This is an exciting opportunity for a highly motivated individual to join a well- established Barnardo's Service as a Secretarial Assistant. Many of the children and families we support have faced challenges and adversity in life. In this role you will be the initial contact with other professionals supporting them as well as welcoming the children and families into the service for assessment by our specially trained workforce.

About Better Futures Service

Better Futures Cymru is a specialist service which provides assessments and longer-term therapeutic interventions for children and young people who display problematic or Harmful Sexual Behaviour; and young people who are at risk of or who are abused through Child Sexual Exploitation.

The Service has worked in partnership with 6 local authorities across the South Wales area for the last 20 years and has close working relationships with Social Services and Youth Justice Teams across the partnership.

Our work is informed by current research and guidance and uses a range of therapeutic approaches including the trauma recovery model.

Location: The post will be based in Barnardo's Better Futures Offices, in Pyle, Bridgend.

Job role

You will assist the Service Administrator in the provision of general administrative and secretarial support to the Service Practitioner and Management Teams, whilst also providing ad-hoc administrative support to our Partnership and Regional/National offices.

Your duties will also include:

• Maintaining appropriate, confidential record systems (e.g. children's case files, family files, volunteer files, management, and administrative records).
• Maintaining the Procedure Guide, Staff Directory and Staff Notes as
• Assisting in the production of regular statistics/returns/forms on a range of topics and resources.
• The provision of telephone and reception arrangements which will include welcoming to service users/members of the public and visitors; which may involve applying sensitive listening skills and providing a calm influence, particularly where users are agitated, possibly angry and confused - and will require accurate feedback of any remarks or actions to appropriate, more senior staff members where the post holder has cause for concern.
• Assisting in the processing of invoices and Imprest petty cash claims for goods and services.
• Keyholding duties; ensuring that all windows and doors are secured, including use of the building security alarm system.

Essential criteria

• Experience of Microsoft Office 365, including Outlook, Excel, Word, Teams and PowerPoint.
• Excellent computer skills
• Attention to detail and previous experience of data input/analysis.
• An excellent telephone manner and the ability to communicate information clearly and accurately, and in a timely manner.

− Help with logistics and administration in advance of events, including badge making, researching venues, invitation tracking and document circulation.

The role of a Step Down Worker is to provide ongoing support to IDVA clients where the risk has been reduced to a safer level or where a client is referred into the service as medium/standard risk.. You will also work closely with the COO and wider operations team to support the overall smooth running of Purposeful Ventures, from making sure we have a pleasant and productive physical office space to helping to maintain our digital files and CRM, to minuting meetings and supporting with finance administration.

This role would suit someone keen to develop their functional expertise in HR and gain exposure to the breadth of operational functions. 

The HR and Team Coordinator will be organised and will have fantastic attention to detail, a strong can-do attitude and a willingness to proactively contribute to the team in multiple different ways. You’ll enjoy working flexibly and collaboratively and forming strong relationships within Purposeful Ventures and beyond.

Responsibilities and duties

Provide effective and efficient HR administration throughout the employee lifecycle for both Purposeful Ventures and its incubated ventures and funds, including: 

• being the first point of contact for the HR mailbox;
• managing employee onboarding and offboarding processes;
• coordinating all HR admin processes; 
• upkeep of the HR Information System, CharlieHR; and
• administration of all recruitment procedures from job application to appointment, using Team Tailor. 

Contribute to the efficiency and effectiveness of the Purposeful Ventures Team, by providing team coordination and administrative support, including: 

• being the first point of contact for general enquiries; 
• managing the team calendar; 
• supporting the external IT services contractor;
• providing research and administrative support to the COO;
• ensuring the efficient management of CRM information, team and project documents and templates; and
• minuting incubated ventures’ project board meetings as needed.

Ensure that the Purposeful Ventures team has a pleasant and productive working environment by:

• supporting the operations team to make the Purposeful Ventures office a pleasant, productive, inspiring environment for staff and contractors to work and collaborate;
• keeping the Purposeful Ventures office well stocked with agreed supplies;
• managing the day-to-day coordination of the office and office visitors; and
• monitoring office IT equipment, ensuring items are working well and repaired swiftly and that staff have access to the facilities they need.

Contribute to the smooth running of our finance processes, providing support to finance staff including mailbox monitoring and expenses submissions.

Turning tides is our exciting new project  working with young people aged 18-25 offering one to one coaching in  community based settings. The project delivers bespoke support based on a young persons needs and challenges.  We are looking to appoint a wellbeing coach  based in Whitby . The ideal candidate will live in Whitby and have a good understanding of the area  and its resources. 

The role will involve  maintaing a caseload of young people in the whitby area, assessing needs, creating action plans and maintaining paperwork. There will also be a requirement to liase with other organisations  to create links and investigate signpostiong possibilities. The successful candidate would be working with a group of coaches covering the scarborough and Whitby area who are acheiving excellent results with their caseloads there will be frequent oppertunities for peer supervisions and support from the management team.

About the role

In partnership with Gateshead Council, Sustrans is opening an Active Travel Hub at Birtley Library. This is an exciting opportunity to join Sustrans and support people in Gateshead to walk, cycle, and wheel, by providing practical, impactful support.

As the Project Delivery Officer, you will coordinate and deliver a programme of work tailored around overcoming identified barriers to active and sustainable travel modes, including a series of practical engagement activities, with the support of 2 Project Support Officers and a network of volunteers.

You will build and manage internal and external relationships with diverse groups and people within our partner organisations. Additionally, you will ensure monitoring and reporting tasks are carried out, with particular respect to partner and funder requirements.

This role will require travel and work at locations as necessary to undertake projects on behalf of Sustrans.

Candidates should be based within the geographical area with regular travel expected to a nominated hub/office base in Birtley, Gateshead.

About you

You should have experience delivering behaviour change projects and/or activities, and delivering projects in a community setting with a range of partners. Experience working in public-facing roles and with volunteers is key – this role will be responsible for recruiting, managing, and developing Sustrans volunteers, in collaboration with the Project Coordinator and Sustrans volunteer programme staff. You should have some experience of managing budgets, producing reports, and carrying out monitoring activities. Knowledge of effective engagement and behaviour change initiatives is key, and you should be able to apply this knowledge to develop and deliver effective cycling, walking, and wheeling initiatives.

You should be able to build strong working relationships, enthuse others, and have the ability to communicate and collaborate with a wide range of stakeholders. You should also be able to work independently when necessary, planning and prioritising your own workload with limited supervision. 

There are lots of opportunities for learning and development within this role, so we ask that you are willing to learn, with a specific commitment to work towards becoming qualified in the following areas with Sustrans: 

• Cycle leader and walk leader
• First aid
• Cycle maintenance

Previous experience with cycle maintenance and cycling is desireable but not required.  However there is an expectation that you will work quickly to develop these skills with Sustrans courses and resources once appointed.
