MAIN RESPONSIBILITIES
PA Support to the CEO (estimated 30% of the role)
- Effective diary management for the CEO:
- Corresponding with internal and external contacts to arrange meetings
- Ensuring CEO time is managed with a mixture of meetings and space for desk work
- Maintaining an overview of upcoming appointments for the CEO and highlighting upcoming meetings to the CEO
- Meeting regularly with the CEO to provide a verbal overview of diary changes
- Monitor PA email inbox monitoring for diary or other requests
- Keeping records of meetings up to date on Bond’s systems, including Salesforce
- Maintain and prepare monthly expense and credit card claims for CEO.
- Book travel arrangements for CEO.
- Assist the CEO with staff comms and engagement, including coordinating the monthly staff meetings, stand up, organising awaydays and other staff engagement opportunities.
- Support with the scheduling and planning of SMT meetings, including by ensuring SMT agenda dovetails effectively with that of the Board.
- Produce meeting briefings and powerpoint slides to support CEO engagement.
Governance Support (estimated 40% of the role)
- Support for Board, Committee and Senior Management Team meetings, including:
- Scheduling meetings and room bookings
- Maintaining the annual Board schedule of meetings and deadlines for papers
- Coordinating the production of Board and Committee meeting papers, ensuring these are shared with all trustees and relevant staff ahead of meetings
- Minute meetings board, committee and other relevant meetings
- Ensure Board portal is up to date and accessible for all trustees
- Keep track of actions resulting from Board and Committee meetings and offer support for these to be completed by members of the Senior Management Team and CEO as agreed.
- Contribute to effective board governance, ensuring relevant policies and documentation are in place.
- Support recruitment of new trustees and chair and lead on inductions.
Provide HR administration and operations support to Bond (estimated 30% of the role)
- Provide operations support to members of the senior management team, including:
- Support with credit card returns and expenses claims
- Scheduling meetings and room bookings and event organisation
- Work with the People and Operations Team to provide additional administrative support when required.
- Lead on implementation of HR or Operations initiatives, in collaboration with the People and Operations team.
- Lead on and/or support any longer-term projects relevant to the role.
- Such other duties as may reasonably be required from time to time.

Administration and Resources Coordinator, Part-Time, Remote Working, joining an International Children’s Charity, based in the UK.
- Salary: £26,750 to £27,750 FTE (£16,050 to £16,650 per annum, based on 21 hours a week)

As the Administration and Resources Coordinator, working with the Senior Operations Manager and assisting the HR Manager, you will provide support with a wide range of administration tasks across areas such as operations, finance, compliance, governance, and HR.
Keys areas of responsibility include:
- Providing first point of contact for all service providers such as facilities and virtual office provision; telecoms, storage and archive facility, also IT support.
- Maintaining and monitoring compliance and Health and Safety documentation, insurances, and the contracts register, monitoring renewal dates and support with the renewal processes.
- Meetings: Managing the timetable of Board and Committees meetings, providing support for general meeting preparation.
- Issuing and collecting IT equipment for new starters and leavers. Providing home office set up support. Resourcing IT equipment and any required staff training courses.
- First point of contact for all staff on all IT matters, responding to staff queries or problems as appropriate, referring to the Senior Operations Manager as necessary.
- Financial Support: Assist with processing invoices.
- HR: providing HR administration support assisting with employee engagement administration, L&D administration and other HR related administration tasks.
To be successful in this Administration and Resources Coordinator role you have will worked previously in a similar Administration or Office Coordinator role, and will be able to demonstrate skills, experience and knowledge in areas such as:
- Proven administrative, office administration experience within a varied administrative role, managing multiple tasks simultaneously.
- Experience of providing guidance and support to staff across a broad range of admin areas and queries.
- Excellent IT, MS Office skills, ideally with experience of working with Google Apps.
- Exposure and experience in areas such as: arranging travel, working with suppliers, managing and maintaining insurances documents, Health and Safety documents and other compliance documentation.
- Able to effectively communicate at all levels across an organisation, with excellent written skills to help create and develop documents for internal and external use.

About the Operations and Facilities Assistant role
We are seeking an Operations and Facilities Assistant to work closely with the Senior Operations & Facilities Manager to ensure the effective and efficient running of the organisation’s administrative systems and day to day activities.
This role supports the work of the whole organisation – acting as our receptionist, as well as supporting on a wide range of administrative tasks across HR, systems, IT, and building management.
The Operations & Facilities Assistant will often be the first point of contact for the internal Helpdesk, playing a key role in responding effectively to enquiries, as well as supporting key projects within the Operations and Facilities team.

We’re looking for someone with excellent organisational and interpersonal skills and well as good project management abilities. You’ll need to be able to manage multiple competing priorities, have strong research skills, and be keen to learn and innovate. This role
We are recruiting for a new role providing EA support to the CEO and administrative support across the organisation.
Justice and Care is at an exciting moment with the imminent launch of a new ten-year strategy and this role will be a key part of our team and play a vital role in helping us achieve our vision.

The role is based at our offices in Brixton, and because of the nature of the role, it is office-based. We are happy to consider either full time or part time working (a minimum of three days or the equivalent hours.

Areas of Responsibility
Office
Keeping the office tidy and well managed – this includes:
·Support the office by ensuring stocks of tea, coffee and basic stationery are maintained.
·Handling one-off purchase requests for special items.
·Organising team meetings and occasional working lunches.
·Respond to queries and information from the team.
·Working with external IT support for IT problems e.g. sending broken laptops to IT support team.
·Maintaining a record of our laptops and other equipment.
·Being the lead administrator for our CRM system, Zoho, and HR database, Breathe.
·Managing the office email box where we receive general emails, circulating and responding to incoming mail as needed.
·Answering calls to our virtual landline, passing on messages as appropriate.
·Supporting the Executive Director with diary management.
·Assisting the wider team with travel booking.
Governance
·Supporting our trustees, committees and expert advisory group through liaison and scheduling meetings.
·Collating and sending papers out in advance of these meetings.
·Administrative support at meetings.
·Preparing minutes of meetings.
HR
·Support the Team with recruitment, posting jobs, and coordinating interview times and dates.
·Organise onboarding for new employees, including IT provision, DBS checks and induction.
·Supporting HFO with developing the use of our HR Database.
·Ensuring leave, training and basic HR information is accurately recorded.
·Supporting SMT to organise away days, office party, etc.
·Supporting staff wellbeing initiatives.
·Work with the HFO to develop our EDI and other policies.

Person Profile

Experience of using Zoho, Canva or Breathe is desirable but not essential.

This role is offered as a Grade 1 or Grade 2 level post, depending on the level of experience of the person appointed. Accordingly, the salary will be between £25,642 and £31,450.

Terrence Higgins Trust have an exciting opportunity for a Health Promotion Specialist, working in Essex as part of the wider Essex Sexual Health Service.
The post holder will support in the design and delivery of effective health promotion (HP) and behaviour change communication (BCC) interventions appropriate to the needs of Young People and other groups at increased risk of poor sexual health outcomes.
The post holder will work closely with educational establishments to directly deliver relationship and sexual health education (RSHE), parent sessions, and educator training in both primary and secondary settings.
Delivery will also involve community engagement approaches that tackle health inequalities including HIV related stigma and discrimination. Delivering targeted interventions that increase knowledge and awareness of sexual health issues including: sexual health testing, consent, confidentiality, LGBTQ+ inclusivity, whilst also increasing access to eC-Card and access to care treatment and the uptake of broader sexual health services across Essex and Thurrock.

You will need to have a passion for Interserve’s vision and mission as well as at least 2 years experience in a finance role. You should also possess an excellent standard of numeracy as well as accuracy with detailed spreadsheets. You should be able to work independently and as part of the Finance Team.

Key responsibilities for this post will include:
- Preparing and checking job advertisements, descriptions and person specifications within the institute, ensuring internal quality and standardisation.

To be considered for this post, you will have:
- Experience in a similar role, from within a Higher Education setting or similar organisation.
- Demonstrable experience of providing high quality HR support in a variety of areas.
- Experience in using online recruitment databases and systems.
- Strong knowledge of employment legislation, including knowledge of UKVI points-based system and other UK immigration regulations.
- Highly effective communication and interpersonal skills, with the ability to work with a variety of stakeholders.
- Understanding of the confidential nature of HR work and the ability to deal with sensitive information accordingly.
- Strong time management and organisational skills with a keen attention to detail.
- Financial and numerical literacy.

Role Overview:
Reporting to the Management Accountant, the Finance Assistant will support the Finance Team, providing financial and administrative services for our business. The Finance team sits within our Central Services division.
Central Services ensures the company operates smoothly and assists in working towards Enables strategic direction. Supporting the various services that make up Enable, Central Services consists of small and high output teams including Human Resources, Marcomms, Operations and Finance. Together, these teams make up the foundation of our business, driving our mission and fostering growth and development.
Main Duties/Responsibilities:
- Accounts payable and receivables: controls and processes
- Processing purchase invoices: entering and coding invoices (including VAT) in Xero managing the approval workflow (by cost centre budget holders) as required
- Setting up weekly payment runs, expense pay runs and individual payments as required
- Maintaining the aged purchase ledger ensuring invoices are accounted for on receipt and tracked through to payment
- Supplier set-up: ensure appropriate supplier information is obtained
- Raising sales and recharge invoices on a monthly/quarterly basis
- Bank reconciliation process
- Posting cash journals to record payments/receipts from bank statements into the ledger
- Processing and posting payroll journal
- Assisting with month-end processes
- Assisting with balance sheet reconciliations and other standard month end processes
- Assisting with year-end accounts preparation and audit process
- Assisting with general finance-related inquiries and correspondence received via the generic finance email inbox.
Skills and Experience:
