Role Summary

Coram’s Fields is a unique charity in the heart of Bloomsbury, London. In addition to our iconic 7-acre child-friendly park, we run a variety of services and enrichment programmes to support local young people and their families, including a nursery, an after-school and holiday club, a drop-in centre for parents of under-5s, a vibrant youth centre and a sports programme. We proactively host a wide variety of community events and celebrations, and our facilities are available for private hire to generate income for the charity.

The Operations Officer role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant running of our seven-acre site, services, park events and oversight of income streams. Main Duties and Responsibilities:

General operations, processes and systems 

• You will be responsible for the oversight and continuous improvement of organisational procedures including IT, GDPR, Health and Safety, Fire Evacuation, incident management.
• You will be responsible for briefing staff across the charity in the use of these procedures and working with the Office and HR Manager to arrange training for staff where necessary. 
• You will be responsible for improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• You will be responsible for ensuring that organisational procedures are documented and accessible on the internal SharePoint.
• You will be responsible for developing and overseeing a new volunteer infrastructure for the charity, working with teams across the organisation to deliver a consistently high-quality volunteer experience for all with standard recruitment, induction, and on-going oversight procedures.

Events and project management 

• You will be responsible for coordinating and overseeing a diverse and inclusive programme of park events, making the park an interesting and vibrant place to visit, encouraging the community to gather and socialise, and generating income to support the work of the charity.
• You will have responsibility for working with internal and external stakeholders to ensure each event is well-planned, managed safely and compliantly with all regulations and laws, and executed successfully within budget. 
• You will work with the CEO, COO and Buildings and Facilities Manager to support capital projects, liaising with external stakeholders, contractors and the Local Authority to ensure the effective operation of the site. Commercial Operations
•  You will operationally oversee our facility-hire income (halls, sports facilities, and grounds) and be responsible for: – ensuring necessary contracts, waivers, and legal/statutory documents are completed – executing effective marketing and promotions, and creating high quality promotional content for our website and social media – regularly reviewing fees in relation to the hire of our facilities and making recommendations for changes to these – understanding and improving the utilisation of facilities – supporting the COO to develop and grow partnerships with local organisations and schools – improving the efficiency of our booking systems/processes and overall user experience 
• You will be responsible for identifying new (temporary and permanent) opportunities and third party partnerships to bring new experiences, enjoyment and enrichment to local young people while also generating income for the charity. 
• You will work closely with our Café Manager to grow the profile and income generated by our cafe through improved park signage and park visitor experience initiatives, and integration of the café into the hall and sports hire customer journeys.

Other 

• You will be expected to undertake personal development and training where required or beneficial for the role, and to attend regular supervision and appraisal sessions.
• To undertake any task that may be request from time to time by the CEO or Board of Trustees, as may be consistent with the nature and scope of this post.

Job Description

Title: Operations Support Coordinator

Reports to: Senior Operations Administrator

Based: Remotely - however must be willing and able to travel as and when required to meetings and events.

Job Purpose: To maintain a high level of operational support to all areas of the Charity Group

Key Responsibilities:

· Provide operational administrative support within the Charity Group (UK & USA); tasks to include but not limited to updating database with varying records, spreadsheet creation and maintenance, running reports, managing administration projects

· Administer data received from online forms, calls and emails (follow up as necessary and update Database)

· Grants: undertaking research to identify funding opportunities for the Charity Group, completing associated forms and working with the Senior Operations Administrator to submit applications.

· Collate websites update requests and liaise with Communications Team to instigate the changes.

· Assist the Patient Services Team with patient enquiries, answering calls as and when required and taking messages when necessary. Screening and responding as appropriate to incoming emails or calls.

· Administer the charity resource review process for all the resources the Charities publish -set annual or periodic review dates for current titles and engage with HCP’s and other medical professionals on reviews and approvals of new titles and subjects. Work closely with the Patient Services Manager who would manage this project.

· Provide cover for administration and other tasks when staff are on holiday or absent

· Planning, coordinating, attending events/programmes such as World Heart Rhythm Week, Global AF Aware Week, Heart Rhythm Congress, Heart Rhythm Updates, and any other event/programmes or initiatives

FULL TIME POSITION (35hrs/week)

OPERATIONS MANAGER

Lauriston Farm Limited, Charitable Community Benefit Society

We are a community owned, charitable co-operative which practices Social Farming on a certified biodynamic farm on the Blackwater Estuary, near Maldon in Essex.  Launched in 2017 and building on thirteen years of development, we provide a wide range of educational opportunities through meaningful work experiences to many people, especially those with a learning disability and/or autism (LDA).  We also undertake extensive conservation work through on the farm’s 210 acres which includes rare breed cattle and sheep, laying hens, vegetable growing, woolly crafts and a community kitchen processing produce and providing daily lunches.  Produce is sold locally at markets, weekly deliveries and directly from the farm.  We also have a volunteering program, give talks to local interest groups and work closely with Essex County Council, local SEND schools and colleges and The Country Trust.  It is a beautiful, tranquil setting, we are inspired by the work of Rudolf Steiner and anthroposophy and are a Disabilty Confident employer.

We launched a new seven-year business plan in 2024 as we have access to new buildings and other opportunities which will further diversify and increase our activities, notably into overnight accommodation.  Key to this expansion is the introduction of a full time Operations Manager to oversee all the day to day activities of the farm, ensuring internal policies and procedures are followed and external regulations are adhered to including personnel management (eleven employees), financial reporting including charitable grant applications/reporting, safeguarding, food hygiene, first aid and health and safety. We are a small, person-centred team with a good track record of delivery.  During term time, there are around fifty people on the farm each week with over 2,500 social farming day places being offered every year.

The role reports directly to the Trustees and works shoulder to shoulder with the current Farm Director.  It requires previous experience of a similar role, ideally in a charity or co-operative, excellent communication and organisational skills, an empathy for nature as well as a passion for chemical free farming.  Experience of working alongside people with learning disabilities and/or autism is highly desirable as half our current employees have a learning disability.  We are an inclusive employer and we welcome applications from people with a disability.

The post is grant funded for three years with a 5% salary increase built in per year.  After three years, the role will be funded through the increase in financial activity.

We take safeguarding of all vulnerable people on the farm very seriously and you will be required to complete an enhanced DBS check if successful. Duties & Responsibilities for this post:

Day to day management

• Co-ordinate all activity streams to ensure staff awareness and a meaningful experience for all service users Maintain a central diary and signing sheets for all pre-arranged, regular, and ad-hoc farm visitors
• Diary co-ordination with office team for farm walks, open days, off farm talks, SEND colleges, volunteers, Primary school visits.

This is an exciting opportunity for someone looking to make a difference in a small but influential national charity building a positive legacy for the late Jo Cox MP. We are looking for someone to provide administrative support for the team. You’ll work to support our core operations, and you’ll also be involved with the administrative aspects of our Stronger Communities work. In the first instance, this will mean supporting the delivery of our lottery-funded project in West Yorkshire through which we’re creating a shared vision for Batley, Heckmondwike and Dewsbury.

ABOUT THE ROLE

The Operations and Projects Officer will provide administrative support for the team. You’ll be supporting the day-to-day running of the Foundation, helping to ensure that everything runs smoothly. Within operations, you’ll provide administrative support on everything from finance and HR to fundraising and supporter care.

As a member of the Stronger Communities team, you’ll also provide support for our work building less lonely, better connected communities across the UK, where everyone feels that they belong. This begins with our current lottery-funded Bridging & Belonging project in Kirklees. You’ll act as the main administrator for the project, supporting the Community Group and Yorkshire Programme Manager to lead the work.

This will include setting up meetings, liaising with community venues and services, managing enquiries, answering questions directly and getting responses from colleagues where necessary. There will also be occasional on the ground community-facing work supporting the Bridging and Belonging community group at local events in North Kirklees.

We’re looking for someone who is engaged, positive, proactive and happy to work as part of a remote team. You’ll have good organisational, planning and problem-solving skills, and you’ll be able to communicate clearly both in writing and verbally.

As you’ll be working on our projects in Yorkshire, you’ll have a core knowledge about the region, especially West Yorkshire. Ideally you’ll have a particular understanding of Kirklees and the different communities living there.

Role Summary
The Head of Operations is a new role within SHM Foundation. The successful candidate will work closely with the leadership team to design and implement operational processes. This role has been created to

• Manage the allocation of funding budgets
• Create reports and analysis on project finances and delivery
• Provide thought partnership on strategy

This is a unique and fulfilling opportunity to shape the direction of our charity, collaborating closely with our passionate staff, volunteers and Board of Trustees.

Core Responsibilities

• Take responsibility for the operational management of SHMF ensuring that the staff and financial resources are deployed effectively in line with budgets and funding requirements
• Report to and support the leadership team in ensuring the effective strategic management, development and future funding
• Manage funding applications
• Overseeing certain administrative elements of board meetings including but not limited to collating and disseminating papers, producing relevant reports and papers, taking minutes, action tracking 
• Supporting the creation of annual funder reports
• Supervising, coaching, mentoring or line management as required, depending on the needs of SHM
• Work closely with the Head of the Foundation to build relationships with partners, and help her to ensure that the right resources are allocated to the right activities
• Work closely with the Head of Foundation and team members to maintain focus on project purpose, and ensure that financial resources are deployed effectively in line with that purpose, the budget and funding requirements

Qualifications & Experience

We’re looking for an analytical, detail-oriented professional to join our senior management team as Finance and Operations Manager. You’ll ensure the smooth operation of our financial and legal aid reporting processes and manage office contracts across our three locations.

Salary: £38,700 per annum, plus 4% pension contributions
Reports to: CEO, Trustees, Finance Board of Trustees, and SMT
Term: Permanent, Full-time (35 hours per week)
Based at: SWLLC’s Croydon Office / Hybrid working available

About the Role

As HR Operations Manager, you will be a key player in the Operations team to support Reprieve and its employees with all HR related matters. Your role will be responsible for overseeing the day-to-day delivery of HR. You will be the first point of contact for all staff relating to HR queries, policies, processes, pension, probation and development.

You will lead the recruitment process, providing a positive experience to all candidates. You will update recruitment processes as and when required, ensuring good practice is being followed.

Location, contract and salary

This role is available on a full or part-time (four days per week) basis. It is a one-year fixed term contract, with the possibility to extend, subject to funding. The annual salary is £52,088 FTE (pro-rated to £41,670.40 for a four-day week) per annum, less any required deductions for income tax and national insurance. 

This role is based in Reprieve’s London office. Reprieve operates a hybrid working model and we require staff to work 40% of their working hours from the London office and the rest of the week from home.
