Job Summary
We are seeking an Event Assistant to support both the London Landmarks Half Marathon (LLHM) event side and Tommy’s side (affectionately nicknamed Team Tommy’s). This is an incredibly exciting time to join the team and gain fantastic experience in both the charity and events industry at one of the UK's leading mass participation events, which is owned and operated by Tommy's.
For the LLHM Team, the main purpose of this role is to provide first-class customer service and support to the 20,000+ runners taking part in the Half Marathon, as the event continues to grow in size year on year. This will involve managing the helpdesk email and phone line, ensuring runners are accurately registered and answering any queries they may have.
For Team Tommy’s, the main purpose of this role is to support the Tommy’s team of 3,000+ runners in the London Landmarks Half Marathon. The role is responsible for being the main point of contact for the runners and ensuring they have the best experience possible running the LLHM and fundraising for Tommy’s through our support inbox and phone line. The aim is to deliver the ambitious team fundraising target of over £1,800,000 for LLHM 2026 and more in the following years. This role will also support the development of the Team Tommy’s LLHM Corporate Challenge, a product that recruits a team of corporate runners to take part in the LLHM and fundraise for Tommy’s.
We are not necessarily looking for past experience in a similar role, but for transferable skills and personal attributes to deliver excellent customer service and be a good all-rounder with fantastic administration and communication skills. Overall, you should have a passion for the LLHM event and Tommy’s cause.

Role Context and purpose
Following recent and projected growth of the organisation, Gaddum is looking to recruit additional resource within the Central team to bolster support; ensuring delivery of safe and high-quality services. Gaddum acts as an administrator for smaller trusts and charities, who do not have internal finance teams, and this role will act as the key point of contact for those trusts in delivering financial support. In addition to this, Gaddum also redistributes grant funding – this role is to act as the Finance lead for the financial management of the funding.
The post holder, line managed by the Finance and Resources Director, will join the finance team and work alongside another Finance Assistant responsible for Accounts Payable and Receivable. This is a 28 hours per week role, working flexibly to suit the needs of the organisation and individual.
Main Duties and Responsibilities
Trust Funds
• Key point of contact for trusts
• Administration of trust fund applications against agreed policies between Gaddum and the associated trusts
• Coordination and administration of trust meetings on behalf of the organisation and trusts
• Maintaining accurate, timely and relevant written and financial records, pertaining to the administration of the trust funds
• Respond to enquiries and requests by phone, email and in person as required
• To assist with collating and inputting of data, e.g. accounts for reporting periods
• To liaise with referring organisations, referrers and beneficiaries where necessary during the day-to-day administration of trust funds
Grant Funding
• Working with the existing Grant Coordinator in ensuring the regular invoicing of grant funding
• Accurate and timely processing and payment of this funding to organisations within the region
• Maintaining accurate financial information for statutory reporting
• Finance contact for all grant related enquiries
Other Duties and Responsibilities
• To support the Finance Assistant (Accounts Payable & Receivable) in periods of absence
• To meet regularly with Finance & Resources Director for supervisions

- Process all invoices and expense claims from receipt to preparation for payment.

Key Responsibilities
Spear Programme
- Lead group sessions of up to 10 young people, using coaching skills to transform their mindsets, and to maximise their potential in stepping into the world of work.
- Prepare and deliver coaching sessions on a weekly basis and find creative ways of developing ongoing relationships with Spear trainees. This includes running application workshops with past trainees as well as maintaining records and reporting on statistics.
Relationship Management
- Build and manage relationships with a variety of stakeholders, including referrers, local businesses, and other organisations.
- You will support with job fairs, mock interview days and welcoming external visitors to the centre.
Church Community
- The Assistant Coach is directly employed by River Church, meaning you are part of a vibrant church staff team and submerged in an exciting faith community.
- Help to raise the profile of the Spear programme within River Church and build a network of supporters and volunteers from the congregation.

Board support

Manage due diligence and onboarding processes for new Trustees, ensuring compliance and accurate record-keeping.

Maintain up-to-date records of Board members, including contact information, terms of service, and compliance documents.

Assist Board members with travel expense claims and ensure accurate processing.

Compile, organize, and distribute materials for Board meetings, including reports and presentations.

Support the CEO and committee chairs in adhering to the organization’s governance framework.

Work with the CEO and Chair to ensure the Board is informed about safeguarding practices and remains accountable.

Support emerging governance practices and Trustee development in partnership with the CEO and Chair.

Plan and execute Trustees’ regulatory obligations, including registering them with appropriate bodies.
Qualifications and Experience:

Minimum of 4-7 years of progressively responsible and diversified administrative experience, experience as an Executive Assistant or similar role.

Excellent verbal and written communication skills, including ability to effectively communicate with internal and external stakeholders.

Excellent research skills and experience in writing briefing papers

Exceptional organizational skills and impeccable attention to detail.

Ability to work both independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.

We are seeking a self-motivated Member Support and Administrative Assistant to play a key role in our friendly team. The successful candidate will liaise with colleagues across the organisation focused on membership, communications, marketing and delivery, and as a result get invaluable insight into these functions. Once established in post the successful candidate will also benefit from our nine-day fortnight working pattern (providing a long weekend twice a month).
Background Information
The PSHE Association is the national body for the school subject of PSHE (personal, social, health and economic) education. We are a charity and membership organisation that supports a national network of over 50,000 teachers and schools with resources, training and support. PSHE lessons cover some of the most pressing issues facing young people today including mental and physical health, relationships, staying safe online, economic wellbeing, careers and the importance of equality and diversity.
The successful candidate will be joining us at an exciting time for us and we are expanding our services to meet growing demand and have a series of events coming up in the summer term.
Terms of Reference
The post is offered on a full time basis, on a permanent contract with a six-month probationary period. The salary will be £24,000.

Role description
The applicant will be expected to take on a variety of responsibilities associated with supporting our national membership of PSHE education teachers and other professionals. This will include fielding phone and emailed member queries in a timely and friendly fashion and logging queries and activities on our membership database. The role will also include supporting the organisation and administration of the office, including processing memberships and payments, and maintaining and updating our database of contacts, supporting online training event bookings and logistics as well as supporting the team as required.

Outward Housing Department provides housing management aimed at sustaining vulnerable people in their tenancies and assisting people to move on from short term services. We work with a number of registered housing providers and in conjunction with our Group partner Newlon Housing Trust to provide housing management to their supported housing homes.
As a Housing Assistant you will be expected to contribute to the efficient and effective administration of the Supported Housing Department and work closely with the Tenancy and Income Management Officers and the Housing Management Team in order to ensure that a comprehensive, sensitive and efficient housing management service is delivered to our tenants.
You ill also work as part of the Housing team to ensure a seamless service is provided across the income, housing management and maintenance functions of the department including liaising effectively with internal departments, landlords, and external agencies in relation to Housing Management matters.

ROLE PURPOSE
This role provides vital administrative support to the fundraising team, handling a range of tasks from donation processing and data management to coordinating team schedules and managing the giving inbox. The Fundraising Assistant plays a key role in ensuring smooth daily operations through effective record-keeping, accurate processing of cash and card donations, and organising essential materials and resources.
Additionally, this position serves as a first point of contact for donors and supporters, delivering a warm and welcoming experience for all who call or visit the Welcome Office.
MAIN DUTIES & RESPONSIBILITIES
ADMINISTRATIVE SUPPORT
- Donation Processing: Process and log all donations, including cash, card payments, and online donations. Ensure accurate coding and logging of donation information, especially during seasonal appeals, and support backlog processing as needed.
- Email and Inbox Management: Respond to emails in the giving inbox, directing queries appropriately and maintaining organised records of communication.
- Cash Handling and Banking: Arrange and oversee regular cash collections, maintain records in the safe, and support regular cash counting and banking to ensure accurate and secure handling of donations.
- Scheduling and Coordination: Support team scheduling needs, including coordinating departmental meetings, agendas, and any follow-up actions. Assist with booking and organising events as needed.
- General Office Support: Manage the distribution of collection tins and buckets, assist with inventory and stock checks for fundraising materials, and ensure an organised work environment for all fundraising resources.
- Additional Administrative Duties: Perform a variety of other administrative tasks to support the wider fundraising team, including preparing reports, maintaining organised files, and supporting volunteer coordination when required.
SUPPORTER ENGAGEMENT
- Act as the first point of contact for all donor enquiries through phone, email, and in person interactions, ensuring a positive and engaging experience for all supporters.
- Process donations made in person, over the phone, and through other direct channels, and assist with maintaining a timely and personalised thank-you process for supporters.

ADDITIONAL INFORMATION
