The purpose of the job is to provide a professional reception service to all clients at our talking therapies services reception, and to carry out general administrative functions that support the Talking Therapies Office Manager and contribute to the smooth running of the charity. The receptionist/administrator is the first point of contact at the Counselling Services reception for many people and therefore needs to be warm and welcoming, a good communicator and able to respond professionally to a very varied range of callers, including people with communication difficulties or those in distress.

An exciting opportunity has arisen for two experienced Estates Officers to join our small Estates and Facilities team at an exciting time as we expand our Hospice site and retail portfolio.
Set in the tranquil grounds of Willen Lake, Willen Hospice is the leading provider of specialist palliative care within the Milton Keynes area. We offer 24 hour / seven days a week palliative care to people who have advanced disease, caring for people in our Inpatient Unit which accommodates 15 patients and the local community. Our person centred care is delivered with compassion and respect for people’s wishes. We have an expanding Therapeutic & Wellbeing service offering Psychological Wellbeing, Social Care, Physiotherapy, Occupational and Complementary Therapy. Our dedicated Business Development teams and retail portfolio of shops raise vital funds to deliver this care.
These roles will support the management of services, facilities and buildings for all Willen Hospice locations, specifically in relation to routine maintenance and projects to improve services within the hospice and shops.
A competent knowledge of general building, electrics, plumbing and carpentry skills is essential, in addition to a working knowledge of planned preventative maintenance, and good understanding of Health & Safety. You will be expected to maintain up to date knowledge of current legislation and hold full Driving Licence.

The Principal duties and responsibilities will be as follows:
Governance
Ensuring that the charity is legally compliant, compliant with requirements of the Charity Commission and has the correct insurances in place for the charity’s activities and that these are reviewed annually.
Ensure systems are in place for the Board of Trustees to fulfil its statutory responsibilities and exercise effective control of the charity's affairs. Support trustee recruitment in line with Hackney Playbus procedures.
Ensure policies and guidelines are appropriate for the charity’s work and reviewed regularly by the Trustees, including annual reviews of Children’s Safeguarding, Data Protection policies and the Risk Register developing policy proposals as necessary
Report quarterly or as required to the Board of Trustees on progress against key strategic objectives, providing information and explaining performance
Strategic
To work with Trustees to ensure the charity’s vision, mission and strategic plans are reviewed in conjunction with key stakeholders including Hackney Playbus staff, volunteers and families.
To take Joint responsibility for achieving, monitoring and reporting on performance against targets in all areas of charity’s activities taking action as required

Financial
Ensure that income is maintained, expenditure controlled in line with budgets and potential risks are identified and managed
Draw up an annual budget for approval by Trustees
Liaise with appointed bookkeeper, ensuring timely payment of bills, invoicing for services, chasing of invoices for payment and maintenance of petty cash systems
Prepare contracts, apply for tenders, negotiate and agree contracts, service level agreements and acknowledge receipt of funds as required.
Oversee expenditure and management accounts ensuring that income and expenditure is monitored and reported quarterly to Trustees
Organise independent examination of accounts with appointed accountant
Review and make recommendations to maintain or change arrangements with accountants, bookkeepers and payroll service providers.
Income Generation
Develop income generation strategies to maintain and enhance levels of funding from existing sources and develop new funding streams
Work closely with and provide support to the Fundraising Officer on funding applications to ensure continuous and sufficient income
Work closely with the Co-Director of Operations to ensure that monitoring reports are submitted to funders in line with requirements.
HR
Recruit staff as required
Support and supervise Administration and Fundraising Officers
Ensure HR policies, procedures and staff contracts are relevant and reviewed regularly to ensure they are fit for purpose.
Promotion of Charity
Maintain effective networks with supporters and stakeholders
Network externally and develop partnerships to improve impact and sustainability
Ensure charity is presented in an appropriate and professional manner to its stakeholders including website, social media, annual, impact and reports
Represent the charity in public forums and produce or commission written/digital material for promotion
Asset Management
Overall responsibility for asset management including Playbus vehicles, premises management, IT, utilities and other overheads.

Day-to-day, you’ll be responsible for developing ETL processes using Fabric and Synapse linking from a variety of data sources to a wide variety of targets on-prem, cloud platforms and in Azure. We’ll also rely on you to ensure business requirements for new data feeds or changes are understood and translated into efficient and effective technical solutions. Exploring new ways to improve the efficiency and effectiveness of data management across Shelter will be important too, as will transforming and centralising raw data from multiple platforms into user friendly reporting data. Writing, validating and executing test plans, troubleshooting performance issues and supporting Shelter’s wider data management initiatives – all are aspects of this interesting and varied role.

The London Diocesan Fund (LDF) is seeking a PA to the Archdeacon of Northolt and Willesden Area Administrator to play a key role within the Willesden team, based from Causton Street.
Job Summary
The purpose of the PA role is to provide comprehensive administrative support to the Archdeacon of Northolt in the Willesden area, ensuring efficient handling of communications, management of her diary, and maintenance of records. This includes coordinating travel arrangements, organising meetings, compiling communications materials, and managing various financial tasks. Additionally, the PA plays a vital role in upholding confidentiality, being a source of support in the making of difficult decisions and assisting with safeguarding. The PA carries a vital role in linking Clergy, Church Wardens, and others to the support available to them in the Diocesan office and helping them feel supported and heard when they contact the Archdeacons office for help.
The Willesden Area Administrator is a member of the Area staff responsible for the efficient and effective running of the office. (s)he has strong links to the Bishops office, other members of the Archdeaconry Team, the Area Director of Ministry and his PA, other Area Staff, people in the parishes especially Church Wardens and church administrators, as well as key external stakeholders such as local authorities, businesses, architects and partner organisations.
Job responsibilities
Administrative

Proactive management of mail, enquiries, telephone calls, e-mail, using initiative when referring upwards and flagging issues with the Archdeacon

Diary management – forward planning of events and specific projects and day-to-day management of the Archdeaconry diaries.

Preparing agendas, support papers and taking minutes for meetings.

Draft letters and documents as requested.

Liaising with both architects and parishes for Quinquennial Inspections

Liaising with the Director of Ministry’s PA and Bishops office to assist in the organisation of the induction process for new clergy.

Facilitating the Willesden Area Parish Administrators network including organising training and networking events for them.

Discussing with the Archdeacon the response and approach to difficult situations in parishes, agreeing ways forward and helping to facilitate them, involving the Bishops office where appropriate.

Being the first port of call for enquiries to the Archdeacons office.

Supporting the Bishops PA in the efficient administration of vacancies and appointments including overseeing the area vacancies list and coordinating shortlisting and interview dates.

Coordinating of the annual parish returns both Mission Statistics and financial.

But we are also much more than this. We are a charity that campaigns on the issues that matter to parents. We run breastfeeding and infant feeding support, provided by specialist counsellors. This postholder is the first contact for referrals made into a perinatal programme supporting migrant marginalised women who experience many barriers to accessing maternity care. About the Role
Some of the key responsibilities of the role include:
- Making contact with women referred into the perinatal programme, using interpreters as required, sharing information about the service, answering questions and inviting them to attend scheduled groups where further support is offered. Communicating with other team members for support as required.
- Liaising with local health professionals and referrers to maintain strong relationships and clear referral pathways, responding to referrals, keeping referrers up-to-date and ensuring they have a clear understanding of the programme and can make appropriate referrals.
- Ensure all referrals and actions are logged onto the case management software, maintaining activity on the system by regularly inputting data and updating client notes.
- Administrative tasks, including the monitoring of the project email inbox, keeping the project website up to date, managing shared spreadsheets ensuring they’re up-to-date and assisting with the sourcing and coordination of baby bundles for clients
You must have excellent communication skills and be able to build relationships and create a rapport with a wide range of people easily, providing non-judgmental, sensitive communication with clients, using patience and active listening skills. You must be able to confidently prioritise your own work, be highly organised and able to work independently.
The role is 14 hours per week which will need to be worked over a minimum of three working days, one being either a Monday or Wednesday. This is largely a community-based role, working from a project office with some home working.
