The Finance and Operations Officer will provide general support to the Head of Finance and Operations across the following areas: 

Office Management

• Managing day-to-day relationship with landlord

• Ensuring office meets all health & safety requirements

• Managing purchases of stationery and office equipment 

• Booking meeting rooms

• Organising catering for internal meetings 

• Supporting with new office search and move to new premises

• Liaising with utility, cleaning and security providers in new premises if required

Human Resources

• Liaising with the external HR providers regarding employee documents

• Maintaining  employee personnel records ensuring that all annual leave and sick leave is recorded correctly

• Assisting in the recruitment of new posts

• Onboarding and welcoming new employees, including ensuring newcomers have the necessary IT and office equipment and access to the required IT systems 

• Coordinate annual staff surveys and collate responses

Operations

• Assisting the CEO and the wider team with administrative tasks

• Liaising with our external IT providers to ensuring all IT equipment is functioning and replaced when required

• Organising away days and other large meetings 

• Reviewing/renewing supplier contracts annually (including insurance provider)

Governance

• Organising Trustee meetings 

• Attending and taking notes at specific meetings (e.g. Trustee, Advisory Board, team away days)

• Updating the Charity Commission for changes in Trustees and submission of annual returns 

• Ensuring all policy documents are up to date and reviewed within the correct time frame 

Finance

• Processing invoices and expenses and coordinating twice monthly payment runs

• Reconciliation of the monthly corporate card bills

• Keeping the fixed asset register up-to-date

• Bank account administration 

• Collation of information for the auditors

We are looking for someone who can demonstrate the following skills and experiences:

Terms and Conditions

• Location: Money and Mental Health’s central London office for at least 2 days per week with option for home working the rest of the time. The office is wheelchair accessible.

• Hours: 3 to 4 days (22.5 to 30 hours) a week. The charity has a flexible working policy with core hours of 10am - 3pm and remaining contracted hours distributed throughout the week flexibly. We are open to discussing other flexible arrangements, such as accommodating school runs.

• Holidays: 28 days p.a. (including 3 days of annual leave between Christmas and New Year when the office is closed) plus bank holidays, adjusted for the part-time nature of this post and therefore calculated on a pro rata basis.

The Group Finance Director holds a key role in the executive team in the Foundation Office of the Charity.  They are accountable for all matters relating to the UWGCF Charity finance, including the oversight of school income, endowment investments, loans, subsidiary companies, VAT, and the leadership of the Foundation finance team.  To succeed in the job, the post holder needs to build effective working relationships with independent school bursars and finance teams and link effectively with the Business managers in the state funded academies.

The UWGCF is a complex organisation, and the post holder will need to demonstrate a high level of communication and interpersonal skills, the ability to build effective and supportive working relationships with other and be prepared to engage fully in the work of the Foundation. IPWSO is the international umbrella body for PWS associations around the world with 47 full paying country members and contacts in over 120 countries. We are committed to supporting people with PWS and their families whatever their needs and wherever they live.

Leadership

· Strive to ensure that the charitable purposes of IPWSO are followed and that it delivers the public benefit set out in its governing document.

Our staff have the choice to work wholly or partly from home or from our office in Tooting, SW London, during regular operational hours (08:30–17:30). If working from home, staff must have a working environment suitable for holding video-call meetings/training sessions with clients.

Salary and annual leave 

Salary will depend on qualifications and experience but is expected to be between £35,000 and £38,000 p/a (depending on experience). Annual leave is 25 days per year plus public holidays (33 days).

The Jean Sainsbury Animal Welfare Trust was established in 1982 to support UK registered animal welfare charities involved with the rescue, rehabilitation, release and rehoming of domestic and wild animals; the conservation of wildlife and its habitat and the promotion of the understanding of animals and their welfare. By giving to smaller organisations, relatively modest grants can have a significant impact on animals and those who care for them.

As Administrative Assistant you will work alongside the Administrator to ensure this impact is sustained by monitoring and evaluating applications from submission through to awarding and beyond. You will liaise with applicants, guiding them through the process, while also keeping in contact with our Board of Trustees. Meetings are held six times a year to agree awards and you will produce reports and summaries to aid Trustee’s decisions.

With the successful completion of our first communtiy-led housing project, which is unique in terms of scale, its mix of tenures, and its self-build housing component, RUSS has cemented its reputation within the sector. This role is a fantastic opportunity to shape our future.

The role of the Company Secretary involves the following key components, supported by all Trustees, staff, active volunteers and wider RUSS team:

• Overseeing the roles and activities of Board members and volunteers to ensure that RUSS is keeping in line with its responsibilities as a charitable trust
• Organising the agenda and papers for each board meeting and ensuring that those providing reports and updates do so on time
• Attending finance and audit committee meetings to ensure that financial processes including yearly audits are running on time
• Intervening when RUSS activities are not taking place in line with the RUSS Rules & Principles and making recommendations to the Board regarding how to resolve such issues
• Organising the Annual General Meeting, alongside other Trustees
• Submitting the accounts to the Financial Conduct Authority
• Organising Board away days and training, alongside other Trustees and the Chair
• Overseeing Human Resources, alongside our interim Managing Director, Trustees and the Chair
• Line management of bookkeeper and other part-time admin roles Liaising with our lenders regarding our long-term loan
• Leading the process of applying for Registered Provider of Social Housing status: research and scoping, setting up and engaging with a working group and appointing consultants, to work towards making an application in 2025.
• Liaising with our estate management company (CDS) to ensure that service charge and hot water accounts are supplied promptly and accurately

PLEASE NOTE THIS ROLE IS HOME BASED BUT REQUIRES THE POST HOLDER TO ATTEND REGULAR MEETINGS AND EVENTS IN PERSON, IN LONDON. 

The role will involve developing and nurturing relationships with those who own, manage, design or have an interest in green infrastructure by proactively facilitating our networks and supporter activities to engender more effective and collaborative working, knowledge sharing, and connection.

This is a great role for someone who is excited by working with senior stakeholders across London who play an active role in maintaining and enhancing London’s green spaces.

The successful candidate will be a confident ambassador for the charity, and capable of building long term partnerships. The post holder will need to use their initiative, creativity and proven partnership building skills to enable the charity to expand and maximise the impact of its existing networks, support internal and external development, and plan and coordinate supporter-focused activities.

As part of a small charity, the successful candidate will need to be a team player, ready and willing to respond and adapt to opportunities and challenges, working closely with the rest of the Parks for London team and trustees.

Key responsibilities:

• Deliver and enhance our network and engagement programme to support green space owners and managers
• Support and coordinate the administration and delivery of a range of virtual and in-person network meetings and events
• Identify and develop relationships with potential new supporters 
• Support the identification, and engagement of new audiences who could benefit from our work
• Identify and develop relationships with potential collaborators with whom we can work in partnership with, to maximise our capacity and expand our reach
• Support the sustainability of the charity by driving and maximising existing income streams as well as identifying and delivering new opportunities for income generation
• Represent Parks for London at events and wider engagement opportunities, and promote the interests of the charity, our services, and our supporters
• Keep abreast of local, regional, national and international funding opportunities to identify opportunities for both the charity and those in our networks
• Contribute to the ongoing monitoring and evaluation of Parks for London and our services
• Play an active role in strategic reviews, business planning, and contribute to the wider thinking and planning of the charity
• Carry out other duties and activities as agreed with the Executive Director

Key Responsibilities

• Managing fundraising compliance across telephone and face to face fundraising activities.  
• Supporting on wider compliance measure across the Charity. 
• Conducting regular audits and risk assessments of fundraising teams and agencies, providing guidance and training to ensure compliance with policies and procedures. 
• Developing and delivering of audit trails of third-party agency activity, including site bookings and fundraiser recruitment. 
• Tracking and reporting on complaints and collaborating with the Senior Supporter Relations Care Manager.  
• Producing regular reports to share with the Fundraising Leadership Team and Trustees outlining Compliance actions and areas for improvement. This role is focused on compliance, but you will also get involved in training activities.  

Skills, Knowledge and Expertise

• Significant experience working within fundraising compliance. 
• Substantial knowledge of the Fundraising Code of Practice. 
• Understanding of gambling commission legislation in relation to charity lotteries. 
• Experience writing compliance reports. 
• Understanding of GDPR regulations. 
• Experience delivering training. 
• Exceptional relationship building skills. 
• Strong communication skills.
