About Young Ealing Foundation
The Young Ealing Foundation is a place-based charity based in Ealing, West London which brings together the voluntary, statutory and private sectors in the local area to increase and improve opportunities for children, young people and families.
We are looking for a highly organised, proactive, and efficient Executive PA to provide dedicated support to our CEO, ensuring the smooth operation of leadership and governance functions. This is a critical role, ideal for someone who excels in executive support, governance administration, and strategic coordination.
The role offers flexibility and can be structured as either a part-time contract or freelance arrangement for the right candidate.
Key Responsibilities
Executive Support to CEO
- Proactively manage the CEO’s diary, meetings, and appointments, ensuring efficient time management.
- Handle email correspondence on behalf of the CEO, drafting responses and prioritising key matters.
- Provide administrative support for internal and external meetings, including scheduling, agenda preparation, and minute-taking.
- Assist in tracking priorities, deadlines, and action points, ensuring follow-ups are completed.
- Process and manage CEO’s expenses in line with organisational policies.
- Support the CEO in preparing presentations, reports, and briefings.
Governance & Board Administration
Coordinate Board meetings and the Annual General Meeting (AGM), including:
- Liaising with staff to compile meeting papers.
- Scheduling meetings and ensuring timely circulation of materials.
- Minute-taking and tracking action points.
Support other governance-related tasks, such as:
- Annual risk register review.
- Biennial Trustee skills audit.
- Induction process for new Trustees.
Policy & Document Management
- Maintain and track policy review schedules, ensuring compliance and timely updates.
- Proofread and format policies and governance documents for clarity and accuracy.
- Liaise with Trustees for policy approvals and record-keeping.
Person Specification
Essential Skills & Experience:
- Proven experience as an Executive PA, Governance Administrator, or similar role within the charity or non-profit sector.
- Exceptional organisation and time-management skills, with the ability to manage multiple priorities.
- Excellent written communication, proofreading, and document management skills.
- Strong IT proficiency, including Microsoft Office (Word, Excel, PowerPoint) and cloud-based collaboration tools.
- Ability to work independently, exercise sound judgment, and anticipate needs.
- Willingness to attend in-person meetings and events in Ealing (approximately 1–2 times per month).
- Flexibility to support evening Board meetings (approx. 8 per year) and occasional weekend events (one Saturday annually)
Desirable Skills & Experience:
- Experience in charity governance or executive-level support within the non-profit sector.
- Familiarity with generative AI tools for streamlining administrative processes.
