Waterloo Uncovered is the ground-breaking charity that combines world-class archaeology with veteran recovery and wellbeing.  Since 2015 we have been supporting veterans and serving military personnel, through programmes centred around the archaeology of the Waterloo battlefield.  For example, learning archaeological skills through excavation on the battlefield supported by a wellbeing team, bringing the artefacts discovered at Waterloo to beneficiaries in their community, or supporting beneficiaries to explore archaeology and history of conflict through our online programme.  All our programmes link conflicts past to conflict present, as beneficiaries uncover, recover and discover.  

As Administrative Assistant you will be part of our small, dynamic, and passionate team, which is supported by an extensive network of volunteers.  You will work closely with the Chief Executive on all aspects of our administration in support of our operational delivery, communications, fundraising and outreach.

Key responsibilities:

• Programme administration, engaging directly in support of beneficiaries for onboarding, logistics and follow up, answering enquiries and general tasks.

• Customer service, responding to email and telephone enquiries and correspondence.

• Database and spreadsheet management, including managing contacts and suppliers, as well as donor and volunteer data on our CRM system and digital filing.

• Processing financial and accounting requirements, including invoices, payroll, expenses and supplier payments.

• Virtual office support, arranging meetings and team events, providing secretariat to Trustee Board, office contracts, suppliers and administration.

• Researches as requested, complies and summarises information for drafting applications for grants and trusts, managing fundraising pipeline and tracking, reporting schedules and reports.

• Administration of social media accounts, support to drafts of newsletter and impact reports, and other communication initiatives.

• Event administration, including bookings, logistics and support to outreach and event delivery.

What you will need

• Strong written and verbal communication and interpersonal skills, able to present a professional and positive image for the organisation.

• Ability to work under pressure, with accuracy and minimal supervision, with a proactive approach to problem solving and process improvement.

• Data management and entry skills, including the ability to maintain and improve data and information digital filing systems, with accurate record keeping.

• Digital literacy,  proficiency on google suite, microsoft, and social media (e.g. linkedin, facebook), able to present information accurately and clearly.

• Excellent organisational, time management and collaborative skills, able to work with a range of stakeholders.

• Experience of working within the charity or similar sector in an administrative role.

• Communications and / or social media experience.

Purpose of the role:

At NEON, we know that you can’t separate the external work of the organisation from the internal work. They are so interlinked and interdependent that they both have to be given priority and resources if we want to achieve high impact. We see them as inseparable. 

So the purpose of this role is to support NEON achieving its mission by ensuring the smooth running of NEON’s finance systems and processes. You’ll do this by delivering on the main financial tasks day-to-day, and support with finance projects aimed at improving NEON’s systems.

Key Responsibilities: 

1. Doing all of our day-to-day fundraising administration to keep us well-organised and compliant. This includes:

   1. Recording and monitoring fundraising data using our Fundraising Tracking Database

   2. Keeping all of our grant agreements, contracts and other relevant documentation well-organised on GDrive and elsewhere 

   3. Ensuring compliance with the financial requirements of the grant agreements, and updating and maintaining the grant payments schedule 

   4. Raising invoices on Xero in line with funder agreements - noting instalment dates and receipts

2. Preparing payroll each month, ensuring everything happens on time and coordinating with our payroll agency. (This may only be a temporary responsibility) 

3. Processing and reconciling payments. This includes:

   1. Reconciling bank receipts and chasing late payments

   2. Processing supplier invoices and payments

   3. Monitoring our team’s Pleo card expenses and posting on Slack to our team for authorisation

   4. Managing the subscriptions on Pleo cards (this is likely a temporary responsibility until our People & Ops Manager returns from sabbatical leave)

4. Preparing some financial reports and accounts. This includes accounts to trial balance, and ad hoc reports from Xero when our team have finance queries or need support

5. Supporting with finance projects which make our finance systems work more efficiently, simply and sustainably e.g. helping to update our budget spreadsheets and approach to budgeting, or moving to a new bank

6. Supporting the Head of Finance with budgets, financial planning and reports and any other ad hoc finance tasks

7. Being part of Ops Hub shared work and cross-organisational work and team days 

About you:

• You have experience dealing with people in different capacities, both internally and externally, on a day to day basis, and build strong working relationships

• You have solid finance experience and skill. For us that means:

  1. a minimum of three years work experience in a finance role, preferably within the charity/non profit sector. This means you have a good understanding of non-profit finance, including VAT and managing restricted and unrestricted funds

  2. a solid understanding of Accounts Payable (with BACs, invoicing, etc) and Receivable (invoicing and credit control) processes

  3. a Level 4 AAT, equivalent qualification or equivalent experience

  4. experience in control accounts reconciliation, and posting journals

• You know how to use accounting software and apps (e.g., Xero, Quickbooks, Sage) as well as Microsoft Excel or Google sheets

• You are proactive, well-organised and feel empowered to solve problems yourself when they come up (sometimes described as an “ownership mindset”), as well as balancing this with asking for help when you need it

• Excellence is important to you and it shows in your work. Whatever you do, you do it to a high standard

• You have strong organisational and time-management skills that are required to manage multiple tasks and deadlines. And you are comfortable moving between different paces of work - slower, more methodical work and quicker turnaround work

The Senior Organic Social Media Manager will play a leading role in UNICEF UK’s Organic Social team. You’ll have knowledge of a relational database, excellent attention to detail and be skilled and comfortable in building good working relationships. 

The role also includes providing excellent service and delivery of supporter care and thanking supporters promptly and appropriately.

• Experience of formatting and importing data to a database from external sources to agreed timescales

About you and the role:

This role is an integral part of an ambitious programme to empower and train up the country’s school kitchen workforce through our School Chef Educator Programme, a hybrid course set over 10 weeks, including in-person sessions, webinars and self-guided e-learning on our learning platform. The programme has successfully trained over 130 school chefs nationwide, from London to Yorkshire, the West Midlands to Cornwall. 

Our ultimate goal is that every school in the country has a person leading their kitchen who is a recognised food educator, playing a crucial role in shaping kids’ eating habits for life. 

Your role will be to deliver the School Chef Educator Programme both in-person and online to school kitchen workforces across the country, helping to inspire them to achieve higher levels of knowledge and standards of food quality. 

Supported by the Programme Manager, you will maintain and develop the online learning platform, design new and exciting training materials and learner experiences in order to maintain relevance and attract new customer bases across the school food sector.

• Lead on the organisation and delivery of in-person and online training sessions to enrolled participants of the School Chef Educator Programme at a variety of locations

• Assist in the maintenance of the online database of participants, schools and funder information

• Work with our evaluation team to monitor and survey the effectiveness of the training programme

• Work with our Fundraising Team to keep them up to date with the latest progress on our training programmes, providing qualitative and quantitative evidence to share with charity funders

• Attend monthly ‘Innovation’ days to develop recipes and other resources, and support the Transformation team with delivery when required

• Support and work with the School Engagement Manager to ensure School Chef Educator Programme cohorts are filled

• Assist in the delivery of events outside of the SCE programme, including membership meetings, fundraising events, networking and wider organisational events

Essential skills & experience include:

• Strong written and verbal communication skills and the ability to create clear, engaging, and accessible online learning resources

• Great people skills to quickly build rapport with learners from a wide variety of backgrounds and skill levels - striking a balance between being supportive and challenging 

• Excellent digital skills in order to manage participants' online progress and records

• Excellent presentation skills to deliver engaging in-person and live online training sessions

• Excellent organisation, scheduling and time management skills

• Some experience working in a catering or kitchen environment, ability to assist or lead the culinary training elements of the training programme

• Food Hygiene level 2 or 3 

Desirable skills and experience include:

• Experience in delivering well-structured and impactful in-person and online training sessions to a kitchen workforce or adult learners

• An understanding of the challenges and opportunities to working in school food and school catering work environments

• An understanding of hospitality, especially on how to deliver quality food and service within a budget

• Experience delivering multiple online training programmes across different geographical areas

Tuition fees:

All trainees will need to pay tuition fees unless you are a salaried trainee - salaried places are limited. Tuition fees are £9,535 for full-time study and £7,145 per year for part-time study. If you are eligible for a student loan in the UK, you can get a student loan to cover these costs, as well as a maintenance grant up to £13,762.

If you want to train as a secondary trainee teacher, you may be able to apply for funding to cover the costs of your tuition fees through a bursary or scholarship, which you would not need to pay back.

1. Application: The first step when applying is to select which of our partners you want to train with. You can do this by clicking the ‘Apply’ button and navigating to our partner map tool to choose your preferred school partner in the region suited to you. You will then be able to register with this partner and complete our short application form. Alternatively, you can follow the same link and just register your interest in our programme for now and we’ll be in touch with more details.
2. Interview: Our friendly team at Ambition Institute will assess your application and if you are eligible, will pass your application to your preferred school partner. You will then be invited to attend an interview. The interview will involve five questions and one task.
3. Offer: If you are successful at the assessment stage you will be provided with a conditional offer. Please note the conditions of the offer are dependent on you completing the relevant pre-programme checks.

About The Role

We are a small charity which is expanding and looking to provide additional administrative support for our busy teams.  We have an exciting opportunity to join the South East Rivers Trust and become part of the small and dynamic Finance and Operations team, sitting at the heart of the organisation. This role reports directly to the Finance Director and will provide administration for this and other teams in the organisation. 

The General Administrator role has been created to support with a variety of tasks, including calendar management for catchment meetings, which are hosted both in person and virtually, across the region.  In addition to logistical arrangements of these meetings, the successful applicant will support with all aspects of hosting, including minute taking.  The role will also  support the research, writing, collation and management of documents, for internal and external circulation.  Other tasks will include supporting with budgets, expenses and invoices, requiring confidence in dealing with numbers, spreadsheets and suppliers.

The role would suit an individual with a strong administration background, who is approachable and organised, has excellent attention to detail, able to work on their own or as part of a team.  It involves liaising  and following up with all teams, to ensure internal and external stakeholders are communicated to in a timely manner with relevant information.  This is an ideal position for someone with excellent Microsoft office skills, strong communication abilities and a genuine interest in making a positive impact.  It will cover a variety of duties and afford the successful applicant the opportunity to learn more about the work we do in restoring our natural environment.

To be successful, they will need to be able to multitask, be proactive and have a confident manner, an excellent communicator who is inquisitive and able to work independently.  Additionally, they will have a positive attitude, with a willingness to assist the whole team with other administrative tasks as and when required. 

This role is a mix of working from home, with at least one day per week, (on a Thursday), working in the office in Leatherhead and attending regular in person meetings held across the entire SERT area.   

This is a full time role, which may require attendance at some adhoc meetings outside of office hours.

About The Role

We have an exciting opportunity to join the South East Rivers Trust's Finance and Operations Team.  We are a small dynamic team, sitting at the heart of the organisation. The role reports directly to the Finance Manager and will provide support in administering all financial controls and processing for the organisation.  The successful applicant will come from a financial background with a strong understanding of financial principles, an accounting qualification and proficiency in Excel.  They will have experience in bookkeeping, reconciling accounts as well as dealing with banking, grant applications and expenses. 

The role would suit an individual, who is approachable and organised, with excellent attention to detail, able to work on their own or as part of a team.  The role involves liaising and following up with all teams to ensure the data provided is accurate and timely, to support grant applications, payments and audit requirements.

To be successful, they will need to be able to multitask, be proactive and have excellent communication skills, following up and advising staff across all teams.  They will need to have a positive attitude, and willingness to assist the whole team with other administrative tasks as and when required.  This role is predominantly working from home, with at least one day per week, (on a Thursday), working in the office in Leatherhead.

We are seeking a skilled and experienced Children and Young People's Service Co-ordinator to lead on the delivery of our services for children and young people with additional needs (SEND). This includes:

• Afterschool Club (Monday–Thursday)
• Weekend and School Holiday Playschemes/Teen Sessions
• Evening Youth Sessions

The role involves planning and delivering inclusive, engaging, and structured activities within a fun, safe, and supportive environment. You’ll be key in mentoring staff, ensuring quality service delivery, and championing the voice and rights of young people with a learning disability and autistic young people.

Key Responsibilities

Planning & Organisation

· Collaborate with the Team Leader to manage bookings and allocate places across sessions.

· Support with recruitment and line management of Group Leaders, Deputy Group Leaders, and sessional staff, working with the Head of Services and Talent Acquisition Manager.

· Develop creative, inclusive session plans in partnership with Group Leaders, ensuring activities meet the needs and interests of participants.

· Procure resources for sessions including sensory toys, arts and crafts materials, baking supplies, etc.

· Ensure session documentation and CRM records are accurately maintained.

· Maintain excellent communication with parents, carers, social workers, schools, and internal teams.

· Identify and coordinate training needs within the team, taking part in relevant professional development.

· Liaise with the Office Manager to ensure all spaces used are clean, safe, and hygienic.

· Work with the Marketing Manager to share impact stories, quotes, and photos (with appropriate consents).

Session Delivery & Quality

· Oversee the delivery of all sessions, ensuring they are age-appropriate, engaging, and meet the needs of young people with SEND.

· Supervise and coach staff during sessions, providing guidance on behaviour management and inclusion strategies.

· Support staff in session planning and resource management, ensuring spaces are left tidy and ready for the next use.

· Plan and coordinate meals/snacks for afterschool sessions, ensuring adherence to food hygiene standards.

· Provide hands-on support where needed, including personal care, eating and drinking, mobility, or emotional regulation.

Linkable, an ambitious local charity is seeking a Head of Children's Services to directly lead on the delivery of our afterschool club, weekend and holiday playschemes for chlldren and young people with addtional needs.  The successful candidate will also oversee adult services.
