Additional Information

We ask all members of Age UK's Partnerships and Philanthropy department to work from our London office at least once a week to enable collaboration, skills development and team dynamics (currently Thursdays).

From time to time, we may also require the successful candidate to come into our London office for face-to-face meetings with funders and colleagues at other times in the week: as per the terms of our hybrid contracts we aim to give seven days' notice when this happens.

Summary

The Human Resources department provides a strategic and operational HR service to the seven National Church Institutions (NCIs) and the 42 Diocesan Bishops' offices. Our HR Operations team focusses on the entire employee lifecycle providing support, advice and guidance to senior leaders, line managers and staff. The Organisational Development team lead on culture, values, wellbeing, development and our belonging & inclusion strategy. Through our External Service team, we also offer HR support on a consultancy basis to other Church of England organisations including our dioceses and cathedrals.

The NCIs comprises a wide variety of functions and professions to support the mission and ministries of the Church by working with those who serve in parishes, dioceses, schools and other ministries, and with partners at a national and international level.

• Reviewing risk assessments that have been completed by staff and line managers, requesting additional information, and advising on risk mitigation;
• Supporting requests for adjustments and additional equipment may be required, including requests for Access to Work funding, liaising with Facilities and Technology Services as required;
• Supporting the Head of Health & Safety in reviewing accidents and incidents that occur across NCI sites or involve colleagues in the course of their work;
• Advising staff travelling overseas on potential risks;

As an adviser within the HR Operations team, you will also get involved in responding to other types of HR queries via email, phone and Teams chat, and supporting colleagues in using our Oracle Employee and Manager self-service.

This is a hybrid working role which can be based in our offices in either York or London. We typically work from the office at least one day per week, and remote for the remainder of the time. Visits to other NCI work locations may also be required from time to time.

You'll need previous experience of advising on and reviewing health and safety risks, including Display Screen Equipment, lone working and overseas travel with, or working towards, a recognised Health & Safety certificate (e.g. IOSH/NEBOSH or equivalent).

We're looking for someone who has:

• Excellent verbal and written communication skills, with accuracy and attention to detail including with numerical data. You will need to be able to communicate clearly to stakeholders at all levels within the organisation.
• An enthusiastic and highly organised approach to work, with the ability to understand and process high volumes of information. You will need to be able to work comfortably with competing priorities and show flexibility in your approach to customers to understand differing expectations.

About the role

We’re seeking a solicitor to lead the development of a new legal advice service for kinship carers. Joining an established advice team in a growing national charity, this is a new role focussed on delivering specialist legal advice to individuals and changing policy and practice through strategic casework.

Importantly, the postholder will have the opportunity to shape the role to best meet the needs of Kinship and kinship carers.

You’ll be part of a skilled and supportive team who keep kinship carers at the heart of their service.

Our Advice Team supports kinship carers in complex and challenging situations. It can be a tough role at times, so we prioritise adviser wellbeing and are developing a trauma informed approach to our advice work that we’ll be embedding across the service.

The type of person we’re looking for

You will be a 3 year PQE solicitor with strong knowledge of child law, family court processes and related safeguarding legislation. You will have the ability to become a leading expert in kinship care law. You will bring a compassionate and practical approach to supporting kinship carers to navigate legal challenges, access support, and achieve the best outcomes for the children in their care.

You will understand the broader systemic challenges faced by kinship carers, be a strategic thinker and have an interest in service development and policy influencing.

You will need to be resilient and be able to remain calm in difficult situations. You will be firm, sensitive and professional in your approach and will be clear and assertive as you identify key issues and support kinship carers to get their needs met quickly and effectively.

You will understand how important it is that kinship carers feel confident in making their own decisions with the right information and advice so that they can build their own knowledge and confidence rather than dependency.

Key responsibilities include:

· Provide high quality, people centred, specialist legal advice and assistance to kinship carers in England and Wales on kinship care law-related matters.

· Undertake casework and strategic casework.

· Lead the development of Kinship’s legal offer to kinship carers.

· Provide support, resources and training to colleagues in the advice team to support the quality of legal advice.

· Ensure our legal service is compliant with all relevant regulatory requirements.

· Work with our Policy and Campaigns team to identify opportunities for influencing policy and practice through strategic casework, litigation, policy work or campaigning.

· Support colleagues in our Training and Website teams to develop legally accurate content and resources.

Essential knowledge, abilities, skills and experience include:

· A minimum of 3 years post-qualification experience (PQE) in child law, family law, or closely related fields.

· Experience in both private and public law child-related cases.

· Strong knowledge of child law, family court processes, and related safeguarding legislation.

· Ability to provide clear, accurate, and practical legal advice tailored to the individual circumstances of vulnerable people.

· Excellent written skills and research skills.

· Strong organisational skills to prioritise tasks effectively, meet deadlines, and comply with legal and regulatory requirements.

· Confident in using digital tools, and an ability to learn new tools.

How Will you Make a Difference?  

The Executive Assistant (EA) will provide high-level administrative support to Amna’s CEO, Senior Leadership Team (SLT) and Board of Trustees. This includes administrative help such as managing calendars, drafting communications and briefings, planning, and organising meetings, inbox support, travel, office administration and personal assistance. It also includes working on and managing special projects including research, data analysis, preparation for public speaking, writing and research. 

This dynamic and creative position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate will have excellent communication skills including strong written and verbal skills, the ability to work with little supervision, and manage simultaneous priorities within the leadership team.

The role holder will report to the CEO. 

Key areas of responsibilities: 

CEO/SLT Support 

• Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer", staying attuned to the internal and external environment and keeping the CEO updated on relevant issues. 

• Anticipate the needs of the CEO and SLT in advance of meetings, conferences, and public appearances. 

• Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and SLT team, including those of a highly confidential or critical nature. 

• Liaise between the CEO and SLT to ensure regular communications and smooth decision-making. 

• Provide sophisticated calendar management for Amna’s CEO and the SLT. Prioritize inquiries and requests while troubleshooting conflicts and exercising tact; make judgements and recommendations to ensure smooth day-to-day engagements. 

• Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s and SLT members style and Amna’s values and policies. 

• Work with the Senior Leadership Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships. 

• Writing and managing documentation and data sets for the CEO and SLT as needed, including briefing papers, correspondence and talking points. 

• Leading and managing special projects including research for Amna’s, CEO’s and SLT’s contribution to future books, podcasts and articles. 

• Maintain an organized filing system for documents, records, and correspondence related to the CEO, SLT and board. 

Admin and travel management 

• Maintain an organized filing system for documents, records, and correspondence related to the CEO, SLT and board. 

• Ensure compliance with organizational policies and procedures in all administrative functions 

• Assist in the preparation and execution of organizational events. 

• Research and propose the most efficient and cost-effective travel options, including flights, trains, and accommodations. 

• Secure necessary travel documents, such as visas, passports, well in advance. 

• Prepare detailed travel itineraries, including transportation, accommodation, meeting times, and addresses. 

• Book accommodations that suit the requirements of the trip, ensuring comfort and proximity to meeting venues. 

• Manage group bookings for team members traveling together to streamline costs and logistics. 

• Handle travel expense reports, ensuring compliance with Amna policies and timely reimbursement. 

• Occasional travel may be required.

Board support 

• Manage due diligence and onboarding processes for new Trustees, ensuring compliance and accurate record-keeping. 

• Organize tailored training sessions for Board members. 

• Maintain up-to-date records of Board members, including contact information, terms of service, and compliance documents. 

• Assist Board members with travel expense claims and ensure accurate processing. 

• Compile, organize, and distribute materials for Board meetings, including reports and presentations. 

• Edit and format Board papers to ensure consistency and professionalism. 

• Coordinate logistics for Board meetings, including scheduling, venue arrangements, and required technology or equipment. 

• Attend Board meetings to provide administrative support, take minutes, and document actions and decisions. Distribute minutes promptly and track follow-up actions. 

• Develop and implement comprehensive induction plans for new Trustees. 

• Facilitate introductions and provide orientation materials to integrate new Board members effectively. 

Governance and Compliance 

• Support the CEO and committee chairs in adhering to the organization’s governance framework. 

• Maintain a centralized, up-to-date register of governance documents for easy access by senior staff and Trustees. 

• Ensure the organization complies with GDPR regulations in relation to all Board activities. 

• Work with the CEO and Chair to ensure the Board is informed about safeguarding practices and remains accountable. 

• Support emerging governance practices and Trustee development in partnership with the CEO and Chair. 

• Plan and execute Trustees’ regulatory obligations, including registering them with appropriate bodies. 

  Qualifications and Experience:  

• Minimum of 4-7 years of progressively responsible and diversified administrative experience, experience as an Executive Assistant or similar role. 

• Excellent verbal and written communication skills, including ability to effectively communicate with internal and external stakeholders. 

• Excellent research skills and experience in writing briefing papers 

• Exceptional organizational skills and impeccable attention to detail. 

• Ability to work both independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices. 

• Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials. 

• Able to maintain a high level of integrity and discretion in handling confidential information. 

• Demonstrable commitment to Amna values and mission. 

• Legal understanding or experience with the Charity Commission is preferred. 

• Non-profit board experience is preferred.
