In this varied role, you’ll work closely with the Operations Manager and admin team to ensure the smooth running of our Centre by managing administrative tasks, assisting with IT and communications, and supporting operations and fundraising initiatives. You’ll also play a part in amplifying the voices of our community through social media and helping with community engagement activites.

Mental Health: All of the young people Baobab supports suffer significant mental health and developmental difficulties and many function in an unstable and more immature way than their chronological age. Due to their experiences it takes time to gain trust from the young people in our community. As a core member of our team, you will understand the impact of specific human rights abuses on the development of children and young people in exile and their individual experiences of loss, trauma and grief on their mental health and well-being.

It often takes a significant amount of time to understand Baobab’s model of working, which aims for rehabilitation and justice through attending to both the internal and external world of each young. It is important that you strive to have an insight to the experiences of both the internal and external factors impacting on the lives of unaccompanied young people attending our centre. It is also important that you understand the ways in which UK society and policy impacts on young asylum seekers (including invisibility, marginalisation, discrimination, and the fact of waiting in uncertainty for a long time).

- Bank and other account reconciliations

2. Line management

- Identify clear goals, objectives, and responsibilities for individual team members.
- Ensure that there are effective development plans in place, that regular appraisals are carried out, and any capability and conduct issues are managed effectively.
- Provide coaching and other support to individual team members as required and encourage their professional and personal development.
3. Reporting and insight
- Monitor expenditure against budget, investigate and explain variances, and produce monthly budget holder reports.
- Support budget holders in understanding and monitoring their expenditure.
4. Collaboration
- Provide support to the Financial Planning and Analysis sub-team by the provision of transactional data/information as required.
- Collaborate effectively within the Finance team to enhance performance and ensure alignment with organisational objectives.
- Work with internal/external auditors and other stakeholders are required.
5. Business partnering
- Provision of business partnering support to the Foundation’s core teams (People & Culture, Corporate Communications, and Operations):
- Build, maintain and develop effective relationships with members of the core teams and work closely with them to improve mutual knowledge and financial understanding.
- Develop the business partner role into one that is able to deliver effective financial performance information, support operational decision making, and support the development of a culture of value-for-money within the core teams.
- Work with the Head of Finance/Finance Director where strategic decision support and forward-looking insight/analysis is required.
Knowledge and qualifications
• Qualified or part-qualified accountant (e.g., ACCA, ACA, CIMA or equivalent) or qualified accounting technician (e.g. AAT).
• Understanding of the accounting framework and financial challenges for the charity sector.
• Commercial awareness.
Experience
• Demonstrable experience of managing multiple staff in a busy, transaction focussed team.
• Solid experience of purchase ledger, payment processes and bank reconciliations.
• Demonstrable experience of producing management information.

About the role:

Position Summary/ Objective
To ensure the smooth functioning of the IFAW UK office, responsibilities include the delivery of core office services and facilities, processing mail and deliveries, providing HR and Finance support, welcoming visitors and other general office duties as reasonably assigned. The operations, administration, and office Coordinator works to ensure that IFAW meets fire, safety, and security obligations.
Role and Responsibilities
Office Facilities and Administrative Support:
- Ensure that the office is a professional, safe, and organised environment, maintaining office contracts and relationships with contractors.
- Liaise with building management on matters affecting the office facilities - service charges, utilities, building services – attending tenant meetings as required. Liaise with the Director of Finance and Operations UK on matters relating to the office lease arrangements.
- Oversee office security – ensure secure access to the office by staff, visitors, and contractors, issuing office fobs and managing their safe-keeping.
- Maintain office stationery and kitchen supplies. Ensure that all parts of the office are kept neat, tidy, and orderly and ensure confidential waste is removed appropriately.
- Induct new staff on the office protocols incorporating health and safety, fire, and security, to include visitors, temporary staff, and volunteers. Keep key policies and procedural documents up to-date and visible, and keep staff informed of provisions and changes.
- As Fire Warden, take lead responsibility to ensure that fire evacuation procedures are effective; maintain the Fire Logbook, fire equipment, fire alarm and fire doors. Conduct statutory checks on fire and electrical equipment. Ensure appropriate numbers of and training of Fire Marshals.
- Work with Director of Finance and Operations UK to evaluate appropriate office insurance to ensure adequate and appropriate cover.
- Undertake key projects to maintain the effective operation of the office and other duties as consistent with the post as requested.
Incoming and Outgoing Mail:
- Receive and process all incoming mail. Frank and dispatch all outgoing mail, ensuring it is sent in a cost-effective manner in accordance with procedures.
- Ensure that key staff members are kept fully trained on the franking machine and DHL/Courier services and that cover is put in place for days when the operations, administration, and office Coordinator is out of the office.
Miscellaneous:

- Assist with UK recruitment ads and induct new staff members.

- Process and deposit the weekly banking.

As a Grants Administrator you will work within the Casework team, providing support to members who are in financial difficulty or need advice and guidance, and/or signposting to other organisations. Due to an increase in grant applications, leading to a large backlog of claims, you will assist the team in reducing turnaround times, whilst managing your own individual caseload. The focus of the role will be assessing grant applications from members using an eligibility criteria, based on receipt of various benefits, as well as a variety of administration tasks.
To be considered for this role, you should have experience in a similar position, such as in grant giving, information, or advice services. Strong administrative skills are essential, and you should be able to organise and plan your workload effectively to deliver quality services. We are looking for someone to join our team supporting Unpaid Carers in Lewisham in a part-time admin role based at our Carers Hub at Glass Mill Leisure Centre. Our activities programme offers Unpaid Carers the opportunity to have a break from their caring responsibilities in a social environment where they can meet other carers and focus on their wellbeing.
You’ll work closely with the service manager to plan and arrange a wide programme of activities for young and adult Unpaid Carers. This will involve liaising with providers, ensuring health and safety, insurance and other checks are in place, arranging resources and refreshments, completing risk assessments and booking venues.
You will promote activities to Unpaid Carers, manage bookings and respond to queries. As the role is based in our Carers Hub, you will interact with Unpaid Carers visiting the team or enquiring about the service. You will also provide additional admin support to the team as needed.
Applicants should have experience in an admin role and excellent customer service skills. You will require exceptional communication, organisational and written skills, and should be a proactive and creative thinker. You must be proficient in using Word and Excel, with experience of using databases.
The part-time hours (22.5) can be worked as 3 full days or shorter days across the week. Some flexibility is required for occasional evenings or Saturday working.

Overview of the Role:
We are looking for a proactive Fundraising Administrator to join the fundraising team in London, to support on a wide range of fundraising administration. Working across a range of income streams, you will support on mailings and event administration, financial processes, and other communications with donors and supporters. Based at our headquarters in London Monday to Friday, you will be present in our office to support our fundraisers and to deal with tasks in person which is particularly important during our busy spring and summer season.
Supporting our legacy and in memory team, our patrons team, and our philanthropy team, you will have excellent customer service skills alongside your ability to manage a range of different administrative tasks. As our Fundraising Administrator, you will play a crucial role in supporting our team and you will need good attention to detail and outstanding communication skills. This is an exciting time to join the team as we increase our fundraising for our projects and programmes.

Over the last few years, NHYC has grown to a team of over 70 staff. This role will add capacity to our current Admin Team, supporting the organisation with increased demand around finance, admin and resources. You will work as part of a small, yet critical team to ensure the organisation and our services run smoothly. The Chartered Society of Physiotherapy (CSP) is looking for a proactive and organised HR Administrator to join our Human Resources and Organisational Development team. This role offers an excellent opportunity for a HR professional to support an experienced team and deliver a high-quality, generalist HR service to CSP employees.
You will be the first point of contact for staff with regards to a wide range of HR issues, ensuring that all queries are dealt with promptly or escalated where appropriate. As the person responsible for our recruitment and onboarding processes, you will provide first class support for managers, candidates and new starters in their CSP journey.
CIPD qualified (or working towards this) or with equivalent administrative experience gained in a HR environment, you will be confident in addressing queries from staff at all levels. This is alongside excellent attention to detail in order to keep our HR database up to date, including accuracy within the payroll input process. The role will have a busy and fluctuating workload requiring the instinct to plan and prioritise appropriately.

The Role
The organisation is the operating office of 17 grant-making trusts established by five generations of the Sainsbury family. Each trust works autonomously as an independent legal entity with a separate board of trustees.
Responsibilities will include:
- Supporting the administration of governance activities including preparing documentation maintaining record
- Ensuring compliance with governance processes
- Providing administrative and logistical support for a wide range of meetings include scheduling, agenda preparation, minute taking and follow up on actions.
About You
You will have previous experience in an administrative, governance or compliance focused role with strong organisational skills and exceptional attention to detail. With the ability to handle sensitive and confidential information with professionalism, you will be able to proactively make suggestions for improvements and contribute to the development of effective processes.
Knowledge of governance practices is desirable but not essential.
