The Finance Officer will join a small and dynamic team that covers Finance, Human Resources, IT and Business Operations. The Finance & Operations team play a critical role by running the day-to-day operations and providing the infrastructure that enables the continued delivery of the Trust’s mission and objectives.

The Sutton Trust is seeking a highly motivated and enthusiastic Finance Officer to join the team and provide crucial support on a range of key finance processes. The Team

This role will fit into the small Finance & Operations team and will be line managed by the Finance Manager.

Main Duties

• Maintaining the Purchase Ledger including processing supplier invoices, staff expense claims, grant and bursary payments, reconciling statements and making the relevant payments
• Maintaining the Sales Ledger including raising invoices and allocating receipts
• Cash management including checking bank transactions daily, allocating transactions on the accounting system and producing regular bank reconciliations. Paying in cheques and reconciling floats, if required
• Maintaining accurate records of both unrestricted and restricted fund transactions including receipts, grants, staff expenses, overheads and cash
• Providing timely and accurate financial support to the Programmes, Development and Research teams to assist them with forecasting, budgeting, reconciliation and (donor) reporting
• Supporting with the month end procedures such as balance sheet reconciliations, depreciation, month end adjustments, salary and overhead allocations
• Gathering monthly payroll information and reviewing monthly payroll reports
• Assisting with the administration of the pension scheme and of employee benefits
• Preparing quarterly Gift Aid claims and maintaining the relevant supporting documentation
• Assisting with the year-end statutory accounts preparation, audit and budget setting process
• Ensuring that the filing is done in a timely manner and that all paperwork is up to date
• Proactively updating your own knowledge in relation to the role, identifying and undertaking appropriate training
• Keeping up to date with legislation, policies and procedures relevant to the role and the Trust’s work

Role Purpose

The Operations Director is a critical leadership role responsible for ensuring the efficient and effective running of all operational aspects of Katherine Low Settlement. The Age Dispute work sits within the Youth Casework team, and we seek to deepen the impact by supporting more children and young people now dispersed across England and who are wrongly age assessed of assumed as over 18 by the Home Office and/or by the local authorities. The age disputes casework adviser will bring expertise to provide specialist casework to challenge incorrect age assessments, use experience to deal and prioritise high risk cases, work with various stakeholders including legal representatives, statutory agencies, and collaborate with others in sector to develop, learn and share best practice resources in casework provision. Equal Education is a social enterprise working to improve outcomes and narrow the attainment gap for disadvantaged and under-resourced learners, including Children Looked After, those with SEND, and unaccompanied asylum seeking children (UASC). We have 13 years’ experience delivering 1:1 tuition, working with hundreds of schools and local authority partners across the country, reaching hundreds of pupils annually. 

As a member of the Fair Education Alliance, we believe in providing meaningful educational provision to students whose needs may not be best met within a traditional classroom environment, those who aren’t currently accessing education, or who benefit from additional 1:1 support. We work with over 200 qualified teachers to provide academic, subject specialised and individual tutoring and mentoring for children of all ages. These tutors provide pastoral care and work with pupils to increase engagement and attainment. Our programmes will help the students to overcome barriers to learning, help them build trusted relationships, increase their aspirations, and fulfil their potential. Role Overview:

The Partnerships Administrator will be an integral part of our Partnerships team, providing essential administrative support to ensure the smooth running of the team. 

This role requires a proactive and detail-oriented individual with a passion for persuasive writing, as the primary responsibility will involve crafting compelling short-form bid applications for clients. It is essential that the post-holder has excellent written and verbal communication skills.

The Partnerships Administrator will also assist with key administrative tasks such as responding to client email and telephone inquiries, drafting impact data for client reviews, and attending ad-hoc events.

Key Responsibilities:

• Short Bid/Application Writing:

  • Write effective and persuasive short-form bid applications tailored to various audiences. This will be a significant part of the role, requiring the ability to write with clarity and impact under tight deadlines.

  • Collaborate with the Partnerships team to ensure the bids are aligned with and responding to client needs, and organisational goals.

  • Edit and proofread bids to ensure accuracy and professionalism.

  • Use generative AI to enhance writing practices. 
     

• Client Engagement & Communication:

  • Respond to client calls and emails in a timely and professional manner, ensuring positive and ongoing client relationships.

  • Help draft impact data and reports for client review calls, ensuring the data presented is clear, accurate and impactful.
     

• Administrative Support:

  • Assist the wider Partnerships team with administrative tasks as needed, including scheduling meetings and supporting the preparation of materials for client engagements.

  • Attend and support ad-hoc events related to partnerships, providing administrative assistance as required.

  • Manage and maintain relevant partnership documentation and records.
     

Skills and Qualifications:

• Exceptional Writing Skills: The successful post holder must have ability to write clear, concise, and persuasive content. Experience in bid or application writing or similar fields would be highly advantageous.

• Strong Communication: Excellent verbal and written communication skills with the ability to adjust tone and style to different audiences. 

• Experience Using Gen AI: Demonstrable experience of using Gen AI tools effectively to enhance written communication and content creation.

• Time Management: Ability to work at pace and under pressure to meet deadlines, particularly during periods with high volumes of bids.

• Attention to Detail: A meticulous approach to writing, editing, and organising documents.

• Organisational Skills: Ability to manage multiple tasks effectively and support a busy team.

• Proactive and Collaborative: A positive, can-do attitude and willingness to work closely with others to achieve shared goals.

• Previous Experience: Experience in a similar administrative or support role would be advantageous, particularly in an educational or partnership-driven environment.

About the role

We are delighted to have received three-year funding from the Aviva Foundation to fund this brand-new Grants Officer role based in London.

You’ll be part of our Programmes team supporting kinship carers in London to access grants which will help reduce financial stress. This could be grants to buy things like white goods and uniforms or accessing Buttle grants to support children growing up in kinship care.

As Grants Officer you’ll talk to kinship carers, discuss their needs, their priorities and then write charitable grant applications on their and their family’s behalf. 

You will oversee and deliver the grants process, including co-ordinating the purchase of items (such as children’s clothes, beds or washing machines), collecting receipts for items as required by the funders and liaising with all teams to ensure timely receipt of funds within the charity and to the kinship carers.

Building relationships with funders is core, sharing the impact of the grants and insight about the lives of kinship families in London. You’ll work closely with Programmes, Peer Support, Training and Advice colleagues who work with kinship families in London.

You will also create and run online and face-to-face workshops and clinics, helping kinship carers to understand how to apply for other grants, thereby encouraging resilience and confidence to apply for grants themselves.

You will be a proactive and persuasive relationship builder, able to create partnerships with a range of organisations and peer support groups that support kinship families.

You’ll build trusting and respectful relationships with kinship carers who you will work one-to-one with in community settings. And you’ll build relationships with a range of grant giving organisations across London.

We’re looking for someone who can really deliver impact and demonstrate how embedding this role into the community helps to unlock funding and support for kinship carers at a local level.

We are looking for someone who is really organised and who is able to capture and present information clearly in a persuasive grant application. The successful applicant will be compassionate, empathetic, and organised. We are looking for someone who understands the needs of kinship families.

Key responsibilities include:

• Delivering our new grants service across London.
• Meeting performance targets and KPIs as directed.
• Working with kinship carers and their families across London to gather information to complete and submit grant applications.
• Administering grants we secure for our kinship carers and carry out all the necessary administration related to grants.
• Undertaking research to identify funders and build excellent relationships with local grant making charities in order to increase support for kinship families.
• Delivering grant workshops at peer support groups sharing information about locally available grants and providing advice and support on making a successful application.
• Running face-to-face grant clinics within peer support groups or community venues in London, working directly with kinship carers to write and submit requests for grants.

Essential criteria includes:

• Experience of speaking to vulnerable people on the telephone, face-to-face and online, and gathering information with empathy and understanding.
• Experience of working with socially excluded or marginalised people and their families in face-to-face and community settings.
• Experience of running online and face-to-face workshops. 
• An understanding of budgeting, managing money, income and expenditure.
• Proven understanding of the importance of confidentiality and a non-judgmental approach.
• Evidence of awareness of safeguarding issues and good practice. 
• Experience of organising and prioritising a busy workload without close supervision.
• Proven clear understanding of the need to keep grants records and communication with kinship carers and funders up to date.
• Excellent research and writing skills.

Job Title: Fostering Supervising Social Worker

£38,717 per annum (£36,467 salary + £750 homeworking allowance + £1,500 out of hours allowance) + an additional £4,184 London weighting allowance if living in a London borough.
