The Director of Operations will play a pivotal role in driving the operational efficiency, financial sustainability, and strategic growth of Well Grounded. This position will lead on programme delivery, financial management, human resources, risk and compliance, governance, and facilities management, ensuring that the organisation operates smoothly and sustainably. 

The post-holder will act as the Designated Safeguarding Lead (DSL), embedding a strong safeguarding culture across the organisation. This is a senior leadership role, requiring a strong background in operations, safeguarding, and strategic management within a social enterprise or charity/education setting. The role will include regular travel to our academies currently based in London, Bristol and due to launch in Leeds this year. Travel will be covered.

Duties and responsibilities:

- Process and monitor Criminal Record Checks for our employees and contractors. 
- Process employee changes, following relevant procedures. 
- Update and enter information on various systems, ensuring a high level of data quality is maintained.
- Monitor data reports and ensure compliance with key processes.
- Work collaboratively with our wider teams, including our Talent Acquisition, People Partnering, IT, and Payroll.
- Signposting employees and managers to relevant policies and information.
- Comply with data protection regulations.
- Undertake other duties or projects commensurate with the nature and grade of this post as required.

About the Youth Endowment Fund 

We’re here to prevent children from becoming involved in violence. We do this by finding out what works and building a movement to change things.  

In recent years, violent crime involving children has increased. This is a tragedy. Every child is an important member of our community and society has a duty to protect them.

The Youth Endowment Fund (YEF) is a charity with a £200m endowment that exists to reverse this trend. We will achieve this by finding out what works to prevent youth violence and building a movement to put this knowledge into practice. Key Responsibilities

Office Management

• Ensuring that the office space is well managed including well stocked office supplies and refreshments.

HR administration

Finance 

Prepare invoice authorisation and payment process, ensuring invoices and expenses are recorded and approved appropriately, and payments made to suppliers in a timely manner. 

Reconcile bank statements, accounting software, and CRM, to ensure accurate income and expenditure records. 

Administer the corporate credit card scheme to ensure statements and transactions are approved, reconciled and accurate. 

Issue and update membership invoices using CRM. 

Manage outstanding debtor balances to ensure timely receipt of cash for ACF’s income. 

Respond to member and supplier queries regarding invoices and payments. 

Support cashflow management by maintaining a cashflow forecast. 

HR 

Maintain annual leave and sick leave records. 

Support HR manager with onboarding new staff: issuing offer letters, contracts, new starter forms, sending reference requests and arranging IT set up. 

Support HR manager with processing staff leavers: managing leaver checklists, issuing leaver letters, requesting the closure of IT accounts. 

Update ACFs organisational chart and welcome handbook as required. 

Ad hoc HR administration support around peak periods e.g. end of year reviews 

Other 

Support other Operations and Office Management functions as needed, including IT and office equipment, ensuring adequate levels of kitchen and office supplies, managing incoming post, and liaising with suppliers.

We are currently seeking a Resourcing Coordinator to join the team on a 1 year fixed-term contract. The overall responsibility of the People and Culture Administrator role is to support the smooth running of the Foundation’s People & Culture function. The role is responsible for the administration support to the People & Culture business area, specifically the business partnering team.  

The People & Culture Administrator will play a key role in handling people processes, employee records and provide general HR support, ensuring compliance with policies and procedures. The role will work collaboratively with the Talent Co-ordinator and People Operations Analyst to ensure the full spectrum of the People & Culture directorate is functioning effectively and efficiently. 

Key Responsibilities

People/HR Administration 

• Maintain and update employee records and HR databases, ensuring accuracy and confidentiality. 
• Liaise with the People Business Partners to prepare HR documents, such as contracts, carry out suitable checks (such as OH and DBS) and take up references. 
• Assist with People Operations Analyst with reporting, including tracking key metrics such as absence, turnover, and compliance. 
• Support the administration of People policies, procedures, and processes. 
• Handle general People/HR queries from employees, utilising suitable technology to track, escalate and close off queries. 
• Produce and send HR related letters and correspondence as required. 
• Develop and oversee an adequate, effective, and efficient electronic filing system for storing employee information 
• Support the People Business Partners in managing individual review cycles, sending reminders to managers when reviews are due and signposting staff and Line Managers to further support and guidance.  
• Working with the People Business Partners, collectively manage the 360 feedback surveys for end of year reviews.  
• Ensure reviews are completed on time and closed off on the relevant HR Information systems.  
• Work with the CPO, Head of People & Culture and Internal Communications Manager to develop People related content, for dissemination via Staff Gatherings, Foundation Hub, staff emails and system alerts. 
• Publish and maintain content on the Foundation intranet. 

Payroll & Benefits Administration 

• Assist the People Operations Analyst with payroll processing, ensuring timely and accurate submission of employee data. 
• Maintain records for employee benefits such as pensions, health insurance, and other schemes. 
• Support the administration of annual leave and absence tracking. 

Employee Relations & Compliance 

• Ensure compliance with employment laws, company policies, and GDPR regulations. 
• Assist in handling employee relations matters by supporting documentation and meetings. 
• Maintain and update People policies and procedures as required. 
• Support HR projects, including assisting the People Operations Analyst in delivering employee engagement initiatives etc.

Skills, Knowledge and Expertise

• Strong organisational skills with excellent attention to detail.
