The role
This is an exciting time to join Greenwich Hospital as we work through a significant change agenda. With responsibility for supporting the Director of Greenwich Hospital (DGH) and the Senior Leadership team, as well as providing other business support, this is a varied and rewarding role. You’ll be working closely with other team members to ensure a positive, joined-up and dynamic working environment representing the office of the DGH externally with a wide variety of stakeholders within the Royal Navy, Ministry of Defence and the Naval charity sector. About the Role
Medical Aid for Palestinians (MAP) works for the health and dignity of Palestinians living under occupation and as refugees. MAP is the leading UK charity delivering health and medical care to those worst affected by conflict, occupation, and displacement, in the occupied Palestinian territory and Palestinian refugee camps of Lebanon.
To ensure individual supporters are treated in a responsive and respectful way. Also, to support the Fundraising team with the maintenance of records / transactions and assist with the management of MAP's fundraising database: Microsoft Dynamics.
About You
As a Supporter Care & Database Assistant you will be the first point of contact for our supporters, community groups, organisations, media representatives & others who get in touch with MAP directly by phone, email and by post.
You will ensure that data entry into our fundraising database: Dynamics, is accurate and kept up to date, to enable us to steward our supporters effectively.
You will also be responsible for banking donations received at our London office and thanking our wonderful donors.
We’re looking for someone who is passionate about providing excellent customer service and is a clear communicator. You’ll understand how important it is for MAP to engage with our supporters effectively to ensure lasting relationships.
Duties and key Responsibilities
Be responsible for responding to supporter enquiries by telephone, letter and email, within our service level agreements. as well as handling outbound supporter care calls and other communications.
• Process donations from multiple income streams, ensuring supporters are thanked according to internal guidelines.
• Maintain supporter and organisational records in our database.
• Using data securely and with best practice data protection principles in line with GDPR.
• Help MAP to maximise return from the Gift Aid scheme by ensuring declarations are added correctly and updated where necessary.
• Develop & maintain effective working relationships with colleagues in & outside of fundraising.
• Carry out ad-hoc tasks when necessary, as discussed & agreed with the Supporter Care & Database Manager.

Main purpose of the role
The post of Customer Support Administrator provides Resuscitation Council UK (RCUK) with the opportunity to deliver high quality customer service alongside supporting our Coordinators who administer courses and deal with enquiries. This role includes communication, administrative and course support duties. - Understand and provide assistance on all courses which include: Advanced Life Support (ALS), Newborn Life Support (NLS), Immediate Life Support (ILS), Paediatric Immediate Life Support (PILS), Focused Echocardiography in Emergency Life Support (FEEL), Generic Instructor Course (GIC), European Paediatric Advanced Life Support (EPALS), Advance Resus of Newborn Infant (ARNI).
- Liaise with Course Centres, managing and approving courses in line with current course Regulations.
- Organise course materials and keep accurate records by:
o liaising with suppliers to maintain adequate stock levels of course materials
o organising the dispatching of course materials to Course Centres
o liaising with Course Centres and the supplier to resolve issues - e.g. lost orders
o liaising with Finance regarding invoicing and payment of accounts
- Provide expert advice and first-line support to Course Centre Administrators, Course Directors, Instructors, Candidates and ALS Regional Representatives regarding aspects of all courses and the RCUK Learning Management System (LMS).
- Alongside the BSM, acknowledge course complaints and request further information and documentation as required, prior to escalation where necessary.

- Liaise with building management on matters affecting the office facilities - service charges, utilities, building services – attending tenant meetings as required. Liaise with the Director of Finance and Operations UK on matters relating to the office lease arrangements.
- Oversee office security – ensure secure access to the office by staff, visitors, and contractors, issuing office fobs and managing their safe-keeping.
- Maintain office stationery and kitchen supplies. Ensure that all parts of the office are kept neat, tidy, and orderly and ensure confidential waste is removed appropriately.
- Induct new staff on the office protocols incorporating health and safety, fire, and security, to include visitors, temporary staff, and volunteers. Keep key policies and procedural documents up to-date and visible, and keep staff informed of provisions and changes.
- As Fire Warden, take lead responsibility to ensure that fire evacuation procedures are effective; maintain the Fire Logbook, fire equipment, fire alarm and fire doors. Conduct statutory checks on fire and electrical equipment. Ensure appropriate numbers of and training of Fire Marshals.
- Work with Director of Finance and Operations UK to evaluate appropriate office insurance to ensure adequate and appropriate cover.
- Undertake key projects to maintain the effective operation of the office and other duties as consistent with the post as requested.
Incoming and Outgoing Mail:
- Receive and process all incoming mail. Frank and dispatch all outgoing mail, ensuring it is sent in a cost-effective manner in accordance with procedures.
- Ensure that key staff members are kept fully trained on the franking machine and DHL/Courier services and that cover is put in place for days when the operations, administration, and office Coordinator is out of the office.
Miscellaneous:
- Work with the Director of Finance and Operations UK to maintain the UK HR records in accordance with legal requirements. Ensure all leave records are kept up to date and correct. Draft new staff contracts.
- Assist with UK recruitment ads and induct new staff members.
- Manage IFAW’s Travel Management Company and assist staff with booking travel and accommodation in accordance with the IFAW travel policy.
- Help with Board and Management visits and meetings in the UK.
- Manage the UK accounts invoicing inbox, processing office invoices and forwarding invoices to the correct departments.
- Process and deposit the weekly banking.
- Assist with other administrative or operational tasks as requested by the Director of Finance and Operations UK.

3. Actively lead the Floating Support Team’s development through coaching, training, supervision, appraisals and team and management meetings.
4. Work alongside the Chief Finance and Operating Officer, CEO and Activities and the Trustees to develop and action strategic plans to maintain, develop, and promote EPM and our services.
5. Promote best practice across the service and the organisation through participation in external and organisational wide projects and forums.
6. Participate in the emergency on-call emergency rota (approx 10 nights per month) - £35 per night).
7. Take lead responsibility for the performance and delivery of the support contracts, overseeing the FS Senior Support workers.
8. Ensure performance standards are evidenced and quality is upheld in everything that the team’ do in complying with relevant CQC, contractual and organisational standards, outcomes and procedures.
9. To provide written and verbal reports on outcomes to Trustees at the regular Council of Management Meetings. To monitor and review service user and carer feedback, complaints and incident reports and use this information to inform and improve future services and practice.
10. Lead and manage the team to support personalised rota planning via Charitylog (inclusive of day, night and overnight activity) and service user timetables.
11. To lead the Housing Management service, working with the FS SSWs to ensure tenancies are managed appropriately, records maintained, and reports completed for Housing Associations in a timely fashion.
12. To be responsible for, or delegate recruitment of staff and provide excellent leadership, direction and effective management of the team’s resources and finances.
13. To plan, set and manage project budgets appropriately. To ensure project and individual finances are recorded, managed and monitored appropriately.
