The Role
We have an exciting opportunity to join us in the brand new role of Governance and Executive Officer.
You will provide proactive and efficient secretariat and administrative support to the Executive and Non-Executive Teams, working closely with the Leadership Team to support the fulfilment of their day-to-day tasks and strategic objectives.
The role includes supporting and organising meetings and reports, and minuting of executive meetings. In addition to general PA and administrative duties, you will provide a cohesive secretariat function to support the smooth and efficient operation of the Mind THNR Board and its sub-committees.
You will work closely with the Leadership Team to set agendas, monitor action logs, and provide a high level of support to the Board. You will share collective responsibility for supporting the delivery of business objectives, through active engagement and collaboration with colleagues at all levels in the organisation
This role is flexible in terms of days and hours, although you need to attend Board meetings in person, once a quarter in the evening and committee meetings, which are also in the evening, but on line, so three evening meetings a quarter. We are based in a beautiful office in Tower Hamlets, with lots of outside space and a café, so ideally you would be present in the office two or three days a week ( if full time).

At Horatio’s Garden, we build and look after extraordinary gardens in the heart of NHS spinal injury centres. These gardens are a critical part of rehabilitation and offer reflection and adjustment, privacy and solace, joy and companionship to all who need it. We lead regular gardening sessions to grow and cultivate plants, arts workshops to offer new skills and a programme of live music and events. Designed to be enjoyed all year round, these gardens offer a warm, welcoming place for family and friends who may have travelled hours for a visit.
Our vision is for everyone with a spinal injury to have a Horatio’s Garden as part of their rehabilitation care.
The charity is growing. With seven garden projects open, we have an eighth garden under construction in Sheffield. A smaller version of this garden won ‘Best in Show’ at RHS Chelsea Flower Show in May 2023 as the first show garden designed for people with mobility needs, which significantly increased our profile.
Following a strategic digital review, you will support the rollout of the new digital strategy to place storytelling and impact at the heart of our communications.
This role will assist with the content creation of engaging written, film and visual content across different platforms, scheduling and moderating our social channels, and helping us report on our digital activity.
It would suit someone looking to start or build their career in the communications field or charity sector to develop experience in developing content, writing and charity campaigning. There will be opportunities for training and development and you will travel between the charity’s UK-wide gardens and meet patients, volunteers and staff.
This is a full-time role (37.5 hours a week) based in the charity’s office in Salisbury. You will be reporting to the Communications Manager.
Main duties
- Help manage the day-to-day running of the charity’s social media (Instagram, LinkedIn, Facebook). Schedule content and respond to comments and messages to foster positive engagement and add value to the supporter experience
- Work closely with the team to produce subscriber, campaign-led and post-event newsletter content and manage the subscriber database
- Contribute to the charity’s content calendar and work creatively and collaboratively with the communications and wider charity team to proactively seek and develop story ideas in line with the charity’s recently updated digital strategy
- Create engaging written, photographic, design and video content in support of charity objectives and reflecting our brand and tone guidelines
- Assist with internal communications to communicate key updates to staff on the charity’s WhatsApp group
- Assist in maintaining and updating Horatio’s Garden’s main website
- Help to manage the charity’s digital assets, ensuring the team have access to the most impactful photographs and videos for their needs
- Collate, analyse and present monthly reports on social media, newsletter and website activity and engagement against key performance metrics

Summary of the role
Our successful charity runs pathways which focus on employability and skills for everyday living to help young people, with SEN and learning disabilities to gain confidence and social support, alongside nationally recognised qualifications. Green Corridor requires the skills of an enthusiastic and reliable Teaching Assistant, who can work effectively with our learners who each have their own additional needs. The candidate we require should ideally have experience and/or affinity for working with young adults with Special Educational Needs. The role would involve supporting learners within their subject area, and functional skills, encouraging them to reach their full potential.
Specific duties and responsibilities of the role
Supporting Young People
- To work with the tutor to establish an appropriate learning environment.
- To work with the tutor on lesson planning, evaluating and adjusting lesson/work plans as appropriate.
- To monitor and evaluate learners’ responses to learning activities through observations and planned recording of achievement against learning objectives.
- To use specialist skills to support learners’ learning such as PECS, Makaton, symbols and iPads.
- To assist with the development, implementation and evaluation of learning programmes and individual work plans.
- To prepare and assist in the preparation of the classroom, resources and equipment.
- To establish productive working relationships with learners acting as a role model and setting high expectations.
- Communicating with learners with varying degrees of speech and language difficulties, using communicative system/equipment where necessary.
- To promote inclusion and acceptance of all learners within the classroom and across Green Corridor.
- To support learners consistently whilst recognising and responding to their individual needs
- To encourage individual learners to interact and work co-operatively with others whilst engaging in activities.

RESPONSIBLE FOR:

About the Role
To work as part of a team delivering an assessment, support and move on service to vulnerable clients in supported or community-based accommodation. Your work will be underpinned by the Depaul Endeavour model of assets-based, psychologically informed delivery. The aim of which is to ensure that every client leaves a Depaul service with the skills and resilience to be confident and self-determining in their lives.
Working under the direction, guidance and support of a manager/senior worker you will be responsible for a caseload of (5) clients as well as share responsibility for the safety and wellbeing of all clients, volunteers and staff in the service.
In accommodation-based services, you will ensure that the accommodation is properly maintained and support the client to sustain their tenancy and participate in a positive and successful move on. The role will have responsibility under Depaul’s commitment to successfully deliver the contracted outcomes.
Key responsibilities include:
· You will ensure the safety and well-being of clients in the service at all times possible including using Safeguarding and emergency alert procedures as applicable,
· It should not be seen as precluding future changes after appointment to this role.
· You will carry a caseload of clients for whom you will be the named key worker, and you will also take joint responsibility with your team members for the well-being and day-to-day support of all clients in the services
· You will lead on risk and needs assessment and support planning for your key clients and contribute to ongoing needs and risk assessment of other clients in the service
· You will develop and implement SMART outcomes-based support plans for your key clients
· You will deliver one-to-one and group support opportunities within their accommodation and in the local community aimed at increasing resilience in the clients we work with.
· You will proactively work in partnership with multiple agencies including statutory teams, to support the wellbeing of Depaul clients in accordance with data protection and information sharing protocols.
· You will be flexible, reflective and creative in your engagement with clients and personalised in your support to them.

About the role
We are looking for a Driver and Admin Assistant who will be responsible for transporting office staff, visiting Sightsavers personnel, and consultants as needed. The Driver will also ensure the maintenance and safety of all office vehicles. Additionally, the Driver will perform clerical duties to support the efficient operation of the office.
Responsibilities
- Drive safely within the laws of Benin at all times and with respect for other road users and pedestrians.
- Pick up Sightsavers staff to and from the airport where this service is not outsourced.
- Check fuel, oil, and water daily and fill up as necessary.
- Keep vehicles in a clean condition inside and outside.
- Undertake routine maintenance of vehicles, including simple repairs.
- Ensure vehicles are regularly serviced and advise the Finance & Administrative Assistant when servicing is required and/or when defects/problems arise.
- Make sure all vehicles have reflectors, fire extinguishers, first aid boxes, etc. First aid boxes for the vehicles must be checked regularly to ensure that items used are promptly replenished.
- Keep a maintenance record of vehicles
- Maintain liaison with officials of immigration and embassies for staff entry visas and renewal of passports and work permits.
- Assist in picking up invoices for procuring logistics.
- Perform other duties as required.

Job Title: Finance Assistant

Part 1: Role Purpose:
This role is a great introduction to the world of charity finance as a key member of the busy HQ finance function. The role is primarily focused on HQ finances and will also work with colleagues across our global finance team. The role focuses on accounts payable and as the finance assistant develops in the role will offer the chance to work across a number of finance functions, including: treasury, accounts receivable, month end close, management accounting, supporting year end audit. This role provides a great opportunity to experience the full breadth of finance work in a charity across all functions in a varied and interesting role, learning quickly and making a real difference from day one.
Part 2: Key Responsibilities:
1) (60%) Accounts Payable
- Recording all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system ensuring that they are all appropriately coded including the correct cost centre, GL code, projects and donor codes.
- Ensure that all supporting documentation for all transactions are uploaded into the finance system.
- Ensuring that all invoices for payment are appropriately approved by budget holder.
- Running short term cash flow forecasting and recommending bank account transfers including moving cash held in reserve into current access accounts. Looking for value for money in Foreign Currency transfers by choosing the best means of payment from available payment platforms.
- Ensure timely payment of all invoices by managing at least two payment runs a week and additional runs as required; setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved by the deadline set.
- Once the payment is made, allocating the payment against the invoices in the Finance system and reviewing to ensure that all payments are allocated correctly.
- Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
- Supporting monthly staff credit card reconciliations to run the monthly statements.
- Monthly creditor account reconciliations to ensure correct allocation of payments to supplier accounts and validating any open account balances.
- Any other responsibilities relating to Accounts Payable.
2) (20%) Month end support and general support
- Complete bank reconciliations each month for all group bank accounts.
- Uploading monthly exchange rates to the Finance System
- Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
- Assist in preparation of internal reports.
- Assisting with compilation of information for Gift Aid returns.
- General support and assistance to the team including administrative duties and managing the office post.
- Other ad hoc support to the wider operations team as may be required.
3) (20%) Accounts Receivable
- Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
