JOB RESPONSIBILITIES:
Executive Support
• Provide intelligent diary management and full Executive Assistant support to the CEO and two members of the Senior management team
• Project support for the Executive team including drafting presentations and papers, research, presentation of statistics, attending volunteering sessions and assisting in scheduling and task management.
• Manage all arrangements for Steering Group and Board meetings including the preparation of reports and papers proactively ensuring deadlines are met
• Implementation of assistive technology for the preparation of minutes from all governance meetings (c16 per year) and responsible for proofing and finalising minutes, ensuring actions are followed up and deadlines met
• Proactive management of outstanding tasks assigned to team to ensure projects are completed on schedule

• Tracking required changes to the Staff Handbook and making updates

This is a very hands-on role in our small team, supporting the Finance Manager and Finance Director and working alongside our diverse teams to make sure our finances are well managed and helping us to deliver our charitable objectives. We are looking for someone who has excellent attention to detail, honesty and integrity, an interest in learning more about our work and some knowledge or experience of working in accounts. This is a rewarding role in a fast paced, creative environment for a self-motivated individual who understands the need for rigour and accountability in their work and wants to contribute to the success of NYT.
The Finance Assistant will support the Finance Manager to provide an accurate and efficient accounting service for NYT. This role will lead on our day-to-day financial processing including managing the purchase ledger, posting bank transactions and carrying out reconciliations. The role will also support the Finance Manager in the preparation of monthly management accounts, ad hoc reporting and year end accounts.
Our building at Holloway Road was redeveloped in 2021 and now includes a theatre for our own and external productions, studios for our growing programme of courses and activities for young people and rehearsal facilities which are hired out to professional companies. We also deliver training, productions and activities around the UK and beyond.
Key Responsibilities
Purchase Ledger
• Responsible for maintaining the purchase ledger - recording accounting entries in Sage 50 and tracking that approvals are recorded in line with NYT policy.
• Prepare weekly supplier BACS payment runs for approval and issue remittance advice.
• Monthly reconciliation of company pleo accounts and tracking coding and approvals.
• Post invoice and direct debit payments from the bank to ensure they are up to date and correct.
• Reconciliation of supplier statements to amounts on Sage.
• Respond to supplier and budget holder queries as required.
Income and Sales ledger
• Circulate bank receipt information to budget holders promptly and confirm coding.
• Work with the Communications team to respond to and resolve financial queries and issues on our membership programmes.
• Ensure ticket sales for NYT performances are recorded correctly in the finance system.
• Prepare sales invoices as instructed and record bank receipts.
• Work closely with the hires team on invoicing and receipts.
• Prepare regular aged debtors reports and carry out credit control as required.
Accounting and reporting
• Prompt reconciliation of all bank accounts.
• Ensure any cash is reconciled to sales records and banked promptly.
• Managing cash floats or temporary pleo cards and accounting for expenses.
• Assist in the reporting and financial information to support grant claims and reporting requirements as required.
• Assist in the preparation of monthly management accounts and month end reporting as directed by the Finance Manager.
• Assist in preparation for annual audit and resolving audit queries related to your work.
• Undertake ad-hoc analysis of expenditure as directed by the Finance Manager or Finance Director or by other members of the Senior Management Team.

A fantastic opportunity has arisen to join Westway Trust as a Property Assistant, providing efficient and responsive administrative support across the full property team. You will be a friendly, motivated, and active administrator who will play a key role in the smooth running of the property department.
You will be pro-active, organised, with good initiative being the main point of contact responding to estate and property related enquiries and reports of issues, from tenants, customers, contractors and the community. You will therefore need to possess or demonstrate a willingness to provide a good level of customer service with property knowledge.
Key responsibilities of the role include:
- Provide efficient and effective administrative support across the Property team, including daily active filing, archiving, photocopying, scanning and record keeping.
- Initial point of contact for enquiries to the Property team.
- Provide a responsive customer service handling system to record such enquiries.
- Coordinating the general day-to-day activities of the Head of Property & Estates in relation to emails, posts, and voicemails.
- Assisting in the preparation and maintenance of property particulars, void reports, and reviewing property marketing websites for current information.
- Cross-referencing and managing the prospective tenant’s selection list with the historical enquiry list and alerting the team of any repeat/active enquiries.
- Regular visits to Trust premises to record any Health and Safety/Fire Risk Assessment breaches and reporting these to the appropriate Facilities Management team member.
- Assist with attending Unit Base Parking/Filming/Events on the estate, recording any infringements of agreements on site, and notifying the appropriate team member for further follow-on action.
- Preparing notification details for relevant authorities for entry and exit of tenants – rates, utilities, etc.
- Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
- Responsible for the recording of void premises and issuing of building keys.
- Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.
Knowledge and Experience:
- A minimum of one year’s experience in a busy property department.
- A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
- Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
- Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
- Excellent administrative skills.
- High level IT skills and experience of using MS Office (Word, Excel, PowerPoint)
Personal skills:
- A personable and collaborative approach, with experience of developing and maintaining positive relationships with a range of stakeholders.
- Good communication skills, orally and in writing.
- Ability to work independently and as part of a team in a multi-cultural and diverse environment.
- Connections to/understanding of the local area would be highly desirable.

We are seeking a talented and imaginative marketer to join our Fundraising Marketing Team. The successful applicant will work closely with the Fundraising Marketing Manager and Communications and Marketing Assistant to deliver all income generation communications and marketing activity across Birmingham Hospice.
We are looking for a proactive individual who takes the initiative, can effectively prioritise and has a proven ability to meet tight deadlines. You will play a vital role in the planning, implementing and development of fundraising campaigns, events and appeals. From designing print artwork and writing copy, to managing case studies and photography, as well as creating web pages and online forms, this is a varied post for a creative individual.
With a solid background in marketing, copywriting and storytelling, you’ll be responsible for sourcing and producing engaging and inspiring content that are integral to our campaigns. You’ll have experience working with email marketing software and implementing successful email marketing strategies as well as analysing campaign engagement. Knowledge of social media, video editing and graphic design are an advantage.
You will be responsible for creating online pages and forms on our website, as well as monitoring and maintaining the site. A strong skillset in web management and working with WordPress is essential. You will be a confident communicator with excellent people skills, comfortable in approaching key stakeholders for stories and content.
Experience in the non-profit sector is not essential, as we’ll provide a comprehensive induction programme and ongoing peer support.

As Fundraising Assistant you will have the opportunity to learn about many different arears of fundraising, including generating income from charitable trusts, statutory sources, individuals, schools and parishes. You will also work closely with our project teams and see the direct impact of your efforts, making a real difference to the lives of children and families.
The fundraising team is also actively involved in service delivery and this role will be instrumental in helping to distribute gifts and food to hundreds of disadvantaged families at Christmas, as well as helping families in crisis.
