The office manager is essential in maintaining the efficient functioning of an organisation by overseeing administrative tasks and supporting various departments.
Key responsibilities include
- To manage facilities and service contracts covering the operation of the office accommodation
- Maintenance and upkeep of the office.
- To manage procurement for office facilities and service contracts
- To ensure the security and safety of the offices and colleagues at all times
- To develop and maintain effective and legally compliant health & safety procedures, which are tested where appropriate
You will be required to ensure that HR records for all staff are appropriately and securely maintained and assist with the administration of the HR Management system. Being required to manage facilities within the office, ensuring all equipment and supplies are in order, and provide administrative support to achieve this and key projects to ensure that the office runs efficiently and effectively. Their role is dynamic, often requiring you to adapt to new responsibilities as directed by the Head of HR to meet strategic objectives.
The primary goal is to ensure that the office runs smoothly and efficiently by organising and coordinating project activities, resources, and timelines.

The role
In this role, you’ll be responsible for:
• Strategic development and oversight of community programmes for children, adults and across multiple generations

About you
You have a track record of developing and delivering excellent community programmes in the third sector. You’re a seasoned team leader with experience of change management. You’re flexible, accountable, take responsibility, are highly organised and skilled in multitasking and balancing priorities. You have experience of fundraising and maybe other types of income generation. You have strong relationship building skills – internally and externally - and build trust and credibility easily. You are passionate about the power of community to connect and support people.

Holding oversight for the bemix mainline, email inboxes and other communication channels, ensuring all are well-manned across the whole week by the administration team and answered in a friendly, helpful and professional manner. Stepping in to provide practical help when needed, to ensure an excellent pathway of communication (both external and internal) is maintained at all times.
Hours: Working 37 hours per week, working Monday - Friday between 9am - 5pm . Working hours need to have flexibility to respond to tight deadlines with extra hours, taken as time off in lieu.
Location: Mainly at the Canterbury Innovation Centre, University of Kent site, Canterbury. With great facilities, including free parking, cafe, reliable local transport connections and lovely outside spaces to explore on breaks/lunch/walking supervision. As the Peer to Peer Groupwork Facilitator you will set up, lead and deliver a year-long peer to peer group programme for bereaved families who have experienced the sudden and unexpected death of a baby or young child.
The groupwork is based on a programme led by Harvard University and Boston’s Children’s hospital and has structured sessions drawing upon psychological model of CBT, although the sessions are not therapeutic. Each session has a theme and incorporates education, guidance and support.
You will establish and deliver a new peer online support group, facilitating group formation, and enhancing service delivery and creating a safe and welcoming space for bereaved families.
Outside the group sessions you will be responsible for managing the administration and evaluation of the service, including and collection of questionnaires and feedback required for reporting purposes and supporting members with any signposting requirements processing referrals, carrying out eligibility screening, monitoring the waiting list and inputting and keeping all database member and service records up to date.

This is a newly created and pivotal role in The Aspinall Foundation’s small fundraising team. The Fundraising Administration Executive will be responsible for the delivery and implementation of the charity’s key adoption fundraising programme and supporting the effective running of the Department as a whole.
The Fundraising Administration Executive will administer The Aspinall Foundation supporter database (Donorfy) including maintaining accurate contact details and contact preferences, in line with GDPR consent, and gift aid eligibility. You will prepare and collect direct debit payments, oversee the import and administration of all new regular givers, accurately record all income, manage supporter communication, administer digital and third-party adoption platforms, and provide ad hoc support with project administration or event facilitation.

About the role
A colleague in the Operations team will be taking maternity leave from late 2024 for approximately 10 months. We are looking for a new team member to join us in late November for a period of handover with the current Finance and Operations Officer, and then to support the Director of Operations during our colleague’s maternity leave.
Key focus areas will be finance and bookkeeping using Xero software, HR support, basic IT management and charity and company administration.
This role provides the chance for an experienced Xero user to develop a greater understanding and knowledge of charity and company management across finance, HR, IT, operations, office management and administration in a friendly and supportive environment, with personal and professional development at its heart.

We are now seeking an experienced, solution-focussed Head of Finance and IT to join our Senior Management Team. This role oversees the financial operations and drives the development of our integrated IT strategy, ensuring first-class financial and IT service across the organisation.
In this role you will ensure timely and accurate management and financial reporting across the organisation, fostering a culture of financial accountability and ensuring that all stakeholders have a sense of co-ownership of this; working closely with the senior management team you will support grant applications to ensure that the terms and conditions of these grants are understood and complied with. You will also manage our cloud-based IT services to support the delivery of our strategic plan, ensuring best value IT across the organisation.
The ideal candidate will be a qualified accountant (ACCA, ACA, CIMA, or CIPFA) with a solid understanding of IT systems management. They will have proven experience in both financial and IT leadership roles, working closely with senior managers and collaborating with a range of internal and external stakeholders at senior levels. Strong analytical and communication skills are essential, along with the ability to present complex financial data to diverse audiences to ensure the organisation's financial sustainability. Experience in the charity sector and in developing financial strategy is essential for this role.

Main Duties and Responsibilities.
General administration
•Supporting the daily operations of the PMU including maintaining online filing systems, diaries, mailing lists and contacts database, taking telephone messages and arranging appointments.
•Cluster administration, including booking cluster meetings, arranging cluster retreats, and taking minutes of meetings
•Assisting PMU colleagues and the Heads of PM with general administrative duties
•Providing general administrative duties including word processing, and collating and preparing documents in accordance to IDS house style guidelines
•Working with colleagues to respond to general information requests and to disseminate information through e-mail, mail, publications and web pages.
•Providing general administration support for proposal development where requested
•Making travel arrangements, hotel bookings, enquiring about visas etc.
•Participating in PMU meetings and supporting the organisation of workshops and seminars and other team events, in close liaison with PMU colleagues.
•Supporting the Project Support Officer with updating cluster internet and intranet web content as required, and responding to internal and external requests.
•Processing invoices and expense claims
•Dealing with correspondence and ensuring regular liaison with other team members and external contacts, for example inviting people to events and keeping them up to date with event logistics.
•Providing assistance to visitors and staff.
