The Volunteer Coordinator supports the development and management of volunteer roles at The Jumbulance Trust. This includes recruiting, training, and retaining volunteers, particularly those in carer and fundraising roles. All administrative duties involved in creating records and storing personal data of volunteers.

Key Responsibilities:

Volunteer management

  - Recruit, onboard, and train volunteers in collaboration with the Senior Administrator and Trustees.

  - Match volunteers' skills with the needs of Assisted Travellers, including home visits for assessments.

  - Maintain volunteer records and ensure compliance with Data Protection regulations.

Training and Support

  - Develop and deliver volunteer training, both face-to-face and online.

  - Arrange regular online meetings to provide feedback and support to volunteers.

  - Ensure high-quality volunteer experiences and address any complaints or concerns.

Development and Recognition

  - Promote Jumbulance Trust as a top choice for volunteers by attending events and building community relationships.

  - Recognise and celebrate volunteer contributions through awards and other acknowledgments.

Strategic Initiatives:

  - Develop new volunteering opportunities and support Corporate Social Responsibility initiatives.

  - Establish training placements with nursing and health professions students.

Job Purpose:

The Services Support & Operations Manager at the Civil Service Retirement Fellowship (CSRF) will be responsible for overseeing the support functions that facilitate the delivery of charitable services to retired civil servants. This role involves managing administrative processes, coordinating service delivery, and ensuring that all support activities contribute effectively to the organisation's mission of promoting the well-being and social inclusion of retired civil servants.

Key Responsibilities:

Operational Management:

· Oversee the day-to-day operations of the organisation, ensuring that all administrative and logistical tasks are completed efficiently and to a high standard. This would include processing post, cheques, payments, updating records and emails.

· Supporting the Deputy Chief Executive with general admin tasks (overseeing her emails, general admin and research when needed).

· Providing administrative support to Chief Executive on services and general projects for the organisation when needed.

· Coordinate the scheduling and delivery of services, working closely with senior management to ensure seamless service provision.

· Develop and maintain standard operating procedures for all support activities, ensuring consistency and quality in service delivery.

Data Management and Reporting:

· Manage and maintain accurate records of all service activities, including beneficiary data, service outcomes, and volunteer contributions.

· Produce regular reports for senior management on the performance and impact of support services.

· Ensure data protection and compliance with relevant regulations, including GDPR.

Volunteer Coordination:

· Support the recruitment, training, and management of volunteers involved in service delivery.

· Ensure volunteers have the necessary resources and support to carry out their roles effectively.

· Assist in the development and implementation of volunteer engagement strategies to enhance volunteer satisfaction and retention.

Stakeholder Liaison:

· Act as a key point of contact for beneficiaries, volunteers, and other stakeholders, providing information and resolving issues related to service support.

· Foster strong relationships with internal and external stakeholders, including service users, partners and community organisations.

· Assist in organising and supporting stakeholder meetings, events, and communication initiatives.

Continuous Improvement:

· Identify opportunities for improving support services and processes, contributing to the overall effectiveness and efficiency of the organisation.

· Lead or participate in projects aimed at enhancing the quality and reach of CSRF’s services.

· Ensure that all support activities are aligned with the organization’s strategic goals and objectives.

Compliance and Risk Management:

· Ensure that all support services comply with relevant legislation, organisational policies, and best practices.

· Identify and mitigate risks associated with the delivery of support services, including safeguarding and health and safety concerns.

· Maintain up-to-date knowledge of relevant regulations and industry standards.

Person Specification:

Essential Qualifications:

· A minimum of 3-5 years of experience in an operational, administrative, or support management role, preferably within the charitable or public sector.

Essential Skills and Experience:

· Empathy and understanding of those in later life.

· Strong organisational and project management skills, with the ability to manage multiple tasks and priorities effectively.

· Experience in managing support functions, including data management, reporting, and resource coordination.

· Excellent communication and interpersonal skills, with the ability to work collaboratively with a range of stakeholders.

· Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

· Experience in volunteer coordination and support.

Desirable Skills:

· Experience in the charitable sector, particularly in roles supporting service delivery.

· Understanding of the needs and challenges faced by retired civil servants.

· Familiarity with data protection regulations, including GDPR.

Additional Information:

· The role may require occasional travel and flexibility in working hours.

The Hepatitis C Trust has developed projects nationally whereby peers use their lived experience of injecting drug use and hepatitis C, to provide education and training to service users and staff in drug and alcohol, hostel and homeless services, increasing hepatitis C awareness, access to testing and referral to treatment, for people living with hepatitis C.

We are looking for a passionate and skilled peer lead who has excellent communication and organisational skills. Working under the guidance of the Peer Programme Manager, this post will continue the development of the project, recruiting and coordinating peers across Cardiff and The Vale of Glamorgan. Working in partnership with hepatitis C clinical teams, drug and alcohol services and homeless service providers, the post will coordinate delivery of awareness raising workshops, hepatitis C testing with a focus on local prisons and community criminal justice settings, ensure that service users are referred and supported through hepatitis C treatment and care.

The TACT London & The East Administration Manager will be an integral member of the Management Team with operational responsibility for three highly dedicated and experienced administrative staff. Responsible for: Leading the food distribution service and quality assurance at Hackney Foodbank’s allocated Food Distribution Centres located across the borough of Hackney. This includes ensuring all our visitors have a positive experience when collecting their food parcels and are signposted to other provisions appropriately; being responsible for directing the volunteers, working closely with the Head of Food Distribution and Volunteering, Health and Safety, and promoting best practice at each centre. This role will also involve administrative tasks, organising and carrying out home deliveries for visitors, inputting data on visitors’ journeys accurately into a database, driving the Hackney Giving Van occasionally and regularly driving a Luton van to the various Distribution Centres.

We have an exciting opportunity to join our Income Generation and Engagement Team as an Assistant Community Fundraiser!

As an Assistant Community Fundraiser, you will be an integral part of supporting the Community Fundraising team to reach their annual income target. You will oversee the running of the Kinross fundraising office, including stock management and managing a small team of volunteers. You will help support the team by co-ordinating supporter and volunteer communications, and attend fundraising events when required.

Purpose of the roles:

• To be responsible for the development, coordination, and delivery of Neighbourhood Watch’s partner project involving Neighbourhood Watch volunteers within the South West.

About the role

We’re looking for someone with a keen eye for detail, transferrable customer service skills and experience of working with complex personal data to join our Volunteering Team.

The main purpose of this role is to ensure the best possible volunteer experience and that Young Lives vs Cancer holds and maintains appropriate records and data on our volunteers in line with volunteering best practice, safer recruitment and GDPR. 

 Accurate data is critical to the safe delivery of volunteering. This role is responsible for creating and maintaining volunteer records on relevant systems including database and our Learner Management System and overseeing volunteer recruitment and on-boarding ensuring compliance with minimum standards and reporting as appropriate. 

This role interacts with stakeholders across the whole of the organisation and is often the first point of contact for volunteering process and procedures.

What will I be doing? 

No two days are the same at Young Lives vs Cancer. So, summarising your ‘day to day’ isn’t easy. Here are some of the main things you’ll be doing, but you’ll find more details in our Role Details document. 

• Supporting the full volunteering life-cycle including recruitment, on boarding, training, reward & recognition
• Managing and responding to volunteer enquires; escalating/signposting as appropriate and ensuring records are maintained
• Maintaining and developing the Volunteer Management Guidance Hub; ensuring colleagues are able to self-serve wherever possible 
• Offering support and guidance, signposting to resources to facilitate a consistently excellent volunteer experience
• Working with key stakeholders including Income Generation, Governance & Assurance, Services and Insight to report against compliance and governance requirements
• Leading on streamlining and standardising current processes to enable sustainable and strategic growth 

What do I need?  

A great team ethic is really important in this role as you will maximise volunteer potential for Young Lives vs Cancer. This role sits within the ‘People & Culture’ directorate and we need someone with natural customer service skills and a drive for continuous improvement.  

Experience within a similar role, or within the charity sector, would be great but we know that a lot of the most important skills in this role are easily transferable from another sector. We want the right person and we will invest in training the right candidate.

Union Chapel has been running an important project to assist asylum seekers resident in Islington contingency hotels.

With funding made available by Islington Council, we provide wraparound support in the form of orientation workshops; health and wellbeing; information relating to the asylum process; ESOL classes; social activities and befriending.

Union Chapel is located in Compton Terrace, N1 but the bulk of the work will take place either in the hotels or in premises close to them in Kings Cross.

The post holder will work closely within the Church team and alongside the Margins staff, especially with our Social Justice Worker.

This post is part time – 3 and ½ days per week.  Some early evening work may be required.

Responsibilities and Duties

Run regular ESOL classes and organise new groups according to students’ needs

Recruit volunteers who will provide regular learning opportunities and befriending for hotel residents, including recruitment from within the resident group

Arrange Safeguarding courses and DBS checks for volunteers

Provide information to potential and newly recruited volunteers on the values, activities and scope of the programme

Maintain regular contact and support for volunteers

Manage a timetable for ESOL groups

Liaise with hotel staff and external partners to maximise learning opportunities for students

Plan English classes and provide appropriate learning materials and resources

Provide volunteers and participants with information on other opportunities within our programme such as workshops on the asylum process and health and wellbeing and other free opportunities

Report any safeguarding issues in a timely manner

Work closely with our Social Justice Worker and attend weekly drop-ins

Carry out follow-up referral work

Essential

We are recruiting for a Head of Administration to join the bemix team

Permanent Contract, Working Full-time, 9am-5pm

Office based at the Innovation Centre, Canterbury, with travel to and working from different bemix locations in Kent, as and when needed.

This is an exciting and varied role and will offer someone a fantastic opportunity to lead our friendly and supportive Administration team.

We do this by supporting people with learning difficulties and/or autism to speak up, make choices and become powerful and influential. We support them to gain opportunities and become more independent in learning, housing, work, health, money, travel, leisure and relationships. The Administration team plays a crucial role in ensuring the smooth and efficient day-to-day operations of bemix. The team works hard to support the workforce so they can achieve bemix’s goal for everyone to be seen, to be heard and to belong.

 

Main aim: To oversee, plan and steer the administration across the organisation. With proven skills and experience to confidently approach different tasks and requests throughout the day with a solution-focused, confident and resilient working manner. You will lead, support, unite and develop the office administration team, so that great things can be achieved. The role needs someone who instinctively takes the approach of reviewing and developing systems, tracking progress on projects and thrives on organising and planning a busy calendar of work.

Holding oversight for the bemix mainline, email inboxes and other communication channels, ensuring all are well-manned across the whole week by the administration team and answered in a friendly, helpful and professional manner. Stepping in to provide practical help when needed, to ensure an excellent pathway of communication (both external and internal) is maintained at all times. 

Hours: Working 37 hours per week, working Monday - Friday between 9am - 5pm .  Working hours need to have flexibility to respond to tight deadlines with extra hours, taken as time off in lieu.

Location: Mainly at the Canterbury Innovation Centre, University of Kent site, Canterbury. With great facilities, including free parking, cafe, reliable local transport connections and lovely outside spaces to explore on breaks/lunch/walking supervision. With flexibility and commitment to travel and work at other bemix locations and sites, as the role needs demand.

Salary and benefits: In the range of £30,000 - £34,000 per annum.  With an offer made based on experience and proven track record. Along with generous 25 days annual leave pro rata plus 8 bank holidays + Contributory Pension Scheme option (5% of pay)
