Role Summary
Southwark Cathedral has been a place of Christian worship for over 1400 years. Now it stands on the vibrant and exciting regenerated south bank of the Thames surrounded by cultural venues such as Tate Modern, Shakespeare’s Globe and Borough Market, the offices of major companies as well as schools and diverse residential communities. It is an inclusive Christian community that offers a welcome to all.
The Cathedral’s mission, ministry and musical tradition are core to its life as a Cathedral and a parish church serving the community. It also relies on the valuable financial contribution made by its income generating activities such as its shop, café, conference rooms, corporate events and concerts. It is a very busy place, attracting 200,000 visitors a year to the Cathedral, its churchyard and medieval herb garden. The Cathedral relies on a small but dedicated team to be inclusive and welcoming to all.
The Executive Assistant (EA) will provide support to the Chief Operation Officer (COO) to assist them in the effective functioning of all governance, human resources and operational arrangements at the Cathedral.
Main Duties and Responsibilities
Support for the COO
- Lead the coordination, preparation, planning and follow up for the COO’s briefing for and attendance at meetings associated with the governance of the Cathedral, including Chapter, Finance Committee, Audit & Risk Committee, Nominations Committee, Fabric Advisory Committee and Board of Enterprises.
- Undertake research and assisting in the drafting and review of papers for such meetings. Minute taking will not usually be required (but may be requested from time to time in liaison with members of staff usually responsible for the minutes);
- Support the COO in all their working relationships including building and maintaining excellent relationships with Chapter Members and Committee Members, the Bishop’s staff and with the wider Diocese, as well as with neighbours, contractors, commercial partners and professional advisers;
- Draft briefs and management reports;
- Assist in the research, writing and preparation of the Cathedral’s Annual Report;
- Assist with the drafting and submission of Cathedral-wide documents, such as the Cathedrals Survey, Peer Review etc.
- Assist with the development of the Cathedral’s strategy and supporting reports and documents;
- Assist the COO with national, royal and high-profile civic events planning;
- Provide general administrative assistance in the context of a busy office;
- Promote the mission, purpose and values of the Cathedral;
- Any other responsibilities as may reasonably be required;
- Ensure that the highest standards of professional performance are maintained, and ensure professional skills are regularly updated through participation in training and development activities.
Senior Leadership Team & Diary
- Prepare Senior Leadership Team (SLT) meeting agendas and supporting documents, handling arrangements for meetings (Zoom when needed);
- Attend SLT meetings, track actions and report where relevant on items;
- Collate proposals for events from the Head of Events and Head of Visitor Engagement which need SLT approval and include them under SLT standing item on the agenda;
- On behalf of SLT, chair the weekly operational run-through of the Diary Meeting with Heads of Department and other staff;
- Manage the Cathedral diary in coordination with the Estates Manager – make in-house bookings, input the annual liturgical schedule, make alterations arising from the Diary Meeting;
- Act as the Cathedral’s key contact for the Metropolitan Police’s Southwark Counter Terrorism PROTECT Team – provide them with information (proactively and when requested) on Cathedral events and services of interest to the Police.
HR
Recruitment
Support the COO with co-ordination of recruitment for new Cathedral and Southwark Cathedral Enterprises Limited staff, in line with Safer Recruitment best practice;
- Co-ordinate the creation of job descriptions with direction from the COO & Director of HR, in liaison with the relevant Head of Department and line manager for the role being recruited;
- Manage the Cathedral’s recruitment processes – identifying platforms for advertisement, arranging short-listing and interview panels, featuring on shortlisting panels where required;
- Lead with preparations for interview – book rooms, invite candidates to interview, arrange testing and advise on test materials where needed, prepare and advise on interview questions;
- Where required, take part in interview panels;
- Manage the appointment process for new starters – communicate process outcomes to applicants (appointment and rejection communications), pursue references, complete pre-employment checks, liaise with colleagues on DBS check requirements;
- Assist with contract drafting for new appointments in liaison with the COO & Director of HR;
- Manage the induction process for new starters – IT set-up requirements, identification and access cards, ensure a desk space is in place for starters prior to arrival, give starters an IT induction and introduction to the Cathedral diary, familiarise new starters with the Staff Handbook, arrange health & safety inductions with the Property team and introductory meetings with relevant members of staff, and liaise with the Visitor Engagement Officer to enrol new starters on the next available staff tour of the Cathedral;
- Assist the Finance team by obtaining new starter financial information, HMRC Starter Forms and other necessary enrolment information.
Operational HR Support
Human Resources Administration for Staff
- Manage the Cathedral’s digital HR system (Mentor) – be responsible for creating and updating staff profiles, setting up each new leave year, monitoring annual leave & sick leave (reporting on these for KPI and audit purposes where necessary) and being the point of contact for staff who have queries on how to use the system;
- Communicate staff annual leave entitlement and respond to staff queries on leave;
- Support the Finance team with provision of HR information pertaining to the annual audit and insurance cover, e.g. staff numbers, requested contracts, annual leave summaries;
- Assist the COO with drafting of HR documentation/correspondence;
- Work with the Finance team on the provision of Annual Pay Review letters for all staff;
- Keep the Cathedral’s hard copy and digital HR filing systems up to date, in accordance with GDPR best practice;
- Assist the COO with HR audits;
- Support the COO and Director of HR with the rolling update of the Staff Handbook and Cathedral policies pertaining to HR;
- Develop and use process checklists for the HR function, including recruitment, induction, appraisal and exit;
- Oversee the administration of the appraisal and performance management process – liaise with managers to provide templates, resources and advice and ensure these are completed on time and to a high standard;
- Record staff training;
- Liaise with the Diocesan Director of HR for advice and support when queries relating to staff or HR situations arise.
Person Specification

Terms and Conditions
Working Hours
The working hours shall be 35 per hours a week, exclusive of meal breaks. Some out of hours working will be required to support meetings and events and this will be notified in advance. Time off in lieu will be awarded in line with Southwark Cathedral’s policy.
Annual Leave
25 days paid leave per annum including statutory bank holidays and an extra day at Christmas.
Probation
The appointment is subject to the satisfactory completion of a six-month probationary period.
Season ticket loan
Once the probationary period has been completed satisfactorily, the person appointed will be eligible to take out a season ticket loan.
Pension
The person appointed will be eligible to join a defined contributions pension scheme managed by the Church Workers Pension Fund. The Cathedral will contribute half of the annual premium of 10% of salary.

Coram Children’s Legal Centre works with migrant, asylum-seeking and refugee children and young people to ensure that their rights are upheld. At an individual level, we provide one-to-one legal advice through an advice line, outreach advice programme and workshops, as well as legal representation in immigration, asylum and nationality law, and community care law. We also offer a range of free resources and online information. To develop practice, we provide guidance and training to practitioners working with young refugees and migrants. We undertake policy advocacy to protect and promote the rights of migrant children in UK law and policy.
About the role
This role is part of a project funded by the Justice Together Initiative working in conjunction with a number of partners across London including Young Roots, Centrepoint, CARAS, Enfield Social Services, SRLA and Citizens UK. The purpose of the role is to help children, young people and families understand their position and legal rights in relation to immigration and support them to take steps to realise their rights. The role involves the provision of one-off asylum, immigration and nationality law advice and follow-up work and the wider provision of legal education sessions and documentation to increase understanding and knowledge. This role is part of an immigration legal advice team, which seeks to get high-quality immigration legal advice into communities and to those who would otherwise be unable to access it.
The purpose of the role is to empower those in need of immigration, asylum and nationality law, and to work with them – as well as a range of partners – to win change to promote the rights of children and young people affected by UK immigration control. The role involves creating positive relationships with young people and involvement in promoting youth-led change.
The role is responsible for project co-ordination and delivery across immigration advice projects, including advice service design, partnership-building, project planning and meetings, system creation and maintenance, record-keeping, monitoring, internal and funder reporting and other project activities. The role supports CCLC in achieving advice service consistency, meeting targets and ensuring compliance with regulatory obligations.

The National House Project (NHP) is committed to working with care experienced young people, encouraging them to take ownership of their futures and supporting them to live connected and fulfilling lives. The approach was co-designed with young people from the start and is centred around a groupwork approach. It supports young people to move into properties that become their homes whilst also building a strong and supportive friendship network.
NHP supports Local Authorities to establish Local House Projects (LHPs) and put young people at the centre of the decision-making processes Once an LHP has been established it supports staff to work with young people in an inclusive way, encouraging them to find the solutions to the challenges they face. LHPs enable young people to leave care in a planned and supported way, their outcomes are improved, and staff develop a way of working that is relationship based and psychologically informed.
To ensure that young people are involved at every level of the organisation each LHP elects two young people to represent them at the Care Leavers National Movement (CLNM). This forum provides the platform to hear, amplify and act on the voice of young people, who not only support the development of their own LHP but also contribute to developing practice and policy at a national level. CLNM meets regularly, undertakes Peer Evaluations, hosts and delivers their own National Conference and provides an ‘expert user’ consultancy. Members from this group also sit on the Board of Trustees as expert advisors.
We are looking for someone who is motivated and experienced in working with young people and excited by the thought of working directly with young people and supporting them to have their voices heard and acted upon.
Many people go into youth work and social work to do just that but find that the systems that sit around large organisations inhibit the difference that can be made. At NHP you will be able to use your energy and enthusiasm to work in a creative way, enabling young people to use their care experience to make a positive difference to the way in which those systems support them. You will work with CLNM as well as the core NHP team to ensure that young people continue to drive our work at both a local and national level.
You will need to have a professional/academic qualification in a related field eg Youth Work, Social Work, Education, Health. Current registration with a professional body is desirable. The NHP office is in Crewe. We support hybrid working and currently spend a minimum of two days in the office. In this role you will be expected to travel to LHPs and attend meetings across the country on a regular basis. There will be some planned weekend work throughout the year.

The role:

This person will be responsible for overseeing all aspects of finance and financial operations, ensuring these are compliant with statutory requirements and appropriate and effective financial controls are in place. They will also maintain a financial planning framework that will facilitate the delivery of the charity's financial strategy. This will involve managing one direct report, overseeing all financial reporting and tax compliance, preparing the charity’s management accounts and the end of year accounts for approval and sign off by the Trustees. In addition, the role will be responsible for managing an annual financial audit process preparing the annual budgets in advance for SLT sign off and providing sound financial advice across all of these areas.
This person will also manage all external relationships with banks, financial institutions, property Investors and auditors wherever Finance is the main issue being dealt with. This person will also oversee all Grants related financial transactions in close collaboration with the Grants department.
The person:
The successful candidate will be a qualified accountant and will be able to provide excellent financial management and reporting for the Charity. They will be confident working with different internal stakeholders and external professional advisors and will be capable of considering their different requirements and priorities in a knowledgeable way. This person will have excellent attention to detail and will be highly organised and a strong communicator across a wide range of audiences. Educated to Degree level or the equivalent (ACCA, CIMA, ACA or CIPFA), this person will have excellent interpersonal skills, strong written and verbal communication and will be up to date on all MS Office packages and financial software including SAGE being essential.

This is an important role based in a busy Operations team which covers office management, information technology, finance and human resources. The team play a key role in supporting the organisation to achieve its mission of supporting young people from disadvantaged backgrounds to succeed.

We are looking for a talented professional with a strong understanding of CRM and digital systems and a passion for maximising the value of data, who is looking to join an organisation where they can put their skills to use across all aspects of our operations. About the Investment team
The investment team is responsible for selecting portfolio partners, managing our investments in these partners and supporting them to improve and scale their impact.
The investment team also leads the Impetus Leadership Academy, a leadership development programme to support talent from ethnic minority backgrounds in the UK youth sector to progress into senior leadership roles.
The team is made up of 18 people, including former teachers, charity chief executives, charity impact leads, management consultants, social investment portfolio managers and impact consultants.
The team is led by a Portfolio Director who sits on the Senior Management Team. The Portfolio Director has 5 direct reports: a Deputy Portfolio Director, three Sector Leads (who lead our work in School engagement, School attainment and Employment Sectors) and an Impact Lead. About the Investment Manager role

Since our founder, Kathy Coe MBE, created Pathway Project, we have helped over 25,000 people, with 5,814 hours of support provided in the last year.

JOB SUMMARY
The postholder will provide outreach services within the community to provide emotional and practical support to young women and girls who have been subject to domestic abuse and sexual abuse or exploitation in order to meet their immediate needs, reduce risk and work towards long term safety and security.
This may also include young women and girls who have been involved in the sex industry or gang involvement. She will inform them of all the sources of help available to them and to facilitate their access to other support services, where it is appropriate.
She will enable access to age appropriate and age effective group work and to support the development of preventative workshops delivered to young women and girls.
MAIN DUTIES
· To provide non-judgemental, one to one emotional and practical support to young women and girls (YW&G) aged 13-25, who have suffered domestic abuse and/or sexual abuse/exploitation.
· To engage YW&G in effective one to one support designed to meet their individual needs.
· To signpost YW&G on to other appropriate agencies and support mechanisms that will help them successfully move forward.
· Complete risk assessments and develop risk management plans to address the risk of harm.
· Undertake safety planning with YW&G to reduce levels of risk.
· Complete needs assessments and individual support plans with the YW&G to ensure their emotional and practical support needs are being met.
· To empower YW&G who have been victims of domestic/sexual abuse/exploitation to take control of their lives and make their own decisions.
· To assist YW&G to access relevant services and agencies within their local area such as housing, counselling, debt, legal advice, health, training, education and support groups.
· To refer service users onto other support services available in Pathway, if appropriate e.g. counselling, legal clinics.
· To work with other services within Pathway Project to deliver the most effective support possible.
· To work in partnership with other agencies and to advocate for YW&G to ensure their needs are being met.
· To advocate on behalf of YW&G, accompanying them to appointments, if appropriate, and ensuring that their wishes and feelings regarding the provision of those services has been taken into account.
· To help develop a programme of group work for YW&G looking at issues such as sexual exploitation, sexting, revenge porn, social media, grooming, healthy relationships and substance misuse.
GENERAL
· Manage an appropriate caseload.
· Maintain, update and keep accurate and factual case records.
· Keep other relevant agencies informed about important changes in YW&G situations, within information sharing protocols.
· Note and feed back to other agencies any consistent difficulties YW&G are having accessing their service, or failures to engage.
· Contribute to the development of service policies, protocols, guidelines and strategies within area of practice as necessary.
· To work within the policies and procedures of the organisation.
· Develop and maintain effective communication systems with key partners including Police, CPS, court service, social services, education, health, victim’s gateway, witness service, voluntary sector organisations, CAFCASS.
· Participate in team meetings.
· Provide specialist advice to other workers and agencies.
· To participate in networking opportunities.
· To provide monitoring and reports as required.
· To ensure that the security of sensitive data is maintained and complies with the policies, procedures and guidelines of the organisation.
OTHER
· Any other duties the CEO or Board of Trustees consider appropriate.

Person Specification
Essential
Ability to drive with a clean driving license and access to a vehicle.
Confident and eloquent speaker and networker.
Ability to write clear and concise reports and case notes.
Experience of supporting clients in any form.
Has an understanding of the issues facing YW&G.
Experience of working with vulnerable clients.
Experience of and an understanding of Safeguarding practice.
The ability to use initiative and be self directed in their work .
The ability to maintain professional boundaries and yet still build a rapport.
Being self motivated and able to generate connections and network locally to further the work to prevent violence against
YW&G.
Desirable
Confident presenter and deliverer or group workshops .
Ability to write and deliver workshops that are informative, fun and age appropriate for YW&G.
Ability to manage a diverse caseload and manage competing priorities.
Experience of Domestic Abuse or worked in the domestic abuse field.
Experience of or the ability to work with challenging individuals or situations
Experience of multi-agency working.
Knowledge of working in the third sector .
Ability to manage a crisis situation and remain calm and in control.
