The Events Assistant[CF1] is a crucial role at the College as you will help and support colleagues in the delivery of events, from administrative assistance in planning the events, to the production of event documentation, branding or collateral, in addition to liaising with events stakeholders, including speakers, programme leads and delegates.
As Events Assistant, you will provide comprehensive administrative support for online event registration, delegate bookings, delegate communications and associated queries. You will be the first point of contact for event queries, so maintaining a good knowledge of College events and other relevant activities is essential.
Assisting in the research and promotion of opportunities for sponsorship for all events, you will distribute sponsorship packages, confirm sponsorship acquisitions and ensure requirements are fulfilled onsite. You will also produce proposals for assigned events, including timelines, venues, suppliers, draft budgets and staffing requirements.
Reporting to the Head of Marketing and Events, you will help with the delivery of College conferences and study days by providing administrative support for the development of programmes and course materials, whilst also collating and reporting on key event statistics to support the evaluation of the events programme.
With a good level of education,[CF2] you should have a background in customer-facing roles, be an excellent verbal and written communicator and have experience of interacting via email, telephone and in-person.
With an understanding of GDPR and an excellent level of computer knowledge, keyboard skills and software, you should be able to use and format documents on the Microsoft platform and have the ability to learn new software packages.
Knowledge of events and conferencing, including the processes surrounding the delivery of events, as well as experience of event administration would be desirable. Research and data analysis skills along with the ability to use social media to promote activity would also be advantageous. Travel across the UK and occasional overnight stays are part of this role.

ABOUT THE ROLE
We are looking for a Project Assistant to support INQUEST’s National Lottery Heritage Fund project, Unlocking the INQUEST archive: memorialising death and resistance. This project encourages engagement with the INQUEST archive and memorialises state-related death and resistance through creative outputs including: 12-month consultation, artist’s residency, banner making, small scale events, archival research, film screenings and a podcast series.
Organised, motivated by logistics, system-orientated, able to react efficiently to pressure, change and multitasking, the ideal candidate will possess outstanding communications skills necessary to liaising with a varied audience, including bereaved families and other key project stakeholders. They will be experienced in handling telephone calls, email correspondence, administration systems, and key IT software packages. Working closely with the project manager and project staff, they will support all components of our heritage project, including organising events and travel, liaising with key stakeholders, project social media and general administration. PURPOSE OF THE POST

MAIN TASKS
STRATEGY

Main duties and responsibilities
This role requires work across all of Leukaemia Care’s fundraising event activity – providing administrative and operational support and engaging with supporters both personally and through the charity’s communication channels. Duties and responsibilities will, at any given time, include:
- Providing administrative support to the fundraising team as required.
- Monitor fundraising event e-mail inboxes, ensuring that actions are covered off by members of the fundraising team and, where appropriate, yourself.
- Take responsibility for ensuring that fundraising event participants database records are up to date, including integration with fundraising platforms such as Just Giving. In addition, provide data reports to the Senior Event fundraisers to assist in future event planning.
- Ensure that all event fundraising materials, merchandise and equipment are organised and safely stored, and that stock is monitored especially after use.
- Be responsible for the mailing and distribution of event fundraising materials such as clothing, welcome packs, collections tins, etc.
- Ensure that the fundraising events section of the Leukaemia Care website is up to date, working with the Communications team where necessary to keep existing and potential supporters informed. This includes input into social media information, and the creation of other marketing materials.
- Add Leukaemia Care fundraising event opportunities to external websites and ensure all information posted is correct.
- Help to engage with, steward and thank Leukaemia Care fundraisers both personally, on social media groups, and through the creation and distribution of materials such as Thank You certificates, etc.
- Attend fundraising events in person, including work at events to steward and engage with fundraisers and volunteers, and to set-up and break-down event materials. This role will require some work outside of normal office hours (evenings and weekends) where fundraising events necessitate.
- Work within the Code of Fundraising Practice as required by the Fundraising Regulator.
- Work within the General Data Protection Regulations ensuring that the charity obtains and record appropriate consents and preferences.
- Provide support to the wider fundraising and administrative team at Leukaemia Care during busy times or during periods of sickness or annual leave.

The Role
As the right hand to our CEO, you’ll play a critical role in ensuring the smooth running of the Executive Office and supporting the Board’s administrative functions.
Responsibilities will include, but aren’t limited to:
- Provide high-level administrative support to the Chief Executive, including managing correspondence, reports, research, and confidential information with discretion.
- Act as the Chief Executive’s point of contact, handling inquiries, correspondence, and following up on actions.

Our ideal candidate? Job Outline:
To provide project support to a number of programmes including:
• Operations – Initiatives to ensure our area is maintained as a clean, safe, well-managed and resilient through dedicated street management, effective communications and facilitated local networks
• Sustainability - Promoting social and environmental impact and wellbeing while supporting the delivery of businesses’ sustainability and ESG objectives
• Smarter Giving - our initiative facilitating relationships between our member businesses and local charities and community groups
JOB RESPONSIBILITIES:
Operations Support
• Research and collate area information including crime statistics, planned street works, planned events and protests, planning and licensing
• Maintain Street Team rotas onto team calendar
• Assistance with the day-to-day oversight of the Street Team
• Update and send weekly Security and Operations mailer
• Update weekly Street Works
• Manage our range of Operations communication and intelligence sharing platforms and closed WhatsApp groups
• Actively assessing the quality and look/feel of our footprint area to report to Operations Manager
• Administrative assistance with Operational contract management
• Manage Health and Safety/Risk Assessments/RAMS for outdoor markets and events
• Administrative assistance for Operations linked events (Security Networking, Intelligence sharing meetings etc.)

Smarter Giving Support
• Support the Community Impact Manager on collection drives/Christmas appeal

• Assist with arrangement of member volunteering
• Organise annual Christmas raffle
• Draft weekly volunteering and skill sharing opportunity update

Sustainability and Placemaking Programmes Support
• Research and administrative support related to sustainability, accessibility and Placemaking projects
• Drafting and updating communication and content
• Liaison with businesses, the Council and other stakeholders
• Initiate, promote and manage internal sustainability initiatives
• Assist with Smarter Recycling contract management
• Manage customer care calls to Smarter Recycling users (biannually)
General
• Support with the collation of performance/KPI data for quarterly, annual and ad hoc reports
• Minute Sustainability Steering Group and Streets and Spaces Steering Group, following up to ensure actions are completed
• Research related to local events and activities
• Staff pop-up member information stalls

As Fundraising Assistant, you will report to, and work closely with, the Grants and Philanthropy Manager, under the overall leadership of the Director of Development and Partnerships. You will also work with the Senior Philanthropy Officer, Corporate Partnerships Manager, Supporter Development Manager, Corporate Fundraising Officer, Grants Officer, Fundraising Officer (Claims) and Fundraising Officer (Legacies).
You will be joining the Norfolk Wildlife Trust Fundraising team – a supportive, innovative and welcoming team, responsible for Individual Giving, Major Donors, Grants and Trusts, Legacies, Community Fundraising as well as Corporate Supporters. This team is tasked with providing, maintaining and growing the income of the Trust. We have a particularly exciting and challenging period ahead as the Trust seeks to source funding for its ambitious new strategy 'A Wilder Norfolk for All'. With responsibility for the administration of the efforts of the Fundraising Team, you will work closely with colleagues in Nature Conservation, Nature Recovery, our Visitor Centres, PR and Comms and Engagement.
You will play a pivotal role in the efficient operation of NWT's fundraising systems and effective recording of the Team's communications and income details on the Trust's CRM system.
Norfolk Wildlife Trust prides itself in having an excellent reputation for managing its relationships with donors, sponsors, funders and potential funders sensitively at all times. You will play an important role in assisting with the stewardship of our supporters by coordinating our regular contact strategy with donors and provide administrative support to the Director of Development and Partnerships, Grants and Philanthropy Manager and Senior Philanthropy Officer.
Working closely with other fundraising officers, you will make a direct contribution to the work of the team through supporting the Fundraising Officers in delivering supporter stewardship events, co-ordinating collection boxes, online giving schemes and small-scale community giving.
You will be responsible for drafting and co-ordinating communications acknowledging supporter donations and Donations in Memory.
Being at the front-line of communication, you will maintain a positive, pleasant and 'can-do' attitude in dealings with all those inside and outside the organisation. You will have demonstrable administrative and customer facing experience. The role would be ideal for someone interested in progressing a career in fundraising.
The role is 5 days (35 hours) per week, however part-time hours or a variation to this working pattern will be considered for the right candidate.

Main Duties/Responsibilities:
- Accounts payable and receivables: controls and processes
- Processing purchase invoices: entering and coding invoices (including VAT) in Xero managing the approval workflow (by cost centre budget holders) as required

- Maintaining the aged purchase ledger ensuring invoices are accounted for on receipt and tracked through to payment
