Job Summary:

The Executive Assistant to the Deputy Director of Programmes will provide high-level administrative support, ensuring the efficient operation of the office and supporting the Deputy Director in managing their workload. This role requires a proactive individual with excellent organisational, communication, and multitasking skills, capable of handling sensitive information with discretion and professionalism. The Executive Assistant will act as a key liaison between the Deputy Director, internal departments, and external stakeholders, contributing to the overall effectiveness and impact of the Programmes Department.

Key Responsibilities:

1. Administrative Support:
   • Manage the Deputy Director’s diary, schedule meetings, appointments, and travel arrangements.
   • Prepare and organise meeting agendas, take minutes, and follow up on action items.
   • Draft, edit, and proofread correspondence, reports, presentations, and other documents on behalf of the Deputy Director.
   • Handle incoming communications (emails, calls, etc.) and respond or redirect as appropriate.
2. Project Coordination:
   • Assist in the coordination of projects and initiatives led by the Deputy Director, including tracking progress, deadlines, and deliverables.
   • Conduct research and compile data to support project planning and decision-making.
   • Coordinate with other departments to ensure seamless execution of cross-functional projects.
   • Maintain and update project documentation and files.
3. Liaison and Communication:
   • Serve as the primary point of contact between the Deputy Director and internal/external stakeholders.
   • Facilitate communication and collaboration between the Deputy Director and team members, ensuring information is accurately conveyed and deadlines are met.
   • Represent the Deputy Director in meetings or events when necessary.
4. Office Management:
   • Organise and maintain the Deputy Director’s office, ensuring it is well-equipped and efficient.
   • Manage office supplies, equipment, and budget as needed.
   • Coordinate with IT and other support services to ensure the Deputy Director has the necessary tools and resources.
5. Event and Meeting Coordination:
   • Plan and organise departmental meetings, workshops, and events, including logistics, catering, and materials preparation.
   • Assist in the preparation of presentations, speeches, and other materials for events or conferences.
   • Ensure all event and meeting details are flawlessly executed.
6. Confidentiality and Discretion:
   • Handle sensitive information with the utmost confidentiality.
   • Manage the Deputy Director’s files and records, ensuring secure storage and easy retrieval.
   • Adhere to organisational policies regarding data protection and privacy.
7. Personal Assistance:
   • Provide occasional personal assistance to the Deputy Director as needed, including managing personal appointments or tasks.
   • Assist with ad-hoc tasks and projects as required by the Deputy Director.
8. Other:
   • To demonstrate Muslim Hands’ values and ethics in own working practices, approach and conduct
   • To support with Fundraising activities from time-to-time, committing to partake in approximately 5-Live-TV-Appeals during our peak periods.

Qualifications:

• Education: A bachelor’s degree in business administration, management, or a related field is preferred.
• Experience:
  • Minimum of 2 years of experience in an executive assistant or senior administrative role.
  • Experience in a non-profit or international development organisation is advantageous.
• Skills:
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritise tasks and manage multiple responsibilities simultaneously.

What is a Portfolio Delivery Test Lead?

As Portfolio Delivery Test Lead (a new role to MSIUK) you will oversee testing and lead the UAT (User Acceptance Testing) for all new MSI UK system deployments, responsible for planning, executing, and overseeing UAT to ensure that the solution meets business requirements and is ready for deployment.

MAIN RESPONSIBILITIES  

Specific Duties 

Leadership

• To lead and inspire the high value team fostering a collaborative and high culture that delivers against income and objectives

High Value Fundraising

• Cultivate and maintain relationships with high-value donors, ensuring effective solicitation, stewardship, and follow-up to secure significant contributions (six-figure gifts)
• Build and maintain a portfolio of Trust & Grants supporters. Responsible for researching, approaching and developing compelling applications with a focus on ensuring Trusts & Grants provide a long-term, diverse and sustainable income stream
• Lead the development and stewardship of the Philanthropy board to identify and secure transformational (6-7 figure) gifts and the development of the Business development Board to open opportunities with Corporate Partners
• Write and design a compelling case for support that is tailored to our High Value audiences
• Build a portfolio of corporate partners, including securing high-value, multi-year partnerships. You will work with the team to grow this income stream from prospecting, approaches, applications, pitches, stewardship and providing excellent account management
• Lead on planning and delivering successful high value cultivation events

Strategy, Planning and reporting

• To create and implement a strategy including corporate partnerships, trusts & foundations and major donors
• Lead on developing and delivering effective stewardship journeys and cultivation plans
• Produce regular reports on fundraising activity, analysing performance against targets, and identifying areas for improvement and growth.
• Work with the Director of Income Generation and the Head of Mass Participation Fundraising to develop the annual budget, including leading on monthly performance reports and contributing to quarterly reforecasts and reporting against KPI’s and milestones
• Undertake research and make use of tools to identify potential High Value partners.

Collaboration

• Work closely with the Director of Income Generation, Head of Mass Participation Fundraising, SLT and other teams to maximise high value fundraising opportunities
• Work with the Marketing team to deliver urgent and compelling high value messages tailed for the different audiences
• Work with the Trustees to build networks and increase the reach of Winston’s Wish

• Proven leadership and people management skills, with experience in overseeing multi-disciplinary teams. Essential experience includes team leadership, staff motivation, setting clear objectives, and fostering a collaborative work environment.
• Experience in effectively developing, managing and reporting complex income and expenditure budgets

As Senior Policy Officer you will be part of the Patient Advocacy team who work to ensure that the patient voice is heard and acted upon by UK and devolved nations healthcare policy decision makers. You will represent the charity externally including national meetings with senior healthcare decision makers.

Your role is vital to developing strategic approaches to health technology appraisals (HTA), regulatory pathways (MHRA), clinical development programmes (academic and industry clinical trials) and commissioning routes to broaden access to new myeloma drug therapies and diagnostic technologies.

You will apply your skills flexibly across key policy areas including access to treatment, patient voice, stakeholder engagement and general healthcare policy and work with colleagues in communications and fundraising to make sure our supporters and the wider myeloma community understand the positive impact we make.

As the WeProtect Global Alliance Head of Strategy, you will lead a small team to build a global network, evidence base and policy portfolio to guide and drive the implementation of our Strategy and mission targets. Your team will provide high level analysis and ask critical questions, supporting the Alliance to identify immediate and emerging issues which may require investigation or exploration, support the Policy Board, Executive Team, Head of Members and Head of Development to navigate key strategic decisions.

This includes overseeing the production of the WeProtect Global Alliance biennial Global Threat Assessment, Model National Response and Global Strategic Response.

Following a 3-month probation period, you will transition to a fixed-term contract. Upon successful completion of this term, you will be offered a permanent employment contract. A minimum salary of £39,695.24 gross (our salary base for people resident in the UK) will apply from the beginning of the probationary period. The salary base may change due to your previous experience related to the position, or your experience in animal advocacy (+3% for each year). In addition, the salary increases with your seniority in Open Cages according to the following model:

+ 7% – for every year worked at Open Cages during the first 5 years of work

+ 5% – for every year worked at Open Cages during the next 5 years of work

+ 3% – for every year worked at Open Cages during the next 5 years of work

+ 2% – for every year worked at Open Cages during the next years of work

About your role

We are a small and ambitious early-stage organisation with two full-time team members. Our current objective: to help the 1 billion chickens raised annually in the UK. By joining us as our first employee focussed on operations, you will help lay the foundations of the organisation as it prepares for rapid scaling, not only increasing our impact for animals now but by also helping to shape the organisation we want to become. To help the billions of animals trapped on factory farms, we need an organisation that is expertly designed and not weighed down by inefficiencies. In this role your first task will be to help us manage, monitor and speed up our internal processes such as accounting, finances, payments, staff operations, donor management and event planning.

Due to the broad scope of our work, there is no simple description of the perfect employee. There may also be certain areas where you are stronger than others, and we are open to fitting the role around you. We are looking for a generalist rather than a specialist. However, you do need to have some particular strengths such as conscientiousness and an analytical mind. What is a Technical Business Analyst?

As a Technical Business Analyst, you will lead the analysis, design, prioritisation, and implementation of process and technical changes to enhance business operations and services.
