We are seeking a dedicated and detail-oriented Legacy Officer to join our team. You would be responsible for your share of the legacy administration cases in the UK, ensuring that gifts left to IFAW in Wills are handled efficiently, sensitively, and in accordance with legal and organisational standards. You would report to the Global Legacy Administration Manager on a day-to-day basis. Your work will directly support IFAW’s mission by maximising income from legacies to fund our animal welfare and conservation efforts.

Role and Responsibilities

· Managing a caseload of legacy gifts: This includes pecuniary, residuary and life interest legacies, ensuring IFAW receives its full entitlement in a timely manner. This may include a small selection of contentious cases.

· Working closely with solicitors, executors, and beneficiaries: You’ll provide accurate and sensitive support throughout the probate process, building trust and ensuring a smooth experience for all parties involved.

· Maintaining meticulous records and reports: You’ll ensure accurate financial and contact records are kept, reports are generated on time, and compliance with all legal and regulatory requirements is met.

· Providing recommendations for action: You’ll provide your suggestions to move forward any legacy case where action needs to be sanctioned by management or Trustees, or where there may be a risk to the charity's reputation.

· Assisting with monthly/annual reconciliation and audit: This includes following our financial rules to make appropriate accruals, adjustments, and provide audit-ready case files.

· Liasing with other teams within IFAW: When appropriate, you’ll work collaboratively with other teams, such as Finance, Donor Relations or the Legal team, to ensure a seamless process for legacy gifts, and to promote the legacy team’s recognition and standing in the organisation through internal engagement.

· Staying up to date on relevant legislation and best practices: You’ll be a member of the ILM and regularly keep abreast of changes in the world on legacy case management, to ensure IFAW’s legacy administration remains efficient and compliant.

Qualifications and Education Requirements

· At least 1 year of experience in legacy administration or estate management: You’ll have a strong understanding of probate laws, Wills, trust, and estate administration. Experience of using FirstClass is desirable.

· Achieved or willing to work towards certification: You have or will work towards gaining the ILM’s Certificate in Charity Legacy Administration (CiCLA).

Being a Switchback Mentor is a unique opportunity to build transformative relationships with young men leaving prison in London.

Are you passionate about working 1-to-1 with young prison-leavers from a variety of backgrounds; many of whom are from marginalised communities, to help them lead more stable, rewarding lives?

As a Switchback Mentor, you will play a vital role in transforming the lives of young prison leavers, helping them break free from the justice system and build stable, rewarding futures. You will be responsible for building your own caseload by engaging directly with young men in prison and providing intensive support after their release. Recently kicking off our new ‘Creating Positive Change’ strategy, coproduced by over 130 staff, volunteers, clients and partners, we have ambitious plans and a compelling model which in its simplest form promotes healthier lives and a better future for anyone who has experienced homelessness.  

The successful post holder will have experience in leading the development of well-written, compelling proposals and reports to charitable trusts and corporate foundations; demonstrating key relationship management skills to ensure all our funders feel part of Groundswell’s mission. You will be a flexible worker with strong organisational, research and written communication skills. You will pride yourself in collaborative working to ensure the most successful chance of securing income, whilst being a self-starter who can manage their own workload effectively.

This is a new role in our Participation Team to help us deliver work that amplifies the voices of people with lived experience to find solutions to homelessness and health inequalities. The post holder will lead a few projects and partnerships, with responsibility for planning and delivering activities and monitoring their progress.

Some examples of current projects are:

• Coordinating and supporting a group of six people with lived experience to co-design an immersive audio story and campaign to improve the health of people living in temporary accommodation in London. 

• Working with the City of London Corporation to embed meaningful co-production practices in their homelessness services; bringing people with experience of homelessness, frontline staff, and commissioners together to improve service design and delivery. 

Your main task will be to coordinate groups of people with lived experience of homelessness and health inequalities, alongside Groundswell peers and colleagues, services, local authorities, funders and policymakers.

We are looking for someone with great interpersonal skills who can comfortably engage with different stakeholders. You will be well-organised, self-motivated, and confident facilitating groups to co-create positive change.

As the Head of Corporate Partnerships, you will be responsible for leading the Corporate Partnerships team and delivering a strategy that will ensure excellent account management of existing partnerships and extending the portfolio with new multi-year partnerships. This role will sit on the Trusts' Extended Leadership Team and have strategic influence over corporate partnerships direction and income. With corporate partnerships income accounting for almost half of last year's income, this is an exciting opportunity to further corporate income for the Trust. Line managing three corporate fundraisers, this role will motivate the team to scope and develop relationships with new partnerships and will take a lead on those in the six to seven-figure space.

To be successful as the Head of Corporate Partnerships, you will have proven experience of corporate partnerships fundraising and be able to evidence securing and managing multi-year high value partnerships of six and seven figures. This person will need to demonstrate how they have developed a successful fundraising strategy and ideally within corporate partnerships. They will also need to have previous line management or team leadership experience and display excellent stakeholder management skills for both internal and external relationships.

This role is a full-time permanent position that will have hybrid working in the London offices for at least two days per week. The salary for this role is £56,000 to £68,000.

We are looking for an experienced Database professional to join us as our new Database Marketing Officer. You will work collaboratively across the whole fundraising team, implementing strategies for targeted marketing campaigns. The role will be responsible for the extraction of data from the Hospice CRM system as well as providing insight & evaluation of marketing campaigns. 

This will be a crucial role in the team, working collaboratively and delivering work that helps drive forward our fundraising activity and ensuring that we are making data led decisions in everything we do. This will involve the implementation of KPI’s, analysis of previous activity as well as discovering opportunities to expand our audience from our CRM system. 

The role will require someone who is able to work with multiple stakeholders. Building effective relationships across all areas of the Hospice and communicating complex information in a clear and concise manner.

The role-holder will have experience working according to ethical and good practice safeguarding principles. They will be expected to adhere to and promote Amna’s Safeguarding Policies as they will be involved and responsible for programmes working with children and vulnerable groups in different settings. 

How Will you Make a Difference?  

The Executive Assistant (EA) will provide high-level administrative support to Amna’s CEO, Senior Leadership Team (SLT) and Board of Trustees. This includes administrative help such as managing calendars, drafting communications and briefings, planning, and organising meetings, inbox support, travel, office administration and personal assistance. It also includes working on and managing special projects including research, data analysis, preparation for public speaking, writing and research. 

This dynamic and creative position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate will have excellent communication skills including strong written and verbal skills, the ability to work with little supervision, and manage simultaneous priorities within the leadership team.

The role holder will report to the CEO. 

Key areas of responsibilities: 

CEO/SLT Support 

• Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer", staying attuned to the internal and external environment and keeping the CEO updated on relevant issues. 

• Anticipate the needs of the CEO and SLT in advance of meetings, conferences, and public appearances. 

• Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and SLT team, including those of a highly confidential or critical nature. 

• Liaise between the CEO and SLT to ensure regular communications and smooth decision-making. 

• Provide sophisticated calendar management for Amna’s CEO and the SLT. Prioritize inquiries and requests while troubleshooting conflicts and exercising tact; make judgements and recommendations to ensure smooth day-to-day engagements. 

• Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s and SLT members style and Amna’s values and policies. 

• Work with the Senior Leadership Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships. 

• Writing and managing documentation and data sets for the CEO and SLT as needed, including briefing papers, correspondence and talking points. 

• Leading and managing special projects including research for Amna’s, CEO’s and SLT’s contribution to future books, podcasts and articles. 

• Maintain an organized filing system for documents, records, and correspondence related to the CEO, SLT and board. 

Admin and travel management

• Ensure compliance with organizational policies and procedures in all administrative functions 

• Assist in the preparation and execution of organizational events. 

• Research and propose the most efficient and cost-effective travel options, including flights, trains, and accommodations.

• Prepare detailed travel itineraries, including transportation, accommodation, meeting times, and addresses. 

• Book accommodations that suit the requirements of the trip, ensuring comfort and proximity to meeting venues. 

• Manage group bookings for team members traveling together to streamline costs and logistics. 

• Handle travel expense reports, ensuring compliance with Amna policies and timely reimbursement. 

• Occasional travel may be required.

Board support 

• Manage due diligence and onboarding processes for new Trustees, ensuring compliance and accurate record-keeping. 

• Organize tailored training sessions for Board members. 

• Maintain up-to-date records of Board members, including contact information, terms of service, and compliance documents. 

• Assist Board members with travel expense claims and ensure accurate processing. 

• Compile, organize, and distribute materials for Board meetings, including reports and presentations. 

• Edit and format Board papers to ensure consistency and professionalism. 

• Coordinate logistics for Board meetings, including scheduling, venue arrangements, and required technology or equipment. 

• Attend Board meetings to provide administrative support, take minutes, and document actions and decisions. Distribute minutes promptly and track follow-up actions. 

• Develop and implement comprehensive induction plans for new Trustees. 

• Facilitate introductions and provide orientation materials to integrate new Board members effectively. 

Governance and Compliance 

• Support the CEO and committee chairs in adhering to the organization’s governance framework. 

• Maintain a centralized, up-to-date register of governance documents for easy access by senior staff and Trustees. 

• Ensure the organization complies with GDPR regulations in relation to all Board activities. 

• Work with the CEO and Chair to ensure the Board is informed about safeguarding practices and remains accountable. 

• Support emerging governance practices and Trustee development in partnership with the CEO and Chair. 

• Plan and execute Trustees’ regulatory obligations, including registering them with appropriate bodies. 

  Qualifications and Experience:  

• Minimum of 4-7 years of progressively responsible and diversified administrative experience, experience as an Executive Assistant or similar role. 

• Excellent verbal and written communication skills, including ability to effectively communicate with internal and external stakeholders. 

• Excellent research skills and experience in writing briefing papers 

• Exceptional organizational skills and impeccable attention to detail. 

• Ability to work both independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices. 

• Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials. 

• Able to maintain a high level of integrity and discretion in handling confidential information. 

• Demonstrable commitment to Amna values and mission. 

• Legal understanding or experience with the Charity Commission is preferred. 

• Non-profit board experience is preferred.

Remuneration Package
