Job Title: Finance Officer 

 Job Description 

 Job purpose 

You will be responsible for managing the financial transactions of the organisation. Working closely with the Finance Manager to ensure all financial systems are implemented effectively while ensuring data integrity and compliance with accounting standards. In addition, you will assist the Finance Manager in maintaining a functional and safe office environment in accordance with employment and health and safety laws. 

 Key duties:

 Financial:

 Accounts Payable

• Manage the day-to-day accounts payable activity to support the organisation's short-term obligations owed to its creditors or suppliers, including but not limited to: 
• Utilise cloud-based software to manage supplier invoice activity.
• Dealing with external creditor and supplier queries. 
• Assisting the Finance Manager with supplier contract renewals.
• Manage and reconcile expense activity across all business cards utilising cloud-based software where appropriate. 
• Resolve accounting discrepancies.

Account Receivable

• Manage the day-to-day accounts receivable activity between the organisation and its clients, customers, and donors, including but not limited to: 
• Process all incoming post and utilise the CRM database to record any fundraising income.
• Ensure cheques are deposited weekly in accordance with finance policy and procedures.
• Ensure accurate billing for goods or services, not including those related to healthcare.
• Reconcile incoming payments against all invoices. 

 Month End and Period End

• Assist the Finance Manager in the preparation of accurate monthly, quarterly, and yearly accounts by performing activities including but not limited to: 
• Auditing and correcting where necessary the accounting allocation of transactional detail in accounting software. 
• Monitor and audit aged debtors and creditors- correcting errors, reconciling unallocated payments, and chasing missing invoices where needed. 
• Utilise the CRM database to calculate and submit the monthly gift aid return and perform the journal entry into accounting software.

 Payroll Administration

• Collate salary transactional data from payroll reports, update payroll apportionment sheet and prepare journal for entry into accounting software.

 Participate in Finance Audits

• Maintain records at a level which meets the needs of external auditors. Assist the Finance Manager in the preparation of document evidence and be on hand to assist during the field week section of the external audit.

 Office Duties

• Assist the Finance Manager in various office duties including but not limited to: 
• Monitoring office supply levels and replenish where necessary.
• Maintaining the organisation's small asset register.

Prepare invoice authorisation and payment process, ensuring invoices and expenses are recorded and approved appropriately, and payments made to suppliers in a timely manner. 

Reconcile bank statements, accounting software, and CRM, to ensure accurate income and expenditure records. 

Administer the corporate credit card scheme to ensure statements and transactions are approved, reconciled and accurate. 

Issue and update membership invoices using CRM. 

Manage outstanding debtor balances to ensure timely receipt of cash for ACF’s income. 

Respond to member and supplier queries regarding invoices and payments. 

Support cashflow management by maintaining a cashflow forecast. 

HR 

Maintain annual leave and sick leave records. 

Support HR manager with onboarding new staff: issuing offer letters, contracts, new starter forms, sending reference requests and arranging IT set up. 

Support HR manager with processing staff leavers: managing leaver checklists, issuing leaver letters, requesting the closure of IT accounts.

About the role 

You will ensure we deliver high quality legal services and manage our Legal Aid Contract, with your main focus being to manage and supervise the legal teams who are advocating for clients with housing issues, as well as bringing about systemic change. You will be dealing with personnel issues, providing professional support and supervision to your team as well as carrying your own caseload of housing litigation.

Contributing to the strategic direction of Shelter legal services nationally will be an important aspect of the role too, as will taking the lead on delivering strategic change aligned to Shelter’s strategy and ensuring Legal aid contract requirements and performance targets are met.

You will be able to identify test case opportunities to address systemic bad practice and so achieve change for a greater number of people and will work closely with the Head of Legal Services, the Hub Management Team and teams within Communications, Policy and Campaigns and Business Development.

As a key member of the management team, you will also get to play your part in the management of our offices, including attending management team meetings and collaborating with other teams.

About you

You will be experienced in working under a housing legal aid contract, court advocacy, carrying your own caseload as well as managing and supervising others. You will have a minimum of 4 years post qualification legal practice experience, have supervisor status and have substantial knowledge of housing and homelessness law. Independent File Reviews, time recording and good case management will also be part of the role.

You are able to carry out research and policy analysis in the areas of housing, homeless and welfare law, produce reports and presentations.

The primary role is to provide the mother with emotional, physical, moral, and educational support. The successful candidate will train as a Doula (if not already trained) and will assist, support and work in collaboration with the Midwife and a wider multidisciplinary team (MDT) in order to provide a safe and holistic, trauma informed approach to person centred care.

Elayos Doulas do not advise, but take time to get to know their clients. They provide support to enable women to make informed decisions about their maternity care, filling a role that parents and families have always needed. The doula is there to listen, empower and not judge. Offering flexible, practical and emotional support in homes as well as in hospitals. There is a requirement to assist a caseload of clients, support different kinds of births and parenting choices and to have periods of being ‘on call’ for births.

HOMES FOR WELLS is looking for a dynamic new Chief Executive to lead our organisation into the next phase. As a small local Housing Association in the beautiful town of Wells-next-the-Sea we house local key workers in affordable rented accommodation.

We are a Charitable Community Benefit Society, a RSL and a CLT. We have a board of volunteers and two part time staff – a Chief Executive and an Administrator.

We are seeking a new Chief Executive to be responsible for the day to day running of the organisation which currently manages around 30 properties.

You will have a track record of leading and managing and will have experience of housing associations and their governance. 

 You will be confident in working with local government officials, other stakeholders and tenants. 

As well as an understanding of the law relating to residential tenancies you will have strong numeracy and literacy skills and experience of providing financial reports. You will be skilled and experienced in partnership working and in facilitating the best performance in others, partners and contractors alike.

You will enjoy getting the job done and be used to dealing with multiple priorities at one time as well as spotting new opportunities to raise the profile of our cause.

The Role 

The role is 3 days per week ideally Tuesday, Wednesday and Thursday with some flexibility for different hours subject to proper support for the Administrator.  Some evenings and weekend working will be required including monthly board meetings, HFW events and meetings at times convenient to Tenants.

The role is based at our office in Wells next the Sea and reports to the Chair.

Location: Hybrid – your time will be split between our office/venue on Bristol Harbourside, and your home or wherever you like to work, however we would like the successful candidate to be able to commit to at least two days a week in our Bristol office.

We’re happy to support a flexible working pattern across three, four or five days a week. You just need to be able to attend key meetings, have some crossover with the rest of the Development team and deliver the responsibilities of the role.

About the role 

We The Curious is about to enter an exciting new phase in its mission to connect and empower everyone through shared creative science learning experiences. It is nearly a year since we reopened and as we enter our 25th Anniversary Year there is lots to celebrate and talk about with our new multi-year strategy, Plan 2030 which encompasses numerous major projects for which we must develop and cultivate support. 

The Development Team is responsible for fundraising across the whole organisation and the stewardship and development of our donors and supporters. The other members of the team are the Development Manager, the Gifts and Partnerships Manager and Development Account Manager. We are looking for a Trusts and Foundations Manager who is collaborative, organised and an excellent communicator to join the team to help us maximise and unlock some very exciting fundraising opportunities. 

As Trusts and Foundations Manager you will use your skills in research and persuasion to identify grants funding opportunities, establish new relationships and write and submit proposals to trusts, foundations, Lottery funders, the local authority, universities and research councils. Working closely with the rest of the team and project managers from other departments you will raise between six and seven figure sums for our programme of creative science learning and inclusion projects.

What will you do in this role? 

Role specific responsibilities 

_Identify new grants funding sources, including trusts and foundations, research councils and statutory/government funders.

_Prepare and submit high quality funding proposals, expressions of interest and budgets in accordance with strict deadlines and application criteria, to a diverse range of funders, for up to seven-figure sums.

_Work closely with internal departmental teams to develop We The Curious projects so that they are ready for fundraising and write detailed and compelling cases for support that include timelines, budgets and evaluation and reporting plans.

_Support the funding applications of other partner organisations by collaboratively drafting budgets, attending project development meetings and writing letters of support.

_Support the Development Account Manager to cultivate potential funders, including attending on-site visits and events, phone calls and delivering presentations to secure support.

_Support the Development Account Manager to manage a portfolio of funders including overseas relationships, fulfilling reporting and public recognition requirements, thank you letters, regular communications and other correspondence.

_Liaise with the finance team to record new income and report on expenditure in accordance with funder deadlines.   

_Support the Gifts and Partnerships Manager and Development Manager in identifying new strategic opportunities and exploring new types of income stream. This may include presenting to the leadership team. Contribute to the delivery of the fundraising strategy, including proposing financial targets for grants, lottery and research income.

_Work closely with the Open City Research (OCR) Manager to identify and pursue new funding opportunities for our ambitious OCR programme and work with the finance team to establish a new funding model for this activity. Support the Gifts and Partnerships Manager and Sustainability and Science Director in cultivating high-value stakeholders in STEM and research sectors.

_Assist in the implementation of the Development Team’s migration onto a new CRM database working closely with the Development Account Manager to customise the database for the Development team’s needs. 

_Work with the finance team to understand our financial position and as requested by the Finance Director, contributing to key organisational financial documentation, such as the annual business plan. 

_Manage Fundraising Volunteers supporting the administrative workload of the team and attend Volunteer Key Contacts meetings.

_Attend and occasionally present at We The Curious staff meetings, exhibition launches, project meetings, project development presentations and meetings as required.

General ​responsibilities 

_Develop and maintain an up-to-date knowledge of We The Curious’ planned activities for communities and schools to present our work persuasively to funders and partners.

What we’re looking for from you 

_You’ll have at least three years of fundraising experience, with success at delivering against financial targets and strict deadlines. You’ll have the ability to network, build and manage funding relationships with a wide range of funders and other stakeholders.

_You’ll be confident explaining and pitching ideas to internal and external stakeholders.

_You’ll have experience of working very closely with project delivery teams to develop projects, ensure they know what they need to deliver for funders and monitor their expenditure.

_You’ll have excellent budget management skills, the ability to work independently and effectively and will be confident reporting on six or seven figure budgets.

_You will have good understanding of the financial and regulatory environment charities operate within.

_You’ll have some technical knowledge and experience at using and developing fundraising databases.

_You’ll have experience and confidence in managing multiple projects simultaneously.

_You’ll have the ability to understand We The Curious’ broad-ranging project content and tailor it to appropriate style and content for target funders.

_You’ll have excellent verbal and written communication skills.

_You’ll ideally have an understanding or experience of working in education, culture and/or science charities.
