How Will you Make a Difference?
As an Operations Officer, you will play a pivotal role in supporting the effective functioning of our organization. This position encompasses a broad range of responsibilities, including human resources, recruitment, HR administration, office management and providing general support to the Operations team. The Operations Officer will work closely with team members to ensure the smooth execution of daily operations and contribute to the overall success of the organization.
Responsibilities include:
Human Resources:
- Assist the People and Culture Manager in implementing HR policies, procedures, and initiatives, including performance management, staff wellbeing, and employee engagement.
- Handle HR-related inquiries and administrative tasks such as maintaining employee records, benefits administration, and compliance with labor laws.
- Manage the end-to-end recruitment process, including sourcing, screening, interviewing, and onboarding candidates. Collaborate with hiring managers and People & Culture Manager to identify staffing needs, develop job descriptions, and engage with external recruitment agencies.
- Coordinate staff training, professional development programs, and workshops to enhance employee skills and growth.
- Support onboarding and offboarding processes, ensuring smooth transitions in collaboration with the People and Culture Manager and the Employer of Record.
- Work closely with the Employer of Record to ensure accurate processing of contracts, payroll, and adherence to local labor laws. Prepare and update HR-related documentation, such as contracts, offer letters, and policy manuals.
Admin and Logistics:
- Act as the primary point of contact for the coworking space management team.
- Implement and improve administrative processes for increased efficiency.
- Arrange and manage staff travel, including flights, accommodations, and transportation, ensuring compliance with organisational policies, budgets, and safety protocols.
- Monitor travel expenses and coordinate reimbursements with the Finance team.
- Provide pre-travel briefings in collaboration with the Head of Operations and ensure compliance with safety protocols.
- Provide administrative and logistical support to the Operations team.
- Handle general inquiries and requests to facilitate smooth operations.
- Support the Head of Operations with IT needs, maintain knowledge management systems, and ensure effective workflows and internal communication platforms are up-to-date.
- Manage office assets, including inventory tracking and maintenance.
- Other ad hoc responsibilities as needed.
Qualifications and Experience:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Knowledge of labor laws and regulations.
- IT literate with a good working knowledge of Microsoft office.

About the role
This is an exciting opportunity to play a key role in supporting the development and delivery of a 3-year Train the Trainer pilot programme in the chosen pilot locations in England or Scotland.
The pilot will train and equip local health care professionals, health promotion workers and local community workers with the knowledge and resources to promote breast awareness, breast screening and risk reduction messages in their own communities.
You will support the 2 public health development managers, train the trainer, with the development and delivery of the in-person programme, including, marketing materials, resource packs and ongoing support for trainees. You will also be responsible for the organisation of training delivery within the pilot areas.

Overview of Role

CAT’s Fundraising Team is responsible for raising vital funds for CAT’s core and project work from individuals, trusts and foundations, statutory bodies and companies. This is essential for CAT to fulfill its charitable mission – to inform, inspire and enable people to take action for a sustainable future. The post-holder will play an essential role within this team, helping to steward, inspire and engage current and potential supporters and members.
Supporter care and fundraising co-ordination: The post-holder will be accountable for establishing stronger and more effective relationships with supporters and leads. They will help maintain and increase levels of engagement through consistent, outstanding supporter care (customer service) and efficient coordination of communications (including outbound mail, email and phone).
Working with data: The post-holder will also play a crucial administrative role, including regularly collecting, processing and recording income for the team and thanking supporters. They will complete various important business controls and processes on a regular basis, so that financial and supporter data can be accurately and appropriately tracked. These aspects of the role provide the postholder with valuable opportunities to develop their skills and experience with using MS Excel and databases, with CAT supporting them to achieve relevant CPD training as required.
Gaining other fundraising/marketing experience: An important and exciting aspect of the role is to support the team’s income generation activities in a variety of ways. The nature of this work may be tailored, to some extent, to the abilities and interests of the post-holder. For instance, there may be opportunities to develop their skills in copywriting, writing applications for funding from charitable trusts, managing creative design work, data analysis, community fundraising, digital fundraising, major donor and legacy fundraising, events fundraising, and corporate partnerships.
The post-holder is likely to work closely and share many of the below responsibilities with another Fundraising Officer as well as other colleagues.
Main Responsibilities
To provide supporter care services:
- To be the first point of contact for individual Giving and Membership related queries (by phone, email and post) and to respond to these or escalate to line-manager as appropriate.
To develop and support fundraising projects and programmes
- To write fundraising letters and emails and arrange in-house mailings if required.
- To help organize and run the annual CAT Conference, regular free webinars and other events if required.
- To make applications for funding from trusts and foundations and produce regular reports on any projects funded as a result, if required.
- To help generate new sources of income and manage existing relationships and programmes eg. through community fundraising, corporate partnerships, lead generation, digital fundraising, major donor and legacy fundraising and other channels if required.
- To help produce insightful, high-quality research on current and prospective donors from trusted sources and in line with GDPR, if required.
- To conduct other research within specified timeframes and tailor findings for a variety of purposes and audiences, if required.
To process data and manage communications:
- To collect and process enquiries, payments and cancellations by card, Paypal, cheque, Direct Debit and other methods by phone, online or on paper.
- To export, import, and maintain data on relevant CAT databases and software as appropriate, both manually and through batch processing; to ensure filing is kept up to date; and to ensure data is stored and archived accurately and in accordance to GDPR.
- To carry out and record individual and bulk mail, email and phone communications, including thanking and welcoming supporters and members as well as tailoring bespoke communications where appropriate.
- To carry out and manage communications, eg. email, phone and post, including mailmerges, for welcome, stewardship, membership renewal and other fundraising needs.
- To submit Gift Aid claims to HMRC and update database records accordingly
- To process CAF, Stewardship, GAYE, Standing Order, JustGiving, collection box and other income, and managing relevant communications and maintaining records as appropriate.
To undertake other duties:
- To provide support for creative, analysis, insight and evaluation if required
- To respond to requests from the Finance Team as appropriate, including for coding information
- To update results reports and select and export other data if required
- To supervise and train volunteers and interns if required
- To undertake training in the functions of the role as described above

About the Role
This role is an exciting opportunity to work for Mind BLMK as part of the Fundraising & Engagement Team.
Acting as the first point of contact for all Fundraising & Comms enquiries and in line with Mind BLMK’s Fundraising and Communications Strategy, this is a busy role and will require excellent stewardship and donor care skills as well as meticulous organisation and innovative thinking. As an Ambassador for Mind BLMK, you will need to have a passion for mental health and an ability to operate at all levels.
The successful applicant will generate income and support all aspects of communication and marketing, to help to maximise local support, raise awareness of our work in the community, and by providing exceptional supporter stewardship, in line with Mind BLMK’s Fundraising and Communication strategy.
Key Duties
- Engage and support stewardship and donor care for Mind BLMK’s individual givers, corporates, groups, volunteers and other supporters of the charity, in line with the fundraising strategy.
- Send and engage with donors, appropriate information and materials to support their fundraising at Mind BLMK.
- Ensure supporter interaction points (telephone, post, email) adhere to the highest standard.
- Support fundraising and engagement in the development of new partnerships with corporates, organisations, and individuals, to support income growth.
- Support and engage with the fundraiser, donor through the customer journey.
- Work with the wider team at Mind BLMK and with our national partners at Mind.
- Contact by phone, email and meet supporters or potential supporters of Mind BLMK and communicate key messages and ensure their fundraising is promoted and celebrated across all social media channels.
- Support the implementation of marketing strategies and targeted campaigns; plan, develop, and ensure the production of multi-media communications, PR, and marketing materials.
- Support the data capture, monitoring of and reporting on the effectiveness of marketing, PR and publicity activities, making recommendations as required.
- Ensure the quality assurance for the implementation of Mind branding guidelines and specifications across the organisation; reviewing, monitoring, and advising as necessary to ensure corporate identity is maintained in line with Mind BLMK policies and procedures.
- Support the functions of the publication and distribution of press materials, news stories, and updates, both internally and externally.
- Support the maintenance of Mind BLMK’s websites, social media accounts, Mailchimp newsletters, and web administration profiles and content (including but not limited to - Facebook, Twitter, Instagram, Linked In).

The purpose of your role
We are looking for a personal assistant with some previous experience, who is keen to support Police Now’s mission of community transformation and culture change in policing, and to undertake a meaningful role supporting the executive leadership team in a busy, agile and ambitious organisation.
Police Now’s executive leadership team currently includes the Chief Executive Officer, Chief Operating Officer, Chief Marketing Officer and Programmes Director. Together, the Executive is responsible for the organisation’s overall health and success and is accountable to the board of trustees.
This role will work both independently and collaboratively to ensure that the executive team works efficiently and effectively. This will primarily be achieved via swift and thoughtful diary management, meeting support (for example, taking minutes of formal meetings and actions from informal ones), management of email inboxes, drafting and responding to correspondence, and similar administrative and support duties. Over time, there are opportunities to develop and add additional activities and responsibilities to the role.
Absolute discretion and trust is critical, as is strong and confident communication with a diverse range of people. You will need to be intrinsically motivated, trustworthy and prepared to take on exciting and varied challenges within Police Now.
Key responsibilities
- Board and board committee governance: be a point of contact for trustees, partners and other external stakeholders and plan and coordinate board meetings, sub-committees, and the senior leadership team meetings. This includes ensuring papers are circulated in advance, meeting room bookings, attending meetings and producing timely, concise and accurate minutes and actions. You will work with the Company Secretary to update our records on Companies House and the Charities Commission to ensure that Police Now is always compliant as well as manage and maintain databases and systems relating to governance.
- Executive team diary management: support the executive team with day-to-day diary management to help ensure that they are effectively utilising their time in the most impactful ways. This includes arranging and coordinating meetings, booking rooms in our London office, arranging travel and accommodation when required and in some cases, sourcing an external venue while being cost effective, all while ensuring that digital infrastructure is available to support hybrid working.
- Financial processing: you will process invoices relating to the executive through our financial system and reconcile the executive teams monthly credit card statements and personal expenses in a timely manner as well as occasionally process expenses for trustees and committee members.
- Project support: assist and support the Executive team and Strategy, Stakeholders and Governance Manager as needed with strategic projects and other ad hoc tasks as required.
- Inbox management: manage the general enquiries inbox and some individual executive inboxes to effectively direct queries and escalate risks as appropriate.
Key Requirements
- We are looking for someone with a good grounding as a personal assistant or with significant relevant experience within an administrative role.
- An ability to handle confidential information with absolute discretion; a track record of integrity and good judgement.
- Strong organisational skills with the ability to work at real pace, manage a varied workload, work to short deadlines and prioritise effectively.
- Excellent interpersonal skills, strong emotional intelligence and the ability to build positive relationships and trust with stakeholders, including staff and external partners.
- Excellent attention to detail, as well as the ability to select the most important information to note or share during meetings.
- Excellent written communication skills, particularly minute writing, report writing and correspondence.
- Good initiative, able to proactively suggest ways to streamline or improve processes to enhance efficiency.
- Ability to work independently with limited supervision; can proactively anticipate, respond and adapt to situations.
- Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), particularly report writing and slide packs; experience in Salesforce or CRM systems is an advantage but not essential.

As Individual Giving Manager you will be responsible for leading and delivering an annual programme of activity across all aspects of Individual Giving.
