What you will do:

As part of the Volunteering team, you will play a key role in delivering a range of Volunteering related processes alongside the site-based administration. Working with the Volunteering Coordinator, you will provide an efficient, professional, and effective administration service, supporting the volunteering lifecycle, including recruitment and onboarding, volunteer activities and general support. Alongside the reception and office volunteers you will provide support with office based administration tasks and provide basic IT support to staff and volunteers.

You’ll have knowledge of a relational database, excellent attention to detail and be skilled and comfortable in building good working relationships. 

The role also includes providing excellent service and delivery of supporter care and thanking supporters promptly and appropriately.

• Database support experience (charity database preferred but not essential) 

• Experience of formatting and importing data to a database from external sources to agreed timescales

About You
The Policy and Engagement Manager is responsible for the development, delivery and evaluation of the Society’s growing policy and engagement programme.

This role will report to the Head of Engagement and Storytelling, with managerial responsibilties for the Policy and Engagement Officer, and will have responsibility for leading the development and coordination of key strategic policy and engagement activities, including progressing external scientific and higher education policy for the Society and promoting the importance of engaging in policy-making to members of the Society.

The Governance Team manages the effective operation of The Scout Association’s Board of Trustees and its sub-Committees. Our Governance Officers have a key role in the management of these and the production of the documentation required to facilitate each meeting.

We are looking for a highly organised and competent individual who has good experience of minute taking at Board and Committee level, and who is keen to broaden their knowledge in the third sector and in the company secretarial profession. You’ll have a keen eye for detail and confidence and sensitivity to manage strategic level information in a professional manner.

Time management will be key in ensuring you are fully prepared for the committee cycle which includes agenda preparation, in consultation with the Chair and key staff support, collation and distribution of papers, taking minutes at the meetings and sharing agreed actions with Committee members.

You’ll be expected to provide ongoing support to the Chair of the Board, including diary management, and support to our trustees, including ad hoc enquiries, inductions, arranging appraisals and booking accommodation.

As a volunteer led organisation, The Scout Association holds Board meetings at weekends and Committee meetings during normal office hours (between 9am and 5pm) as well as some in the evening and at weekends. Reasonable notice will be given when required to attend these meetings.

Governing Documents and Events

The Governance Team also manage the Association’s Policy, Organisation and Rules (POR) document which needs careful scrutiny and annual updates in line with changes to legislation and operationally within the movement.

Working with the Governance Manager, the Governance Officer is responsible for providing statistical reports on a quarterly basis for the Board.

Key Responsibilities:

• Supporting the Company Secretary and Governance Manager with effective management of the Committees serviced by the Governance Team. This includes being aware of agenda items prior to each meeting to mitigate any potential issues that may arise. 
• Taking the minutes of agreed Committee and Board meetings and producing a set of minutes for approval within agreed time period.

The Role

With a strong focus on stewardship, you’ll manage a portfolio of supporters, create tailored engagement opportunities, and deliver compelling cases for support that inspire long-term giving. You’ll work closely with colleagues across the organisation to ensure a joined-up, strategic approach to relationship fundraising. Your ability to communicate with clarity and warmth, alongside a deep understanding of what motivates Christian supporters, will be key to growing support and maximising impact.

About You

You will have proven experience of developing high-value relationships with donors (individuals) and a track record of success in soliciting major gifts in excess of £5k or transferable skills gained in a similar role with equally demanding relationship-based targets.

With knowledge of the principles of relationships fundraising to include identification, research, cultivation, solicitation and stewardship of major and mid-level donors, you will have experience of working autonomously and effectively with people at senior or Board level.

You will have:

• Evidence of strong influencing and negotiating skills

• Excellent written and oral communication skills, with the ability to make a cogent and compelling supporting case for each project

• The ability to develop excellent working relationships with staff, Trustees and volunteers; you will be diplomatic, persuasive and credible at a senior level

• The ability to manage multiple tasks while maintaining focus and standards, and balancing time scales

• The ability to confidently present to and communicate with a wide range of stakeholders

• An understanding of what drives and motivates potential and existing Christian supporters

As an Assistant Retail Manager, you will join an incredible team and support them to encourage sales, provide excellent customer service, and uphold the highest standards of stock presentation and store cleanliness.
You will be responsible for:

- Assisting the Retail Manager in maximising sales by maintaining high standards of display and layout, ensuring proper stock rotation, and securing realistic pricing on donated items.
- Merchandising awareness and making sure you are keeping up to date with trends and competition.
- Maximising Gift Aid income and oversee the proper display and administration of bought-in goods, ensuring minimal stock loss.
- Customer engagement and leading by coaching volunteers and staff to have great conversations with every customer on" Rounding up" their purchase, making an "add donation" for our charity and signing up for our loyalty scheme.
- Engaging with the community to drive repeat custom, stock donation, volunteer recruitment and community involvement.
- Supporting the Retail Manager in recruiting and managing volunteers and ensuring all staff and volunteers are following Marie Curie procedures and guidelines.
- In the absence of the Retail Manager, taking responsibility for the overall management and operation of the store.

Key Criteria:
- Previous retail experience, preferably in fashion/clothing.
- Experience of cash handling and financial management procedures (including completion of sales records).
- Strong interpersonal and communication skills, with a customer-first attitude and the ability to communicate with tact and discretion,
- Ability to work well both independently and as part of a team.
- Good organisational skills and the ability to prioritise workload, balancing competing demands.
- Understanding of health and safety procedures in a retail environment.
- Experience in managing and motivating volunteers is desirable.

• You have demonstrable experience of leading and managing community services in the independent or public sector for a minimum of ten years.

• You have a proven track record in successfully leading a team, across multiple service delivery areas, and in implementing change.

Key areas of responsibility

 Workforce

• Maintain a positive culture within the Centre in line with the London Irish Centre values and expectations.
• Overall responsibility for management, development, motivation, support and appraisal of the community services teams, and other team members when agreed with the line manager.
• Maintain and implement effective policies and processes for managing staff and volunteers, including recruitment and retention, induction, training and appraisals. 
• Ensure adequate and appropriately skilled staffing of the community services team.
• Monitor performance against budgets, targets and Key Performance Indicators.
• Ensure best practice and quality assured delivery of Community Services and Programmes.

Financial 

• Overall responsibility for management and reporting of community services budget. 
• Overall responsibility for management and monitoring of all community services` grants. 
• Responsibility for ensuring services are managed within delegated budget.
• Operating within financial governance arrangements at London Irish Centre.

Income generation

• Ensure relationships with all supporters and donors are managed and developed effectively, including trusts, individuals, major donors and corporate partners. 
• Identify suitable new grant and trust funds and lead on applications.
• Lead on monitoring, reporting and submissions for current grant and trust funds in accordance with funders` requirements.

Impact and Innovation 

• Overall responsibility for the service`s impact management in line with the London Irish Centre’s theory of change. 
• Lead on identification and adoption of innovative technology to improve the processes and impact on community services.
• Overall responsibility for communicating the outcomes and impact of the community services and programmes.
• Strategic Development.
• Work with the CEO, other management and the Board of Trustees to set and achieve the charity`s strategic objectives. 
• Ensure Community Services resources are effectively targeted. 
• Lead in implementing a strategic plan for Community Services and support team leaders to deliver against performance targets. 
• Develop and foster positive relationships with external stakeholders. 
• Engage with existing and new partners to ensure the charity meets the increasing needs of those who use our community services.
