops, or meetings related to the programmes (most of these are online).
• Coordinate logistics, including Zoom bookings, participant registration, interpretation and translation arrangements, supporting the coordination of speakers and participants, access needs.
• Assist during online events with light tech and administrative support.
• For occasional in-person events, assist with venue booking, catering and travel arrangements and risk assessments.
• Assist with the preparation of emails, presentations, and other materials related to events.

This is a new role and will be line managed by the Finance Director but will work closely with in-country finance leads, programme teams, the Development team and wider global teams

Your main responsibilities will include;

• Collaborate with country finance leads and the programmes teams to develop detailed and well planned budgets for funding proposals including full cost recovery

• Monitor programme spend against budget, advising programme leads on financial and compliance decisions and producing numeric and narrative financial reporting in various formats, predominantly institutional donors such as the US State Department

• Project manage, forecast and monitor expenditure for UK programmes.

• Liaise with grants managers and project leads to ensure compliance on restricted grants.

• Lead on project management of the UK audit process.

• Delivering regular funder income and expenditure forecasting.

• Regular financial analysis as required to support strategic decision making.

• Manage and respond to finance related queries, becoming the finance point of contact for the UK team.

You will be part of the regional office team, managing two Regional Casework Co-ordinators, which will provide specialist administrative and single point of contact support to SSAFA branch-based volunteers, to ensure a consistent, timely and quality service is provided to SSAFA beneficiaries.  The role will require you to develop and maintain collaborative working relationships with volunteers, including branch-based casework managers.  At times, the role will require support to the Regional Casework Co-ordinators with call handling, signposting, and the triage of initial enquiries from clients. 

To help you establish yourself in this post you will receive excellent training and induction to SSAFA.  You will influence the processes and procedures within the regional office as it develops, working in a close team and line managed by the Regional Operations Manager. 

The post is home-based, but you will have to travel occasionally into London. 

About the team 

The regional office is a “virtual” office and supports three SSAFA branches in the Greater London region, as the volunteers deliver casework for SSAFA beneficiaries.  The successful candidate will work as part of a support team which includes two Regional Casework Co-ordinators and a Regional Operations Manager.  All team members are home based.

About you 

To be successful in this role you will have a good standard of education, experience of managing employees, together with managing and reporting on service delivery.  You will have a track record of building and maintaining relationships with stakeholders, together with achieving results through negotiation and influence.  Previous experience of working with volunteers would be an asset.  You will have used Microsoft Office 365 to a high standard and be capable of quickly learning a computerised case management system and be proficient with numbers.  The successful candidate will have experience of planning and managing their own workload, with minimal supervision. 

It would be advantageous to have an understanding of the way of life for today’s Armed Forces, veterans and their families. An understanding of the voluntary sector would be valuable, and the military charity sector landscape across London would be helpful.  Commitment to SSAFA’s values including equality, diversity and inclusion is vital.

About the Team
Kinship is in the third year of delivering the first national peer support service for kinship carers in England. We have created 145 peer support groups. We have supported and trained kinship carers to create and lead their groups in a way which meets their needs.

With a new contract from the Department for Education, we’re now entering a new phase of our service with a focus on:
 

• creating 90 new sustainable peer support groups in areas of most need over 21 months;
• sustaining and developing the current 145 existing groups; and
• providing support and help to build a sustainable and welcoming community for all peer support groups across England.

This role will mobilise, develop and innovate our existing offer into a new Peer Support Community Hub with the focus on supporting sustainability and building resilience of peer support groups and their leaders. You will support and build our Kinship peer support community.

You’ll work with group leaders to co-create and develop a central hub of accessible and useful resources to help them to sustain their groups, working with colleagues right across Kinship to promote consistent access to services and activities (training, programmes, information, advice and campaigns), building a joined-up user experience. 

You’ll ensure we use data and insight to innovate the Hub and develop a strong thriving community of peer support group leaders.

About the role
The role of the Peer Community Innovation Lead is to oversee and take accountability for sustaining kinship peer support groups across England in priority areas as part of a new hub and spoke delivery model.

In this context, your team is the centralised ‘hub’ of the service, delivering an exciting programme of training, speakers, toolkits and resources to help peer support group leaders develop, build and sustain their group well. Your team will build and develop this ‘peer support community hub’. This will include annual in person celebrations.

Your team will make sure groups feel connected and supported, learn from each other and build a powerful and resilient peer community. 

Managing a national team of three, you will develop a strategy and operational plan to build on and mobilise a new peer support community.

The type of person we’re looking for:
Dynamic and people-centred, this role is about innovating and developing a supportive community of peer support group leaders nationally in person and online. You’ll understand the power of relationships and be an excellent communicator. You’ll understand how communities hold their own power and your team will help unlock that. Innovation is key to the success of the Hub and you’ll ensure you’re using best practice and learning to develop it.

An excellent communicator, you’ll develop external specialist partnerships to support group sustainability. You’ll ensure through the National Peer Support Connector role that peer communities are connected and engaging with the new National Kinship Care Ambassador to share insight and best practice.

You’ll be comfortable with using digital technology and tools to build communities, relationships and develop resources.

Global Human Relations Specialist 

Responsibilities

— The responsibilities of Global Human Relations Specialist will include, but are not limited to:

• Determine and facilitate optimal hiring status for new and continuing staff (direct employment, EoR employment, independent consulting) and initiate and manage contracts as appropriate.
• When there are open positions, working with hiring managers to manage the full cycle of recruitment of positions including job scoping, candidate sourcing, interviewing, reference checking, background checking, developing offers and closing the hire.
• Guide and manage onboarding, orientation and exit processes.
• Evaluate and facilitate staff mobility and travel requirements (visas, permits, and registrations) as needed.
• Update and maintain job description library and organisational charts.
• Maintain appropriate benchmarks, periodically review and recommend enhancements to compensation and benefits plans across international geographies.
• Coordinate payroll and HR administration with International Accountant and others.
• Review, update, develop and enhance processes, policies, and procedures for staff across various jurisdictions to ensure compliance around applicable labour and employment regulations, internal equity in compensation and benefits, and to reflect best practices and our institutional culture and values. • Coordinate user training and resourcing on HRIS (including payroll) platform, as needed.

• Occasional travel as required for execution of duties.

Qualifications

— The successful Global Human Relations Specialist candidate will likely reflect much of the following profile:

 Essential

• A combination of education and experience equivalent to a Bachelor’s degree in Human Resources, Business, Psychology, or a field related to the work.
• Five years’ progressively responsible HR experience.
• International HR experience. GPHR or PHRi or equivalent, a plus.
• Practical understanding of global employment law and issues.
• Strong understanding of accounting as it relates to staffing.
• Excellent, hands-on knowledge of web-based systems including HRIS, payroll (we currently use Deel), office suite platforms (proficiency in Microsoft Office Suite preferred).
• Comfortable in complex and highly matrixed environments. Demonstrated ability to work collaboratively and effectively with peers across disciplines and functions in shared efforts with proven ability to influence without direct formal authority.
