Report to: Service Manager / Operations Manager
Purpose: Coordinate the provision of projects and services delivered by Umbrella Cymru across Wales.
Location: Office – Caerphilly, CF82 7FQ
Hours: 37.5 hours per week. Some weekend and evening work required. Flexible working arrangements available. Job-share considered. Fixed-term contract to 31 March 2025 with possibility of extension (pending annual funding approval).
Salary: £23,500 - 25,437 per annum

Umbrella Cymru has been awarded the contract to deliver support to anyone referred to the Welsh Gender Service and therefore work in partnership with Cardiff and Vale University Health Board to provide a full bio-psycho-social support service to trans and non-binary people in Wales.
We have also been commissioned by the Police and Crime Commissioner for Gwent to deliver a support service to any children and young people affected by any crime or antisocial behaviour in the Gwent area.

The post holder will:
- Coordinate the provision of services available to clients and professionals
- Act as point of contact for team members, clients and professionals.
- Coordinate, arrange and attend events to publicise Umbrella Cymru.
- Provide administrative support for local and national projects.
- Maintain accurate, up-to-date, and confidential records of all work undertaken.
- Manage multiple inboxes and correspondence (including responding to written communication and answering phones).
- Produce statical reports from service data.
- Coordinate Volunteer networks.
- Research and provide accurate information as required to colleagues, clients, and professionals.
- Liaise with other service providers to maintain directory of services.
- Record and produce minutes of meetings.

The Faculty of Sexual and Reproductive Healthcare (FSRH) is the leader in the field of sexual and reproductive healthcare, and we are the voice for professionals working in this area. As a multi-disciplinary professional membership organisation, we set clinical guidance and standards, provide training and lifelong education, and champion safe and effective sexual and reproductive healthcare across the life course for all.
The Clinical Quality (CQ) programme and the Clinical Effectiveness Unit (CEU) at the FSRH develop a range of evidenced-based clinical guidance and standards documents and respond to evidence enquiries. The Faculty’s Clinical Quality portfolio includes the running of the Clinical Quality Board and its sub-committees: the Clinical Standards Committee, the Quality Assurance and Surveillance Committee and the Research Group.
Can you help us?
We are seeking an experienced administrator to join the team supporting the work of the Clinical Quality portfolio and its four committees. Specifically, the postholder will provide support to the running of the Clinical Quality Board, the Clinical Standards Committee, the Quality Assurance and Surveillance Committee and the SRH Research Group.
As part of the team the postholder will work closely with the Vice President and Director of Clinical Quality, the FSRH Clinical Quality Committee Chairs and members, as well as wider clinical experts and stakeholders. Key duties will include co-ordinating the work of the committees including liaising with the Chairs to plan the agendas, tracking and managing actions and taking notes. The postholder will also help facilitate the process of developing and publishing clinical standards.
The role:
Administrative and planning support
• Maintain filing systems, preparing and checking documents, ensuring that their presentation meets requirements.
• Maintaining databases, spreadsheets and other records systems, contribute to tracking of progress ensuring deadlines are met.
• Servicing meetings, including arranging teleconferencing facilities, travel, preparing agendas and papers, minute taking, liaising with attendees and ensuring timely distribution of papers across the four committees in the clinical quality portfolio.
• Supporting the dissemination of FSRH standards including developing lists of stakeholders to distribute each new standard.
• Providing efficient and effective administrative support to CQ including the Vice President and Director of Clinical Quality.
• Supporting the recruitment process for Guideline Development Group members.
• Support the process of consultation on clinical standards and guidelines including maintaining stakeholder databases.
• Checking that the relevant paperwork for projects and committee meetings has been received, chasing for contributions as appropriate.
• Escalating risks and issues as they arise.
Communication
• Liaising with other FSRH teams and committee members regarding smooth running of committee meetings.
• Supporting liaison with external organisations and FSRH staff on matters relating to the work of CQ.
• Maintaining effective, co-operative working relationships with external stakeholders, committee members and staff members within FSRH.
• Responding to written and verbal enquiries from a range of external organisations, ensuring these are handled appropriately and forwarded as necessary to the appropriate person/team.
• Liaising with the web team to ensure that documents are loaded onto the FSRH website, and that information on the website is accurate.
• Liaising with the FSRH External Affairs and Events teams for the smooth running of webinars and conferences relating to the work of the CQ team.

To coordinate the social contact and practical support available from the Readycall service for people living with a cancer diagnosis and to contribute to the development of the Readycall service in general across the Derbyshire Dales.
Duties & Responsibilities
1. Work closely with colleagues in the Readycall team to ensure the Readycall service meets its contractual obligations to funders.
2. Recruit, train and support volunteers to deliver a range of tailored practical support and social options for service users.
3. Be the first point of contact for service user referrals for people living with cancer:
a. liaise with the referrer to review the service user’s needs
b. visit the service user to assess and confirm needs and complete a risk assessment
c. establish a baseline of the service user’s current status/needs and develop an action plan
d. define the tailored support to be provided based on the service user’s diagnosis and treatment plan
4. Arrange support for the service user based on their needs. This could include:
a. help with essential shopping
b. matching with a befriending volunteer for home visits or trips out
c. subsidised transport to cancer-related appointments
d. attending the monthly cancer support group
5. Ensure that service user and volunteer data is processed and recorded in line with GDPR requirements.
6. Set up and host monthly cancer support groups, sourcing speakers and arranging activities.
7. Liaise with Connex’s Car Scheme service to arrange subsidised transport for cancer-related journeys
8. Schedule regular reviews with service users to assess progress against tailored action plans.
9. Support people living with cancer to access digital health apps and support relevant to their treatment and condition.
10. Liaise with health care professionals and practitioners, and other key stakeholders re service user needs, and to promote the services.
11. Work with Readycall colleagues to match volunteers to service users, and monitor the ongoing relationship to ensure it is working well for service user and volunteer.
12. Contribute towards client and volunteer surveys to monitor the service, obtain feedback, and outcomes.
13. Carry out reviews with service users to identify the impact of the support provide and the benefits achieved.
14. Ensure the collation of all relevant data to demonstrate the impact of the Readycall service and provide reports on service performance and outcomes.
15. Recommend service improvements to increase take up of support, identify gaps in support and where we can promote the service more effectively.
16. Assist with the development and delivery of promotional material to attract new volunteers and service users.
17. Ensure records of income and expenditure are kept in accordance with auditing requirements.
18. Network with other professionals and agencies that are relevant to the work of the Readycall service and Connex Community Support.

Growing Hope is a charity providing free therapy for children and young people with additional needs in partnership with local churches across the UK. We aim to grow hope for children, hope for families and hope in Jesus. Growing Hope was founded in December 2017 and has a vision to see 20 clinics set up across the UK by 2030. We currently have three clinics, King’s Cross, Brockley and High Wycombe. We worked with over 500 children, young people, parents, carers, siblings and professionals in 2023.

Job Purpose
Growing Hope is a national charity with a growing number of clinics across the UK. This operations role will provide support across the Growing Hope national staff team. This will include support with administration, finance, fundraising and training. This role is key in enabling all the functions of the national charity to run smoothly and effectively. The role will be based in King’s Cross with occasional events outside of the office.
Main Duties and Responsibilities
Duties and responsibilities will be discussed and developed as the charity continues to grow. It is anticipated that this time will be flexible and adjusted according to the needs and priorities at the time. Specifically the role with include:
IT administration
- Administration of IT systems, logins and spreadsheets for the team, volunteers, staff and freelancers (keeping these up to date and amending systems as required).
- Ordering and setting up IT hardware and software for individuals joining the team.
- Oversight of IT systems used by Growing Hope including ticket tailor, jot form, mail chimp, Microsoft office, google adverts and tracking. Supporting with problem solving when issues arise.
- Overseeing and training others in Canopy (clinic administration software) and helping support and problem solve with using this. This includes liaising with a freelance software developer to manage the development project.
HR administration
- Oversight of the recruitment checking process for new volunteers, trustees, freelancers and employees. This includes carrying out DBS checks, calling referees, chasing for references and communicating with individuals as they start with Growing Hope.
- Management of the ‘internal news’ list in order to track individuals working closely with the charity.
- Writing, drafting and sending out HR letters, contracts and contract variations.
- Organising internal events on behalf of the team including away days, training days and ad hoc events.
- Organising online training as required for members of the Growing Hope team.
Office Support
- Overseeing the day to day office and building use including the alarm, maintenance visits, wifi, printer and other equipment. This includes liaising with other individuals who have office use.
- Liaising with the Director of Operations around the use of the office.
- Ordering office supplies as required, ensuring office space and storage is kept organised.
- Supporting with external events planning including finding venues, sponsorship and items needed.
- Ordering equipment as required across the team.
- Ad hoc tasks as required across the team.
Volunteer admin support
- Processing volunteer applications and induction as required.
- Oversight of volunteers using the office space on a day to day basis. Including allocating volunteer tasks and explaining and supporting with these as required.
- Managing volunteer IT access.

- Sending letters and emails and making phone calls as required.
- Logging all actions on Salesforce database.
- Maintain data protection & confidentiality in line with Growing Hope’s policy.

Person Specification
The ideal candidate will have a genuine interest in working in the charity sector, an interest in additional needs and inclusion are highly desirable.
ESSENTIAL
- This role has an Occupational Requirement to be a Christian, as permitted under Schedule 9, Part 1, of the Equality Act 2010. Excellent copywriting and proof-reading skills and attention to detail.

- Ability to work with Microsoft word, excel, outlook and ppt efficiently and effectively.
