We are looking to recruit a part-time (30 hours per week) Grants Development Worker on a 12-month fixed-term maternity cover contract.

An exciting opportunity has arisen to join us as a Head of Finance to lead our Finance Team and to act as part of the Senior Management Team.

The successful candidate will be responsible for the integrity of the organisation’s financial data and security, and ensure the provision of consistent, robust and accurate financial reporting to the organisation on a timely basis.  They will lead the preparation of the annual accounts and will be the primary liaison point with the external auditors. They will maintain consistent financial controls, high standards of delivery service and regulatory compliance across the finance function. 

 Job Purpose:

· To provide strategic financial support to the CEO and senior leadership team

· Ensure a robust financial control environment

· Accurate, timely and insightful reporting to charity leadership and Trustees

 Principal Accountabilities:

1. Accountable for all aspects of the finances for the charity, including VAT returns, payroll, gift aid, and the administration of investments and pension arrangements, in line with standard guidelines.

2. Act as strategic financial partner to the CEO ensuring strategy is grounded in robust financial planning. Build, monitor, review and evaluate all budgets, with the Chief Executive and Senior Managers as appropriate.

3. Provide the Chief Executive, Treasurer, and other Trustees with timely and insightful monthly reports, such as: income and expenditure, cashflow, investment etc.

4. Prepare for, and present at, the quarterly Finance and Investment Committee meeting

5. Work with the Treasurer and Chief Executive to manage the annual programme for the Finance and Investment Committee.

6. Carry out periodic and ad hoc finance risk assessments and risk testing, advising the Chief Executive on the extent of the risk and remedial action necessary.

7. Manage all arrangements associated with the annual audit of accounts.

8. Ensure that appropriate financial controls are in place, that they work, and that they are monitored effectively and reviewed regularly.

9. Identify where cost savings can be made without detriment to services.

10. Work with the Treasurer and Trustees to assist them in making decisions on investments.

11. Line manage the Finance Officer and Finance Assistant to ensure objectives are met and that the finance function runs smoothly. Succession plan to ensure the team remains fully staffed.

12. Provide business partnering collaboration and support to each Head of Department.

13. Work as part of the Senior Management Team (SMT) to lead the day-to-day running of the charity.

Work Context:

The role of Head of Finance is crucial to the continued success of the charity, and the support we provide to children and adults in Surrey who are Deaf, hard of hearing, blind, partially sighted and deafblind. Early warnings, and long-term predictions of financial problems are essential to the annual planning of activities.

This role involves the post holder having detailed knowledge of daily accounting, as well as the ability of the incumbent to be able to describe financial matters to trustees and staff who may not be financially trained, along with the ability to take a more strategic outlook and to work with other Senior Managers. Careful briefing is needed to help Senior Managers to manage their budget effectively, and to enable Trustees to understand the monthly dashboard and end of year accounts. The post-holder is personally responsible for identifying financial risks to the Chief Executive and Treasurer, along with suggested mitigations that they have identified. The Head of Finance is responsible for making all the necessary arrangements for the Annual Audit of Accounts with the chosen auditors.

The charity constantly needs to reassess priorities in line with a changing funding environment and the needs identified by the people we support. In order to successfully manage these pressures, there is a need for all staff to be flexible and work wherever their core skills are needed most. No one will be asked to carry out work for which they are not properly trained. As a member of the Senior Management Team you may be asked to use your skills to manage such situations and transfer your own experience partially or completely, depending on the situation. As a member of the Senior Management Team, you will be responsible in your contributions to the effective management of all aspects of the operation of the charity and our services.

Skills and Experience:

Experience

Qualifications

ACCA, CIMA, ACA or CIPFA or similar qualification is required.

Able to provide both strategic and hands-on financial support whenever necessary.

Working knowledge and experience of SAGE or similar accounting systems.

Experience and competence in using Microsoft 365 and a range of other software and applications.

The New Donor Acquisition Manager provides project management and execution support for the coordination and implementation of new donor acquisition under the supervision the Associate Director of New Donor Acquisition. This positive and enthusiastic direct marketer will ensure that all campaigns meet our aligned goals in each of IFAW’s European markets. This role will oversee day-to-day campaign management of direct mail acquisition and provide administrative support for face to face and other acquisition campaigns. 

This person will have a proven track record of prior direct marketing excellence in a non-profit setting along with third party management experience.

Role and Responsibilities

• Assist in the coordination and execution of IFAW’s acquisition budget in multiple markets.
• Assist in the execution of IFAW’s European Acquisition and Reactivation mailings, face to face campaigns, telemarketing campaigns, direct response television, print campaigns, text and online campaigns.
•  Ensure that campaigns are executed in a timely manner to achieve critical campaign dates.
• Provide daily management of external vendors to assist with execution of the acquisition strategy ensuring all campaigns are on track and implement changes where necessary.
• Manage the technical coding for campaign creation and analysis. Manage the internal discussions and data flows to ensure that income and supporter histories are recorded appropriately.
• Independently analyze results and trends and make recommendations for tactical and/or strategic adjustments to improve results and efficiencies.

• Provide necessary information to outside vendors, creative services and production to execute the agreed upon strategy. Continuously review to ensure this information is fresh, on brand and successful.
• Manage Face to Face donor complaint process in partnership with Donor Relations team and multiple vendors.
• Proof read and edit design and copy on printed components, ensuring that all mailings are error-free and country specific versions have been reviewed and approved.
• Manage collateral communication streams where necessary and ad-hoc projects as assigned.

Qualifications and Education Requirements

• 3-5 years of direct marketing fundraising or project management experience. Animal Welfare/Environmental experience is a plus.
• Highly organized, motivated, self-starting, and detail oriented.
• Ability to produce effectively and accurately while managing multiple priorities and competing deadlines.
• Must possess excellent analytical skills and strong attention to detail.
• Ability to think critically and proactively respond to work requests, using sharp problem-solving skills.
• Proficient with Microsoft Suite (Asana, Outlook, Excel, SharePoint, Teams, Word) and database management, with advanced experience with Excel.

The Visitor Experience Manager (VEM) is an integral part of the management team responsible for the oversight of a seamless House visit and visitor engagement programme during varied opening hours throughout the year to ensure that every aspect of the experience is taken into account. With extensive management experience in a visitor facing environment, the VEM will act as an ambassador for our visitors across the property, embedding their needs and expectations at the heart of the visitor experience.

With oversight of the house-based visitor operation and shouldering direct responsibility for the seamless visitor engagement programme throughout the year, they will enable a broad range of audiences to have an outstanding and inspirational visit through the consistent quality of our welcome and the stories we tell.

The VEM will play an important role in the growth and development of the Visitor Experience department, championing excellence in operational delivery, recruitment, training, customer best practice, and engagement initiatives. Using their knowledge and understanding of best practice within the sector, they will play an integral part in developing the Visitor Experience strategy and helping to future proof department objectives and delivery of KPIs.

Working Wednesday to Sunday throughout the year, they will be experienced in supporting and delivering a large daily visitor operation and ensuring the best use of staffing and resource across the property.

Primary Responsibilities:

Operational Management

House Based Operation

• Have oversight of the House based visitor operation, supporting the AVEM to ensure;

Tours and Walks Operation

• Responsible for the oversight and daily operational delivery of the public tours and walks programme non-House based, ensuring it is consistently delivered to a high standard and sufficiently resourced with staff and volunteers
• Act as a central point of contact and liaising between teams and departments to ensure spaces and resources are efficiently managed in a timely manner, in particular: Group Bookings Coordinator, Collections Administrator, and Head of Private Events
• Operational responsibility for the visitor journey and experience, staffing resources and programming at the Wedding Cake/Dairy site, as well as any satellite exhibition spaces
• Conduct informative briefings for staff and volunteer teams ahead of tours and walks
• In collaboration with the AVEM provide motivational and supportive line management and provide resources to guide and volunteer teams, encouraging them to embed the needs and expectations of visitors at the heart of the operation
• In collaboration with relevant colleagues & departments, create agreed scripts and guidance for delivery of walks and tours programme by guiding teams
• Create risk assessments and method statements, pertinent to the operational delivery of the engagement programme
• Prepare ticketing set-up for house-based activity and paid for tours in a timely manner
• Regularly attend scheduled tours and walks to monitor the consistency and quality of the visitor offer, implementing any necessary improvements

Skills, Experience and Qualities

• 3-5 years’ operational and line management experience in a fast-paced visitor facing role, preferably within the heritage/museum sector 
• An accomplished and experienced line manager with an empowering style, and motivational skills including coaching, team development and effective communication
• Proven experience and passion for delivering a culture of exceptional visitor experience and engagement activities
• Genuine desire to work in a varied operational role, using experience to contribute to departmental strategy

JOB SUMMARY

Taking overall responsibility for the office-based functions that enable Pathway Project to undertake client facing work, she will provide direct line management for the Pathway Project Data analyst, Fundraising, Office administration and Awareness teams.  She will be responsible for the delivery of high-quality support to the volunteers who choose to support our Charity whilst ensuring staff and volunteers are well trained to deliver their roles to the best of their ability.

She will collaborate with colleagues to drive the fundraising potential through networking and links within the local community whilst capitalising on all donations of goods, time and funds.

DUTIES OF POST

1. STRATEGY, PLANNING AND CONTROL

a. To contribute to the setting of long-term Objectives, along with the CEO & Board.

b. To contribute to and implement the volunteer strategy to ensure the Charity is offering quality volunteering experiences.

c. To contribute to and implement the outreach and fundraising strategic plan to ensure the Charity is optimising fundraising.

d. To support the Charity to operate to best practice standards, adhering to regulatory and financial controls. Highlighting to the CEO risk which could cause harm to the ongoing operation of the Charity.

e. Ensure Pathway Project reports to funders are accurate, timely and all reporting is aligned to funder requests.

f. To contribute to and implement the training strategy to ensure the Charity is offering quality staff and volunteer training and development.

2. FINANCIAL MANAGEMENT 

a. To manage a budget for volunteers and fundraising ensuring return on investment can be quantified and resources are capitalised on.

b. To provide financial oversight on proposed fundraising activities or projects, including consideration on cost, ROI and income source where applicable.

c. To efficiently manage and procure goods that will create and generate income and report on the ROI for these goods.

d. To manage the recording of all donations of goods, services or products and ensure accurate reporting of donation usage.

e. To support the CEO in the sourcing of funding opportunities and complete any required applications and data returns as per funding guidelines.

3. GOVERNANCE & REPORTING 

a. To work with the CEO to produce reporting to the Trustee board that shows an accurate reflection of the charity’s performance.

b. To support in the development of a suite of monthly reporting for the Charity to funders.

c. To ensure funder and grant maker reporting is submitted efficiently and accurately in a timely manner as per the funder’s requirements.

d. To maintain up to date policies and procedures in respect to your areas of business.

e. To provide support and guidance to the CEO in all aspects of enabling services.

f. To ensure accurate record keeping and data security.

4. LEADERSHIP 

a. To provide role model leadership to the Pathway Project, embodying the charity’s values and behaviours.

b. To provide continuous development to, and performance management of the team, ensuring the highest standards are delivered.

c. To work with the team, CEO and Board to provide a safe, and motivating work environment.

d. To provide line management to all staff within enabling services including the data team, fundraising and administrative teams.

5. COMMUNITY ENGAGEMENT

a. To support Pathway Project in the maintenance and development of community links and fundraising opportunities.

b. To lead the community engagement and fundraising team to deliver the funding strategy and to create a pipeline that supports the charity to generate income through community-based fundraising, grants, donations and activities.

c. To deliver income generation through the development of a Community Fundraising Group supported by volunteers.

d. To support Pathway Project CEO, managers and Community Engagement Team with driving Pathway Projects social media agenda in order to build community support.

e. To lead the community engagement team to create strong links within the community

f. To attend meetings in the community as and when appropriate. including out of normal office hours if necessary

6. GENERAL MANAGEMENT AND ADMINISTRATION

a. To arrange enabling services team or wider staff meetings.

b. To ensure volunteers are recruited and inducted into their new roles effectively with formal role profiles.

c. To ensure there is a formal CPD route for volunteers and we offer the right training at the right time.

d. To ensure there is a formal training plan for staff who supervise volunteers so that every volunteer gets a fantastic experience at Pathway Project.

e. To ensure a record of staff training is maintained and training opportunities are explored regularly.

f. To ensure the volunteer policy and all procedures remain up to date and fit for purpose.

g. To participate in the on-call management rota for accommodation support when covering for staff absence or sickness.

h. To help support the continued use and development of OnTrack case management and database system throughout Pathway Project to ensure the system generates the data that we need to evidence performance.

i. To ensure the safe operation of general office services at the Hope Centre.

j. To deputise for the CEO where required, alongside other management.

7. OTHER DUTIES

a. To participate and contribute as a senior member of staff towards the development of the Pathway Project.

Person Specification

Essential

Demonstrable experience of working in the domestic abuse charity sector and expert knowledge of the domestic abuse sector.

Experience in managing teams at a high level with strong team building and leadership skills.

An understanding of compliance, quality assurance  and continual service improvement.

Excellent written skills, with experience of writing reports, guidance or briefings specifically for Trustees or Director boards.

The Volunteer Coordinator will provide effective coordination, administration and support to volunteers including recruitment and orientation. You will link with local groups and volunteer networks to promote opportunities within L'Arche.
