We seek an enthusiastic, motivated, and highly organized administrator to provide admin support for our Inclusive Cycling team. You will help people from diverse backgrounds, including those excluded due to age, ethnicity, economic disadvantage, disability, or health issues, to access the benefits of cycling.

You will act as a friendly, reassuring first point of contact providing support for those seeking our services. As a part of a small team of colleagues, you will work to ensure the smooth running of our services and play a key role in assisting the promotion of our activities. You will be in charge of keeping accurate records on our database so that we can report to our funders.

While your role will primarily be office-based, you will have the opportunity to go out and engage with our projects, meet the people we work with, and witness first-hand the positive impacts of our work. Additionally, you will have the chance to help shape our direction as we develop and grow as a team.

Whilst you will have at least some previous administration or customer service experience, a positive attitude, willingness to learn, attention to detail and excellent customer service skills are most important.

Key responsibilities

• Serve as the primary contact for public inquiries (phone, email, online) and assist with requests, bookings, and customer service.
• Coordinate with colleagues to manage activities, events, and bookings for venues, freelancers, and volunteers.
• Troubleshoot issues with service users, freelancers, and volunteers.
• Maintain accurate records using our database and IT systems; assist staff with information requests and system use.
• Ensure data security, hygiene, and GDPR compliance.
• Provide invoicing and financial details to the Finance team.
• Schedule maintenance for loan bikes and arrange their transportation.
• Order tools, equipment, and office supplies, and manage office logistics (e.g., meetings, storage of donated bikes).

Person specification

Essential

• Strong customer service skills with a friendly telephone manner and confident communication (spoken and written).
• Proficient in Microsoft Office (Word, Excel, Outlook) and office management applications, with a willingness to learn new databases and software.
• Ability and willingness to learn confident use of databases and different software types.
• Detail-oriented, proactive, and highly organized, with the ability to stay calm under pressure.
• Reliable, punctual, and numerate.
• Friendly, compassionate, and approachable, committed to equality, diversity, and accessibility, as well as continuous professional development.

Desirable

• Some administration/office assistant/customer service experience.
• Experience in creating and updating records and databases with personnel, financial or other data.

We are looking for an enthusiastic individual with office administration and customer service experience to join us as an Administrator and provide the support we need to help us deliver great local services. This is an exciting opportunity and you will play a key part in standing up to the housing emergency.

About the role

You will be the first point of contact for in-person and telephone callers to the service - taking client details, providing information and working with advisers to direct enquiries to the right people.

You will provide administrative support and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration.  Helping front line staff with case administration, assisting the Hub’s managers with ad-hoc projects and seeing that our office equipment is properly maintained – all are aspects of this interesting, varied and vital role.

Job Role: Facilities Administrator (Health & Safety & Compliance)

The Role

As a vital part of the Health, Safety, and Facilities team, your role will be to uphold the highest standards of safety and quality in our accommodations, offices, and commercial properties. This encompasses a range of responsibilities from conducting thorough reports, and engaging qualified contractors, to overseeing and approving maintenance works. Additionally, a key aspect of your role will be to ensure that all operations are in strict adherence to legal compliance, safeguarding the well-being of all stakeholders and maintaining the integrity of our facilities.

Responsibilities include:

• Work with the Facilities & Property Manager to ensure statutory compliance across our services and premises 
• Maintain a good working relationship with the owners of our buildings/premises
• Liaise with landlords and contractors to facilitate a prompt and professional approach to repairs and maintenance keeping all parties fully informed at all times and obtaining all necessary consents 
• Carry out all duties in accordance with Health & Safety legislation
• Line manage the Facilities Admin / Reception Team, oversee their activities and carry out supervisions 
• Carry out, within reason, any other duties necessary to achieve the smooth running of the service and undertake other organisational duties, which are broadly in line with the above key responsibilities

Guided by the Bikeability Delivery Lead, your role will be varied and sociable. You’ll be empowering children across Bristol to benefit from cycling and helping people across Bristol access secure bike storage. 

As the Cycle Training and Bike Hangar’s Administrator, you’ll: 

• Be the first point of contact for bookings and queries (by phone and email). 
• Help the public with requests and bookings, providing excellent customer experience. 
• Liaise with colleagues to administer Cycle Training activities, booking venues, freelancers and volunteers as required. 
• Triage more complex requests to relevant staff in a timely and efficient way. 
• Help administer the Bike Hangar project, guided by the Bike Hangar Coordinator. 
• Use our database and internal IT systems for accurate record keeping. 
• Provide invoicing and financial information to the Finance team.

Data & Insight Analyst

You will work closely to help the Football Foundation demonstrate its impact to communities through our work. The Insight Team are looking for an experienced nalyst, confident in building SQL databases (including writing queries independently), using data visualisation tools. and with advanced Excel skills (including building Pivot Tables and importing data using Power Query) to help us achieve our goal of providing everyone with a place to play. You will be integral in helping the Foundation to understand who we are reaching, and identify areas we can improve to help even more people!

As part of our data and insight team, you will play a vital role in helping the Foundation measure the impact of its investment so that it can maximise the benefit to grassroots football. You will be responsible for supporting the efficient and effective delivery of insight capability for the Football Foundation and Premier League Stadia Fund.

You will be involved in developing and maintaining PowerBI dashboards as part of the Foundation’s interactive monitoring tools. You will also manage the end-to-end surveying approach for the Foundation and ensure the data we hold in our databases is accurate and reliable.

The salary band for this role is £37,000 - £42,000 per annum, dependent on relevant skills and experience.

About the Department

The Legal, Safeguarding and Donor Compliance (LSDC) team is made up of 12 individuals from a range of countries including 4 based in Africa and works across  MSI’s locations. It  has a broad role both in the UK and in dealing with the legal and administrative complexities of providing sexual and reproductive healthcare across  Africa and Asia. It runs MSI’s anti-fraud, safeguarding, data privacy and carbon reduction processes, and deals with global government and other large donor funding requirements.

The “objective” of the team is to develop and advise on effective MSI policies and processes, and provide quality advice to the organisation, so that decisions are transparent and well-informed, and decision-makers are accountable.

This exciting opportunity requires the successful candidate to manage the administrative requirements of the team and maximize its productivity and efficiency. The role has a broad remit, with the opportunity to work with team members in more than 30 countries, enabling the most efficient yet comprehensive outcomes, ensuring informed decisions and identifying and escalating potential risks. Legal, governance or compliance experience is beneficial but not essential as the LSDC Team will offer extensive training on these matters. We are really looking for a super-efficient EA or team manager who we can involve in multiple projects and team activities across the world, however to get the best candidate we would consider someone who in their future is considering looking for a period of recognised legal training leading to the successful candidate taking the SQE.

The Outbound Permanence service. This provides specialist advice by email, supported by legal research, country-specific written guidance and individual consultations where required, to local authorities making arrangements for children to live with relatives and friends overseas. The service also delivers regular training and events.

The Information Service, which supports the advice line and CoramBAAF members with up-to-date information, research, resources and statistics. Their role also includes managing CoramBAAF’s specialist library, the largest collection of adoption and fostering related resources in the UK, and producing the CoramBAAF Digest, a unique monthly current awareness briefing for everyone working in adoption, fostering, kinship and child welfare covering latest developments in legislation, parliamentary activity, policy, consultations, research, statistics and online resources throughout the UK. The Information Service is also an invaluable internal resource, assisting with survey design and data governance, and helping our consultants, trainers and authors to ensure that they have the latest and most accurate information for practice forum meetings, the guides we publish and the training we offer.

The role will primarily support the Outbound Permanence and Advice services. The role is an opportunity for someone with experience and business support/administrative skills, good attention to detail, customer service focus and a flexible approach.

Working hours can be discussed, but to include Thurs/Fri (Friday am specifically).
