Role Purpose

This is an exceptional opportunity to join the Royal Hospital Chelsea as Assistant Director of Audience Engagement on a fixed term contract to cover maternity leave.  A core focus of the role is to develop the Royal Hospital Chelsea into a national heritage destination while ensuring our community of veterans remains at the heart of everything we do.

During this fixed term contract, you will be responsible for delivering our public engagement strategy, and drive visits to, and engagement with, the Royal Hospital Chelsea’s heritage, supporting sustained and manageable footfall and increased income through public programmes, secondary spend and commercial visitor opportunities.  

You will oversee the successful delivery and operation of the new Visitor Centre within the recently restored Soane Stable Yard, ensuring the visitor experience both onsite and digital is inspiring, inclusive, and impactful. You will also lead our contribution to the Chelsea Heritage Quarter, including co-delivering the annual Chelsea History Festival, working alongside key partners: the National Army Museum and Chelsea Physic Garden.

This role carries senior leadership responsibility, including line management of a talented team covering public programmes, community engagement, visitor experience, and retail. You are also responsible for managing RHC’s relationship with a café concession. You will work closely with colleagues across the Royal Hospital Chelsea and externally to grow our public reach and income potential, positioning the Royal Hospital Chelsea prominently within London’s cultural landscape and the wider heritage sector.

About You

We are looking for an inspiring, strategic leader with a proven track record in the heritage, museums, or visitor attraction sector. You will bring significant experience in audience engagement or similar roles, including at least five in a senior leadership or management capacity. You will be adept at developing and delivering public-facing programmes, and leading a high-performing, multidisciplinary team.

The successful candidate will be a creative thinker with excellent communication skills, a strong grasp of commercial opportunities, and the ability to develop inclusive strategies that attract core, target, and hard-to-reach audiences.

About the role

We are looking for an experienced and strategic planner to join RABI as our new Head of Finance & Operations. This is a critical role at the heart of our organisation, ensuring that our financial management, operational governance, HR practices and estates oversight are robust and future-focused. As a key member of the Senior Leadership Team, you will play a central role in planning and delivering the strategic priorities of the charity.

Reporting to the Director of Finance & Operations, you will lead and develop high-performing teams across Finance, HR, and Estates & Operations. You will bring strong strategic planning insight, ensuring sound financial planning and performance, operational excellence, and compliance with governance frameworks and regulations. You’ll also manage relationships with investment and estate advisors to ensure we are making the best use of our resources in line with our strategic goals.

What we are looking for

You will be a CCAB-qualified finance professional with substantial experience of working at a senior level, ideally within the charity or non-profit sector. Your background will include leading finance, HR and operations functions, and developing and implementing strategic financial and operational plans. We’re looking for someone with excellent leadership skills, who brings a collaborative and open approach to building strong relationships across teams and with external partners. Experience of investment portfolio oversight, estate management, and working through organisational change will be key to your success in this role.

You will also bring strong planning and analytical skills, an eye for risk and performance indicators, and the ability to present strategic planning insight clearly to executive colleagues and Trustees. The Role

What you'll do:

Payroll

Be responsible for the day to day delivery and coordination of the administration of the Payroll function, ensuring a timely and accurate payroll service is delivered to Look Ahead's employees, workers and Board members, to agreed deadlines
Produce and review any monthly exception reports to identify and rectify any payroll errors arising
Work with the HR Admin and Payroll Manager, Director of People and Director of Finance to ensure that payroll data processing reviews are rigorously and independently checked, validated and signed off
Act as liaison with internal and external auditors and other 3rd parties (as appropriate) on all matters with regard to Payroll processes, controls and systems
Act as liaison with MHR, HR department and Business Systems team on all areas of the payroll.

HR Admin

Acting as the first point of contact for all HR Admin related queries, via phone and email; responding promptly, whilst managing expectations effectively
Ensure letters for contractual changes for staff are sent out in a timely and accurate way and all relevant systems updated
Respond to straightforward policy and process queries, providing appropriate advice and guidance in line with Look Ahead policy, ensure that urgent items are prioritised and that any issues are highlighted and resolved as quickly as possible; escalate to the Admin Manager or an HR Business Partner as appropriate

ABOUT THE ROLE 
You will be responsible for the financial management and reporting of the organisation. You will
also lead on the charity’s year-end accounts ensuring that financial statements are prepared in line with the latest SORP requirements, and liaising directly with the organisation's external auditors.
The main purpose of this role is to:
- Manage the accounts department to run efficiently and effectively. 
- Ensure sales and purchase ledgers are accurate and up to date, other income is recorded accurately, profit and loss reports provided monthly and management reports are provided quarterly and end-of-year is completed on time. 
- Manage banking arrangements to make supplier payments, collect income through direct debits and online payment gateway.

Job details

Hours: 37.5 per week.

Work pattern: Usually Monday to Friday working during office hours with occasional weekends and out of hours work, however we do operate very flexibly.

Salary: Between £60,000-£70,000 per annum depending on experience (full-time)

Holiday: 28 days per annum plus bank holidays (full-time). Option to buy/sell some leave and gain additional days for continuous service after four years. The post-holder will not usually be expected to work bank holidays however when duties require, time off in lieu will be available.

Key Responsibilities

Executive leadership and strategic contribution

• Report directly to the CEO, providing regular updates on financial performance, risk management, and operational efficiency. Additionally, the CFRO will present detailed financial reports, risk assessments, and progress on strategic goals to the Board of Trustees, ensuring transparency and alignment with the charity's long-term objectives.
• As a key member of the Executive Team, actively contribute to the development and refinement of the charity’s overall strategy, aligning financial and risk management goals with broader charity objectives.

Financial strategy and governance

• Develop, implement, and continually refine the charity’s financial strategy, policies, and practices in alignment with best practices and the organisation’s overall strategic goals.
• Provide financial leadership and oversight, ensuring the charity’s financial health by managing the planning, budgeting, reporting, and monitoring processes.

Operational efficiency and support services

• Ensure these functions operate in a seamless and ‘invisible’ manner, enhancing the operational efficiency of the charity while supporting its mission delivery.

Compliance and regulatory oversight

• Ensure full compliance with charity governance, statutory reporting, and all relevant legal obligations, including charity law, tax regulations,, financial reporting standards and data protection. The postholder will also act as our Data Protection Officer.
• Ensure that the charity adheres to all relevant health and safety regulations, creating and maintaining a safe working environment for staff, volunteers, and visitors.

Leadership and team development

• Lead, manage, and inspire the Charity Support Services team, ensuring a high level of collaboration and providing the resources needed for effective performance.
• Champion a culture of continuous improvement, supporting the professional development of staff and encouraging innovative problem-solving.

Stakeholder management and reporting

• Engage with the Board of Trustees and external stakeholders on matters relating to financial performance and risk management.
• Provide regular reports to the Board, senior leadership, and key stakeholders on financial status, risk assessments, and performance against strategic goals.

Person Specification:

Education:

• Essential: A recognised accountancy qualification (preferably ACA, ACCA, CIMA or equivalent).
• Desirable: Management/leadership qualification or significant professional experience at a senior level in the charity sector.

Experience and knowledge:

Essential:

o A minimum of three years' experience in a senior management or leadership role.

o Proven track record of managing finance for a medium to large charity.

o Experience as a member of a Senior Management Team, contributing to strategic decision-making and organisational leadership.

o Expertise in financial management, including producing management accounts and monitoring cash flow for organisations with an annual turnover exceeding £2 million.

BACKGROUND

This is an exciting opportunity to join the legal aid casework team at Asylum Aid. You will be responsible for coordinating and delivering the billing of our legal aid work (including controlled work, certificated work and inter partes bills), which is vital to ensure the financial sustainability of our work. Asylum Aid holds legal aid contracts in the immigration & asylum and public law categories.

For thirty-five years, Asylum Aid has been providing legal representation to some of the most vulnerable people seeking asylum. We have built an expert service, delivering vital and life-saving services in some of the most complex legal cases, with a particular speciality working with unaccompanied children, survivors of trafficking, torture or other forms of human cruelty, and stateless people. Our vision is that all those in need of protection from persecution and other forms of human cruelty in the UK can obtain it, and are treated fairly and with dignity.

Since August 2020, Asylum Aid has been part of the Helen Bamber Foundation Group. Asylum Aid operates as an independent charity, led by its own Executive Director within the group structure, and is ambitious about growing its impact and reach in the future to ensure protection from persecution for those who need it. 

ABOUT THE ROLE

This role would suit a person with strong attention to detail and excellent organisational skills and numeracy. The ideal candidate will have already embarked on or be looking to develop a career providing excellent legal aid billing support and coordination essential to the financial sustainability of legal aid practice, whether within the charity sector or private practice. You will have a strong commitment to the values of Asylum Aid and an understanding of the importance of sound legal aid billing practices to our continued ability to provide our expert service to our clients. Prior experience is not essential as full training will be given and peer support is available.

The focus of the role of billing coordinator is to ensure the efficient and robust delivery of costing and billing of legal aid files conducted under Legal Aid Agency (LAA) contract (Legal Help / Controlled Legal Representation and certificated work) as well as liaising with external costs lawyers to oversee the preparation of Inter Partes bills and negotiations with the paying party where we have obtained an order for our costs in judicial review proceedings.  This includes reconciliation of Legal Aid Agency payments received and made, and to provide essential coordination within the organisation to support lawyers in ensuring files are billed promptly and accurately, and costs are maximized. The billing coordinator will work with the Director of Legal Casework to develop and maintain an effective tracking system to ensure timely progression from case closure to billing.

This role will work closely with the Legal Team of Asylum Aid and the Finance team of the Helen Bamber Foundation Group. You will also have access to the London Legal Support Trust Centres of Excellence legal aid billing peer support group and peer-to-peer support.

As this is a new role, there will be clear targets set as to the additional legal aid income brought in as a result of the extra capacity it will bring and a review will be undertaken after 12 months as to whether it is having the desired impact on our legal aid income.
