As Finance & Operations Coordinator you will be a member of the small, supportive Finance and Operations team, working closely with the Senior Finance Officer, Head of Finance and the Operations & Office Manager.

As we embark on a new strategic period (2026-30) together with newly-announced funding streams, you will work alongside colleagues across the whole staff team, with responsibility for:
Supporting the Finance team in managing the charity’s finances
- Process purchase ledger invoices, by prompt inputting of invoices onto Xero financial system, ensuring accuracy and compliance with policies and authorised in line with delegated authority
- Prompt processing of transactions
Supporting the setting up of weekly payment run, ensuring all payment information has been processed accurately; prompt invoice administration and timely payments to suppliers
- Processing staff and volunteers’ expenses ensuring accuracy and compliance with policies and authorised in line with delegated authority
- Recording gift aided donations on Giveclarity for claim from HMRC
Support the Operations & Office Manager in the day-to-day office operations
- Welcoming visitors to the office
- First point of contact for the Trust’s main telephone line
- Dealing with incoming / outgoing post
- Assisting H&S and housekeeping checks
- Maintaining and overseeing cleanliness and use of the London office, ordering stationery supplies, etc.
- Acting as a point of contact for contractors for regular maintenance visits
Support the External Relations Team
- Providing additional staff resources for key events, including the annual Festival at St Paul’s Cathedral, and Annual General Meeting for the Charity’s supporters

Thames Life Community Development Trust:
Thames Life began in October 2017 as Thames Ward Community Project, with funding from the National Lottery Community Fund to combine a community organising and asset-based approach to one of the most deprived areas in the UK (Thames View and Barking Riverside Wards) and also an area of rapid development and regeneration. The project was tasked to establish a resident-led community development trust leading to the establishment of a charity in June 2020.
Thames Life is a charitable company and transforming the area into a place that people are proud of, where they can see a positive and exciting future and feel able to influence and shape the changes that are taking place over the next decade and beyond. Thames Life is laying the foundations for a community that has a strong identity and sense of common purpose; that takes great pride in the rich diversity of its residents; that feels it can shape its own future rather than simply be on the receiving end of decisions made elsewhere; that is better prepared to meet the challenges of major physical and demographic changes over the coming years; and that is determined to play its part in transforming services.
Purpose: The Communications, Campaigns, Marketing and Design Officer will work with the CEO, resident trustees and the wider community to consolidate the communications infrastructure and ensure the promotion of resident voice through high quality communications, informed by regular community outreach. The postholder will use strong marketing, social media and communications skills to enable residents to become active and enterprising citizens, working together for the common good of existing and future communities. This post is funded by Trust for London.
Thames View and Barking Riverside Wards: The residents of Barking and Dagenham have a number of complex challenges facing its residents: lack of opportunity, economic precarity, housing insecurity and homelessness, high rates of domestic violence, and significantly higher levels of deprivation and unemployment than almost any other London borough. Thames View and Riverside Wards reflect these adversities. Barking Riverside Ward has a higher-than-average instance of domestic violence and obesity amongst children in reception in comparison with other wards. It also has 80.6% Black, Asian and Multi Ethnic (BAME) population, with Thames View Ward having 76.4% BAME population. Thames View Ward has the second highest instance of unemployment benefit-related claimants across the borough wards with 64.6% of residents living in deprived households.
Social cohesion has been a major problem over the last twenty years as the Borough has been transformed from a white working-class area to a multi-racial part of Greater London. The next twenty years will bring another massive change, as large tracts of derelict land along the River Thames are reclaimed and developed to build 20,000 new homes on the Riverside site alone and close to 4,000 on the Thames Road redevelopment programme.
Main responsibilities:
Strategic leadership and campaigns
· Work with the CEO to develop/deliver comms strategies across the entire spectrum of resident-led communications disciplines including: media and public relations, internal comms, brand marketing, advertising, marketing, digital and social media and production of materials.
· Report on and analyse all aspects of communications
· Develop key messages, lead on creating and maintaining appropriate and consistent language and terminology across all media
· Act as a ‘brand guardian’ ensuring consistency across all internal and external communications
· Identify issues that support a campaign focus and balance with mitigation of risk or benefit in regard to reputational status
· Keep up to date on best practice within the charity sector generally and particularly changes to data protection, communications innovation, legislation, and codes of practice
Impact
· Work with the CEO to develop and implement an impact framework for the organisation to ensure the work we do connects well with our vision, mission and aims and can be easily measured, evidenced and communicated using simple and consistent data collection tools.
Marketing and design
· Take responsibility for researching and developing our marketing approach, delivering a simple marketing plan (either in conjunction with or as part of an expanded communications strategy) focused on how we raise awareness of, and engagement with, Thames Life and its associated projects and activities among residents locally, including appropriate KPIs to measure performance.
Newsletter and other Publications
· Oversee production of community newspaper (River View) and support resident editorial board. Lead on all aspects of production, design and distribution and liaise with funders as necessary to negotiate content etc.
· Design, copy-write and distribute regular e-bulletins to promote publications, programme activities, events and other key information
· Oversee the management of our database
· Lead on copywriting and production of marketing materials and key publications including Annual Review.
Website
· Take responsibility for the development and management of the website and blog, including generating content, making improvements to functionality, maximising its potential and monitoring its performance.
Social media
· Manage and expand social media presence, sourcing and sharing newsworthy information from across Thames Life’s activities.
· Produce regular reports detailing social media activity to share with staff and steering group members
Publicity and media
· Increase the organisation’s profile across a range of media outlets, and with influencers and organisations
· Act as a spokesperson when necessary
· Develop relationships with target media representatives
· Write releases, articles and statements
· Respond to requests from the press for comments, views and supporting information and maximise opportunities for further engagement on relevant topics
· Supervise and advise other staff members and trustees in their drafting of communications plans and statements
· Identify opportunities for Thames Life programmes/activity to be nominated for awards
Internal communications
· Enhance communications with colleagues and develop an understanding of Thames Life’s work and needs of its users
· Provide training to staff on branding where necessary and ensure staff are well briefed on key communications issues

Staff and supplier management
· Manage any volunteers and interns
· Manage relationships with suppliers of services essential to communication work

Timescale: We would like to appoint the Communications, Campaigns, Marketing and Design Manager as soon as possible. This is a part time post, initially until 31st May 2025, with plans for renewal until December 2025 (maternity cover) pending the securing of wider organisational funding. During that time we will seek to expand the team and implement sustainable long-term changes. We need an experienced Communications and Marketing Officer to help us take this project to the next level.
Supervision and support: The Communications and Marketing Officer will be accountable to the CEO. S/he will be supported by the board of trustees and a wider resident steering group, including people with relevant experience of communications, marketing and community organising.

The Role
This is a senior executive role to support the CEO achieve the organisational strategic objectives and vision and mission.

The Head of Finance and Operations will support significant growth and associated transformation of their Finance and Operations to underpin their ability to provide these vital services to support young refugee’s increasingly complex needs.
Reporting to the CEO and leading a team of 5, the Head of Finance and Internal Operations is a critical leadership role providing advice and analysis to the Board and its Committees. This role will drive the vision and direction of Young Roots as a member of the Senior Leadership Team and will have a focus on Finance, with an oversight of HR, IT and Facilities. This role offers a rare opportunity to contribute at a big-picture strategic level, whilst maintaining the ability to manage their finances in a hands-on way for a genuinely amazing charity.
Key Responsibilities:
- Leadership: As part of the Senior Leadership Team, support the CEO to develop, implement, and drive the vision and strategy for Young Roots; Develop and lead a first-class Finance and Operations Team; Support the SLT in its decision-making by providing expert analysis across finance, governance, HR, IT, risk, and facilities perspectives.
- Finance & Planning: Provide robust financial governance and long-term financial planning; Lead financial reporting, production of management accounts, budgeting, reforecasting, and cashflow monitoring; Partner with Head of Fundraising and the SLT to ensure income generation and fundraising strategy is fit-for-purpose; Ensure statutory responsibilities are delivered in compliance to charity SORP; Lead the audit process; Ensure finance systems and controls are fit-for-purpose; Manage all contracts, ensuring services and bids are valued robustly and reflect ROI; Manage payroll; Ensure funding partners receive insightful financial reporting.
- HR: With the CEO and HR Manager, develop and implement a DEI and Wellbeing strategy; Ensure HR policies and procedures are fit-for-purpose, including ER, recruitment, and H&S.
- IT: With IT Consultant, develop and lead the implementation of IT and Digital Transformation strategy; Ensure database and day-to-day IT support is in place; Act as Data Officer.
- Premises: Oversee facilities function; Lead on lease and building issues; Support CEO, SLT, and Trustees with premises options and represent Young Roots with landlord and agent; Ensure all facilities including IT, office space, and utilities are fit-for-purpose and compliant.

Job Description
PURPOSE
Ensure that Nacro operates in compliance with its own governance standards, regulations and legislative obligations and has effective controls in place to manage and mitigate risk, including financial sustainability and commercial prudence.
KEY RESPONSIBILITIES
- Subject to Trustee approval, to be the Company Secretary of Nacro and ensure compliance with statutory requirements and best practice in constitutional and governance matters.
- Oversee the implementation, and maintenance, of the governance framework.
- Operate effective contract management processes from bid through to contract end, ensuring key performance metrics and financial targets are realised during deliver, and that appropriate decisions are made about retendering/re-pricing.
- Ensure an effective risk management framework exists, and is actively scrutinised by the Board and acted upon by the Executive Leadership Team (ELT).
- Ensure that the necessary policies and controls are in place to manage risk, and to ensure compliance with all regulatory and legal obligations that apply to Nacro's operations, including Health & Safety, Safeguarding and Data Protection.
- Ensure that the Board and ELT are provided with accurate, timely financial information to support effective decision-making.
- Ensure that the organisation's finances are well-managed, and that procurement costs represent value-for-money and cost-savings are identified where they exist.
- Lead on strategic financial planning for the organisation including the strategic review and appraisal of Nacro's activities and new business propositions.
- Work with the Chief Executive and ELT to develop short, medium and long term financial strategic objectives and to manage Nacro's cost base to achieve this.
- Work with the Chief Executive and ELT to ensure that Nacro achieves the levels of surplus income necessary to build up Nacro's working capital and asset base.
- Lead on the preparation of the annual business planning and budgeting process in consultation with the Chief Executive and ELT, ensuring that the objectives of Nacro's financial strategy are fully integrated into Directorates' business plans and financial targets are achieved.
- Ensure accurate and timely accounting at all times and the preparation of annual published accounts to time and to the satisfaction of the Board and external auditors.
- Manage working relationships with internal and external Auditors, legacy Defined Benefit pension scheme Trustees, banks and regulatory bodies as required.
- Lead on sustainability through tools such ethical and impact based decision-making, remaining focused on environmental, social and good governance (ESG) standards that service users and staff will benefit from.
The Successful Applicant
- Fully qualified accountant (CCAB) with significant post qualification experience at board level
- Knowledge and understanding of the issues affecting service delivery within the public services and charities context, including compliance and regulatory issues
- Experience operating in a contract services environment, where pricing relates substantially to people costs
- Experience establishing governance, risk and controls frameworks and driving compliance with these
- Experience and/or qualified Company Secretary (desirable)
