Systems

Improving the use of our systems including:

• HubSpot for marketing, communications and Knowledge Base

You will propose and implement improvements, and train staff members in new and improved practices. Therefore, a previous knowledge of some of the systems we use is desirable, and a proven ability to understand and implement systems is essential. 

Client Experience

You will have responsibility for ensuring Client Experience across all communication channels including the website, email communication, telephone, knowledge base and chatbots.

As part of this, you will understand the role and responsibilities of the Office Administrator responsibilities so you can provide training, backfill and assist during busy periods. This includes:

• Resolving user-based queries

• Managing subscriptions and trial subscriptions

• Triaging communication to the relevant member of staff

• Improving and updating CRM data (eg school holidays, pupil numbers, etc)

In addition, under the guidance of the Leadership Team, you will organise, plan and implement the annual subscription process.

Line Management

You will initially have Line Management responsibility of the Finance Officer and Office Administrator. This includes bi-weekly one-to-one meetings, termly reviews, annual appraisals and adhoc meetings with reportees or the Leadership Team as required.

Team Organisation

You will have responsibility for managing various team matters. This includes, although is not exclusive to:

• Payment of goods and services

• Organising Team Gatherings and adhoc in-person meetings

• Remote planning of work events - eg film shoots, conferences

• Team training as required

• Ensuring staff have up to date DBS certificates

Reports and Policies

This includes:

• Producing reports for the Leadership Team regularly and as required

• Producing and updating company-wide policies, ensuring that they are fit for purpose

General Admin

PLACE OF WORK

This is a home-working role. All home-working office equipment will be provided by the company as required.

In-person staff gatherings take place three times per year, requiring an overnight stay. Travel and accommodation are provided by the organisation. Additional in-person meetings may also be called as required.

The Financial Accountant is primarily responsible for the preparation of statutory financial statements for three school charities under the Charities SORP. For two of these charities, the work involves the consolidation of the results of the school operations. The postholder will be the key contact for the external auditor for the year-end audits for these charities.

There will also be an opportunity to support with the production of other financial information and to contribute to improvements in financial procedures and controls, both within financial reporting and more widely in the Finance department.

The role is expected to be part-time though it may require some weeks of full-time (or close to full-time) during the external audit period. The work is likely to take c.4 months, after which point the responsibilities for the school charities will revert to the permanent team.

Education and/or Work Experience Requirements

• Qualified or part-qualified accountant, or with significant equivalent professional experience
• Experience in the operation of Charity fund accounting

Role Purpose

Southwark Cathedral has been a place of Christian worship for over 1400 years. This is a key role at Southwark Cathedral supporting the Dean. This secretarial role will primarily feature management of a busy personal diary, correspondence and broader administrative support for the Dean in his capacity as Dean of Southwark, Chair of Chapter and CEO of the Cathedral.

The role holder will also support the Cathedral team as the Office Administrator – responsible for a range of office duties relating to staff wellbeing & socials, office equipment & spaces and the Cathedral’s general enquiries email address.

Main Duties and Responsibilities

For the Dean

• Manage the Dean’s diary: including making appointments, arranging meetings, scheduling preaching and other liturgical arrangements, programming annual schedules (such as Bishops Staff Meetings, chaplaincy and wider public commitments) - keeping Outlook diaries up to date with any changes and making travel arrangements;
• Prepare the Dean’s weekly diary file, including the preparation of any meeting papers or briefs for the week ahead;
• Provide administrative support for the Dean in relation to their attendance at meetings associated with the governance of the Cathedral, including Chapter, Finance Committee, Audit & Risk Committee, Nominations Committee, Fabric Advisory Committee and Board of Enterprises. • Support the Dean in all their working relationships including building and maintaining excellent relationships with Chapter Members and Committee Members, the Bishop’s staff and with the wider Diocese, as well as with congregation members, neighbours, commercial partners, professional advisers and other third-party organisations relating to the Dean’s work;
• Set up meetings including room set up and refreshment provision as required;
• Assist the Dean with the processing of their expenses;
• Work with the Governance & Committees Manager on Gifts Registry declarations for the Dean;
• Provide administrative support to bodies the Dean chairs, e.g. Southwark Cathedral Development Trust, the Deans Fund and other Cathedral-associated bodies;
• Assist the Sub Dean and Precentor with administrative tasks as requested;
• Update the Cathedral database in support of the Dean’s work.  

Office Administration

• Receiving, distributing and responding to emails sent to the Cathedral’s general information email address;
• Ordering stationery, office equipment and consumables in line with the Cathedral’s approach to sustainability and ethical buying;
• Ensuring the Cathedral’s printing and franking equipment is kept fully functional, and liaising with our contractors when issues arise;
• Ensuring that the offices, reception area, print room, stationery area, staff kitchen and facilities are kept clean, tidy and supplied;
• Co-ordinating Staff Meetings, including booking suitable space and organising refreshments for the meeting;
• Organising staff social events, outings and meals;
• Providing administrative support on Cathedral projects as and when they arise.

Terms and Conditions

Working Hours

The working hours shall be 35 hours per week (exclusive of meal breaks), over five days. Some out of hours working will be required to support meetings and events and this will be notified in advance. Time off in lieu will be awarded in line with Southwark Cathedral’s policy.

Annual Leave

25 days per annum as well as statutory bank holidays and an additional day at Christmas, with an additional 5 days annual leave after 10 years’ continuous employment. 

Probation

The appointment is subject to the satisfactory completion of a six-month probationary period.

Season Ticket Loan

Once the probationary period has been completed satisfactorily, the person appointed will be eligible to take out a season ticket loan.

Pension

The person appointed will be eligible to join a defined contributions pension scheme managed by the Church Workers Pension Fund. The Cathedral will contribute half of the annual premium of 10% of salary.

Working Expenses

Reasonable out of pocket expenses will be reimbursed.

About the role

We are seeking a knowledgeable and motivated Policy Impact Manager to join our policy impact team in London at the Modern Slavery and Human Rights Policy and Evidence Centre in the Humanities Division at the University of Oxford.

The Modern Slavery and Human Rights Policy and Evidence Centre (PEC) exists to enhance understanding of modern slavery and transform the effectiveness of law and policies designed to address it. The Centre funds and co-creates high quality research with a focus on policy impact, and brings together academics, policymakers, businesses, civil society and survivors to collaborate on solving this global challenge.

You will play a key role in maximising the impact of the Modern Slavery and Human Rights PEC’s research on laws and policies to address modern slavery, and will work collaboratively with researchers, practitioners, policymakers and law-makers as part of the University of Oxford’s only dedicated Policy and Evidence Centre.

About you

You will have experience of working at the interface of public policy and research, with expertise in issues relating to modern slavery or human rights, and will have a good understanding of policymaking and law-making processes in the UK.

The Youth Ambassador Role: We are seeking UK-based Youth Ambassadors (16-25 year olds) to join our Youth Involvement Team. We wish to appoint people that can bring diverse experiences in education, work or community in order to help create and shape the work that we do. The Youth Ambassadors role is about prioritising youth representation, identity and community across our charitable activity and beyond. The Charlie Waller Team will provide appropriate training, guidance, and ongoing support to those selected.

What will the role involve? 

• Working remotely for up to 2 days (14 hours) a month.
• Attending a Charlie Waller Team day in person in March 2025, in London. Travel expenses will be covered.
• Attending up to six online group meetings with other youth ambassadors and the youth involvement team.
• Preparing for all meetings by reading any specified materials and conducting any preparatory activities. 
• Making advisory recommendations regarding the Charlie Waller Trust’s existing projects and programmes in schools, universities, colleges and the workplace. 
• Opportunities to be involved in our podcast series, our equity, diversity and inclusion and sustainability working groups, fundraising events and co-delivery of training.
• Co-producing new and reviewing current training materials, resources, and communications.
• Opportunities to public speak at CWT meetings and events, as well as at events and conferences with external partners.
• Attending training sessions around topics ranging from public speaking to mental health research.
• Opportunities to attend mental health conferences on behalf of CWT.

How much time am I expected to commit?
We expect those joining the Youth Ambassador group to join on a freelance basis for one year from February 2025 to January 2026. 
Hours are subject to change each month but on average we would plan for you to work for CWT for up to 14 hours (2 days) per month. The majority of the working hours offered can be arranged as flexibly as possible around your other commitments

Will I be paid?Ambassadors will be remunerated for their time at a delivery and desk rate of £15 per hour for work both online and in person. 

Desk work includes training preparation, resource coproduction or review, attending meetings and involvement in focus groups. Delivery work includes training delivery, public speaking at an event about the work of the Trust or hosting or being interviewed on the ambassador podcast.
