Main duties of the job

Our client is a grant-making charity, established in 2020, with a vision to transform young people’s mental health support in the UK. The charity envisions a world where no young person is defined by their mental illness and where they have access to the right support at the right time.
The organisation invests in services and research that prevent and treat mental illness in young people, with a specific focus on the prevention and early intervention in anxiety and depression for 11–25-year-olds. They are interested in non-clinical approaches and building a stronger evidence base for what is effective. They want evidence to be translated into practice and believe in scaling solutions that are proven.
The charity awards grants of approximately £8 million a year. These grants support youth, mental health, and community charities working on the front line with young people, as well as universities and institutes researching better treatments for mental ill health and advocating for improvements.
Prospectus is delighted to be working with our client as they seek to appoint a permanent Team Executive Assistant to their small team. The position is offered on a full-time basis with 4 days a week in the London office (remainder from home).
The role:
Reporting to the Director, the main purpose of the Team Executive Assistant will be to help this fast-growing organisation run super smoothly. This is a chance to join a charity early in its evolution, to shape an organisation and to be involved in an area you are passionate about.
This will be a key role at the charity in a small team of six people and will be responsible for building and improving efficient administrative processes and procedures which support the Director, Trustees and wider team. This role will also ensure a smooth monthly approval and payment process for grants and miscellaneous costs, will carry out basic research into potential grants in addition to preparing biographies and summarising articles. They will coordinate the organisation of a small events calendar, co-ordinating with contributors, suppliers and guests, drafting briefings and guest lists and on the day logistics. Most gatherings take place at the Foundation offices. Finally, this person will be responsible for website updating, creating communicative relationships with the Trustees and Advisory Panel, which includes young people and will maintain clear records on SALESFORCE to capture activity and operational progress. This is very much a lynchpin role which is at the heart of the smooth running of the Trust.
The person:
The successful candidate will have clear and demonstrated Executive Assistant experience where they will have supported a CEO and Senior Management Team in running a business or ideally a charity, trust or foundation perhaps. They will be highly organised and a naturally helpful and communicative person. They will have substantial diary management, events coordination and committee servicing experience in addition to being an effective minute taker, technology (Word, Excel, CRM Databases) confident and a social media savvy operator. Positive, methodical, creative and solutions driven, this person will have experience of creating collaborative and productive relationships with key stakeholders, both internally and externally.

Partnerships Executive (Interim)
The Partnerships Executive plays a key role in developing CST’s commercial relationships. Their primary responsibility is to secure conference exhibition sales to meet budget targets and manage all aspects of the exhibitor experience from prospecting to on-the-day support, to post-event communications. They also manage listings in the Directory of Services and work closely with the Partnerships Manager to support the prospecting process.
Reporting to: Partnerships Manager
Key responsibilities
1. Ensure that exhibition sales targets are met for each CST conference.
2. Maintain the CRM for commercial organisations, including creating and managing prospect groups and executing effective exhibition sales campaigns.
3. Create and maintain relevant webforms.
4. Provide excellent end-to-end support for exhibitors, including in person at larger conferences to ensure that all exhibitors’ needs are met on the day.
5. Gather feedback from exhibitors on the quality of their experience and report on what worked well and areas for improvement following each event.
6. Maintain and update marketing collateral to support CST’s commercial activities such as brochures, floorplans, briefings and manuals.
7. Cross-promote the Directory of Services to exhibitors along with other opportunities to work with CST where relevant.
8. Manage the sales and onboarding process for the Directory of Services, including overseeing the references, undertaken by a third party, sending out agreements and liaising with the marketing team on the promotion of new suppliers.
9. Support the Partnerships Manager in the development of the commercial pipeline for CST partnerships by holding initial meetings with new prospects and identifying opportunities for engagement.

Key Responsibilities of the role include:
- Managing a brand-new website redesign working alongside key stakeholders within the organisation and the website developers to ensure a smooth transition.
- Focusing on SEO, Metas and Google ads/grants management and development.
- Managing and optimising the website to increase online traffic and engagement.
- Day to day management of our Digital Asset Management System (DAM).
- Supporting the existing Digital Marketing Executive across social media where required.
- Working in conjunction with the existing Digital Marketing Executive to execute our digital/social media strategy and deliver engaging content, increase brand awareness and traffic to our website.
- Support the team and participate in digital analytics to aid growth.
- Support on content writing for the various marketing activities as and when requested.
- Contribute to brainstorming sessions and creative planning to develop innovative marketing ideas and campaigns.
Essential requirements of the role include:
- 2 years proven experience of Marketing and Comms including working to project budgets
- Demonstratable experience of meeting significant activity targets and self-managing projects
- Excellent interpersonal and communication skills, both written and oral and the ability to communicate across different departments at different levels
- Excellent project management skills

The Role:
As the Database Executive, you will play a vital part of the Fundraising and Community Engagement team, where your expertise will ensure supporter information is accurate, meaningful, and ready to drive successful fundraising campaigns.
Main responsibilities:
- Keep the supporter database up to date, clean, and fully optimised
- Assist with data entry, processing, and analysis to support fundraising campaigns
- Merge duplicate records and carrying out regular database health checks
- Help the team get the most from Raiser’s Edge by keeping training guides current and ensuring best practice
- Import data from various sources and preparing information for fundraising appeals
- Support GDPR compliance and uphold direct marketing policies
- Collaborate with fundraising teams to improve data processes and drive insights
- Provide admin support for fundraising events, including occasional evening or weekend participation
Requirements:
- Experience in the charity sector with database or CRM expertise
- Strong data management skills, with experience in data manipulation, queries, and exports
- Knowledge of Raiser’s Edge or a similar fundraising database
- Good Excel skills (intermediate level or above)
- Understanding of relational databases and a keen eye for detail
- Analytical mindset with a proactive approach to problem-solving
