About this job

The Office Administrator role is to provide a high level of customer service and support to our service users, supporters, volunteers, groups, members of the public and internal customers. Contributing to overall implementation of the Services and Support and Northern Ireland directorates’ objectives. This will be achieved by ensuring the best possible service user experience for our MS community and by proactively improving processes and ways of working.

Please note this is a part-time job working Monday to Friday from 10am to 3:30pm.

Your Roles and Responsibilities, but Not Limited To:

• Lead, develop, and support staff you manage by offering advice, guidance and an inclusive working environment.

• Take responsibility for developing a Health and Wellbeing Strategy to direct the Trust’s health and wellbeing provision.
• Take responsibility for monitoring programme budgets, funding meetings and liaising with partners throughout the lifetime of projects/initiatives, ensuring that the Trust’s obligations detailed in contracts/SLA’s are met.
• Set appropriate budgets and oversee, manage, and monitor these, to ensure the targets are achieved.
• Work with the Community Director and funding officer to identify and submit relevant grants, funding applications, and tenders/bids for commissioned work.
• Secure funding and increase unrestricted income streams to support on-going programme delivery and sustainability of the department.
• Oversee the implementation of a robust, high-quality data capture process to ensure the department can evidence impact and social value of its programmes through a variety of methods such as reports, case studies, testimonies, media articles, and feedback surveys.

You Must Have:

• Significant experience of line managing, leading and developing staff and volunteers creating a strong team culture and inclusive working environment.
• Success in building relationships both internally and externally, working collaboratively with a range of stakeholders.
• Proven experience of working at management / leadership level.
• Experienced in project management, ability to prioritise and manage multiple workstreams and completing priorities.
• Sound experience of setting and managing budgets.
• Proven track record of securing funding for projects or initiatives including local, regional and national funders through partnership work and / or bid writing.
• Ability to identify trends and analyse data to inform decision making.
• An experience of leading, and commitment to, equality, diversity and inclusion (EDI) and safeguarding.
• A level 3 (‘A’ Level or equivalent) qualification or higher in a health-related subject, or other relevant subject area.
• A full and valid UK Driving Licence, as well as access to a vehicle for work.
• Influential communicator with a range of audiences, and the ability to use a range of different mediums, with written skills to an excellent standard.
• Ability to work calmly under pressure, meet deadlines and have an attention to detail.
• Excellent negotiation, interpersonal and relationship management skills to build and maintain strong professional relationships and connect with partners priorities.
• Ability to work collaboratively and flexibly as part of a team with differing views and needs.
• Have a flexible approach to work and be able to work unsociable hours (including some evenings and weekends).

You Ideally Would Have:

• Knowledge and understanding of the health priorities across Hertfordshire and Harrow.
• Experience of putting together service level agreements/contracts for project partners.
• Experience of using IT systems to monitor and evaluate the delivery of services.
• Experience of event management.
• Valid Emergency Aid and Safeguarding children and vulnerable adults’ certificates (or willing to complete these prior to commencing in the role).
• Minimum Level 3 Personal Trainer Qualification and GP referral Qualification.
• Educated to Degree Level - Health and Fitness Related.

Job Purpose 

The Director of Finance, Operations & Compliance will be a key member of the Senior Leadership Team, working to ensure the impact, sustainability, diligence and productivity of the organisation, with a commitment to organisational transformation within the framework of a values-led approach to people and culture. 

Taking a lead on all financial, support and compliance activities, the role demands a combination of the hands-on approach needed in a medium-sized charity with the strong people management skills to enable all members of their team to deliver high quality services and to thrive in their roles.

Key responsibilities include: 

• All aspects of financial strategy, planning and control. 

• Providing oversight of organisational priorities, productivity, performance, people & HR, risk and due diligence. 

• Support to fundraising and programmes.

• Co-creating ways of working to enable an adaptive, collaborative and high performing organisational team.

Key Accountabilities and Responsibilities:

Financial Strategy, Planning and Control: 

• Accountable for organisational financial strategy, working with senior staff and trustees to ensure multi-year planning, target setting and monitoring in line with Habitat GB’s strategic objectives.

• Accountable for all aspects of financial management and control, including budgeting, reforecasting, treasury management, cashflow, management information, performance and statutory reporting.

• Accountable for the development and continuous improvement of reporting frameworks, including leading regular reviews with Senior Leadership team and providing quantitative and qualitative reports for the Board including clear and accessible narrative analysis.

• Provision of financial management and accounting services, management information, and statutory reporting. 

• Lead the organisation of quarterly Finance, Audit & Risk Committee meetings, in line with the Committee Terms of Reference and in consultation with the Treasurer, and National Director/CEO. 

• Responsible for the preparation and submission of annual statutory accounts in accordance with SORP and legal requirements and coordinating the external audit exercise and seeing the process through to Board approvals and filing with statutory bodies. 

• Lead a positive and collaborative relationship with HFHI Finance teams and ensure that Habitat GB meets its regular reporting requirements. 

• Lead Habitat GB’s relationship with relevant external partners, including auditors, bankers, insurers, pension providers, HMRC, Charity Commission and Companies House. 

GB Homes Subsidiary Entity: 

• Working closely with the National Director/CEO on planning for the future wind-up of the entity, providing all financial management, reporting and compliance resources as required in the interim. 

• Working with the Director of Programme Delivery, provide financial resource and support to the management of the former GB Homes asset portfolio, developing appropriate reporting mechanisms that provide data which can be included into the combined budgeting and reporting of Habitat GB 

• Accountable for integration and ongoing provision of the operational requirements of the GB Homes subsidiary, including insurance, technology, and communications requirements. 

Fundraising & Programmes support: 

• Work closely with the Directors of Fundraising & Partnerships, and of Impact & Influence to set ambitious and achievable targets across restricted and unrestricted fundraising, track performance, and ensure high quality forecasting, reporting and budget management. 

• Be responsible for the development and oversight of policies, protocols and systems required for restricted fund management which align with Habitat for Humanity International and external donor requirements. 

• Work collaboratively across Habitat GB to agree service delivery expectations and ensure the timely provision of relevant inputs from the Finance, Operations & Compliance team across partnership and programme cycles.  For example, audit or financial reporting requirements from donors, up to date policies, review of proposal documents, grants and contract agreements. 

• Work closely with the Directors of Programme Delivery & Retail to ensure Habitat GB has the specialist knowledge and financial skills relevant to our diverse types of programmes, including a new and growing retail operation, as well as construction project delivery. 

Risk Management and Compliance: 

• Lead on the development and maintenance of the organisational Risk Register, being responsible for the management and mitigation of financial, regulatory and operational risks and coordinating with others on the reporting and review of other risk areas. 

• Ensure Habitat GB is fully compliant and up to date with all its data protection and insurance requirements and has access to appropriate legal and other expert resources where necessary. 

• Be responsible for technology infrastructure, hardware and the management of outsourced support services. 

People Policies and HR Administration: 

• Support the Head of People to deliver a high-quality People and HR service to the organisation and our partners, including efficient HR administration, pension and payroll, people management, safeguarding, strategy and leadership. 

• Working closely with the National Director and others, have overall responsibility for the provision of up to date, user-friendly and legally compliant policies and procedures which support an efficient and effective organisational culture and environment. 

Leadership & Management: 

• Lead a high performing and ambitious team, inspired to implement and grow the strategy and with a core focus on positive impact for Habitat GB’s community and strategic partners through the provisional of excellent functional and subject matter expertise. 

• Develop, lead and focus the Finance, Operations & Compliance team, its budget, activities and performance, to ensure the delivery against targets. 

• Manage, motivate and develop team members. Ensure regular 1-2-1s are held, set individual objectives, encourage a culture of giving and receiving feedback, where kindness and ambition support the progression of people and plans. 

• Set quality standards and meaningful KPIs to encourage ownership and accountability with direct reports, team, and others and effectively monitor progress towards agreed targets. 

• Role model our values in line with Habitat GB’s inclusive approach to people and culture. 

Organisational Leadership: 

• Support the National Director/CEO in delivering Habitat GB’s strategy and vision, acting as a collaborative and supportive member of a shared leadership team.

• Be an active leader across the organisation, collaborating effectively with teams, and contributing fully to organisational wide initiatives and opportunities.

• Deputise for the National Director when required and represent HFHGB in external meetings and forums. 

Person profile: 

• Holder of a relevant professional or accounting qualification: e.g. ACCA or equivalent. 

• Expertise in charity sector compliance (FRS102) reporting requirements. 

• Expert knowledge of financial strategy, management and reporting, with experience relevant to funding and grants, retail, commercial or construction. 

• Proven track record of developing and leading complex financial strategies and supporting teams to deliver high quality functional inputs in an inclusive, collaborative environment. 

• Hands-on experience with relevant accounting systems and the ability to quickly learn new systems (Habitat GB uses SUN and SAGE systems). 

• Experience working in and leading teams responsible for operational and people related functions. 

• Experience of working in a similar organisation, collaborating across teams and operating in a highly effective way across a diverse, networked structure. 

• Significant and successful experience in senior management roles, encompassing strategic management and team leadership. 

• Understanding and experience of complex organisational change projects, including the ability to support new teams to develop and thrive.

• To provide high quality, proactive and efficient support to the service pipeline, service transformation project and service team members across the UK, whilst maintaining appropriate systems and processes to support the effective delivery of service innovation and development

THE ROLE

This is a senior leadership role at The Girls’ Network with strategic and operational responsibility for the successful delivery of our mentoring and ambassador programmes. You will lead a geographically dispersed, home-based programme team, ensuring high-quality, girl-centred delivery that meets our organisational goals and supports our long-term impact. As the charity’s Safeguarding Lead, you’ll oversee safeguarding strategy and decision-making, and play a vital role in championing best practice across the organisation. You’ll also be accountable for the mentor journey - from recruitment and engagement to retention, and act as our in-house expert on mentoring and impactful interventions for girls and young women. With a strong focus on continuous improvement, innovation, and data-driven decision making, this role is key to shaping and evolving our programme offer to meet the needs of the girls we serve.

Key Activities

Programme Delivery

• Operational ownership and accountability for the successful delivery of The Girls’ Network programmes, in line with our strategic aims and operational targets.
• Ownership and accountability for operational safeguarding decision-making in relation to programme delivery.
• Leadership of implementation and compliance of processes and procedures in the programme team, to ensure best practice, quality and consistency.
• Be accountable for our volunteer mentor community, including the mentor experience, engagement and retention. Ownership of our mentor recruitment retention strategy and ongoing activity.
• The organisation’s subject matter expert in relation to mentoring programmes and impactful interventions for girls and young women more widely, to inform the work we do.
• Ownership of data utilisation for effective ongoing monitoring and evaluation of the programme, to inform continuous improvement and progress to enable reporting to key stakeholders, including the CEO and trustee board.
• Oversight of the Ambassador Programme, including developments and enhancements to our delivery, in line with our strategy. This includes improved integration of the ambassador community to the rest of our programmes, enabling wider participation and great long-term impact.

Design and Development

• Develop and implement the programme’s operational delivery plan, in line with broader strategic objectives.
• Introduce an effective way of making iterative programmatic changes to enable continuous improvement and ensure we deliver a programme of consistently high quality, that remains current and flexes to the needs of the girls we support.
• Ensure a girl-centred approach to all programme delivery and development.
• Work closely with the Fundraising team to align partnership activities, managing high profile relationships relevant to the programme and identifying opportunities for joint-working and income generation.
• Identify needs and opportunities for innovation and growth and pilot new programme elements to deliver impact and, when appropriate, revenue

Team Leadership

• Effective leadership and direction of a programme team who are entirely home-based and widely geographically dispersed.
• Line management of senior members of the programme delivery team, the Programme Co-ordinator and MERL Manager.
• Foster a team environment in-keeping with our organisational values.
• Ownership of the professional development of programme delivery team members. This includes enabling new members of the team to have the tools to deliver effectively, as well as the ongoing development of existing staff.
• Ownership of recruitment of programme team roles, with support from the People & Culture Manager.

Safeguarding

• Named Safeguarding Lead for the charity with ultimate accountability for Safeguarding decisions.
• Working with Safeguarding Officers, ensure policies are kept up-to-date and reflect best practice.
• Review any key training and material, especially that which is shared externally.
• Ensure all staff and trustees undergo the appropriate training needed to meet their safeguarding responsibilities.
• Overall responsibility for the safeguarding phone, and any rota established for this.
• Management and training.

Wider organisational objectives

• Advocate and promote The Girls’ Network at every opportunity - for example, through local media, PR activities and social media.

About the Youth Endowment Fund

We’re here to prevent children and young people becoming involved in violence. We do this by finding out what works and building a movement to put this knowledge into practice.  

In recent years violent crime has risen significantly. Homicides, assaults, robberies and offences involving weapons have all seen sustained growth. We have also seen large increases in violent crime involving children and young people. This is a tragedy. Every child captured in these numbers is an important member of our community and society has a duty to protect them.

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children and young people becoming involved in violence across England and Wales. We do this by funding great initiatives, finding out what works and working for change. 

Key Responsibilities

Your role is to ensure YEF’s funding is directed toward the most crucial gaps in evidence – those that, if filled, will lead to meaningful change for young people. You will oversee the selection of the most promising, evaluable interventions to test in England and Wales, ensure trials are set up successfully, and work with our Evaluation team to deliver high-quality impact evaluations.

More specifically, you will:

Provide team and organisational leadership

• Provide inspirational leadership to the Programmes Team of ten people, ensuring they are best-in-class at supporting delivery organisations to engage in robust evaluation.

• Oversee the Programmes team, including direct line management of four Programme & Impact Leads.

• Ensure the expertise within the Programmes Team is embedded in YEF’s wider work, drawing on the team’s experience of working with delivery organisations to help shape policy and practice recommendations.

• Represent YEF externally, ensuring our funding programmes are well understood and aligned with our sectors’ needs.

• Directly contribute to annual and multi-year planning as part of YEF’s operational planning cycle.

• Be responsible for tracking and reporting progress against our key organisational performance metrics. 

• Help build and model a culture where it is natural to perform well, and colleagues support one another to do so.

Hold strategic oversight of new evaluation commissioning

• Work with the Assistant Director of Evaluation to shape and implement YEF’s strategy for programme and evaluation commissioning. 

• Oversee the team in identifying and developing proposals for new trials within our main sectors. 

• Assess the feasibility and strategic value of evaluation proposals, making stop/go decisions on their progression.

• Ensure the Programmes Team effectively supports grantees to work with evaluators to co-design interventions and develop clear, robust plans for trial setup and delivery.

• Oversee the development of high-quality proposals for new trials, assuring quality and presenting clear recommendations for our Grants and Evaluation Committee.

Be responsible for the ongoing oversight of the full portfolio of evaluations 

• Lead and be accountable for delivering on YEF’s Race Equity commitments within our funding decisions and grant delivery.

• Serve as a senior escalation point for a portfolio of c.50 live trials, maintaining oversight of progress across our portfolio of live trials and intervening early when we spot risks.

• Oversee the financial management of the team’s project portfolio across c.50 live trials, ensuring effective budget oversight, approving grant payments, and maintaining financial accountability.

• Provide direct advice and guidance to the Programmes Team on the setup and delivery of our most complex trials.

• Ensure the rapid mobilisation of new trials following approval.

Build meaningful partnerships and strengthen the organisation’s influence

• Be responsible for partnership opportunities with central Government—holding key relationships, assessing the strategic value of co-funded evaluation projects, and overseeing Heads of Evaluation to negotiate new partnerships terms.

• Steward strategic relationships with other key stakeholders, including other research and policy organisations, funders, and delivery organisations that will help us influence change.

• Represent the Fund on boards, committees and events, including providing up-to-date information to external audiences on YEF-funded activity, and sitting on the board of external organisations linked to YEF’s work.

• Be proactive in identifying co-funding opportunities and ensuring fundraising targets are met for new and existing evaluations.

The successful Director of Philanthropy will represent Our Future Health at pitches, fundraising events and meetings with internal and external stakeholders. Your key responsibilities will include but not be limited to:

About Leeds Baby Bank

At Leeds Baby Bank our mission is to ensure no child goes without. We support families in Leeds, with children aged 0-5 years, who are experiencing poverty. We provide families with all the essentials and equipment they need for their babies and young children. This includes bed bundles, nappies and toiletries, baby baths, potties, highchairs, prams and buggies, clothes and shoes, toys and books.

Families are referred to Leeds Baby Bank by our professional referral partners. This includes midwives, health visitors and social workers. This ensures we’re helping families who are in the most need. We also run an Outreach project, where we support families in the community at four different community centres across Leeds. Here we provide signposting and advice as well as essential items for young families.

About the role

The Head of Charity will work with the board of trustees to lead the day to day running and management of Leeds Baby Bank. You will be self-motivated and enthusiastic with demonstrable leadership experience and a strategic mindset. The Head of Charity will lead a dedicated staff and volunteer team to achieve the ongoing strategic aims of Leeds Baby Bank, whilst also having the skills to support the charity through a period of ongoing change.

Main duties and responsibilities

• Manage the implementation of Leeds Baby Bank’s strategic plan.
• Develop and present an annual business plan and income and expenditure budget to deliver the strategic plan.
• Manage all operational activity of the charity in line with the business plan and budget, ensuring they are the central drivers of the charity’s work.
• Develop and maintain systems which monitor progress against the business plan and budget and provide regular reports to the Board of Trustees on progress against those plans.
• Create the annual Social Impact Report and share with key stakeholders and partners.
• Support the creation of the annual accounts reporting via QuickBooks.
• Ensure that the legal requirements of the Registered Charity are met and that all trustees, staff and volunteers are kept abreast of changes in relevant legislation and policy as appropriate.
• Responsible for the charity’s policies and procedures, leading on their implementation in the charity’s work and ensuring trustees, staff and volunteers are aware of their responsibilities.
• Review policies and procedures proactively and reactively as required, in line with the charity’s review procedures.
• Responsible for the charity’s day to day risk management procedures, this includes updating risk assessments, ensuring that ongoing risks are reported on and highlighting new risks to the Board of Trustees.
• Provide strong leadership, direction and management in all aspects of the charity’s work and represent the charity with stakeholders and publicly.
• Facilitate the continual development of the charity’s services by introducing new ideas, identifying new opportunities and increasing income. 

If you are right for this role, you will be a committed, motivated, and outgoing individual who wants to support the sexual and reproductive health (SRH) of young people living in the Royal Borough of Greenwich, working in a partnership capacity as part of a holistic health and wellbeing programme. Your role will be multi-faceted, and you will therefore be flexible and able to offer a variety of SRH interventions in a broad range of settings, to a broad range of young people.

First, you will provide brief interventions in sexual health in an outreach capacity at schools, colleges, universities, leisure centres, youth organisations, and other venues. Here, your primary focus will be to provide basic information about SRH to young people, whilst also encouraging them to complete a Chlamydia screen and register to the free condom scheme. You will also promote online testing for those aged over 18, and connect young people with other local sexual health services through referral and signposting.

Second, you will deliver SRH and relationships training to groups of young people and professionals, in smaller workshop settings as well as to larger groups. You will be able to deliver accurate information on a variety of topics that are often sensitive and complex. You will have an existing knowledge base that you will be willing to expand and solidify through a combination of supported training and independent learning.

Third, you will facilitate offsite drop-in sexual health sessions and offer 1:1 sexual health support to young people who attend any of the four Young Greenwich youth groups. You and your team will each be responsible for attending the four Young Greenwich hubs once each week during evening hours, working closely with the youth group leader as well as the young people themselves to establish trusted relationships and an engaging programme of activity. You will be proactive and creative at integrating sexual health to other, ongoing activities, and ensure effective safeguarding.

Additionally, you will work closely with the wider SHO team, including supporting the sexual health phone lines processing screening results, and where necessary, signposting to relevant services. Across all aspects of your role, you promote local sexual health and contraception services to young people and adults alike, referring to in-person or online services as appropriate and handholding as much or as little as needed, particularly to those most vulnerable. You will keep accurate monitoring records for all interactions, referrals, Chlamydia screens, and C Card registrations / distributions. You will also contribute to quarterly service review reports.

This role requires flexibility, working unsociable hours in the evenings, and occasional weekends. Schedules may vary from week to week depending on programme need.
