We have a number of Youth Development Lead positions we are recruiting for across the East Midlands.

We will be hosting an assessment centres on the 3rd and 4th of October at our Nottingham centre.  Please note you must be available to attend on those day. What's the role?

As Head of Business and Data systems you will lead every aspect of our data and information management across a portfolio of platforms. 

Working to ensure they speak to each other in smart and powerful ways, all offering team members and company the most up-to-date and high quality insight into the needs, priorities and challenges of members of the We Are In Beta community.

How you’ll be driving our mission forward (your responsibilities)

A. 40% making our current business and data systems work really well

• Lead data management and consistency across all systems, including 

  • Automated and manual flows needed for business activities and reporting

  • Run and refine processes for data health of contact and company records

  • Review and consolidate CRM properties, processes and protocols

• Refine and add new automations to capture most useful data instantly and robustly

• Regular cycle of updates of DfE data on schools and trust performance and demographics

B. 40% develop, improve and build out current systems to be more powerful, robust and sharp

• Develop our new newsletter platform - combining all channels into one place

  • Manage migration of current audiences

  • Design process for adding and removing subscribers, with data flow between CRM and newsletter

  • Unlock power of analytics on who is opening, reading and sharing our messages the most vs the least

• Augment sales process with increased automation

  • Identify and implement opportunities to streamline current processes

  • Automate routine steps where possible, maximsing face-to-face input for greatest return

• Iterate Airtable architecture to streamline data tools and increase robustness

  • Review of all DfE data held, processed and linked tables

• Provide training, support, and guidance to help the team achieve their data and CRM goals in the most effective ways possible.

• Create email lists, campaigns, sequences, and workflows in collaboration with the team - whether handling the more complex tasks as commissioned work or acting as a guide, trainer, or enabler for straightforward ones.

• Explore any and all methods to help the team leverage data to better understand, serve, and delight our members.

We also use a small number of scripts in Python to allow us to do more quickly and better. Principally focused on large data-set consolidation / pivots and file scraping.

What experience and track record do you have?

It’s not essential you tick every box. But the more boxes you can tick the better. It goes without saying, we can help you gain and learn from the experiences you haven’t had yet.

• Proven experience across CRM, databases, community/content platforms, newsletter distribution, integration and automation tools. This could be from previous roles such as data analytics, community building, digital marketing or business transformation.

• Comfortable with principles of coding in Python but no need to be a pro.

• Strong understanding of data management and GDPR requirements.

• Led digital transformation/change projects, with a strong approach to project management and stakeholder engagement.

• Designed and delivered training, and/or produced clear and concise written user guides, taking time to understand the needs and starting points of the team.

• Experience with management, analysis and visualisation of large-scale data sets - ideally in educational outcomes/performance.

• Experience of the realities of working for an early-stage organisation without a big team or huge budget. We are especially interested in those who have grown a tech team/function from the ground up.

Our expectation is that you have worked within the school education sector in England, though we are open to applicants who have not if you can show you have a good base of knowledge of the needs of school teachers and leaders.

About Us

The Upper Room (TUR) works with a wide range of financially and socially disadvantaged groups including homeless people, people with long-term mental health conditions, asylum-seekers, refugees and ex-offenders – helping them to improve their lives and become productive members of society. Central to our offering is our UR4Meals service, providing free, home-cooked food to people who cannot afford to provide for themselves. We are also very proud of our UR4Driving programme, which supports people recently out of prison with free driving lessons in exchange for community volunteering. Gaining a driving licence greatly enhances their future employability prospects and helps break the cycle of re-offending. Additionally, our UR4Jobs project focusses on both client wellbeing and breaking down the many barriers to employment faced by disadvantaged people every day.

The role

Is leading the charity through its next phases of development as it prepares itself for year on year increases in demand with a focus on delivering the charity’s future resilience plan (Project 12/25). The CEO is accountable for overall charity performance (financial, operational, governance, compliance), team (paid and volunteer) support and development. Additionally, there are a wide range of community and external partner relationships to manage and develop. Ultimately this role sets the tone for the charity, one of both compassion and ambition to improve the lives of the people who need us. About You

This role will support the delivery of the personal health budget (PHB) brokerage service in East London, run by Core Arts. As part of the PHB team the successful candidate would support to provide a high quality, person- focused, efficient PHB brokerage service

Summary

Core Arts Mental Health Creative Charity are looking for a Personal Health Budgets Advisor  to join our expanding team.

This role will support the delivery of the personal health budget (PHB) brokerage service in East London, run by Core Arts. As part of the PHB team the successful candidate would support to provide a high quality, person- focused, efficient PHB brokerage service. The post-holder will be responsible for ensuring personalised support plans are processed by the brokerage service and the financial management is clearly explained and accessible to PHB holders and referrers. You will respond to PHB queries and manage a case load of PHB referrals, ensuring that they are processed efficiently. Your day-to-day work will be primarily desk based, liaising with mainly clinicians and sometimes budget holders to support the PHB process. You will support training and awareness delivery to teams and work with the team in developing increasing involvement with PHB holders.

The NHS long-term plan intends for personalised care to be ‘business as usual’ therefore opportunities for PHBs are increasing, this service works closely with mental health teams (ELFT) and the PHB lead.

Personal health budgets (PHBs) are a way of personalising care, based around what matters to people and their individual strengths and needs, and their recovery plans. It is an amount of money for a person to purchase an item, activity or package of care agreed between them and their health team. They give people more choice, control and flexibility over their support, allowing them to develop a package of care tailored to what will help them to be well and stay well. Personal health budgets allow for creativity and personalisation. The PHB team support processing requests so people can access the items or activities to support recovery goals.

Key responsibilities

• Process PHB referrals efficiently, ensuring requests are person-centred and recovery focussed outlining personalised recovery goals/ plans
• Offer support and guidance to clinicians on personalised support and how to make referrals to the PHB service- communication would be over the phone, email and online and in-person meetings.
• Deliver training in partnership with ELFT to clinicians about PHBs and how to make a referral and hold awareness sessions to raise the profile of PHBs.
• Ensure that the referral process is streamlined and each stage of a PHB is communicated to ensure responsive budgets to referrals.
• Monitor the online platform Patients Know Best (PKB) for any queries from budget holders about their PHB.
• Keep accurate and up to date records of PHBs on the case management system to support the PHB process and with evaluation.
• Work with finance team to ensure PHBs funds are released quickly and accurately, and risks are identified and managed appropriately.
• Collect case stories to raise the profile of PHBs and demonstrate the impact of the service.
• Work as a team to ensure all referrals are responded to and feedback around approval or process are communications effectively
• Work in partnership with ELFT to ensure successful joint working

JOB DESCRIPTION

Job Title: Book-Keeper/administrative responsibilities /HR

Part-time: 21 hours per week

Reports to: Director

Salary: 27,500 PA for full-time (pro rata salary)

Job Purpose:

The Bookkeeping/admin role include Managing and coordinating monthly reporting, budgeting and reforecast processes. Answering the telephone, ordering stationary. Providing back office services such as accounts payable, collection of time sheets and payroll. Monitoring cash flow, petty cash handling, paying invoices, communicating with local government finance team, HR and funding application /budgets and monitoring.

Experience of working in a medium size charity and can be work as part of a team friendly cooperative.

Key Responsibilities:

Bookkeepers are responsible for several duties related to managing financial records these responsibilities may include:

· Processing payments, invoices, income and receipts and entering data into accounting software (QuickBooks online) or databases then filing hard copies

· Preparing financial statements showing organisation income and expenditure

· Paying vendor invoices and tracking bank account balances

· Completing VAT returns (if related)

· Verifying the accuracy of business accounts and alerting the management of errors

· Recording any inconsistencies to help the Accountants reconcile inaccuracies

· Developing monthly financial statements including cash flow, profit and loss and balance sheets

· Work with purchasing to enter all PO driven invoices.

· Track employee purchases – ensure appropriate use of company credit cards.

· Work with and support Leadership Team to ensure all expenses are tracked and costs reduced

· Prepare weekly financial reports and correspondence for internal or external review

· Identify opportunities for increased efficiency, enter data for divisional budget and expenses for reporting to Leadership Team.

· File and sort documents (paper and electronically, creating consolidated reports when necessary)

· Various accounting, journal entries, and inventory adjustments.

· Set up and disposal of assets, maintain depreciation schedule

· Preparing employee wages

· Managing employee expense claims

· Helping the with administrative duties and preparing yearly accounts

· Responsible for timesheets, correct or address any payroll changes on weekly basis.

· Give out payslips, email payslips, input on-line banking and advise when submitted for approval.

· Monitor payroll on a weekly basis for any payroll deductions etc

· Prepare payroll & government returns and remittances and payments including HMRC.

Health and Safety and Human Resources:

· Reviewing charities policies and procedures, assisting manager to understand and implement these policies with their staff, to maintain the HR and Safe portals.

· Additionally, work will need to be done to improve the already systems in place

· Attending meetings & note taking

· Ensure all staff are compliant with compulsory CPD, and maintaining up to date records

· Ensuring device policies, mobile phone & laptops, are signed and uploaded onto HR for all staff in possession with a device

· Support recruitment of new staff and lead induction process

· Ensure all new starters and leavers complete all the required paperwork, and that department managers have uploaded the relevant paperwork onto the relevant system

· Human Resources include processing DBS updated

· Manage employee pension plan.

· Maintain vacation, sick leave and attendance records.

· Maintain list of employees.

Purpose of role Working as part of the Casework Team, the Triage caseworker will be the first point of contact for beneficiaries seeking support.  Using the triage process to establish the initial needs, moving forward the requests and following up once the casework process has been completed. The Naval Children’s Charity provides financial and holistic support to children and families around the UK.  We work closely with other charities, have our own team of caseworkers and use an external Armed Forces group case management system CRM, as well as a bespoke internal CRM of our beneficiaries.

Key Tasks and Responsibilities

Caseworkers provide support and advice to eligible individuals in line with the policies of the Naval Children’s Charity.  They work closely with other organisations to ensure that children and families receive appropriate and prompt support.

· To act as the first point of contact for the Casework team and beneficiaries

· To complete an initial assessment of need by triaging telephone calls, emails and applications received through different CRMs used by the Charity

· Contact families who submit an enquiry through the Charity website or via email

· Pass emergency requests for support to the Casework Team Manager or Head of Welfare for prioritising

· Follow up with beneficiaries once casework has been completed to ascertain impact and any unmet need

· Investigate beneficiary entitlement to statutory funds, advise of other possible sources of charitable funding and, with the beneficiaries’ consent, refer to other charities to almonise with them to provide a package of care for the beneficiary

· Ensure confidential handling of all information concerning beneficiaries in accordance with the Naval Children’s Charity’s confidentiality and data protection policies

Experience

Main responsibilities and tasks

Work with families
 

1. Work with parents/carers in a school context, supporting them and building their engagement with their child’s learning.

1. To design and/or facilitate a flexible range of programmes of intervention to support parents/carers of children identified as vulnerable.

1. To undertake outreach work which may include home visits, to offer a flexible support service in accordance with the SHS lone worker policy, in order to improve parental engagement with the school and with the child’s learning.

1. To act as advocate, mediator and negotiator in confrontational situations, maintaining communication with young people, parents/carers, schools and other agencies.  This will include initiating and participating in meetings to discuss and develop ways of resolving problems.

2. To provide targeted support on a one to one basis or for small groups with parents/carers, children and young people through either self-referral or school staff referral.

3. To advise and inform parents/carers about relevant local services and where appropriate to make referrals to other agencies.

Liaison with other agencies

1. To ensure effective communication between the school, parents/carers and external agencies and to understand the school’s culture and ethos.

2. To provide informal opportunities for all parents/carers to access specialist support in the school and local community to increase their capacity to independently support the child’s learning.

3. To act in accordance with SHS and the school’s child protection procedures and ensure the job holder keeps up to date with relevant training in this area.

4. To attend and contribute to child protection conferences, reviews, core group meetings, pastoral support plan meetings and school reviews as appropriate, which may support the Early Help Assessment (EHA).

Monitoring and evaluation

1. To keep accurate electronic daily records and all documentation pertaining to meetings/contact with children and young people and their families.

2. To maintain receipts and documentation of any expenditure in order to facilitate the monitoring of the budget. 

3. Produce a written annual report before the end of each summer term with case studies.

4. To take ownership and fully participate in termly work plan reviews and the annual appraisal to determine priorities both for the school and for SHS.

To co-ordinate core services, ensuring appropriate staffing levels and cover as required through creating monthly rotas.
