We are looking for a new team member to provide full administrative and programme support to the Employment & Careers team. The role will involve supporting the team in the day to day running of the service including the preparation of contract documentation (such as registration forms, as well as specified supporting evidence: ID proofs, Proofs of Address etc.) for submission to funding partners, uploading data spreadsheets and CMS systems, and supporting the team with promotion, outreach and engagement of our services. This includes conducting follow-ups and answering queries (by phone, email and in person) from both current and prospective participants on the programmes being delivered by High Trees. They will also be responsible for the preparation of finance related performance evidence for monthly/quarterly submission.

The successful applicant will have experience of providing efficient administrative support, be very organised and able to work to deadlines while maintaining a high level of attention to detail. Must also be flexible and excited about being at the heart of a small but fast paced team which is committed to providing an excellent service to High Trees’ users.

The Data and Operations Senior Officer is responsible for the daily management and effective operation of the Bliss CRM, Raiser’s Edge, as well as leading on key data projects to make the most of the insights and information captured in our CRM to maximise Bliss’ fundraising. This is a fantastic opportunity for someone to take ownership of Bliss’ data operations, helping to support our Fundraising department – and the wider organisation – to make the best use of our CRM systems, supporter data, and internal resources to raise more money and reach more families. Fundraising at BCYP

BCYP has historically been very successful in raising funds from non-statutory sources, particularly trusts and foundations, and is grateful to hold a number of established relationships with grant- makers. We work hard to ensure that we submit excellent, data-driven applications and evaluations. Until now, applications have largely been submitted by our Fundraising Manager- Trusts & Foundations, with occasional support from a freelance bid-writer. The role:

About the position

The GMS Support Manager will be responsible for leading on the day-to-day operations of the Freedom Fund’s new Salesforce Grant Management System. The project to develop the new GMS is currently in progress, with user training expected to take place in January 2025 and the Go Live planned for February 2025.  The transition to the new system will be a significant change in the organisation’s way of working; currently the Freedom Fund’s grant management process is manual and spread over multiple different platforms.

Initially, the focus of the role will be on supporting the Freedom Fund staff as they transition to using the new system, including assisting with user training and working with the implementation partner Hyphen8 to identify and resolve any issues that arise. Following Go Live, the GMS Support Manager will be responsible for leading on administration and maintenance of the system, requiring a good technical knowledge of how Salesforce works. The role will be responsible for user training and support, leading on staff consultation for future system developments and prioritising requests. The successful candidate will also act as the main point of contact between the Freedom Fund and implementation partner Hyphen8 for both ongoing support and future development phases. 

Responsibilities 

• Support the roll-out of the Freedom Fund’s new Grant Management System, including supporting Hyphen8 with user training and troubleshooting any issues that arise during the transition.

• Lead the day-to-day operations of the Salesforce system; including system performance, change control and user support

 This is a new role at the DEC and developed as a key part of the DEC’s 2024-2029 strategy. • Develop, implement, and manage data loss prevention strategies and tools to safeguard sensitive information from unauthorized access, loss, or misuse.
• Monitor and analyse data flows and user activities to detect and respond to potential data breaches or policy violations.
• Work with IT security teams to establish controls and technologies that prevent data leakage (e.g., encryption, access controls).

SharePoint Library Analysis and Optimization:

• Analyse current SharePoint libraries to assess the organization, security, and accessibility of information.
• Develop and implement strategies to optimize SharePoint libraries, including metadata management, document version control, and access permissions.
• Ensure that SharePoint libraries are aligned with the organization's information classification framework and DLP strategies.

Intranet Development and Implementation:

• Lead the planning, development, and implementation of an organizational intranet to enhance internal communication, collaboration, and information sharing.
• Define and document the intranet’s structure, features, and functionality, including user roles, content management, and search capabilities.
• Collaborate with stakeholders across departments to ensure the intranet meets user needs and supports organizational goals.

Data Security and Compliance:

• Ensure all data management practices comply with relevant legal, regulatory, and organisational policies.
• Conduct regular security assessments and audits to identify vulnerabilities in data storage and transmission.
• Maintain documentation of data security protocols, risk assessments, and compliance activities.

Training and Awareness:

• Develop and deliver training programs to educate employees about data classification, confidentiality requirements, and data loss prevention practices.

Stakeholder Collaboration and Support:

SKILLS, EXPERIENCE & CANDIDATE ATTRIBUTES

Experience & Certifications/Qualifications:

• Higher level qualification in Information Management, Data Science, Computer Science, or a related field.
• Demonstrable experience in data classification, data loss prevention, or information security.
• Expertise in SharePoint administration and optimization.
• Strong understanding of data governance, privacy laws, and compliance standards.
• Excellent analytical, problem-solving, and project management skills

About the Role
As the Finance Administrator you will build good relationships with the wider staff team and be a friendly and knowledgeable source of advice for all queries relating to donations, credit cards, expenses and budget processes. You will support the Finance Manager with day to day tasks, such as bank reconciliation, recording transactions in QuickBooks, responding to staff queries and budget template preparation. As a key member of the team, you will be the primary user of many existing processes, and will be able to identify when and how systems need developing or updating to be more efficient. 

About You
You are passionate about helping staff to record and manage their fundraising and expenditure. You appreciate order and logical systems and processes and are skilled at using those systems and explaining them to others. You thrive on knowing you are using both your organisational skills and your relational skills to support others.

Job Title: Director of Finance & Operations

Salary: Circa £85,000 per annum (depending on experience)

Hours: Full-time with hybrid working arrangement; flexible working options available (minimum 4 days per week, 40% in the office).

Location: Hybrid working blending home working with our locations in Chelsea or Harefield Hospital, with a minimum of 40% time spent in the office.

Are you an experienced senior leader, passionate about finance and operations, eager to drive strategic success and make a real impact? Do you want to help advance care for people with heart and lung diseases? If so, you could be the perfect candidate for our Director of Finance & Operations role.

This is a pivotal role within our charity, leading the finance and operations teams and supporting the Charity’s strategic direction. Reporting directly to our CEO, the Director of Finance & Operations is responsible for overseeing our finances and core services, including HR and IT, and acting as Company Secretary. You will work closely with the Senior Leadership Team, Board of Trustees, and external stakeholders to ensure the charity is well-run, financially resilient, and operationally effective.

Key Responsibilities:

• Strategic Oversight: Develop and execute strategies for Finance & Operations to ensure the charity’s assets and infrastructure provide maximum impact for beneficiaries.

• Senior Leadership Contribution: Play an active role as a member of the Senior Leadership Team, providing collective leadership, contributing to strategic decision-making, and supporting the CEO in leading the organisation.

• Financial Management: Lead the finance function, overseeing budgeting, forecasting, financial analysis, and statutory accounts for an annual income of around £11m.

• Governance: Act as Company Secretary, supporting the Board of Trustees and ensuring compliance with corporate governance requirements.

• Investments: Monitor and report on the charity’s investments, working closely with investment advisors and providing strategic recommendations (strategic reserves of £130m+).

• Operational Oversight: Lead the development of a technology strategy, ensuring IT infrastructure via our outsourced provider supports the charity’s needs and enhances user experience.

• People & Culture: Collaborate with our HR Business Partner to develop a People Strategy that fosters a culture of ambition, agility, and continuous learning, whilst ensuring operational HR support and systems are effective.

A summary of what we’re looking for:

• A fully qualified accountant (ACA, ACCA, CCAB, or CIMA) with significant experience in leading finance functions, ideally within the not-for-profit sector.

• Proven track record of managing financial and operational teams, with expertise in charity governance and accounting, investments, and strategic planning.

• Excellent leadership skills with the ability to inspire teams and work collaboratively with senior stakeholders.

• Strong analytical skills, with the ability to synthesise complex data to inform decision-making.

• A deep understanding of compliance, risk management, and regulatory requirements within the charity sector. 

The ideal candidate will have experience within a charity finance & operational role, with the corresponding knowledge and understanding of investment oversight, charity governance, and the HR & IT functions. An understanding of the healthcare context is also beneficial.
