Fleet Administrator

Part Time - 21 hours per week (over 5 days)

About the role:

This is a newly created part time role following a period of growth. The Fleet Administrator will be responsible for the efficient administration of the fleet to ensure that Rainbow Trust vehicles are managed effectively, accurate records are maintained, and costs are minimised, working closely with suppliers to ensure the smooth running of the fleet with minimal disruption.

The Fleet Administrator will form a vital part of the Finance and Operations Team supporting the Facilities & IT Manager in the management of the Rainbow Trust fleet. Rainbow Trust operates a fleet of approximately seventy vehicles situated across our nine regional teams. It is vitally important that our Family Support Workers have a reliable vehicle for attending family visits and transporting families to hospital. In addition, the Fleet Administrator will be required to assist the Facilities and IT manager with ad-hoc tasks/projects according to the workload.

Full training will be provided and previous experience of managing a fleet is not required, although is desirable. A good level of maths, excellent communication, planning and Microsoft Excel skills are required to be successful in this role.

This is an excellent opportunity to maintain a breadth of fleet administrator experience with increased responsibility.

About the role:

We are looking to appoint a Family Support Coordinator to support our care teams in delivering a high-quality family support service in the region, working with families and professionals to ensure the families we support have access to the services they need.

Reporting to the Family Support Manager and working in partnership with health, education, and social care professionals, you will take responsibility for sourcing practical goods and services in the region, applying for grants and benefits, as well as working with other charities or community providers to obtain goods, equipment or funds for families that Rainbow Trust do not provide directly.

Shooting Star Children’s Hospices are a leading children’s hospice charity caring for babies, children and young people with life-limiting conditions, and their families. We support families across Surrey and Southwest London from diagnosis to end of life and throughout bereavement with a range of nursing, practical, emotional and medical care.

At the heart of the hospice are our dedicated clinical staffs. Their exceptional commitment and professionalism is commented on by so many of the supported children and their families. 

It costs £10.5 million a year to maintain our current level of care. Only 30% of that income comes from government funding via the NHS or local authorities, so we rely on our supporters’ generosity to keep the service running. We employ 175 staff, including 98 nursing and medical staff, providing hospice and community-based services to around 700 families.

Predominantly we work with families living in the Northwest and Southwest of London and Surrey, although will accept children outside these geographical areas if they do not have access to specialist palliative care support locally.  We have a reputation for delivering high quality care.  We have a CQC rating of ‘Outstanding’

Introduction

Retail and Volunteers Team: Our Retail and Volunteers Team manages our charity shops and volunteer programs, which play a crucial role in supporting our mission. They recruit, train, and coordinate volunteers to staff our shops and assist with various tasks, such as sorting donations and serving customers. Additionally, they oversee the operations of our retail outlets, ensuring that they are efficiently run to generate income for our hospices.

Part 1: Job Profile

a) Main purpose of  job

In the absence of the manager or assistant managers to lead a team of volunteers to maximise sales, deliver excellent customer service and ensure that the shop premises and assets are maintained to a high standard, according to legal requirements and Shooting Star Children’s Hospices (SSCH) policies and procedures. 

Decision Making Authority

The post holder will be required to make decisions on the quality, and suitability of donations before they are placed on sale. Depending on the length of the cover period they may be required to dress the windows. (They will follow price guidelines and existing display layout throughout the shop.)

The post holder will work with eCommerce Manager to decide if items would be suitable for selling at a higher price on eBay or through a promotional event and set these aside for the manager of the shop to deal with on their return.

The post holder will support with rostering of the team of volunteers where necessary and delegation of duties and jobs.

Part 2: Main duties and key responsibilities

a) Customer Service – 25%

• Dealing with customer queries and complaints courteously and effectively

• Informing the Head of Volunteer Development and Retail of any serious incidents or complaints

• Ensure that any refunds are processed in line with SSCH refunds policy

• Ensure that the advertised trading hours of the shop are adhered to

• Ensure relevant documents are completed in the event of an incident/accident and reported accordingly

b) Processing donations – 25%

• Process all donations as soon as possible, prioritising Gift Aid and high value items

• Prepare and clean items appropriately for display

• Oversee the recycling and arranging of collections

• Promote Gift Aid is at all available opportunities

• Ensure that the ongoing need for donations is publicised

• Price and ticket all items according to pricing strategy for the shop and ensure that all pricing and ticketing complies with legislation

• Ensure that stock is properly managed and rotated in accordance with latest guidance

• Identify high value or specialist items that may need to be sold in another capacity

c) Merchandising, display and promotion of stock, maintenance of high standards throughout the shop – 20%

• Ensure that all merchandise is displayed attractively and that the window display is eye-catching

• Ensure that there are high standards of cleanliness and tidiness in all areas of the  shop

d) Sales and financial reporting – 10%

• In the absence of the manager/assistant ensure that daily/weekly financial reports are submitted and that any discrepancies are investigated

• Ensure that the Manager/Assistant Manager and shop volunteer team are kept informed of the shop’s performance

About the role

We’re looking for a Human Resources Advisor with strong experience in employee relations and policy development to join our People Team. About this key role

As our specialist worker you will provide peer supervisory support to the team within the wider hospital based services, which includes deputising for the Senior Caseworker, and supporting the Data Coordinator and Senior Caseworker with the collation of information and data for project monitoring purposes. We will also count on you to develop and maintain strong relationships with clinicians and hospital staff, while also identifying onward referral pathways with other services in the hospital such as CAMHS, IDVA, COMPASS and other statutory and voluntary sectors in the community.

Working as part of a multi-disciplinary team, you will also help to identify and assess young victims of violence and to provide support, advice and advocacy for both them and their families as they plan to be discharged from hospital back into the community. • Personal experience of the criminal justice system, lived experience of the issues facing this client group and/or experience of working with ‘high risk’, vulnerable children, young people and/or families.

The Senior Multiple Needs Independent Domestic Violence Advisor (IDVA) will work within a dynamic, crisis intervention, advocacy and support service based at the CGL Ealing Women’s Wellness Zone.  The IDVA will provide support in the local community and at the Ealing Women’s Wellness Zone.  The successful candidate will be co-located up to 5 days a week at the Women’s Wellness Zone.

The IDVA will be closely working alongside CGL colleagues/team to deliver support to women with a range of complex support needs including substance misuse, mental health, domestic abuse, sex working, trafficking, and offending behaviour. The IDVA will work in collaboration with their team members to holistically support women in the borough of Ealing to achieve sustained recovery, improved health and wellbeing, helping women to manage/mitigate risks, and empowering them to reach their fullest potential in society as well as ensuring the voice of survivors informs every stage of the process.

The Senior Multiple Needs IDVA will assess the needs and risks of survivors, carry out short and longer-term risk management, safety planning and support. As well as identify and refer to services appropriate to their needs. They will also proactively advocate and advice women of their rights and options for seeking help and support from other agencies, encouraging them to engage with other agencies, and help co-ordinate the provision of multi-agency support where necessary.

About You:

To be successful as the Senior Multiple Needs IDVA you will need to have:

Excellent understanding of domestic abuse and its effects on women and children, of best practice in supporting survivors of domestic abuse, and of the MARAC. As well as understanding of drug and alcohol issues and experience of working within a related field.

Bringing your experience of risk and needs assessment, safety and support planning, and crisis planning and successfully managing high numbers of referrals and experience of working in a co-located setting with another agency and providing consultations/briefings to professionals to support in upskilling them around Domestic Abuse. The candidate will have experience of partnership working and of maintaining excellent working relationships with a range of stakeholders.

As a Children and Young Persons Support Worker (CYP Domestic Violence Advocate), you will be required to:

• Conduct comprehensive needs and risk assessments and ensure each CYP receives an individual tailored support package that fully meets their identified needs, including safety planning, advocacy, emotional and practical support.
• Provide one to one support to children and young people living in families affected by domestic abuse.

We’re looking for a Fundraising Engagement Manager to join our Regional Fundraising team.

You will maximise income for Young Live vs Cancer by coaching our supporters to reach their goals, whilst seeking out new fundraising opportunities for your geographical area. Your team of supporters will range from volunteers and individuals, to groups and local corporates.

We are looking for a Giggle Doctor Programme Administrator to join our busy programme team, to support the day-to-day operations of our Giggle Doctor programme for hospitals.

This is a part-time, one-year contract to support the running of the Giggle Doctor programme while a member of the team is on maternity leave. We are flexible as to which days are worked, providing that the post-holder has a fixed working pattern over a minimum of 3 days per week. This post requires work from the office as well as some work from home. We will provide training to the successful candidate on how to fulfil the key tasks of the role.

Theodora Children’s Charity UK is part of an international family of Theodora’s; originally established in Switzerland, there are Theodora Giggle Doctors visiting children in Switzerland, Italy, Spain and Hong Kong, as well as in the UK.

Over the past 30 years we have made a positive impact on over half a million children and their families in the UK and 3 million children internationally, improving children’s experience of being in hospital through visits from professional performers, called Giggle Doctors.

At Theodora Children’s Charity we help children living with illness, disability and serious health challenges to feel better using the proven power of laughter. Our vision is to contribute to the wellbeing of children in the 14 core hospitals and specialist care centres we visit across England, as well as those we support virtually. Our Giggle Doctors are specially trained performers who are able to visit children in a clinical setting or through the Virtual Visit Programme.

By combining music, play, magic and storytelling our 21 Giggle Doctors bring joy and laughter to children in challenging times. From Dr Boogie Woogie to Dr Teapot, our Giggle Doctors wear their very own ‘doctor coats’, which represent their character, and spend time one to one with the children. Giggle Doctors create opportunities for children to play and interact through a range of musical and fun activities.  Sometimes they will make balloon animals and blow bubbles, and at other times they will sing a funny song or simply listen and talk to a child one to one.

The play is always child – led, with each interaction being unique to the child and their needs. A Giggle Doctor visit isn’t just about one magical moment, it can have a significant and lasting impact on a child’s well-being. With each visit, the aim is to reduce stress and anxiety, increase opportunities for play, and improve children’s experience of hospitals.

Job Description

Key Tasks and Responsibilities

Administration

· Act as first point of call for artists regarding their visits to hospitals, overseeing sickness, cover and changes to their schedules

· Support artists with hospital administration and contracts

· Keep artists updated with changes in Theodora Children’s Charity’s policies

· Process changes to the Giggle Doctor schedule on our internal systems

· Liaise with hospitals and keep them up to date with information about their programme of Giggle Doctor visits

· Set up meetings with hospitals, artists and Theodora Foundation colleagues as required

· Book long-distance travel and hotels for artists for hospital visits and training events when required

· Support the Finance Manager and Giggle Doctor Programme Manager with collecting and filing timesheets, invoices and receipts for payment

Training and Events

· Support the Giggle Doctor Programme Manager with events, including booking rooms, resources and catering

· Attend training events for Giggle Doctors, setting up and packing down as needed

Impact and Programme Monitoring

· Support the Giggle Doctor Programme Manager with monitoring Trainee and Junior Giggle Doctor’s progress and keeping records of their observation notes

· Support the Giggle Doctor Programme Manager with data capture and record keeping

· Take minutes and record actions during Programme Team meetings, Theodora Foundation meetings and office team meetings from time to time

• Utilise the charity’s CRM database to keep all records up to date and effectively progress supporter development.

HR and Safeguarding

· Act as Deputy Safeguarding Lead and follow safeguarding processes for recording safeguarding incidents in the Designated Safeguarding Lead’s absence.

• Run DBS checks for artists when required using the external Ucheck platform

Other

• Represent the charity at external functions and conferences.
• Undertake any other duties reasonably requested from Programme Manager from time to time

Person Specification (include essential/desirable)

Essential:

· Highly organised and process-driven

· Ability to complete tasks (with or without reasonable adjustments) efficiently

· Excellent written and spoken communication skills

· Able to build good working relationships with a range of stakeholders including performing artists, healthcare workers and teams across the charity

· Careful and accurate when sharing information

Desirable

Today, 12 children and young people will be diagnosed with cancer. We’ll stop at nothing to make sure they get the right care and support at the right time.  

• Salary: in London: £47,304 / Out of London: £44,753
• Hours: up to 35 hours
• Contract type: fixed term - up to 24 months.
• Location:  we really don’t mind, working anywhere in the UK from home would be fine.  There will be occasional travel to meetings in the UK (mainly in London and Bristol so you need to be able to travel there.) Depending on your location you may be able to work in a hybrid way in our Bristol or London office

About the role

This is an awesome role focussed on improving our ways of working and processes when it comes to those who support us. We want all of our supporters to have a first class experience when they decide to donate their time and/or money to supporting children and young people with cancer and their families. However we know that as an organisation we have more to do to make this happen and the time is now.

Working in Income Generation, this role will take a recently conducted diagnostic carried out by a business improvement consultant and not only work through the next steps but make change happen, prioritising the areas with the biggest wins. This role really will have a lasting legacy in the organisation.

We're not just looking for someone to map change, this person will lead operational design and process re-engineering that transforms the Income Generation directorate and it's workforce into high achievers. 

You’ll be based within the Project Management Office (PMO), a supportive team of professionals that lead transformational change across the organisation as well as corporate planning. You’ll also have close relationship with the Head of Planning and Strategy in Income Generation as well as the Associate Director Supporter Engagement.

What will I be doing?

No two days are the same at Young Lives vs Cancer. So, summarising your ‘day to day’ isn’t easy. Here are some of the main things you’ll be doing, but you’ll find more details in the job description.

• Building on the diagnostics carried out already within Income Generation directorate to optimise organisational design and scope improvements. 
• Using the diagnostics to identify pain areas, develop a sequenced plan to tackle these issues and then implement the plan to improve performance, processes and services i.e. “getting hands dirty”.
• Embedding a culture of improvement in the organisation and developing these capabilities within the workforce.
• All of these activities will involve facilitating workshops, engaging audiences with tailored communications, debating and negotiating ideas with leaders, managing governance, risks and dependencies, evaluating progress etc. 

What do I need? 

The key skills we’re looking for in this role are:

• Experience of delivering transformational change by using process improvement principles & methodologies such as TQM, Kaizen, Lean Six Sigma to design services and processes that deliver value, efficiency, higher quality, lower costs and better results
• Ability to do big picture thinking and drive the change that is needed, don’t sit back and react to the change that is happening.
• Challenging directly with assertive communication style balanced with caring deeply through consultative and listening skills. 
• Being curious,  looking beyond the obvious to get the real picture.
• Being proactive to get stuff done but in a flexible way, not being tied to a solution and having a healthy dose of pragmatism
• Strong analytical and evaluation skills.
• Creative thinker and ability to encourage innovation amongst colleagues
• Ability to deal with ambiguity and make smart decisions with limited information and changing priorities as well as support people to define issues.
