Welcome Desk Volunteer Job Description

Role Purpose: To act as the first point of contact for clients, providing a warm and friendly welcome, offering guidance, and supporting the smooth running of the organisation’s Drop-In service and Social Hub at St Mary’s Church, Watford.

Principle Responsibilities:

·       Provide a friendly and respectful welcome to refugees, asylum seekers, volunteers and visitors.

·       Ensure clients feel safe, supported, and valued.

·       Record arrivals and maintain an accurate log of attendees.

·       Direct clients to appropriate services or team members (e.g., caseworkers, befrienders, or ESOL classes).

·       Manage the flow of clients to ensure a calm and organised environment.

·       Hand out leaflets or other resources as needed.

·       Ensure people who aren’t signed up as clients get triaged by the Drop-In team.

·       Answer general questions about services and processes.

·       Collaborate with other volunteers and staff to ensure the smooth running of the welcome desk.

·       Participate in briefings before each session.

·       Handle paperwork and maintain confidentiality of all client records.

Person Specification:

Essential:

·       Strong interpersonal and communication skills.

·       Friendly, empathetic, and non-judgmental attitude.

·       Reliability and punctuality.

·       Basic administrative and organisational skills.

·       Able to attend Tuesdays 11am-1.45pm

Desirable:

·       Experience working with refugees or vulnerable communities.

·       Previous experience working on a reception/customer service desk.

·       Language skills (especially Arabic, Farsi, or other relevant languages).
