Marketing and Events Coordinator

• Provide excellent customer service to attendees
• Collaborate with internal teams and stakeholders to align event goals with our strategic objectives
• Support marketing campaigns, email communications and website updates
• Evaluate event success and contribute to continuous improvement

You’ll need to be a confident communicator with strong writing skills, experience in event coordination, and a genuine interest in education and inclusion.

Purpose of role 

The Operations Coordinator will:

Specific responsibilities and duties 

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.

General 

• Support the organisation to achieve its corporate objectives. 

• Be a proactive and professional representative of VODG and its values at all times, including in relation to the prioritisation of your own responsibilities and professional development. 

• Undertake such duties as may be deemed necessary by the CEO and/or the line manager that are commensurate with the level of this post. 

Salary: £31,133.37 per annum (plus London Weighting of £5,023.71 if applicable)

About the role

This coordinator role sits within our Mass Participation team in our Income Generation directorate. The role supports participants in mass participation events – both organised by third parties including the London Marathon or bespoke Shelter events that you will have responsibilities for.

The main objective of the co-ordinator role will be to deliver challenge and bespoke events, from planning and set up, pulling together financial budgets to meeting supporter recruitment and income targets through to the delivery of event day and evaluating results.

This role will give you the exciting opportunity to work on our busy third party programme, enabling delivery of events including London Marathon, London Landmarks Half Marathon and the Hackney Half and support the development of new bespoke products.

This role is a fantastic opportunity to gain experience across a variety of mass participation events with the chance to be involved in event delivery, supporter stewardship and volunteer management for some of the most prestigious events in the charity calendar.

Brain Tumour Research is seeking an experienced and motivated Charity Event Co-Ordinator to join our team. 

You will play a crucial role in helping the charity meet its strategic plans and objectives, which include campaigning to increase the national investment in brain tumour research to £35 million per year, while fundraising to create a network of seven sustainable Brain Tumour Research Centres of Excellence across the UK.

Key Responsibilities:

• Support with stewardship, delivery and growth of National Events programme which includes London Marathon, Berlin Marathon and Dublin Marathon
• Ensure our event participants have access to relevant fundraising advice, materials guidance and accurate signposting, whilst promoting best practice in fundraising
• Keep our CRM database fully up to date with information about our supporters and their fundraising activities
• Manage event consoles for all Challenge Events, ensuring participants are signed up and places confirmed within a timely manner
• Ensure all Challenge Events are listed and updated on our website, including adjusting number of places available and closing events when they reach capacity
• Support with marketing of Challenge Events through social media and other channels

Skills & Experience:

• Experience in events fundraising, donor management and stewardship
• Experience of working to and achieving objectives and financial targets
• Excellent attention to detail and the ability to work accurately and efficiently
• Excellent time management skills and the ability to plan and work to pressing and competing deadlines
• Ability to mitigate for risks and spot opportunities for improvement
• Excellent communication skills, with the ability to engage and inspire supporters and partners alike
• Passion for Brain Tumour Research and its mission to fund research and ultimately find a cure

This is an exciting opportunity to join the Roundhouse’s fundraising team as a Corporate Partnerships Coordinator, supporting the day-to-day running of the Corporate Partnerships programme and playing a vital role in the delivery of exceptional experiences for our corporate partners.

Reporting to the Corporate Partnerships Manager, this role provides essential administrative, account management, and new business support. We’re looking for someone with excellent organisational skills, a keen eye for detail, and a proactive, collaborative approach to supporting a busy team and stewarding our corporate partners.

This is a fantastic opportunity to gain hands-on experience across partnership delivery, events, communications, and fundraising, all while helping the Roundhouse grow its community of engaged and values-aligned corporate supporters.

Occasional evening and weekend work will be required according to business needs.

About you:

You’re highly organised, detail-oriented and an excellent communicator. You’re confident in managing multiple tasks at once and enjoy supporting others to deliver their best work. You understand the importance of clear communication, strong and well-maintained systems, and professional relationship management.

You’re a natural collaborator, able to work across teams and with external stakeholders, and you bring a can-do attitude to everything you do. You are comfortable learning to use systems to track data, manage finances, and support reporting, but above all, you’re eager to learn, grow, and contribute to the success of the Partnerships & Philanthropy team.

You will be contracted to our London Hub, Haig House. Under our Future Working framework, there will be some flexibility for working remotely/at home, using our collaboration tools to work with colleagues, but with a minimum expectation of two days/week connecting directly face-to-face with colleagues at the hub.
