About the role

We are looking for a detail-oriented Administration and Finance Assistant to join our team. You will work with the Chief Operating Officer to ensure payroll, invoicing and finance tasks are completed and with the wider team on administrative support.

Key Responsibilies:

Finance (estimated 60% of work hours)

• Working under the direction of the Chief Operating Officer (COO) and external accounting team, and using the Xero finance system to;
  • Prepare, send, and chase invoices through co-ordinating with wider team members
  • Liaise with accountants & COO to ensure correct income allocation across department codes
  • Arrange refund and credit notes when needed
  • Order equipment for staff. Complete supplier details requests. Ensure costs are correctly allocated across the department codes on Xero
  • Pay expenses to staff
  • Reconcile Xero with bank account
  • Deal with external suppliers

Admin and operations (estimated 40% of work hours)

Ensuring the smooth running of CSH operations including:

• Setting up regular team meetings
• HR systems administration – Keeping track of staff holidays, sick leave. Updating and maintenance of staff details and HR folders
• Helping with recruitment admin including filing applications, sending replies and responding to queries
• Organising office days once a month- booking venues, catering and technical support
• Timely management of CSH general inbox and phoneline, ensuring there is holiday cover in place when needed
• General CSH administration; providing additional administration tasks for the CSH team as required
• Working with the COO and Directors to prioritise continuous improvement and ensure administrative processes are smooth across the organisation.
• Dealing with external suppliers e.g. IT support, software providers.
• Ensuring compliance with health and safety standards is facilitated and prompted across CSH (e.g. Display Screen Equipment training)
• Administrative support to new starters
• Supporting offboarding of staff: calculating remaining annual leave, supporting leavers with handover, arranging leaving card and gifts, ensuring recovery of CSH assets; IT equipment, systems access and software etc.
• Supporting COO with EDI initiatives and actions (RACE report etc.)

Purpose of the role

The Programme Manager will manage the delivery of key projects and support the Programme Director in overseeing the smooth running of a Programme Management Office (PMO) ensuring that the CEO and Board have the information needed to steer the success of the Programme. 

Key Responsibilities:

Key responsibilities across the 2-3 roles will include the following:

• Project managing the delivery of key work streams and projects such as the award and monitoring of grants to support capacity building and Requests for Proposal (RFPs) for the delivery of training. 
• Monitoring the progress of projects, identifying issues and proposing solutions, and maintaining and producing a range of high-quality project documentation (plans, risk and issues registers etc) to support effective delivery – and leading on project and programme board meetings.

• In addition to the support for business lending CDFIs set out above, one of the role-holders may also lead a project to further develop Responsible Finance’s support offer for personal lending members and be the day-to-day point of contact for these members.

The role: overview 

Global Canopy is seeking an experienced senior programme manager to provide programme/project management capacity and capability across its growing portfolio of complex programmes that deliver cutting edge tools, data, analysis and impact at the heart of this vital  and impactful sector.

You will have the opportunity to embed best practice, create systems and processes and lead a culture of professionalising programme management across the organisation.

And you will be a leading part of solving exciting emerging challenges such as cross-programme lesson learning, coordinated workplanning and robust evaluation of impact across an organisation that is building on the traction and credibility gained.

Your role will bring together the needs of all of Global Canopy's complex projects with a programme management approach, supporting the delivery of the annual planning process.

The position is full-time or 0.8 FTE (with adjusted job responsibilities), on a fixed-term 24-month contract. This position can be Remote with the relevant right to work.  If Remote there would be a need to attend the office in Oxford once a month.  Alternatively the position could be based in Brazil. 

To be successful in this role, these are the things that will matter the most:

• Significant experience of Programme managing complex programmes or projects

• Experience of Programme management in a relevant technical sector and working within or with non-profit organisations.

• Proven track record of working with technical colleagues and sectoral experts.  Experience of different mechanisms to support technical colleagues in delivering programme management tasks, including facilitation of workshops and using programme management tools.

• Ability to gather insight into programmes and build remote relationships quickly, allowing clear insight and direction to technical experts.

• Pragmatism of balancing the use of programme management tools and techniques with the needs of the business and speed of delivery, ensuring best practice and fit for purpose is balanced in this fast paced environment.

• Experience of building programme management capability in others e.g. providing training or upskilling sessions.

Key Purpose of the role:

The Senior SD Manager position is accountable for the day-to-day responsibility for ensuring the efficiencies, and responsive running of the service delivery team. 

Providing oversight to ensure the team are motivated, driven, appropriately supported and have all the tools and skills needed to execute their roles effectively. The Senior Manager will also oversee the development, management and continuous improvement of all SD systems, processes, and procedures needed to ensure all existing and new support services run smoothly. 

Ensuring SD is compliant in all areas, including those services provided by Third Party Partners, and be the CRM subject matter expert ensuring that new systems provide the data and information required and that it is analysed and communicated out internally to Head of Service Delivery, plus other relevant Heads of Department, and externally as needed in a timely manner.
