The Role

As the Finance and Admin Manager your role will be crucial in ensuring the financial health of the organisation, enabling sustainability and increasing the ability to address the inequalities faced by communities in areas such as homes, health, education, employment, financial, and social inclusion. 

You will oversee the delivery and management of day to day financial processes, you will also work alongside the administration team to enhance and develop our processes, enabling the team to offer a centralised approach to administrative support across the organisation.

You will be responsible for the production of quarterly management accounts, an annual budget and contribute to continued efforts to improve sustainability. 

As a key member of the management team, you will be responsible for fostering a positive and inclusive work environment that promotes collaboration, innovation and excellence in all aspects of the organisations work. Your leadership and strategic vision will be essential in driving the success of the organisation and improving the lives of those it serves.

Knowledge and experience;

• Experience of working in finance

• Experience in a more senior finance role

• Have some experience in an administration role using a wide variety of systems

• Have some experience of working in a strategic role contributing to the ongoing development of organisational strategy

• Have some experience of working with communities or people experiencing discrimination and stigma

• Good working knowledge of accounting software – ideally Quickboooks

• Good working knowledge of budgeting and financial management in the charity sector

• Have some experience of line managing a small team

• Provide psychotherapy sessions on outreach to female clients

This three-year apprenticeship leads to a Certificate in Higher Education (Level 4) in Foundations in Theology, Ministry and Mission, with a focus on youth and children’s work.

Role Context and purpose

Following recent and projected growth of the organisation, Gaddum is looking to recruit additional resource within the Central team to bolster support; ensuring delivery of safe and high-quality services. Gaddum acts as an administrator for smaller trusts and charities, who do not have internal finance teams, and this role will act as the key point of contact for those trusts in delivering financial support. In addition to this, Gaddum also redistributes grant funding – this role is to act as the Finance lead for the financial management of the funding.

The post holder, line managed by the Finance and Resources Director, will join the finance team and work alongside another Finance Assistant responsible for Accounts Payable and Receivable. This is a 28 hours per week role, working flexibly to suit the needs of the organisation and individual.

Main Duties and Responsibilities

Trust Funds
• Key point of contact for trusts
• Administration of trust fund applications against agreed policies between Gaddum and the associated trusts
• Coordination and administration of trust meetings on behalf of the organisation and trusts
• Maintaining accurate, timely and relevant written and financial records, pertaining to the administration of the trust funds
• Respond to enquiries and requests by phone, email and in person as required
• To assist with collating and inputting of data, e.g. accounts for reporting periods
• To liaise with referring organisations, referrers and beneficiaries where necessary during the day-to-day administration of trust funds

Grant Funding
• Working with the existing Grant Coordinator in ensuring the regular invoicing of grant funding
• Accurate and timely processing and payment of this funding to organisations within the region
• Maintaining accurate financial information for statutory reporting
• Finance contact for all grant related enquiries

Key duties:

1. Programme Coordination: Serve as the primary contact for the Fulfilling Pathways programme, assist members, and introduce new members to the activities programme.

2. Event Management: Handle event administration, including sign-ups, logistics, venue booking, and maintaining the calendar of events.

3. Communication and Engagement: Encourage member participation through social media, newsletters, and other communications, and compile information for activity leaders.

4. Administrative Support: Manage records, receipts, invoices, stock sheets, and compile quarterly/yearly statistics, while supporting monitoring, evaluation, and feedback processes.

What will I be doing?

• Manage the annual IOP Awards - Medals and Prizes awards cycle, which celebrate outstanding physicists in the UK and Ireland.
• Support our strategic engagement with academia, universities, national research facilities and independent research organisations.
• Play a critical role in delivering our physics impact projects to shape the debate on matters of importance to the physics community in academia and business.

Projects you work on may include:

• Manage the IOP Awards - Medals and Prizes, including managing nominations and scoring on the Awards platform, executing the engagement plan, managing key stakeholders including Awards Committee and providing excellent customer service to nominees and winners.
• Support our impact projects, including encouraging participation from IOP members and Groups and setting up surveys, workshops and meetings to gather evidence from the community.  Past projects include Green Economy, Quantum and Semiconductors.
• Manage and engage with key stakeholders in academia, including IOP Fellows and Members, award winners and universities, bringing new members into the fold.

Who will I work with?

• Members, including Awards Committee, Council Trustees and Special Interest Group Committees.
• Senior individuals within academia and business.
• Staff within the Science and Innovation Department, and across the IOP and IOPP.

• Organisational skills – ability to work with minimum supervision, prioritise workload, and handle multiple tasks at once.
• Interpersonal and teamwork skills – ability to positively communicate with others, work with colleagues to deliver collaborative outcomes and the confidence to listen and understand.
• Communication skills – ability to express information clearly and effectively in written and oral form.

Nice to have

• Understanding and passion for physics/a physics undergraduate degree or equivalent.
• Experience of a membership organisation.

What is the role?

As Head of Relationship Fundraising, you’ll lead a passionate team responsible for philanthropy, corporate partnerships, community fundraising, and delivering flagship events like the Starlight Walk, Run the Rainbow, and Light Up a Life. You’ll develop innovative strategies to grow our income, build meaningful relationships with donors, and deliver a world-class supporter experience.

As Media Manager you’ll be part of a busy, high-performing team responsible for the promotion of our work across a range of areas, including research, policy and campaigns, and fundraising. You’ll also play a key role in our busy press office, working with national and trade media to provide expert comment and information.

You will work collaboratively with teams across the UK, including all four nations, to create and deliver the most appropriate and impactful media stories to support our aims.
